Was not aware we would be required to pay $900 each year for upgrades/software fee- feel this should be included with the service. This was great because there were no promises made about the software that were not kept. It was a great experience. Pros The ability to establish flags for each file to indicate if a file has been processed and completed is invaluable to us. We use that feature on every tax return we prepare and it saves us a massive amount of time in not having to re-review documents to make sure we have worked through it. The flags are a very efficient visual tool that answers that question on the fly. Cons There are several areas of the program that cannot be changed and these are time wasters. I would love to work with the company to eliminate these bottlenecks. Pros The file structure that we can create and customize to our preferences. Ease of finding documents, exporting them to pdf, or print if needed for meetings or projections. Knowing the files are stored but easily accessible. Cons Not any big issue, sometimes it is slow when converting documents to searchable text. Sometimes when we download a new version, there is a revision that has to be made, but they usually make a software patch to correct the problem, very satisfied. Automatic backup is probably one of the most useful as it includes both a full and incremental backups as well as auto-export (which includes the entire folder hierarchy) and it can be scheduled. The web access is also a big plus so you can access your files at any time. Then the most important aspect is the customer service. They are second to none. They always reply to your inquires and go out of the way to satisfy. Pros The user interface is very familiar as it is similar to Windows Explorer. It is easy to use and find features you want to use. Cons There are some little nitpicky things that I don't care for - like dialogs not remembering their previous size and/or location (especially on multi-monitor systems). They made the transition from our previous DMS, Worldox, as painless as possible. The migration process was smooth. I would highly recommend a trial migration (we did one with an older dataset) to really see how the data behaves. The Docsvault built-in PDF viewer product is amazing -- more features than Adobe Acrobat. We work with PDFs quite a lot and it is great having such a full-featured tool for redactions, re-ordering pages, etc. Pros The technical support is excellent - prompt, skilled and personable. They offered personalized how-to videos, in addition to calls and screen sharing to resolve questions. The customer-facing support staff is small enough to get to know their clients, yet they are backed by engineers who can address issues very quickly. I appreciate that they offer a full administrator's manual, not just links to click. Reading the full manual helped prepare me for implementation. Pricing is good, and certainly more reasonable than the alternatives I considered. It was also important to our attorneys to have an on-premise solution, and I was thankful to find Docsvault is committed to maintaining an on-premise product. Cons This is my first experience with SQL File Stream, and that has taken some getting used to. I liked the Worldox "Indexer" (Database) model that ran on a desktop class machine, while the documents were stored on a file server. I had a previous, non-related bad experience with an NAS, and did not give that configuration serious consideration. Very comprehensive in applying relevant aspects of document management. Integration with office products to avoid having to print - scan - import a amazing. I recent fell in love with the DocsVault PDF converter which was able to take 256,000 page document and handle it easily when even Microsoft Print to PDF was crashing after hours Pros Integrations with external existing data is absolutely priceless. Most solutions - including popular form-builders do not allow this integration which dampens the experience. Populating data to aid in the accuracy of meta data is something we cannot live without Cons DocsVault Web requires Windows on IIS. I like how it creates tabs and sections and be able to edit the tags. Cons I purchased years ago, version 4, for personal use and it was quite expensive for a single user. I had to reload it on a new laptop but wouldn't activate. The company says they no longer support activation of version 4, and its a way for you to buy a newer version where you pay more amount of money again. Now that I can't afford buying a newer version, I have to resort to another storage software. But the problem is, when you store documents, they are stored with a file name other than the one that you have given it. So, whatever software I decide to use for storage, I have to go through thousands of pdf documents, look at each one, and rename them to something meaningful. Ease of use, user management, and support has been the reasons why we continue to use Docsvault. Pros We have been very happy with DocsVault. W have used the product for over 4 years and have not but good things to say. It has helped to improve workflow, lowered unnecessary duplicates and storage capacity issues. Improved time to find old documents in storage. It has been an over improvement in the handling and storage of documentation for our accounting as we as project management teams. Cons We have had Docsvault for more then 4 years and have not had any major issues. We have had a few minor issues but those were all handled by support and were more User error and not Docsvault issues. Support has always been very helpful.
