Pros

WaitWell has completely eradicated the crowded waiting room in my hospital facility by replacing the sign-in sheet via patient check-in (Virtual, Walk-in & Appointment) all in one dashboard.

Cons

Our daily no-show rate dropped to almost zero because folks actually have money on the line now. It keeps the staff dealing with serious visitors and protects our daily revenue from empty slots.

Pros

One thing I really dig about WaitWell is the pre-payment feature for booking slots. You can make people pay a small deposit right when they book, which completely stops them from making fake appointments.

Cons

The initial payment gateway setup was honestly a pain to connect with our bank accounts. It wasn't just a quick click, and I had to drag my finance guys in to sort out the backend permissions.

It completely stops people from getting pissed off about waiting twice. They just get an automatic text saying they are in the next virtual line, and our team tracks their entire visit seamlessly instead of treating them like a new walk-in.

Pros

The coolest part about WaitWell is the ticket transfer routing. If someone finishes up at the front desk but still needs to talk to a manager, we can literally just push their digital ticket to the next queue without forcing them to join a brand new line.

Cons

I wasn't a big fan of the dashboard clutter right out of the box. If your building has a ton of different service lines running at once, the main view gets pretty overwhelming until you manually filter out the departments you don't care about.

I've had a good overall experience. Rather than operating as just another application to integrate, WaitWell became a key reference point for understanding how appointment and queue processes should function across the system. It helped us deliver features with fewer requirement-related revisions, improved communication between technical and business teams, and decreased implementation uncertainty. It has worked successfully in enterprise consulting projects where dependability and process consistency are crucial, despite the fact that it takes some time to master its workflow and configuration paradigm.

Pros

My experience with WaitWell as a Full Stack Developer in an IT services and consulting firm has been more focused on business workflow implementation, integration, and validation than on day-to-day management. One thing I noticed was that the platform followed a defined approach for appointments and queue management, which made it easy to understand application behaviour before commencing development. During integration work, the workflow was predictable enough to map frontend and backend functions without continual need changes. Because the business process was well-defined, it made it easier for our team to estimate development effort from a planning perspective. Task management was also easier since development activities could be divided down according to distinct workflow stages instead of managing everything as a single feature. Because everyone used the same operating procedure, collaboration between developers, QA engineers, business analysts, and implementation teams went more smoothly. Access restrictions made testing various user roles easier, and security features matched the requirements of enterprise applications. On a few times, we called customer service with questions about installation, and the answers were helpful rather than generic. Considering the scope of capabilities available, I felt the platform delivered reasonable value for money on projects where appointment management was a fundamental necessity.

Cons

Understanding the whole workflow takes time because the platform contains multiple adjustable steps that influence application behaviour. During development, even simple workflow tweaks often required additional testing to guarantee they did not disrupt other sections of the system. Since many settings are configuration-driven, developers need to collaborate closely with implementation teams before making assumptions about how a feature should operate. The platform may provide more capability than is truly required for projects with relatively straightforward booking requirements.

Overall my experience with WaitWell has been positive. The platform helped streamline appointment scheduling reduce wait time and improve the overall visitor experience. Staff members found the interface intuitive and customer appreciated the self-service booking process and timely notification. The reporting and queue management feature provided better visibility into daily operation allowing our team to make informed decision and improve service efficiency. While there is room for additional customization WaitWell has been a dependable solution that improved operational productivity and customer satisfaction.

Pros

WaitWell made it much easier to manage appointment and visitor flow from a single platform. The online booking process was simple for both staff and customer and automated notification helped reduce missed appointment. The dashboard provides a clear overview of queues and visitor activity while reporting feature make it easier to monitor performance and improve scheduling. The platform is easy to use reliable and integrate well into daily operation.

Cons

Initial configuration for complex workflow required some additional planning and setup. Certain reporting and customization option could be more flexible for organization with specialized requirement. During peak usage minor interface delay were occasionally noticeable and more advanced analytics would be a useful enhancement. Overall these limitation did not significantly affect the platform's day to day performance.

Really good overall. Used for around six months now and cannot see myself going back to our previous paper-and-pen system. Speaking of value for money, hard to compete with this product here. Savings in staff time through automated reminders and check-ins alone are more than worth the cost per month. It used to take our admin team hours of manually calling patients to confirm their appointments—we don't have to anymore. The learning curve for building a custom report was rather tough at first, but the customer support team helped me via live chat within minutes. As for basic tasks such as visitor check-in and appointment booking, any employee of ours could handle it without any training. From the perspective of security and compliance, really nice to work with this product digitally. Lost paper waivers are gone, and we can find the record of a visitor or a signed document whenever needed.

Pros

Truthfully, the greatest thing about this software is how much value it gives at an affordable price point. We researched some other enterprise-level solutions demanding thousands of dollars per month, whereas WaitWell's starting package of only $29 gave us all we required for the startup. The prices are very reasonable for a mid-size business, and there are no hidden costs draining our budget. We found the scheduling tool very useful because we operate a healthcare clinic and hence have to deal with both scheduled and walk-in visits. WaitWell allows us to organize them in one interface. Now our patients are able to schedule, reschedule, and cancel appointments without contacting us; thus, our receptionists are able to concentrate on patients rather than phone calls. With respect to the patient registration system, the QR code scanning option is very convenient because guests just need to use their smartphone, sign the necessary papers online, and our staff members will receive notifications via SMS.

Cons

Two minor things: First, the learning curve for the advanced admin settings isn't zero. Setting up custom workflows and complex reports took me a couple of hours to really wrap my head around. The basic setup is a breeze—I had check-in running in under an hour—but if you want to get creative with automation, plan to spend some time clicking around or watching a video. Second, and this is important—let's talk about security. It's excellent for visitor logs, digital waivers, and basic check-in records, but it's not a physical security system. You won't get surveillance cameras, door access control, or threat detection. If you're expecting that, you'll be disappointed. But for managing who's in your building and why, it does the job perfectly. We actually feel safer because there's less crowding, but I don't want anyone to confuse this with a security alarm system.

Our experience with Waitwell has been exceptional. Working within project controls and financial oversight, maintaining efficient operations, maximizing resource allocation and having clear visibility into service performance are our teams priority and Waitwell has helped achieve all three. It is a robust, all in one platform that has helped us reduce wait times, improve service coordination and remove much of the back-and-forth that previously slowed scheduling and service delivery . It has automated our virtual queuing and appointment booking, which has simplified day-to-day operations.The real-time dashboards and AI-powered insights through WaitWell Insights have given us stronger operational visibility by helping identify bottlenecks, monitor service demand and support data-driven staffing and capacity decisions. Overall, WaitWell has exceeded expectations, and I would highly recommend it to organizations looking to optimize service delivery, reduce operational costs and improve team productivity through a platform that is user-friendly and effective.

Pros

What standout immediately about Waitwell is its sleek and uncluttered interface that is easy to navigate and has helped our teams adopt it quickly and reduced the amount of training during implementation. I love the way Waitwell has helped us improve resource allocation and operational efficiency. Automating appointment scheduling and queue management had reduced idle time and improved staff utilization. Another major advantage has been reducing missed appointments and improving scheduling reliability. It offers automated reminders and notifications that have helped keep our teams aligned, resulting in better utilization of available service windows and minimizing disruptions. The reporting capabilities have also been valuable. Waitwell's real time dashboards and extensive builtin reporting allow us to monitor wait times, service demand, customer flow and operational performance in performance. These insights support faster decisions around staffing and workload balancing.

Cons

One limitation for our team has been the lack of full sync with Microsoft Calendar, which would make managing availability and avoid scheduling conflicts much easier. Although it is encouraging that improvements are already in progress. Another enhancement that would add value is automatic meeting check-in based on user location detection, which could simplify arrival and attendance workflows. Also additional flexibility in the location view would also be useful. If we would have multiple queue lines within the same location,it would improve our organization when different service types are managed by separate teams, especially when we have high volumes because colour coding alone is not enough

The overall experience of using WaitWell is positive, especially for businesses that need to manage customer flow efficiently. It helps reduce crowding and long physical lines by offering virtual queuing and appointment scheduling, which improves customer satisfaction and staff productivity. For security, it is not a dedicated solution it doesn’t offer surveillance, access control, or threat detection, but it can indirectly improve safety by reducing crowding and keeping basic check-in records

Pros

WaitWell software has several strengths that make it appealing for businesses managing queues and appointments. One major advantage is its ability to streamline customer flow through virtual queuing, reducing physical wait times and improving overall customer experience. In visitor management, it works reasonably well for simple check-ins and appointment scheduling. In restaurants, WaitWell performs strongly for waitlist and table queue management by allowing customers to join remotely and receive notifications, but it does not handle billing, inventory, or kitchen operations. For patient management, it is useful for appointment booking and reducing waiting room crowding, improving overall patient flow, but it does not include medical records, billing, or clinical features required for a complete healthcare system.

Cons

The price is relatively high, especially for small businesses with limited budgets. There can also be a learning curve when setting up advanced features or customizing workflows. Occasional technical glitches or limited flexibility in specific integrations, which can affect smooth operation.
