Overall we are very happy with what Sandbox has offered our centre. Set up was fairly easy, but just like any new program, there's a learning curve. The customer service has been astounding from the beginning! I can message hem about any tiny issue or question and they have an answer within minutes.

Pros

The price is great! Beats any other similar software prices by a landslide. It does everything that a daycare centre needs, and they are constantly updating and upgrading. Consumer service is fantastic!

Cons

There have been a few glitches to work through, but those have been addressed. I would love to see a more detailed explanation of payments on invoices. For example, we can make a partial payment on an invoice using a credit on an account, but on the invoice it doesn't specify where that payment came from. It just says "Amount Paid", so it can be difficult to go back and figure out where that payment came from. The invoicing/billing section needs more clarification.

When we were searching for software to use we couldn't find many options. HiMama was the most popularly used in our area, but the cost is outrageous! So we went looking for something that wasn't going to cost an arm and a leg...especially for a new centre where every penny counts.

It is okay, but I have worked with better programs that have more capabilities but it was for elementary and middle school, so I don't know if those would be appropriate for preschool.

Pros

My favorite feature is the ability to access family information an student information.

Cons

It's difficult to email parents links as they cannot be embedded and I have to send the whole link. There are also very few functions in the email, so I can't bold anything or change the color or fonts to stand out, nor can I put pictures.

We have had a good overall experience with Procare, from the initial set up, we have not experienced any issues, and have not had to contact customer service at all. I have appreciated the ease of monthly billing.

Pros

I appreciate that billing is a simple process for Admin and for families. Parents love receiving notes and pictures through out the day. This process is easy for staff to send photos and notes. I like that the notes to parents are real time for things like bottles, naps, bathroom. I like that we can send quick emergency messages out to families as well as individual messages to families. I also like that I can message my staff through Procare when I am off site.

Cons

My biggest wish is to change the system for assessments and desire to have a more robust portfolio to share with families. This would be the reason that we would choose another vendor.

It has really streamlined my job. I think there could be more enhancements but the above mentioned are my biggest requests for change.

Pros

It is easy to learn. The graphics are well done.

Cons

I do not like that the schedule calendar review view doesn't start the weeks with Sunday. I find it VERY confusing when looking at reviewing a schedule for the overall month. Billing bag order: I want the child billing box formulas tap to be first on my choices. we do not contract bill at all.

### "Robust software with superb customer service"

We've been able to move all of our data to a secure, cloud-based management system, allowing us to get rid of our outdated servers and making our in-house IT personnel very happy in the process. We've also begun offering online payment options to our grateful families, many of whom kept a check book on hand solely for tuition payments. We have been very happy with the support offered by Procare's customer service team. They have walked us through setting up new products, both software and hardware, and are readily available with a quick response to any questions we've had. Additionally, Procare does a great job in offering very clear instructions through webinars and other online resources. Their customer service is second to none.

Pros

This software provides solutions for so many things at once...from data management to parent resources...and allows our center to be run much more efficiently. Our organization is currently exploring just a fraction of the available software system, but we are excited about the prospect of adding more and more over the next few years, simplifying options for parents and families as well as for our administrative team and other employees.

Cons

There is a LOT to learn in order to use the software. Things that we were able to do in one click in our last system now require quite a bit more "digging" in order to execute. We have also found that the available reports are not as intuitive as our old software. We are having to input a lot more data in multiple places in order to access necessary reports. However, we attribute this extra bit of effort on our part to the increased capabilities of this system. Plus, the learning resources are plentiful, so we are able to figure out easily enough how to make the software work for our needs.

I enjoy using this software. Everything in one program makes life easier for the teacher and the administrator. Also, parents being able to see their child's activities is amazing.

Pros

I love how easy it is to set up invoices and recurring payments. Customer Care is also amazing. They are very helpful; if you need it, they go step by step to explain how to set up families on the ProCare System.

Cons

Could not set up late fees to be automatically added to an invoice once it is late a certain day.

Overall, procare is better than paper pencil tracking and my previous experience with procare desktop is much better than the online version by far.

Pros

The tuition express feature is helpful and seems to work appropriately.

Cons

You cannot toggle between students or staff easily. Many reports that i would use are not available. You can not add more than one day at a time when creating a staff schedule. Most of the features are not efficient and lots of features you can get with other products don't exist. We are shopping for another solution.

### "Great as a parent or director"

Overall, if you're looking for a central place to organize all the many things that come with childcare, this is the best product on the market that I'm aware of.

Pros

I first used Procare as a parent in my infant son's childcare center. It was easy to check him in and out by having an ID and password number and I loved that I could see my balance on our account and get messages from the director of the childcare center. When I took over at a different center as the director, I was pleased to see they used the same program. Additionally, this center increased the ease of checking in and out by having a fingerprint scanner for parents to check students out and for employees to clock in/out. As a director I could easily see which students were there on the home page and the home page was customizable to what I wanted to see (ex. upcoming staff/child birthdays, children currently checked in, children recently checked in/out etc.). There is another tab where detailed children information is easily inputted and organized as well as an employee tab. I really haven't seen anything else within childcare systems that has as many options and functions as Procare.

Cons

Some reports can be difficult to find and not, at least to me, logically sequenced. However, I can usually Google to find the answer. I would love Procare to come out with an app for classroom teachers to access and parents to access where teachers can input students eating records and parents can pay their balance.

It has helped our enrollment and paperwork upkeep a lot. The few times we've needed customer support they were helpful and nice. It has been a game changer in our program.

Pros

Once everything was set up it combined a lot of my daily tasks into automated ones saving me time in my job daily.

Cons

Setting everything up can be confusing and involves a lot of steps that I felt were repetitive.

Procare has allowed our organization to simplify payments for private pay families. It has the capability to be a really helpful tool for small child care programs, allowing them to streamline all areas of record keeping, financial tracking with reporting, and budget development.

Pros

I appreciate that the system has many functions to support child care programs on many levels. If functions are implemented at the start, they are much more successfully used. The reports have been valuable in gathering information for budgeting purposes.

Cons

It seems very labor intensive to implement functions after the initial set up has been completed. Additionally, making changes to the initial banking set ups has been challenging, especially if there are changes in Chart of Accounts and banking institutions. Also, it has not been clear how to migrate this system to best accommodate the transition to accrual based accounting. The ability to capture grant and donation funds is also not clear and makes it difficult to capture those proceeds for non-profit organizations.

Pros

It can keep track of the immunizations. It alerts us when immunizations are going to expire. Tracking and changing classrooms is a breeze.

Cons

We can't put comments on each child or employees. For example, teacher calls out, we don't have a place to keep track of call outs and the same with students, if a parent has a concern, we have to write it down, but prefer to keep track on ProCare. Less steps is always best when it comes to billing and charges, etc. It is a challenge to just delete one sibling when they have moved on to another school and the younger one is still with us. I have had tech support, but still shows up. If I delete the one sibling, it deletes both students on the folder so I end up adding them both back on the hidden folder. I just want to hide the one that moved on.

Service is starting to suffer. But used to be the best. Good. It will be hard to change but looking into it.

Pros

Yep, the history we have with them. But it has not been the same since being bought out a few years ago—they were the lead for years. There still got the thing together and do somethings better.

Cons

Starting to lag behind in the parent engagement area.

### "Waiting to jump ship "

I haven't found a software that can do it all. To switch we would be trading problems for problems. However if i were to do it over again we would not chose Procare. I would love it if they sent surveys to their customers to get advice on areas they are failing and areas that need to most work. When they come out with new features they often miss the mark and are sub par. I am waiting and watching for either Procare to catch up or another company to come along that has everything.

Pros

They have great customer service. Their emails look nice.

Cons

There is no nice way to track your very long waiting list and there is no nice way to clearly see openings months in advance. The "feature" they have for these are worthless. I use a work around but it is time consuming and cumbersome. The scheduling feature is way more time consuming then it needs to be. Their text messaging feature is horrible, time consuming, cumbersome and unreliable. It is not user friendly or intuitive. Stuck in the stone age for sure! Too many moving parts, you have to click this and check that and go through menu after menu just to end up with an error message because you still need to complete a series of commands or missed a check box. However, if you know what you doing there is a lot of functionality, it's just not easy. It is necessary to use multiple different platforms as Procare is NOT enough to successfully operate a childcare center.

Pros

Love the ease of access for team members: can input information personally and for colleagues by browsing for their name. Great variety of learning activities and categories.

Cons

Feel like there could be more moods. Dislike that we are limited to the ones provided and that it has a specific emoji linked to the emoji. Bathroom options could be elaborated for individuals that are potty training: examples sat but didn’t eliminate, wet diaper and used potty, peed in potty bm in pull up. Difficult to read all allergy info on their profile. Would benefit from having a way to get feedback (reactions: heart/thumbs up/read) from parents for messages/photos that are seen or that have been posted.

Pros

I liked Procare's ability to allow the parents to both interact with the staff and make payments through the app. I also liked the ability to keep track of all pertinent information for each of the campers and staff, as well as the ability to track attendance and compile specific reports.

Cons

When setting up templates for payment plans, there is no easy solution for covering daily charges for partial months without having to use the following month.

I enjoy the two way communication parents have with our staff which gives them some ease. I also like that our curriculum is integrated into the system as well.

Cons

Besides the learning curve I overall enjoyed the use of the Sandbox platform and the amazing customer support team. Any time I got stuck or need to know how to do something, help was always a chat away.

Pros

I am relatively new to early childhood education getting accustomed to the many intricate facets of the role from billing, staffing requirements, immunizations, attendance, family communications, newsfeeds, etc has all been made much simpler and streamlined with the Sandbox platform. It is great to have so many features and functions all integrated within Sandbox and it has done away with the need to maintain entire filing cabinets worth of student and staff paperworks. We've had licensing come through and never glanced at our hard copies simply because all of our stuff are backed up to Sandbox.

Cons

The sheer number of features are a bit overwhelming at first and it takes a while to understand how to use the platform. I was fortunate to have a person on my team who went through the learning pains herself to help me figure out things like how to send invoices and mark kids as absent for vacations. I think an average person without such aid might struggle with a somewhat steep learning curve at first. Short tutorials (maybe in video format) that are easy to find and targeted to common, specific tasks such as how to add a child for enrollment, or how to add payment, etc would be very helpful.

### "I knew immediately that I liked Sandbox from the demo because it was so easy to use!"

Overall, Sandbox has been very intuitive and easy to use. It's great to have the platform online and in an app so it's always accessible. I've been very happy with Sandbox so far!

Pros

Sandbox has been very easy to use, and luckily I have not had a lot of questions or issues. But, I would say what I like most about Sandbox so far is the Customer Service. The old software I was using would require several phone calls, lots of time on hold, and a lot of work-arounds to get things done. My experience with Sandbox has been the opposite! The representatives have been available and helpful! They call back whenever I call them- even if I haven't left a message. The online chat feature has also been helpful for quick questions!

Cons

So far, I would say I have liked the billing features the least in Sandbox. We are currently set up to bill families by day, and that has been the only task that has become more time consuming since switch to Sandbox. Getting all of the various schedules, snow day credits, and fees to be applied correctly has been pretty tedious and manual. We are considering switching to a flat-rate monthly fee which I do think would help alleviate some of these issues, as it seems that's what the system is designed to do.
