Apropo is tailored for software houses and it shows. This is by far the most made-for-me tool I am using.

Pros

Suitability for purpose and agility in responding to feedback. Apropo has exactly what is needed for proposal composition and delivery: section/module/feature breakdown, profitability analysis, ability to follow clients reviewing the proposal, and even adjust it by switching parts on/off.

Cons

Minor issues around managing the proposal: search and timeline management. The latter already included in the Apropo improvement roadmap.

My overall experience with Apropo has been very positive. It has simplified our quoting and cost-estimation processes and made communication with clients much clearer. The tool integrates smoothly with our existing ecosystem (such as Jira and ClickUp), and it helps maintain structure and transparency across projects. It reduces manual explanations, accelerates onboarding, and supports a more professional presentation of project costs. Overall, it’s a reliable, efficient platform that has become an important part of our workflow.

Pros

Apropo delivers strong value by significantly reducing the time needed to prepare and present cost estimations. The efficiency gains in onboarding, quoting, and customer communication quickly translate into real operational savings. The team is responsive, helpful, and practical. Whenever support is needed, the team provides clear guidance without unnecessary back-and-forth.

Cons

The only area for improvement is the visual design. The UI works well but could feel more modern. This is a minor cosmetic improvement rather than a functional limitation.

Before Apropo, proposals were created manually in documents and spreadsheets, which was slow and error-prone. Now we can generate consistent, detailed offers much faster, even for projects with multiple modules or phases. It improves collaboration between sales, delivery, and management, helps maintain a professional image, and significantly shortens our response time to clients. Overall, it has streamlined our proposal workflow and freed up time for actual project work.

Pros

Apropo makes it much easier to create structured, professional proposals for custom software projects. We can quickly assemble offers from reusable components, pricing models, and predefined sections instead of starting from scratch every time. It helps standardize pricing across the team, reduces errors, and keeps proposals consistent even when multiple people are involved. The onboarding and support team is excellent, and the interface is intuitive, so adoption was very fast.

Cons

For very complex or highly customized projects, the initial setup of templates and pricing logic can take some time. However, even this setup process is still faster and simpler than in most alternative tools we’ve tried. We would also appreciate more built-in analytics to track proposal performance, but overall these are minor issues.

It gets the job done. I needed a simple way to create estimations and present offers clearly to my clients.

Pros

This allows me to create offers with a nice, branded design on my own domain. I also need the option to see how clients review them—at least how many people have opened the offer.

Cons

It takes some time to get comfortable with this tool, but once you master the basics, it becomes an incredibly efficient way to estimate projects.

We came upon Apropo 3 years ago. We gave it a shot and have used it ever since. The platform was still in its early shape back then but it evolved incredibly into a mature product and now serves a crucial place in our quoting process. And most importantly, our clients who always struggled with understanding our quotes now find them super clear and easy to read which helps us to better justify the costs and win more deals as a result.

Pros

The thing I like the most is that our clients love the quotes received through Apropo. They say that those quotes are easy to understand and enable them to play with it and configure the scope. The tool also gives us additional sales helps, like email notifications every time a client opens the quote. It’s also very convenient and fast to use, it speeded up our quoting 3x at least.

Cons

Nothing really. Can’t really complain about anything, the tool is great and help us to achieve our goals.

Great tool for various types of projects - from small one to very complex. Clients really enjoy using it - so does internal teams.

Pros

Apropo is super user friendly - both for internal teams, and for clients. I's "excel" killer - with easiness you can estimate complicated projects. In Divante it help us create estimates faster and it improves our winning rates.

Cons

I cannot recall anything now - we use it for more than a year now. At early stages there were some missing functionalities, but the Apropo team reacted on those gaps and quickly added new functionalities to make a product even better.

It was very positive. The more you use it, set up your templates and build your process around it, the better it works for you.

Pros

I loved the responsiveness of the team for starters. A hands-on approach from the \[sensitive content hidden\] is always very welcome. The ability to view the recordings, understand how my customers perceive the quote was great.

Cons

Some of my customers are used to static pdf quote, so it was a bit intimidating for them. It required running it the first time with them and going over the capability like toggling features on and off for them to benefits

The product is good, it feels familiar for an agency that has been estimating complex software projects for 25 years, and the customer service is elite.

Pros

Ease of use: - Apropo works pretty much how you would expect it to, is reasonably customisable, has at it's core estimation fundamentals you would expect from a tool of this type, and being relatively new is rolling out new features very regularly Customer support: - The customer support is next level!!! While still a small'ish startup, having email and chat access to the \[sensitive content hidden\] is pretty amazing. - \[sensitive content hidden\], has jumped on video calls as needed, has run training sessions for our teams, and seeks input from our team to add new features as they arise

Cons

Apropo is a step up from our spreadsheet system (which was super customised and a beast to operate) and while not a con per se, we have found we need to simplify some of our business rules to suit Apropo - however to be fair maybe we didn't need so much complexity. It is a new product, so having input as a customer is pretty great, however there will be all of the usual teething problems, the odd deployment that may go awry, and the constant struggle of building a new tool in a changing web browser environment.

I was sceptical about using the tool in my software agency when I first saw it, but after almost 1 year of using it I can say it’s one of the best tools I discovered in 2025. It helped us win more projects, speed up the estimates, reuse historical data and much more.

Pros

The quotes done in Apropo look amazing to our clients. Apropo also has a number of features that increase the client's engagement with the quotes and help us win more projects. I particularly like the fact that our clients can configure the project scope on their own and we can watch how they work with our quotes through video recordings feature. Plus, it significantly speeded up our quoting process, like 2-3 times or so.

Cons

There are a few features missing, like e.g. a pivot table that would allow me to quickly compare multiple different options, but there are only nice-haves and I know that the team is working on them.

The customer support team is helpful, responsive, and open to feedback, and it’s clear that the product is actively developed with new features being added on a regular basis. We see Apropo as a long-term partner rather than just a tool.

Pros

Apropo has significantly accelerated the way we deliver recommendations and proposals to our clients at Yameo. It allowed us to prepare materials much faster while maintaining a consistent, high-quality standard across the entire company. Our recommendations became more visually appealing, clearer, and easier for business stakeholders to understand. A major advantage is the unification of how recommendations are delivered — we now have one consistent approach used by all teams. Our developers and consultants genuinely enjoy working with Apropo because it removes friction, reduces manual effort, and brings structure to the process.

Cons

At this point, it’s difficult to point out any major downsides. As with any growing product, there is always room for refinement, but the team is very responsive and continuously improves the platform.

The tool, which was a curiosity, has become a key element of our proposals, significantly speeding up the analysis, decomposition and estimation of projects, client understanding of proposals, as well as giving us insight into how the client navigates the proposal.

Pros

Apropo is an amazing tool for quotes. I appreciate many things about it, but what captivated me most was the ease of use, the ability to engage the team, and how this tool speeds up the estimation process! Thanks to descriptive features and the ability to add not only work defined by man-hours or man-days, we can present the client with a comprehensive offer in one tool. What's more, the ability to create different variants of one quote is a great tool for working with the client on priorities and the ability to quickly extract an MVP.

Cons

The number of quotes should be higher for each plan :) Working with large systems and organizations, we face multi-month decision-making processes, so we are hitting plan limits.

I really like the tool. As a company executive, I do a lot of estimations, and we moved from Excel to a proper tool. And it was a total game-changer in terms of speed and the effort required to provide proper estimates to clients. Also, clients love it; they love the features that let them play with the estimate, turn features on and off, and see how it affects the final price. And usually on a discovery call, we just open the tool, look at it and discuss what is needed, what can be postponed, and what should be the next step to match the client's budget.

Pros

The tool is built by developers for developers. I really like it. They constantly improve the tool. It's very intuitive, easy to use, and everyone can customise it. There are many templates we can use. It saves a lot of time. Ah, and the AI to estimation transition is a total game-changer, as we get briefs and estimations in many different forms, it is magically parsed to the same format.

Cons

Some styling issues at the beginning, so not a full customisation was possible. Right now they are solved.

We’ve been using apropo.io from day one, and overall it’s been a very good experience. Early on there were a few small bugs, but they were fixed quickly, and support has consistently been fast and helpful. The tool brought real structure to our workflow and helped us avoid the typical spreadsheet mess. It’s not “perfect,” but it’s reliable, improves clarity, and makes day-to-day work smoother.

I started using Apropo when it was still in Beta release and even back then I found it intuitive to use. These days Apropo is well received by our clients who are far more responsive to interactive cloud based estimates than email attachments. It's definitely worth a demo / trial to see if it's fit for your business.

Pros

You can build an estimate in minutes using the available templates and the auto estimating tool. Being a cloud based app, we can share estimates with the internal team quickly, share the outcome with our clients, and perform updates in a collaborative way - rather than waiting on emails, setting up calls, and bleeding time into the estimating / sales process. Having the ability to edit or build up own custom templates for client / service specific proposals is a major advantage for us.

Cons

It took some time to become aware of certain features, how to use them, and understand the use case for them. It's a feature rich product with the explanations and user guides playing a little bit of catch up - but it's worth the effort to explore the product and learn on the fly.

Reasons for choosing Apropo

Excel / Sheets is always going to have its place in the estimation process as the data can be used for more than just project estimation (e.g. margin calcs, budget tracking, status report etc.), however for internal review purposes and client facing collaboration (e.g. pre-sales, scope definition, and initial estimation), cloud based tools like Apropo are much more user friendly and cost effective.

Pros

That our devs can focus more on actually coding, and less on managing expectations and estimating. This resulted in a direct increase in conversions.

Cons

It wasn't as easy as I thought to get started. Needed a couple of tutorials to get me going. Perhaps onboarding of new users can be improved a little bit.
