I spend far less time hunting for files now. Support has also been great - quick responses and they solve the issue. Cons There's a bit of a learning curve at first. With patients to see and a clinic to run, I didn't have much time to explore all the features early on. Overall Experience Solid choice for organizing documents without a lot of hassle. I'm probably still not using it to its full potential, but it's worked well so far, and it's reassuring to know support is responsive when needed. This is leaps and bounds above our last system. My research department has been very happy with the document approval and tracking. The support team has been great! Thanks Vishal! Pros Docsvault is constantly upgrading with new features and their support staff is very responsive. It's also feels very natural. Out of al the systems we looked, Docsvault just had common sense navigation. Not to mention the OCR and search ability. The document approval worklflows have have streamlined a lot of our processes. Their API allows us to set up notifications with other applications like Docusign. It's also 21 CFR part 11 compliant which is required for the FDA regulated studies we do. Cons The API can be a bit onery. We were also hoping to use the web access as a kind of read only system for other departments, but it just doesn't work like that. That necessitated buying read only licenses for anyone else who needs to view documents in Docsvault. Most solutions - including popular form-builders do not allow this integration which dampens the experience. Pros I like the ease of use, unlike some applications the learning curve is easy and when changes are made to the system, they are not disruptive in nature. Even the best software is only as good as the support team. Docsvault's team has never let me down. One of the customer rep is extremely patient and doggedly works to fix a problem all the while takes the time to explain things, even though I am not a teckkie. I enjoy working with everyone there. When they have annual software renewal subscriptions, they do not gouge you with huge price adjustment increases. Their software is fairly price and does the job for which it was intended. Very satisfied with this choice and do not see me changing from them anytime in the future. Cons When making a selection to say e-mail/print for instance sometimes the selection will change to another client and if you are not careful, you select the wrong option. They made the transition from our previous DMS, Worldox, as painless as possible. The migration process was smooth. I would highly recommend a trial migration (we did one with an older dataset) to really see how the data behaves. The Docsvault built-in PDF viewer product is amazing -- more features than Adobe Acrobat. We work with PDFs quite a lot and it is great having such a full-featured tool for redactions, re-ordering pages, etc. Pros The technical support is excellent - prompt, skilled and personable. They offered personalized how-to videos, in addition to calls and screen sharing to resolve questions. The customer-facing support staff is small enough to get to know their clients, yet they are backed by engineers who can address issues very quickly. I appreciate that they offer a full administrator's manual, not just links to click. Reading the full manual helped prepare me for implementation. Pricing is good, and certainly more reasonable than the alternatives I considered. It was also important to our attorneys to have an on-premise solution, and I was thankful to find Docsvault is committed to maintaining an on-premise product. Cons This is my first experience with SQL File Stream, and that has taken some getting used to. I liked the Worldox "Indexer" (Database) model that ran on a desktop class machine, while the documents were stored on a file server.
