August 13, 2019 5.0 We had an old director who we found out was taking the money and this program was purchased not long after I took over the director job to help prevent the altering of records and know what was owed and how and when fees were paid. It works wonderfully for that goal and it has been great to help keep accurate records. Pros I love that this program helps me to do my paperwork side much faster and the auditors love it when they come to check records. Cons I have noticed that some tasks are multiple steps and maybe don't need to be. It would be nice if there was a place to save the documents or process that you use the most to make them faster. Reason for choosing Procare Solutions It seemed to be able to do everything I need and It turned out to be a great choice. The customer service is awesome and they really do listen to what you want the program to do and will make updates that include some of the things that have been asked about. There are days when they software has stopped working and the icon will continue to load. Pros It is very easy to process payments and navigate the ledger for payments as well. I can work from anywhere and see up to the minute changes in our center. Pros The interface is very intuitive for me and my staff. The main reason I selected and continued the use is the customer support is beyond great. If I message I get a response in minutes and If I request a call, I am called the same day and most times with in minutes. But as time goes on could use some advancement, if there was a way to do advance to the desk top and not make us package them all that would be great solution. Pros I enjoy that I can do a minority of my job on one platform. Cons We have challenged when procare is updating. My child's daycare used a different software program in the past and it seemed to be delayed and clunky when communicating back-and-forth with teachers. I receive real-time updates/notifications which is great! Paying tuition is very easy on the app which is a plus. They really go out of their way to make sure you know how to use the software and that you get your moneys worth. Pros Procare allows you to run an endless variety of reports for every need. When my \[SENSITIVE CONTENT HIDDEN\] ask for information whether it is regarding enrollment, teacher training, or finances I can quickly gather all the info I need. I love that I am able to track all of our enrollment info, contact info for staff and families, and vendor info all in one place. Billing is simple and email has allowed us to go paperless for invoicing. I also love that I can print checks for staff or to pay for necessities in minutes. Cons Some parts of the software feel dated but it is constantly being updated and new things added and I feel eventually all features will feel more current. Review Source NM Nicholas M. The functionality to scan QR codes for sign in/sign out is great. I appreciate the ability to have transparent chat functionality between our family and the staff of the daycare center. Cons There are a couple of enhancements the app could make. First, if a user is exploring a 2nd school and the same email address is used (high probability) for profile creation, it creates 2 profiles instead of combining the profiles. If you happen to utilize the same password for each profile, the system doesn't know what to do with it and you only have visibility to one school. The sales person took the time to help me figure out how I could utilize the program in the best way for our situation (we are not a childcare facility so our utilization is unique). Technical support is always available and has resolved every problem we've encountered or questions we've had quickly. It's very evident that their staff has in depth knowledge not only about the Pros We mainly use the program for attendance tracking and collecting payments and they provide outstanding features for both functions. I also can't say enough about the support. If you have questions or run into a situation you're not sure how to handle they are quickly resolved by talking with a live person (my preference) or by e-mail. Their support staff is outstanding and patient (not that I've asked any dumb questions :)! Cons There are so many reports that it can be hard to find the exact one I want. We are using the billing and credit card feature at this time. As we get a handle we will move along through all the features that are available. the billing feature is great I push a button to run all the families that we require to have credit cards on file is so easy push a few buttons schedule the processing day and thats it. Sends a receipt with what will be processed and the another notification of the completed batch. I can not wait to get into all the other features! Cons i wish it would allow more than one credit card to be stored. We have many families that pay with Mom one week Dad the next ect... I know that a parent can go online to do a payment with a different card but we like to control when and how the payments are done. Also we do not like that there are so many different log ins example for tuition express and the procare connect Reason for choosing Procare Solutions We have been using Procare for many years and liked it though we knew we did not use nearly what the program offers! we are finally on the cloud and intend to move forward. Its super easy user friendly. I do think it has features not working often, but I think that is a bit expected because there are so many people using it. I like it much better than the app that my daughters center uses, which they use brightwheel. Pros I can do everything to run my classroom and keep the parents involved with every movement their child makes. Cons Lesson planning is a struggle. Putting some kind of time slot in so you can search a time and bring up all the plans created for that time would help make things move faster. I feel like I am always scrolling or looking at a previous plan in order to keep a repetitive schedule that Im being slowed down a lot. I also feel that at times I run too fast for the system.Once I get started on inputting the lessons created im like click click click click and i have to pause for like 15 seconds between each click because the box at the bottom is taking forever to tell me that it was added, which I can clearly see because Im looking right at it. I walked into the director position where they were still doing everything on paper including all their accounting and CACFP requirements so it's been a huge time saver. I come from a paperless office environment so I love the all encompassing range of this product and keeping everything electronic.. Pros There are a lot of things that I like most about this software ranging from the accounting, meal tracking, family data, the reports and the electronic record keeping. The part that distinguished Procare when choosing software was the meal tracking for CACFP. I think though that I love the reports and the accounting functions the most. Cons I least like that you have to run a report for your bank register. This should be a separate screen where you can manually add transactions (instead of going to each vendor) and should have the ability to import from your online banking profile. To click a button and automatically see my bank balance and to add 20 transactions from one screen would be really useful. Reason for choosing Procare Solutions CACFP Meal Tracking was a huge distinguisher plus the all encompassing accounting function, online payments, reports, etc. It's just a well rounded program. I bill on Monday and debit on Tuesday and money is in the account the next day. It has taken all the accounting away from me and frees me up. It is wonderful. Parents love it and they also can access their account. Pros I love that I can now debit weekly from all the parent's account. I do not have to worry about people paying, posting and doing deposits. The Tuition Express part of this software is great. Cons I really like our old software better. It was easy to access birthday reports and do permission slips. I just feel it is very complicated to access information. We actually are still imputing the child's name and birthday in our old software so we can get the reports we need. July 10, 2019 5.0 Procare Software has been a great experience from the training process of first setting up our center, to the technical support that is provided as needed all the way to the incredible reports we can access as we use the program each day. Pros My favorite thing about Procare Software is that it's features directly relate to childcare issues. I like that I can see at my fingertips the days and times that children attend. I also like the variety of schedules that can be set up for children/families. Billing has been a great improvement to what we use to use. I now can charge weekly or monthly and each family can be billed according to their specific usage of days and times. There are also sibling and employee discounts that can be set up by dollar amounts or by percentages. No longer do I need to tract parents down to pay, we set it up that every dollar comes out automatically through credit card or checking account. Cons The biggest con that we have found is that we can not project what we will be bringing in at a date in the future. Review Source SS Sarah S. I highly recommend this management system. Pros I love that it is easy to enter in and manage student/family information. I also love that it can cross contacts among multiple families. The various reports are very helpful, and you can send text messages through this program as well. Cons I am not able to list students in multiple classes. So if they are enrolled in both two and three day classes, I have to keep switching the account when printing out those class reports. I wish they had a feature to enroll in multiple classes. We have a large daycare in the UK and want to launch it there. Please program for the British market and I will not only trial for you but actively promote. I have lots of contacts, who could also market on their websites. Pros Convenience, Ease of use, excellent customer service. Cons Not being able to deactivate accounts before 45 days activity has passed, especially for VPK students who leave but them you don't get paid for 4 weeks after and only then does the clock start. Not being able to block delete lines, and having to individually remove. Procare Customer Service is always on point with finding what I need fixed and are always happy to help as often as I need and that feels great. When it is functioning, the program is amazing and meets all my needs when running the center from my own work, staff needs, as well as family's individual needs. Pros The best part about this software is how organized and easy it is to use. The functions are all targeted at what my customers and I need. Cons The least favorite part about this software is that it seems to not work almost half the days of the week for a few minutes or hours at a time. It usually seems that "the cloud" is not working or the connection to the licensing service has been interrupted and it severely affects my work as well as access for parents clocking in/out their children which is a Washington state requirement. " August 14, 2019 5.0 It continues to change and improve over the years. Each time I have had to call for tech support, usually because of a strange Windows update, they are amazing. It is worth every penny. It was one of the first things I did as a Director in a new program. Pros Procare organizes what I need to do in a fast and easy way. it has everything I need to accomplish right there for me in one software and I am able to get my office work done in one easy management program for my entire program. The desk top screen was wonderful when I worked in a larger school and now that I am in a smaller school where I am the Accountant, Director, and everything in between - I couldn't do it without this software. Cons It is not always easy for small programs to afford but you can select and add on services if you needed. Getting it approved and passes through spending boards is not easy but worth it. We've been happy from day one and it just continues to get better. We have been using HiMama as well for documentation, but Sandbox now offers these features as well. This is a complete management and documentation package perfect for centres no matter if its 15 spaces or 150. Pros Customer service and support, user interface, ability to keep it simple or utilize more advanced features, value for money, ability to export data. Cons Nothing - we have no issues with Sandbox after 4+ years of use.
