### "Great Application"

October 1, 2025

5.0

Akiflow is my second brain in-terms of managing my time. I don't know how to function without it. It integrates with everything in my workflow so that I know all of my tasks are going to be in one place when I need them.

Pros

Their Customer support team is fantastic - quick to respond, and always extremely helpful. The unified inbox, and general task management structure are extremely helpful

Cons

Every so often, tasks from integrated sources will schedule themselves for weird times. The price is a little high.

### "Great first impressions, looking forward to more features and quality of life improvements"

October 3, 2025

4.0

it's great, i used it for only a few days but i already feel like a lot more organized. i would suggest adding the following features: - add location to tasks and slots - allow slack integration with less permissions (e.g. only integrating dms) - summary statistics on specific recurring events (e.g. summary to see how many times i went to the gym last month) - integrate functionality to map iphone's action button to the akiflow's voice chat - add a functionality to take an event from calendar A and block the same time window in calendar B with a click of a button - add time of day + day of week combination setting to change the default event visibility to a specific calendar (e.g. all events marked visible by default from 9am to 5pm on weekdays, and invisible by default otherwise to my work calendar) - bundle tasks to events if they share the same time slot - automatically change the content of an event on calendar if i switch back and forth between different visibility settings/ content of the event.

Pros

i like the fact that i can integrate more than 1 google calendars and more than 1 note taking tools into the app. the visibility setting for events is also great. I also had a very good experience in the free onboarding call with Ms Peache Torren, who was infinitely patient with my barrage of questions. Thanks Peache!

Cons

sometimes it's confusing to know which event/ task is visible to which calendar. it especially doesn't help when projects also have similar colors to the colors of the calendar. it would be great if the ui/ux can be improved so i can tell easily.

### "Super reccomended"

March 27, 2026

5.0

The user experience is fluid and the interface is incredibly clean. It is the perfect tool for anyone suffering from "tab overload" who wants to take back control of their time. Despite a few missing features, the workflow and the support team make it a top-tier choice.

Pros

Akiflow has radically changed the way I manage my day. The ability to consolidate tasks from multiple platforms into a single calendar view is unparalleled. A special shout-out goes to Cecile from the support team: her assistance was fast, extremely friendly, and genuinely helpful. It’s rare to find such attentive and human-centric support in a SaaS product.

Cons

While the app is excellent, there are two specific features I am missing: Event Templates: It’s currently missing the ability to create templates for events, which would significantly speed up the creation of recurring but non-identical appointments. Custom Video Call Links: The video call integration feels a bit rigid. I would love the ability to natively set personal links from other communication apps instead of being limited to the default Meet or Teams options.

Akiflow stood out because of its beautiful and clean interface. It’s incredibly easy to use and intuitive from day one. Most importantly, its integration capabilities are superior, allowing me to consolidate all my tasks into one place seamlessly.

### "Terrible Customer Service "

May 28, 2025

1.0

I would never recommend Akiflow to anyone as their team don't have the customers best interest at heart. I felt unsupported by the company and have only had bad interactions with team members - when I've been able to get a hold of them, which is extremely difficult.

Pros

Nothing. Only bad experience with the product and team. I have nothing positive to say about the company.

Cons

Terrible customer service. Difficult to get a hold of any team member and lacks support for customers.

So far I'm LOVING Akiflow - it's helping me organize and actually complete my brain dump of things that I need to get done, personally and professionally.

Pros

The onboarding process with the representative assigned to me, \[sensitive content hidden\], was wonderful! Super easy, she answered all the questions I had and then showed me some other things I wasn't aware the software could do.

Cons

They're not SOCII compliant which means, unfortunately, I'm unable to integrate some of my clients' calendars.

### "Best organization tool I have found"

September 29, 2025

4.0

I enjoy how I can reorganzie and drap and move around tasks and events. I also like how quick and responsive the customer support is.

Pros

I love the that it combines my calendars work and personal and allows for timeblocking and task stacking in blocked times. It also allows me to go as zoomed in or out as I want.

Cons

It takes sometime to set up and transfer from whaterer you current methods are. Also takes some orientation to use. I am still not sure how to use it to its full potential, it is not inuitive. But once you overcome the learning curve, it will be a extremely essential tool

### "Akiflow notes 10/8/2025"

October 8, 2025

4.0

I really like Akiflow. I've been looking for a way to centralize my tasks from the various platforms I use, into one place. I wanted something that could give me mindfulness when planning but also be able to handle the multiple roles that I juggle at work and home. I find the visuals calming and pretty intuitive.

Pros

I like the user-friendly interface and find the set up visually appealing. I love how it connects with the platforms I use heavily and allows me to centralize my task management in an efficient way. And being able to talk details to Aki is great.

Cons

I've been using subtasks heavily in Microsoft To Do and would love to see that functionality here. I'd also like a "save" button when I'm updating a task. I find it a little challenging to see if my updates have posted and have lost some information from exiting a task too soon.

### "Smart, intuitive and productivity booster"

October 2, 2025

5.0

Overall experience is good. Onboarding call with \[sensitive content hidden\] was really helpful. She gave some amazing productivity tips during the short call. I'll be exploring this more before I proceed for subscription.

Pros

It has an easy flowing and intuitive interface. The timeblocking features are amazing and the way work gets visualized is also user friendly. Integration of multiple calendars, and initiating meeting requests from within Akiflow - that saves a lot of effort.

Cons

Nothing much. Exploring the tool right now. 1 thing that could help - a collaborative team calendar to be able to visualize work getting done and available time slots.

### "Finally found the Smooth "Flow" I always Looking for but..."

July 23, 2024

5.0

Pros

Oh, I absolutely love the ability to integrate with so many applications and so snappily, so quickly. Also, the overall approach is that you cannot move a task to make it accidentally get lost unless it's planned for some day or date. (Basically, a task stays in your inbox unless you plan it)

Cons

What I least like about akiflow is that it's starting to focus on cool AI stuff instead of nailing the basics like the ability for custom reminders or the whole can of worm features people have been requesting on the canny page; I think Akiflow is really, really good at what it does, and it should try to nail the primary first and then approach towards AI Stuff, I know it's the new cool trend and all, but personally, I have more appreciated if did the fundamentals more better instead of jumping to the latest shiny stuff.

### "Akiflow is one of the best Calendar systems on the market"

July 23, 2024

4.0

Overall, my experience with Akiflow has been really beneficial to me. The team is obviously actively working on the platform. They communicate really well. They provide really solid support. And these things have just all gotten better over time. So that all instills confidence and leaves sort of the sense of a good experience overall. Then from a task management perspective, Akiflow has been really, really useful to me. And the fact that there's a great calendar built in on top of that, I'll take it. So A+ on the overall experience.

Pros

AkiFlow is a really well-polished system. I use it daily for calendaring, in which it shines when I am attempting to schedule meetings across time zones, when I'm sharing my availability, when I'm managing my tasks. Really everything that I would want AkiFlow to do, it does well. So what I like the most about it is that it is so comprehensive a solution, and then the second thing I really like about it is that the team is working very hard on the platform. We, users, typically see a new release, a new update every week, maybe every two weeks, but rarely does it take them a month to push out a big or any update to the system. And this is in kind of direct contrast to a lot of other tools in the calendaring and task management space where you might not see updates until two months down the line, three months down the line. They're just really not that visible with their roadmap, and AkiFlow certainly is.

Cons

I would like to see Akiflow focus a little more on their iPad app. There is an iPad app that fits the iPad form factor, and essentially it does have all of the functionality that the iOS app has. But it is a little bit more clunky, and the team at OAkiflow seems to know about this, and I'm sure they're working on it. They've really put a lot of time into their iOS app recently, and that's really become a great everyday calendar application and task management application on iOS. This is in contrast to some other tools on the market that maybe don't update, even though they're connected to Google Calendar as well, just as quickly, but Occyflow is really solid, the iOS app is really solid in that way. So I think I would really like to see them put some additional time into the iPad app. The other thing that I don't love is that some of the third-party integrations can act wonky sometimes. Sometimes they're absolutely fine, but a quick perusal of the Akiflow Slack channel, one of the things that you'll see is maybe a Todoist integration issue or a ClickUp integration issue, but I'm searching for something there to say that I don't like. Those issues are typically rectified pretty quickly.

Alternatives considered

[Motion](https://www.capterra.com/p/214264/Motion/)

Reason for choosing Akiflow

AkiFlow really has no issues with data siloing as opposed to Motion. Some tools just don't really integrate and connect with many other systems and that's not the world that we live in. And so one of my main criteria, and my team's main criteria, was to find a tool whose data we were able to use in other places and could make better use of the data that we have in other systems. Without that, it was a no-go for us.

Switched from

[Todoist](https://www.capterra.com/p/149339/Todoist-for-Business/)[Fantastical](https://www.capterra.com/p/210207/Fantastical/)

I switched to AkiFlow really because I wanted one app to calendar and manage my tasks rather than two apps. I could not understand why I would do those things in separate places. After evaluating VimCal, Motion, AmyCalendar and so on, AkiFlow was the only one that seemed like they were building something that was in line with what I needed.

### "Akiflow, the light at the end of the productivity tool hunt tunnel"

September 4, 2023

5.0

My experience so far has been very positive, not only does the tool do as promised and feels like it is continuous development (new features), the community and support are great. It is not just a tool, but a way of working.

Pros

It does what it promised. Easy ways to create tasks and add meta data, and blocking time in your agenda to complete these tasks.

Cons

There still is no Apple Calendar integration. I would also like to add notes/documents to Akiflow.

### "Single Source of Truth"

March 25, 2022

5.0

I am in love with this app. It is a game-changer and I will continue to use it for as long as it exists.

Pros

Great team building a powerful task consolidation program which makes it painless to have all the tasks, events, reminders, and messages in one, well-organized location. Additionally, it is beyond easy to categorize, prioritize, and schedule each task/project through their tagging features, priority metrics, due dates, and time blocking methods. The real beauty is that you can use all of these features or only a few, as the system is flexible and capable for any personality/workflow.

Cons

It is still in Beta so there are still a few bugs but none that are critical, and there is no mobile yet, although it will be released soon as of this review.

Alternatives considered

[Sunsama](https://www.capterra.com/p/145616/Sunsama/)

Reason for choosing Akiflow

The Akiflow team is very interested in what their community wants to see for upcoming features and produces new features quickly. Also, this program has a broader feature base already and has countless ways to integrate with other apps like slack, superhuman, todoist, trello, click-up, etc.

### "Akiflow has been my lifesaver for task management"

March 23, 2022

5.0

Pros

I've tried all kinds of systems. Akiflow is the first one that let's me aggregate tasks from many places. Notion, Gmail, Slack, you name it... I can tag it, bookmark it, etc. and it ends up in Akiflow. I groom my tasks daily and move them from my inbox into specific days.. .And then at the start of each day, I drag my tasks onto my calendar where they live and ensure I don't book a meeting over top. Fantastic way to visualize your tasks and stay on top of things.

Cons

Waiting for a mobile app so I can manage my tasks natively in an easy way.

### "Great for seeing a realistic view of my day!"

March 22, 2022

It’s really helped me to plan better, stay focused, and see the progress I have made.

Pros

Akiflow allows me to see my meetings and plan my tasks with estimated durations around those meetings and my lunch and breaks. I can plan a more realistic day which leaves me feeling more accomplished at the end of the day.

Cons

So far really nice. It really helped me keep track of to-dos that otherwise would have been lost.

Pros

\- Ability to easily create tasks and assign them to projects - Mac shortcut to create a task on the fly

Cons

\- Lacks calendar automation features (e.g. projects being bound to different calendars, e.g. personal tasks book time in personal calendar) - Task organisation is not the best - sometimes I struggle finding tasks I created, and it's quite easy to forget them if you don't schedule them right away - Pricing seems a bit high - Akiflow is definitely not cheap!

It's amazing - great way to keep track of all my tasks from various tools, easy to use. Replaced calendly for me. I love being able to see all my meetings and tasks in the same place, as it helps me be more realistic about planning out my day. I can even drop things directly in time blocks on the calendar if i want to.

Pros

I can sync with multiple tools to have everything in one inbox rather than having to force everything else into a tool. For instance, it connects with gmail, slack, trello, notion, etc... so I can collect my tasks wherever they are created. I also like the keyboard shortcuts and being able to quickly maneuver and view all my tasks in the most useful views.

Cons

Occasionally there are issues with the Trello sync, and delays here are frustrating as it makes me fear my data isn't being synced all the time. But these tend to be resolved fairly quickly and overall I have confidence in them.

### "One of the best time-blocking digital planner and calendar"

January 29, 2024

5.0

Overall, my favourite time-blocking and planning tool! I use it throughout the day for my planning and time-blocking activities. Great functionalities and seamless integration with Google Calendar, ClickUp, and ToDoist.

Pros

In my opinion, Akiflow is the best app for time-blocking and planning. It has a very user-friendly interface, easy to setup, easy to integrate with other applications such as Google Calendar, ClickUp, etc, and has all the functionalities you need for planning, time-blocking and scheduling tasks.

Cons

There are some minor issues from time to time when moving tasks by dragging them, however, it is easily fixed by just refreshing your page. Also, switching from an event to a task once you schedule it is not straightforward.

It has been so wonderful to be on the Aliflow journey this past year - optimising my workflow and being impressed by the new features and being part of the awesome community on Slack

Pros

This is the perfect app I found that nails the workflow of collecting all your tasks, planning into work days/weeks, the assigning tasks to calendar space - I felt so much more organised and productive once I had learnt to use it

Cons

The app improves regularly, but I think there are some some areas left to address such as richer task context/descriptions and subtasks, being able to schedule them separately

### "The best tool to start making moves with your tasks"

March 22, 2022

5.0

Pros

I love that I can pull in tasks and to-dos from various sources - Asana, Email, Slack - and have one source of truth to then time block the tasks and make moves with what matters. Akiflow has become invaluable for this - a dashboard of productivity and a catch-all to make sure nothing gets forgotten about.

Cons

The biggest thing it's missing is an iOS app - but this is already being worked on. And I'm happy to wait for a product that's been thought-out and not rushed. There are other nice-to-haves and improvements coming - 2 way Asana sync for example. Everything I have a comment on is already being worked on.
