Procare Solution's support help and tech help are generally very responsive; the software options provide a decent (though not perfect) fit for our needs; the systems/technology generally functions as intended (with occasional tech glitches/system-wide issues).

Pros

Procare Solutions provides our school with the best software option we have found. Every other year or so we shop around to see what newly exists or has been updated that might better accommodate; we have yet to find a competing software that does anywhere near what Procare accomplishes for anywhere near the price point.

Cons

Our school's enrollment and schedule structure (where students enroll in multiple classes and different programs through the year) requires several workarounds/nonintuitive uses of Procare Desktop's tracking & tags, as the generic options do not accommodate our schedule structure. Additionally, there are a handful of features in Procare Online/Procare App that we would prefer more flexibility/options for.

Overall, my experience with Procare Solutions has been positive. It provides the tools we need to manage daily school operations, student information, billing, and family communication in one platform. While there are areas where additional automation and enhanced communication features would improve efficiency, the system does the job well and continues to support our administrative and operational needs.

Pros

The new Room Runner has been the feature I like most. It has helped improve efficiency and has been especially useful for planning for the upcoming school year. Being able to access information more easily has made forecasting enrollment and classroom needs much simpler. One enhancement I would love to see is the ability to view projected income and child assignments for the next three months directly within the" Outgoing and Incoming tab". This would make long-term planning and budgeting even more effective.

Cons

While Procare offers many helpful features, I feel there are still several processes that could be further automated to improve efficiency. For example, when a child is assigned to a specific classroom or program, related tags should be applied automatically rather than requiring additional manual steps. I would also like to see more automation within billing. If a tuition rate or fee is attached to a specific program, the system should automatically apply those charges to the child's account when they are enrolled, reducing the risk of errors and saving administrative time. Another enhancement I would recommend is the addition of a school-wide communication wall or announcement board. Currently, most communications are sent through messages that generate emails, which can quickly overwhelm parents' inboxes. A centralized communication feed where families can view announcements, reminders, and updates would improve communication while reducing email volume.

Having reliable and accurate reports is critical for enrollment management, billing, forecasting, and decision-making. We chose Procare hoping it would make things easier for our staff and families. Instead, it has created constant stress. Another major concern is billing. Rates that were discussed and promised during the sales process are not what we are being charged. When questions come up about these discrepancies, there is no one available to resolve them. When money is involved, the inability to get answers is extremely concerning. We’ve also experienced software issues that affect daily operations, but again, there is no support available to help troubleshoot or fix them. This program is advertised as something that should make life easier for child care providers and staff who are already working hard to care for children. Instead, it has done the opposite. It adds frustration, confusion, and unnecessary stress to an already busy environment. For a company serving child care providers, reliable support should be the bare minimum. Unfortunately, that has not been our experience with Procare.

Pros

I will say signing up was quick and easy, and communication during the sales process was fast and helpful. Unfortunately, that changed immediately after we became customers.

Cons

The biggest issue is customer support — or the complete lack of it. Before purchasing, support was responsive and helpful. After signing up, it has been nearly impossible to get ahold of anyone. Calls go unanswered, and emails often receive no response at all. In our case, we have never received a response back to emails asking for help. When you rely on software to manage payments and child care operations, not being able to reach support is unacceptable.

I love it and parents love the ongoing updates and communication. I love the ease of billing and not having to face to face ask for money each month

Pros

Customer support is awesome, ease of use, communication with parents, billing ease, it helps anxious parents feel more at ease with pictures and updates

Cons

with the new update I have had difficulty with after entering activity and time then having a distraction it resets and I don't catch it and I have to go back and individually correct it for 18 students which didn't use to happen. Also when I switched from Stripe to in house $ collection the fees are huge I comparison. Although I have always loved and recommended Procare, this is almost a deal breaker

The onboarding experience was really nice. However, it's been hard to contact anyone since then. I do worry about how I'm supposed to resolve these issues when I can't contact anyone about them.

Pros

VALUE FOR MONEY. Our families and I love that it's an all-in-one system. From payments, to newsletters and quick parent communication.

Cons

CUSTOMER SUPPORT. It has been really hard to get ahold anyone anytime that we've had an issue, problem or question. I'm still waiting to hear back about an issue I asked long ago.

Pros

We like the ease of connecting with parents each day. we also like RoomRunner as we have easy access when phone calls come in about openings.

Cons

We wish that all information was available on the app and not emailed. parents complain to us that they cant find what they need when scrolling through potentially 100's of emails a day.

Procare Solutions has what we need - and our parents need - to communicate, interact, and feel like they are a part of their children's day. We as the administration use it everyday, usually by desktop but sometimes via app, to help communicate with parents and have it for our licensing authority when they are here as well.

Pros

We have been using Procare Solutions for a few years now. For the value of it's subscription, it really does mostly everything you need to ensure your child care center is operating smoothly. It's pretty easy to use for both the parents and the staff, and allows us to update as needed. It is excellent for assisting in student management, and now has the new feature to look at all the rooms and help with capacity and placement dates. Parents use it as a form of communication to the teachers, and this is the number one use of it. The user interface is pretty easy to learn. Customer Support can sometimes have some long waits, but things are taken cared of pretty quickly with them. Working on new features with the team is always fun too, to see our side of how to use the app, and they take the feedback seriously.

Cons

I do think there is some updates that are much needed on the app still. They do have a feedback form that can submit ideas for these things. I also believe that sometimes it can be a pain to get some of the reports for things, and my staff doesn't like this as much, but once you get past some of it - it really isn't too hard to set up.

I have been a Procare desktop and Procare online user for years throughout my childcare profession, from corporate centers to small centers, Procare products has also meet and exceeded the needs for our childcare program. Tuition, billing, tax statements, room ratio, enrollment, leads, Newsletters, Photos, curriculum, messaging, child daily reports, business reports, training videos, "what's new", ProCare emails and updates.... to name a few. : )

An all-in-one product. I love it. Ease of use child and parent management Teacher friendly. Teacher trainings

need a updated presence for teachers to send newsletters. Better boarders and frames. I would like to have Tucker the Penguin/ ProCare SWAG BAG STUFF!!! Door decals of Procare.

Procare is a great overall for the director, the finance manager, teachers, and parents. As a director, I am able to view the billing, see who is signed-in, communicate with teachers and parents. I don't use the teacher scheduling feature, but I should check into it.

Pros

I love the Family Messaging feature of Procare for teachers and families to communicate directly with each other. Plus, now there is private message for families that are split. I also like the office messaging for families to communicate directly to the office when needed. I also appreciate the help button and customer support chat. When I have a question, I first try the help button to search for an article to answer my question, if I cannot find the answer, then I use the customer support chat. Once in a while, I will need to go further and talk to a live person.

Cons

I don't love the newsletter feature. I use it and I am glad that there are templates to use to help make a newsletter. But I find that I would like to have more options and additional choices on colored backgrounds. I might need to look into creating a newsletter on a different platform and uploading it to Procare. There are times that Procare is down. That can be frustrating. But we have a back-up paper sign-in when that occurs.

I have purchased Brightwheel for a trial, but ended up not going with them. I chose Procare because of the financial part of things. ALL parties need to be onboard to switch. The financial side of things with Procare are going well, and the thought of switching all of the billing made us cringe. We stayed with Procare.

The customer service is quite honestly terrible. I have never dealt with a company that you cannot get on the phone or via email to answer questions.

Pros

The app was easy to use. It was easy to navigate to the reports we needed. Parents like the app too.

Cons

Now that we have issues with our parents getting declined payments (even though they are on auto pay), I cannot get anyone on the phone or even to respond to emails. They are not responding to my parents either.

Procare has worked wonderfully for my center. After having used other systems and ending up frustrated (particularly with their billing capabilities), the Procare software has really show itself to be the best.

Pros

I have evaluated many child care management solutions, and Procare is the best. It has been around in the market long enough to have worked out the bugs, and they are adding new features all the time. The system isn't perfect, but it's always improving and it works wonderfully for home child care, as well as larger centers (I've run both).

Cons

I have had issues recently with the support team, due to some business changes and updates to my account that needed to be made. I've always had a good experience with support in the past, so I'm hopeful that this was a one-time problem.

The experience has been great! I appreciate the customer support the most. They are quick responders!

Pros

I like the price, it is much cheaper than Brightwheel. Customer support has been excellent, that is actually the reason I chose them. I like the staff management module.

Cons

I accept check and online payments and charge different amounts based on how customers pay. I would like to be able to limit customers who signed up to pay by check to ONLY be able to pay by check, and not use the card payment function. Also, the filtering of students gets a little clunky. In the student module I can't filter by 2 options, like "kids who attend 2 days" and have "allergies." The filter returns "kids who attend 2 days" OR "kids who have allergies" which is a large data set of all the "kids who attend 2 days" OR kids who have "allergies." I need to filter for both, so I want to see "kids who attend 2 days and also have allergies," just the 2 day kids who have allergies.

Taking photos and videos. Helps to track diaper changes, bottles and meals. I also like their newsletter template and the ability to communicate with staff and parents.

Cons

Sometimes the system loses connection but not for long periods. When the system does go down, it's not very user friendly to find out how to get it back running. Once you figure it out, it's pretty simple.

Overall I like Procare, it it user friendly and easy to navigate. However as of recent with the new changes implemented there have been a ton of bugs and the flow of the ledger seems to be off making it aggravating for centers using the software before the major update.

Pros

Over procare has been very useful and a time saver for our company as a whole. Whenever there is a problem customer service is generally easy to connect with. I also love that my teachers are able to directly connect with parents throughout the day and send to the minute updates for their babies. It's very reassuring for our parents to have that open line of communication and availability to and with our teachers and staff while their child is in our care.

Cons

It has capability to capture CACFP enrollment but it doesn't do anything beyond that. We have to pay for and use a separate software to capture the data. Procare also does not offer integration with other software like kidkare to capture new student enrollment/information. There is not an easier way to create separate accounts linked for billing for parents that are co-parenting but have other children.

We have had Procare for around 10 years. Overall, we are very satisfied. It has been very effective for helping of collecting tuition each week. We love customer support, every time we call they are very helpful and help us solve whatever the issue is.

Pros

We like the ease of use for staff and parents, the child and parent management and the teacher communication.

Cons

We don't like the rising costs of the transaction fees for processing. I know that everything is going up but the rising costs effects our bottom line.

Pros

I really like the ability to comminicate with parents and share phptos in real time. It allows m to see messages immediately from a parent and I can reach out to them as needed.

I wish that we could share more than 10 pictures at a time, lol. Not a big problem, just causes me to have to post more than once.

Pros

I recently had a couple of issues with a parent making a credit card payment at the center. Customer support was available right away (wait time was very minimal) and they were able to help me fix the different problems with each payment.

Cons

When a parent is at the center wanting to make a credit card payment with Tuition Express there should be a place to confirm the amount is what they want to pay. My issue was the parent only wanted to pay part of the bill and I processed the full payment. I think it would be helpful to have a screen that says are you sure you want to pay this amount.

The system could be a bit more easier and parent friendly the internet is always an issue and the time difference with EST.

Pros

The service for both customer/parent is always helpful and the reps are always accommodating, the credit card options this year is great with the exception it should be spaces between 16 digits Visa/MV/Disc. That option should populated once you choose the card you are using, Amex should be different, this would help with typing the correct nmbr. I amd glad to see that you can change the amount parent are paying.

Cons

The issue with the credit card processing has become more overwhelming. The wait time for a customer service is always 60 or more minutes. When using the Procare connect solution it always refer you to speak to a rep, (tuition express cases)

Overall, it has been great using Procare. The setup is very professional looking and it is easy to find what you are looking for.

Pros

Great customer support, easy to find what I am looking for, love being able to communicate with parents as office staff or teaching staff.

Cons

It would be great if we could customize the reports more, or even create our own that are specific to our centers needs. Another drawback is that we are not able to do patch payment entries for tuition payments. We are part of a university that requires all tuition payments to go through their payment system, so parents are unable to pay directly through Procare. It would be nice if there was a way for us to input all of the payments we receive without having to go through each one individually.

Procare has been a huge help for our childcare center. It simplifies daily operations—attendance, billing, and parent communication are all in one place. The system is user-friendly, and their support team is responsive whenever we need help. One area I’d love to see improved is the ability to handle account adjustments more easily. Having better options to write off or charge off parent accounts directly in the online version would save a lot of time. I also wish I could update which bank account tuition payments go to without having to call and wait for the backend team to process the change (which usually takes 48+ hours). Overall, Procare is reliable and saves us time, but adding these features would make it even better for childcare centers.

Although the product's interface is thorough, there is always room for more improvement. Research into what types of things teachers communicate to their parents on an average day and implementation of new options based on that research would be appreciated. ps the options and interface for photo uploads could use some extra care.
