The implementation process was smooth, well-organized, and easy to navigate, allowing us to get up and running with minimal disruption. The Xoralia team at Content Formula has been incredibly responsive, supportive, and knowledgeable throughout the entire process. Our biggest challenge during the implementation process was that we needed to convert our 900+ pieces of content from an HTML based format to standard Word documents. The Xoralia team was supportive of this process and worked with the timeline we needed to accomplish the task. They also customized their standard implementation process to support the Features we wanted to release first (i.e., Document upload, Approval Workflows, Webparts, then Attestation function). One of the biggest strengths of Xoralia is that the team genuinely listens to customer feedback and turns suggestions into meaningful software updates. That level of responsiveness gives us confidence that the product will continue to evolve in practical, user-focused ways. Of the policy management software options we considered, Xoralia provided the greatest value for the largest number of features. We reviewed another company with essentially the same core capabilities, but its price tag was more than three times higher than Xoralia’s. That combination of robust functionality and strong value made Xoralia stand out during our evaluation. The performance has also been great. During implementation, we did experience some website slowness that initially concerned us, but the Xoralia team worked extensively to identify the root cause and resolve it. Their commitment to troubleshooting and finding a fix further demonstrated the level of support they provide. The platform is also easy to use for both end users and document owners. End users can quickly locate the documents they need, while document owners have a clear and straightforward experience managing updates, revisions, and publication. The approval workflow is especially valuable because it supports collaboration during document creation and revision while still ensuring the proper approvals are completed by the correct parties. Overall, Xoralia is a reliable, user-friendly, and thoughtfully supported content management solution. We have had a very positive experience and would highly recommend it to organizations looking to improve document management, collaboration, and approval control. Not many people know how to Code in HTML and the editor had limited formatting options. So it was hard for document owners to draft, had no true approval workflow and was 3 times more expensive for less features. Alternatives considered [SP Policy Manager](https://www.capterra.com/p/10028901/SP-Policy-Manager/) Reasons for choosing Xoralia SP Policy Manager's features were not much more than the base SharePoint product. We also considered ConvergePoint and it had basically the same features as Xoralia but it was 3x more expensive. Xoralia was the best value for the most features. We have not been disappointed yet. From a compliance point of view it will save us a lot of time. Pros The customer support has been amazing. The stepped set-up process was really well put together. Following our set-up we had some key staff absence which meant we could not move forward so extra support was put in place to allow us to train additional members of the team. Cons The set-up can be a little complex and we it is useful if you have an IT person within the organisation who works with X to complete the set-up. Pros Good front-end for SharePoint that gets the job done without overcomplicating things. We were looking for a practical way to manage policies without introducing an overly complex, standalone platform. Xoralia works well as a user-friendly front-end layer on top of SharePoint, making good use of our existing Microsoft setup (Teams and M365/Active Directory distribution groups). For the price point, it’s a very sensible fit if you already rely heavily on Microsoft 365. The interface is straightforward for end-users to navigate and sign off on policies. Since it links straight back to SharePoint, staff always see the current, correct document version rather than old copies. Cons We spent a couple of weeks testing the system before buying it, which meant the formal onboarding felt a little repetitive in places—we had to rebuild a few things we’d already put together during the trial. That said, the support team was patient, responsive, and easy to work with throughout the transition. Compliance reporting currently relies on downloading CSV files. It’s functional for tracking, but we’re looking forward to the upcoming reporting dashboard update to make tracking sign-offs a bit more visual and direct within the system.
