Outstanding. CareSmartz360 has completely transformed our agency. It streamlined every part of our operations – staff management, client care, scheduling, and billing – and saved us countless hours every week. The platform is intuitive, constantly improving, and the customer service is genuinely the best we’ve ever experienced (fast, friendly, and they actually solve problems on the first call). We love it and recommend it to every home care owner we know!

Pros

The scheduling system is hands-down the best feature – it’s a total game-changer. No more scheduling conflicts, last-minute scrambles, or missed shifts. Everything from caregiver availability to client preferences is handled seamlessly in one place. Pair that with how smoothly it manages staff profiles, client records, billing, and compliance, and it feels like we finally have full control of the agency without the usual chaos.

Cons

Honestly, there’s very little to complain about. If I had to pick something, it would be the initial learning curve when we first onboarded – there are so many powerful features that it took a couple of weeks for the team to feel 100% confident. But their fantastic support team held our hand through every step, so even that turned into a positive.

### "Potential but Poor Follow Through"

We have not been able to wrap our heads around there not being 24/7 live customer support, considering that most home health care companies are a 24/7 operation. When we have urgent questions on an evening or weekend (which happens almost weekly,) we have to wait until the next business day for a response, which is just unacceptable in this industry. Sometimes days go by before we get a response, and often times the response is little more than " we'll ask the development team" and we are left to figure out a solution or workaround ourselves. We wonder if CareSmartz360 is a new company (like us!) and often times we feel as though we are the guinea pigs for this company to work out their kinks. If we had known this would be the case, we would not have gone with CareSmartz360 Unfortunately we have not been able to solve any of our existing problems with CareSmartz yet. We have actually taken on a few additional issues now that need solving on a weekly or bi-weekly basis. We are currently looking for other software solutions.

Pros

It is very aesthetically pleasing and easy to look at all day long, which is very important to us. It makes it easy for staff to pick up shifts.

Cons

We were promised quite a few things before signing our contract (an administrator's app and Paychex integration were our two biggest MUST haves) and unfortunately once we signed our contract and started using CareSmartz, it seemed that all of those things were not available to us, at least not yet. We were beyond disappointed to find this out because we were very clear during our 2 sales calls that if these features were not available, we were not interested. We feel we got the old "bait and switch" routine. Our payroll processing used to take one person about 2 hours to do for a 2 week billing cycle before we signed on with CareSmartz and most recently it took 4 people 6 hours of going over everything with a fine toothed comb due to all of the errors on CareSmartz end (miscalculated times, charging overtime to clients we have exempted multiple times, and splitting overnight shifts and Live-In shifts incorrectly.) It is also incredibly difficult to get our staff signed in for the first time, and has taken a team of 3 people at times. This is not only time consuming, but frustrating for office and field staff. That process should be much, much easier.

We were promised the things on our Must-Have list, unfortunately none of those are features CareSmartz360 actually has yet.

Overall, it has significantly streamlined our agency’s operations. Tasks that used to take hours—like scheduling and billing—now take minutes. Our caregivers find it much easier to clock in/out, and administrators appreciate how organized everything is. CareSmartz360 has truly helped us improve efficiency, compliance, and communication across the board.

Pros

The platform is extremely comprehensive—scheduling, billing, EVV, caregiver management, and reporting all work seamlessly together. The interface is user-friendly, and the customer support team is outstanding. They respond quickly, provide clear guidance, and genuinely care about solving issues. Frequent updates show they’re constantly improving the software.

Cons

There’s a slight learning curve at the beginning due to the number of features. Some advanced reports can take time to customize, but once set up, they work smoothly. I’d also like to see even more mobile app enhancements for caregivers.

As a home care agency owner, I would highly recommend Caresmartz30 as a comprehensive solution to timekeeping and all asepcts of homecare.

Pros

Fair and budget friendly fees. One stop shop for all services; billing, payroll, scheduling, timekeeping and reporting

Cons

As much as I enjoyed the training process for onboarding as a new client, the timespan was 6 weeks. I would have preferred a shorter timespan.

I like most of its functionalities, especially the ability to generate reports, as this is crucial in managing a business. Additionally, having multiple report formats available is also beneficial.

Pros

They have excellent customer service. The technical support team is very attentive and always ready to help. You get quick replies and they guide you on navigating the system in a very professional way.

Cons

For someone, who is not as tech-savvy as I am, it takes a bit of time to explore and learn all its features. They provide tutorial videos and webinars; you just have to invest a little bit of time.

The platform has made managing our homecare operations much more efficient, from scheduling and billing to caregiver communication and compliance tracking. It has helped reduce administrative burden and improved the quality of service we provide. While there’s a learning curve in the beginning, the excellent support team has always been there to guide us. It’s become an essential tool for running our agency smoothly.

Pros

What I like most about CareSmartz360 is how comprehensive and user-friendly it is. Everything we need, scheduling, billing, time tracking, caregiver management all in one platform. The mobile app is great for caregivers in the field, and the real-time updates improve communication. Plus, their customer support is outstanding; always helpful and responsive when we need assistance.

Cons

Minor glitches once a while in the mobile app. That said, the support team are very responsive and usually quick to resolve any issues with no time.

One of the most important things we like about CareSmartz360 was the individualized training program, we are grateful we did receive the scheduled training and we were able to ask questions after every training session.

Wait time to speak with a live agent in customer service. The chat is time consuming during a busy work day.

Pros

Best feature in healthcare is to be able to backtrack on missing documentation as it is needed per regulations. Its an excellent feature because a lot of staff neglect completing documentation. This allows us to go back edit and or add necessary notes. That's a big deal

Cons

a lot of clicking too much clicking and searching , in healthcare your patient is priority if you spend a significant amount of time clicking and searching it takes away from your overall position, patient care focused

CareSmartz360 makes billing and invoicing much faster and easier since it integrates with Quickbooks online. It also has made payroll run smoother and faster.

Pros

We recently switched from Wellsky/ADL for Home Care to CareSmartz360. We find this software not only MUCH more inclusive with features and options, but customer service is always available with a chat box every time you log in, 24/7. We are still learning, but are finding it to make our daily operations run smoother and more efficiently.

Cons

Training was good, but a little short in the meetings. There is a pretty steep learning curve at first but this goes for any new software system.
