August 14, 2026 5.0 For any tutoring company trying to manage multiple tutors, hundreds of students, complicated schedules, lesson documentation, and billing all in one place, I can't recommend TeachWorks highly enough. It has been an integral part of running my tutoring business since 2018, and I absolutely love it! Pros I have been a very happy TeachWorks client since December 2018, using the platform to manage a team of 10–12 private tutors and hundreds of students each year. I can honestly say that its scheduling system is second to none! The calendar was actually one of the biggest things that drew me to TeachWorks and is what has kept me a loyal customer ever since. It is incredibly user-friendly and makes it so easy to move lessons around, reassign students to different tutors with the slide of the mouse when schedules change, and manage a very busy tutoring operation without making scheduling feel like a full-time job. I have tried other platforms over the years, and their calendars simply don't compare. TeachWorks nails scheduling! I also love the lesson notes feature, which allows my tutors and me to keep detailed internal records of what was covered during each session while also giving us the option to share appropriate progress notes with students and parents. The customizable forms have been invaluable for onboarding new students and collecting baseline test scores and other information we need throughout their test-prep journey. Invoicing is a breeze, the dashboard is full of reporting insights that I love seeing every day, there are tons of useful integrations, and I have been able to customize TeachWorks to work beautifully for the needs of my staff, students, and parents. Cons It is hard to think of much that I don't like about Teachworks. Hmmm. I thought, "If it doesn't work, I'll change to another company later." And I've been SO happy that I've not once ever considered having to change. Pros Teachworks was easy to set up and is very user friendly. Also, anytime I have a question, I just write in and it gets answered promptly and thoroughly. But most importantly? It works! I never have to worry about anything going down, data being lost, etc. It's always up, always working:) Cons I just wish I had more time to dig in to features I'm not using! I also wish that they had a better system for tracking student test scores like ACT and SAT. I want to keep track by section as well as the overall scores as well as if it was a practice test or actual test. I tried the feature a while back and it was just too "clunky." People have been asking for that for a long time. Would never switch to product in which people have been asking for years for them to add two-way calendar sync and they haven't done it yet. I’m not sure that I’ve ever needed customer support help - so I’d say the software works great (though I do have a very helpful husband who helps me out if I ever need it). Pros Love the calendar and invoicing most. Love that I can schedule lessons for the entire semester and then easily adjust when things need to change & that it will automatically notify the parents. Also love how easy it is to create invoices, edit them if needed, and send reminders to parents if they’re late. Very easy. Also love, when tax-time comes, that I can easily create a chart with all my income - to send to my CPA. Very easy. Cons I know a lot of other piano teachers who use other software that is much cheaper. I’m hesitant to change because I really like Teachworks, don’t want to have to learn a new software system, and have years of notes I don’t want to lose. But I do wish it weren’t quite as expensive. IEC Education Management Used the software for: Less than 6 months ### "Lots of functionality -- No live support options" April 8, 2022 4.0 All in all, it took over 3 months and over $2000 of external support to be able to switch my CRM over to Teachworks and figure out how to use it. Now that we have a handle on it, it is finally starting to function to become a part of our business. I am saddened that this process could have been smoothed over by an onboarding call that I would have gratefully paid money for. Instead, we were left to fend for ourselves because of the lack of intuitiveness of the system. Pros Teachworks has a lot of functionality. It allows users to customize based off their needs. Users can bill hourly or in bulk packages. Lots of options for allowing clients to schedule all at the click of a button. I had seen teachworks years ago, but didn't want to transfer my business over because the platform seemed intimidating. Now, after 3 months it is not so intimidating. Cons Onboarding was took three months and $2000. This is largely because TW does not offer any live phone support or onboarding training as do many tech platforms. I was absolutely flummoxed for 3 months and hired VAs and admin to help me transition to the new platform. I begged the company to provide some sort of customer support that I would have gratefully paid for, but they said they couldn't help. Instead, I had to stumble through for two to three hours, figure out what my question even was, then ask support for help. Most of the time, I got redirected to a long help page which often didn't answer my question. There is functionality within the program, but when the documentation doesn't clearly indicate such, then the user is left to wade through pages upon pages of documentation and/or fast forward through videos to find the exact answer to the question. This is not useful for somebody who has limited time or for someone who isn't comfortable with technology. A lot of the functionality is unclear unless you explicitly ask support for help. Ex., Does the system send a message upon scheduling an appointment? Ex., Does cancelling an appointment send a message? In other platforms there are little question marks you can hover over, but in TW you're left to do some trial and error until you figure out exactly what each little thing does. I also dislike that it does not two-way sync with any calendar programs. August 19, 2025 5.0 We've had a very smooth and enjoyable experience with the product and the customer support team. We switch to Teachworks several years ago from another software program that was much less user friendly and less useful. Teachworks has been great! And any time I have had a question or have suggested a feature improvement, they have been very responsive and quick to resolve any issues. Pros Teachworks has been especially helpful for scheduling and invoicing customers. And the customer support has been excellent! And we love all the different add-ons to make it even more useful and customized to our needs. Cons Perhaps the biggest challenge we have faced is with the Quickbooks integration. Unfortunately, there is a little glitch when syncing with Quickbooks, because of the way the VAT tax is calculated compared with the way Quickbooks calculates the VAT tax. It saves me a lot of time with scheduling, payroll, and managing both students and teachers. Even with a couple of features I wish were more flexible, it’s still very reliable and easy to use. Pros I like that Teachworks is easy to use and keeps teachers, students, and admin like me organized with the calendar, student roster, and staff listings. It makes payroll simple each month by showing the total hours and classes worked, along with any admin time. The pricing is also great for what we get. Cons I can’t sort teacher hours and classes within Teachworks to quickly see how many classes were taught for each student or class, though I can download the data to a spreadsheet. It’s also tricky to apply lesson packages to specific lessons. For example, with long-term students, payments can get applied to lessons from years ago unless packages are applied from the very start. One thing I would like is to have a specific section to enter grades. I would also like to be able to look back on the details of a past lesson even if it is locked. It does all that and more. I am hoping that invoicing will become easier. It may be a user problem more than a software issue. I'm still trying to figure out some things. The online help has been very quick to respond. I wish I could see in graphic form what percentage of my business comes from the different services, but I can't see it in my version. I wish I were able to send flyers and other attachments from Teachworks. At times, I still have to use my email. Again, it may be a user issue rather than an issue with the program. I like it overall, but I wish it were a tad more intuitive/user-friendly. I like that I am able to personalize the invoices with my own logo. Pros It keeps all student info, correspondence, and invoices in one place. I feel more organized already. Cons Sometimes unexpected numbers appear in fields and I'm not sure how they got there. The support you get helps you find a fix to the issue real quick. Pros Using Teachworks has really helped us as teacher with our tutoring schedule. The data sharing has really helped us as educators because you can ask and rely messages to each if we have questions. It has made life easier for us and it has allowed us to take on my students to the point where we started a small tutoring business on the side. Iphone users can sync with their personal calendars as well. Our organization has lots of very small individual sessions and it results in lots of appointment bookings and this software has made this much more manageable. Able to search by location, staff, and student helps filter information. Also able to download all information in Excel files which allows me to use it in other ways as well. We like many things about it but we have been VERY frustrated by how slowly things change and improve and that it is impossible (even when we have offered to pay) to get additional support. Pros It is robust, consistent, well established, reliable. The ability to have tutors invoice from their completed lessons and for us to be able to pull reports etc. is all very good. Cons Two main issues - The biggest is the online booking featurs for clients. It is difficult to set up and customize. Changes have been very very slow. It is not very intuitive for clients so it often causes problems for them and makes the process more work than it is worth. The second is the lack of in person help and video tutorials. There could be way more videos on their online booking features. A third is that while TW says they sync with QBO, the sync does not work well. Reason for choosing Teachworks We have stuck with TW because it is a good product but more so because it takes a lot of time (and therefore money) to change systems once you have 25+ tutors. If we were to start again, we would not go with Teachworks due to the sub par online booking features and the lack of live support. Unfortunately we don't add custom features for individual companies. We're actively adding new features to Teachworks and over the past year, we've added 192 new features and improvements. You can find a list of these in the Change Log (click the "i" icon in your account to find it). The Teachworks API allows companies like yours to build custom integrations.
