The team that contacted us to do our demo was the same team that did our installation. This was great because there were no promises made about the software that were not kept. It was a great experience. Pros The ability to establish flags for each file to indicate if a file has been processed and completed is invaluable to us. We use that feature on every tax return we prepare and it saves us a massive amount of time in not having to re-review documents to make sure we have worked through it. The flags are a very efficient visual tool that answers that question on the fly. Cons There are several areas of the program that cannot be changed and these are time wasters. From the beginning, I have been using DocsVault for the management of documents related to my medical practice and the personal, financial, legal affairs of my family. It is proven invaluable as a multipurpose tool to manage important documents. It is easy to use, reliable, and secure. It will handle documents in any format, and easily allows the user to import and export documents from DocsVault, manage email documents, and send emails with attachments with these directly from the application. Additionally, on I think the two occasions in the last probably 10 years that I have been using this program that I have required technical support, an agent has signed on remotely and fix my problem quickly and efficiently. I am most impressed with DocsVault tech-support. Cons The newest version of the scan module is a little more difficult to use that the previous one. Out of al the systems we looked, Docsvault just had common sense navigation. Not to mention the OCR and search ability. The document approval worklflows have have streamlined a lot of our processes. Their API allows us to set up notifications with other applications like Docusign. It's also 21 CFR part 11 compliant which is required for the FDA regulated studies we do. Cons The API can be a bit onery. We were also hoping to use the web access as a kind of read only system for other departments, but it just doesn't work like that. They made the transition from our previous DMS, Worldox, as painless as possible. The migration process was smooth. I would highly recommend a trial migration (we did one with an older dataset) to really see how the data behaves. The Docsvault built-in PDF viewer product is amazing -- more features than Adobe Acrobat. We work with PDFs quite a lot and it is great having such a full-featured tool for redactions, re-ordering pages, etc. Pros The technical support is excellent - prompt, skilled and personable. They offered personalized how-to videos, in addition to calls and screen sharing to resolve questions. The customer-facing support staff is small enough to get to know their clients, yet they are backed by engineers who can address issues very quickly. I appreciate that they offer a full administrator's manual, not just links to click. Reading the full manual helped prepare me for implementation. Pricing is good, and certainly more reasonable than the alternatives I considered. It was also important to our attorneys to have an on-premise solution, and I was thankful to find Docsvault is committed to maintaining an on-premise product. Cons This is my first experience with SQL File Stream, and that has taken some getting used to. I liked the Worldox "Indexer" (Database) model that ran on a desktop class machine, while the documents were stored on a file server. I had a previous, non-related bad experience with an NAS, and did not give that configuration serious consideration. Automate workflow is very helpful. Cons PDF digital signature has some limitations. This need to be more dynamic currently, we can do the signature at fixed corner only.
