If I send an email, I always get a follow-up call and help whenever I need it. Pros Budgetly has completely taken cash out of the equation. It’s given our staff more control, they’re no longer anxious about having to carry a lot of cash and don’t need to worry about rationing this out for an entire month. The fluidity of changing budgets instantly is amazing. Our staff are so much more confident to use their funds which is excellent for the business. We can now also track exact costs per business unit, which has made a massive difference in the back end. Cons It would be great to have a pin on virtual cards for larger transactions. Reason for choosing Budgetly When I initally reached out for some more information, I got an immediate and friendly response. I had plenty of help along the way from Budgetly as we had to get a few approvals before proceeding, but it was a good feel and definitely the right fit for us. Financial Controller Retail Used the software for: 6-12 months ### "Budgetly has saved us 50 hours a month" August 24, 2023 5.0 We’ve definitely saved a lot of money. 50 hours saved across the month in bookkeeping fees is massive. So much easier to sync straight into Xero, the time saved is amazing. We’ve had a lot of help whenever we’ve needed it, it’s been great. Pros Our setup is a little different with Budgetly compared to a standard account. We have 5 accounts in total, one for our head office (senior leadership) and four individual stores. For the stores, each store manager had a bank card and would often pull money from the till to buy essential, smaller items. Budgetly has completely removed the operational risk by no longer having to reconcile and manage cash. It’s also a lot easier to collect and manage receipts with the app and our store staff are empowered to buy larger, ad hoc purchases with suppliers etc. Times this by 4 stores, it’s a huge help. Our head office team uses Budgetly a little differently to the stores. It’s been great for things like software subscriptions, larger purchases for maintenance for stores etc. For example, it’s very easy for our marketing team to make payments online for different services as the cards offer everything that a corporate VISA card would. The fact that it all then flows straight into Xero saves hours of admin work. Cons I’d love to be able to sync all deposits into the Budgetly account when syncing to Xero, not having to add these manually. Review Source ST Stanley T. Our biggest challenge was issuing cards, lack of live visibility and missing transaction receipts. Being a small business, it resulted in huge impacts with extra staff workload when delays occurred. Budgetly's sorted all of this. Pros Budgetly is easy to use and easy to upload receipts. Working with both Apple and Android was important to us. Price was very competitive. Budgetly provides the ability to code transactions, capture receipts and provides visibility on the go as well as greater flexibility with the card issuing to users. Virtual cards are instant and can be issued without delay or having to deal with a bank. Cons Would be good if the GST extraction was available on all plans. We were provided 1to1 training, customer help videos and free telephone support. We've barely needed to call since the initial training though. Pros We no longer have to do any expense claims or reimbursements. We issue cards whenever we want and all spending is controlled and tracked. Cons Only thing we've found is we still use a CC for google paid search spend. Otherwise we've been able to remove all other credit cards from the business. Pros Budgetly’s saved us at least 5-6 hours a week as we’re no longer chasing invoices/receipts or doing unnecessary admin. Everything’s now real-time, we get instant money requests etc. The accessibility and flexibility is amazing. Cons Would love to be able to split transactions across categories/tags. Reason for choosing Budgetly I used to work for another company that was using Budgetly. Knowing what it was capable of, I knew it would make things a lot easier. Each month, we were meant to fill it out with each transaction (how much, what it was for etc.), however our Accounts team usually had to chase up multiple people with missing information every month. We don't have to worry about any of that anymore Pros Given how flexible Budgetly is, users now don’t have to worry about manually filling in spreadsheets and we’ve saved a lot of time on admin work. Staff were often sharing cards etc however we don't have to worry about card security anymore. We've also saved at least a day a month in admin work. Cons I honestly can't think of anything we don't like about Budgetly. I looked into them and while doing so, found Budgetly. I liked what Budgetly did and booked in a demo. After the demo, the interface and flexibility was great so we signed up. They've simplified so much for us. Pros I looked into a lot of alternative providers, mainly through web searches. A lot weren’t designed for NFPs in mind, and a lot weren’t based in Australia. Budgetly has saved us at least 6 hours of admin work a week and barely have to chase receipts anymore. Cons I'd love to the ability to block certain merchants etc but should be able to do this in future. Pros Having multiple cards now means we can operate in multiple places at the same time without these time delays and had to manually process receipts etc. This is now a lot more efficient and saves us between 1-2 hours each and every day. We get instant access to transactions in the portal, massive time savings and it’s very reasonably priced. Having multiple cards on one account is very handy when there are multiple people out on the road. Being able to top up budgets straight away is perfect as we can get funds to staff when they need it. Budgetly is also really secure and we’re not worried about our funds going missing as the risk of getting scammed etc is a lot lower. Being in such a regulated industry, the risk of being audited is very real, however Budgetly has solved this for us with the reporting that we can now do. Their customer service is really detailed and responsive, too. I find that some other services only send you to a website to watch videos, however Budgetly gets straight to the point which allows us to move on quickly. Pros It's easy to use and gives some responsibility back to our staff to manage their own receipts etc. Not having to chase and reconcile receipts has saved me at least a full day each month which means I can focus on more important tasks to bring money into the business. Cons There's nothing that I dislike about Budgetly, it's worked really well since we joined. Reason for choosing Budgetly Having never used Budgetly, I was intrigued to see how it would work. Being able to issue as many cards as we want without having to deal with the paperwork with the bank has been fantastic. September 14, 2023 5.0 It's so much easier to monitor funds being spent by our participants and staff. For example, we can now monitor the number of takeaway meals our participants are eating which has a positive effect on their health. The support we've received has been excellent, definitely recommend Budgetly. Pros Yes Budgetly has solved our expense management issues. It's really easy to monitor funds and where money is spent. Issuing funds is only a phone call away and everything is very quick and simple. We especially love the process of uploading receipts where no more collecting and no more scanning is needed. This means no more lost receipts. Cons Text message notifications rather than just emails would be great. Reason for choosing Budgetly Our \[sensitive content hidden\] had used Budgetly prior at a couple of other businesses and she recommended it, The recommendation was enough for us to implement Budgetly and we haven’t looked back since. Since moving to Budgetly, we've saved 5-10 hours per week across the business with smoother processes in place for all frontend staff using the cards as well as backend staff who had previously worked on reconciling receipts etc. Through being able to track spending across the business, we've significantly reduced overspending in our SIL houses and are now able to better incorporate budgets etc into our strategic planning for our business. We tried pre-paid cards for a little bit as well, but these were hard to maintain as it wasn’t straightforward to top them up, hard to get statements etc. A clunky process. This is now such an easy process and a really good fit. Pros Not having to worry about reimbursements is amazing. we've always had great support, very responsive. The value for us is in the time we’ve saved that means we can focus on other tasks. We’ve saved at least 3 to 4 hours a week. November 15, 2022 5.0 The biggest win we've had with Budgetly is the time savings in not having to chase receipts. We've got full control over our staff's spending and Budgetly has allowed us to put some responsibility back on our staff without losing any visibility over the process. Pros If we were still chasing receipts and using normal credit cards, we’d be incredibly time-poor. We already working long days to get through our normal workload, so this has meant we can focus our time on more important things within the business. The customer service and support we've had has been 10/10 from the very beginning and hasn't stopped since. Cons It was initially a little slow getting things up and running across multiple locations, however this has eased and our staff love it. Their customer service is great with very fast response times, we have full visbility over what we're spending and it's easy to track if our staff haven't uploaded a receipt. Pros Budgetly allows us to easily capture receipts, monitor the balances on our cards and really understand what we're spending money on. Being able to integrate with Xero has been amazing and their customer service is 10/10. We've saved at least 5-6 hours a week in admin work. Cons We'd love to be able to utilise an API however we're aware that this is likely something we'll be able to do in future. Also having everything stored online makes this a lot more efficient in general. Budgetly's Customer service is excellent. Pros Budgetly's great because it's so flexible. My staff and I have saved at least 2 hours a week in admin work, we no longer have to go to the bank and multiple different sites to withdraw/deliver/collect cash from petty cash tins. Being able to provide access to funds without having to get the cards/cash to staff is great. I value my time and the time saved is definitely where the value is for me. Budgetly keeps things much tighter in terms of systems, processes and overall spending control. Pros Being able to limit and control spending has been amazing. Before Budgetly, I was giving my own credit cards to staff, so being able to switch things on and off whenever I need to gives me much more security and restricts access to large amounts of money. It's a much better process. We run 22 holidays a year, Budgetly has saved me at least 4 hours per trip without having to reconcile transactions, reimburse staff etc. The Xero integration is also brilliant.
