Most association management systems have very limited event and communication platforms for the complex clients we have. We focused on getting every client on CVENT for communications and all of our events. This has been great to go into one login and system to manage all clients. We then focused on using CVENT as our association management system utilizing the members only section that can be created and tracking and managing CE's. CVENT has been great for us because everything is housed all together and the integrations are terrific. We can put our clients on CVENT whether they have a small or large budget. When looking at the cost compared to other systems the pricing was comparable, but we were impressed with the options of customer service, online resources and in-person support that are available. I truly see the advances CVENT making that it will be considered a large player in the association management system arena. Pros Ability to manage very simple and complex events. Integration of events, communication and association management systems. Client success manager that is assigned to your account is great to navigate best practices. From RFP & requirements review to our execution phase, they've been responsive, friendly, flexible and capable. The software has important baseline features, but is pliable enough to include unique considerations for our organization's structure. The team - I can't say it enough - is willing to walk through every step with us patiently and skillfully. Pros Quickstart: The ease of initial setup of events, a variety of design options like easy to use templates, and ability to post events using java or iframes for turnkey event booking. Can accommodate custom color palettes and design needs within the existing framework. In depth: Eventgrid's team is willing to work on important customizations, and the platform is pliable enough to accommodate those changes. The software on it's own is good, the team makes it awesome. Cons Still needs some work on reports, would be interested in additional levels of automated communications to ticket holders, and some features could be more polished/nuanced. It is user friendly and their customer support is exceptional. Cons It is very expensive. You get what you pay for, but it does make it hard to use for events that don't have a cost. Pros The ease of submitting payments online (both checks and credit cards); being able to copy over events and update as you go; having a separate website for each event; having access to customer support in a matter of minutes. Cons Searching for attendees can be tricky sometimes (people who had been registered didn't know up on our reports). To readily access that data. The potential to further collect data significant to our non-for-profit organization. We are far ahead in our ability to create comprehensive reports than we were prior to Cvent The ability to monitor our registration processes with the added assurance of its accuracy. The ability to collaborate with CVENT and PayPal in the events' registration payment processes Pros Even at the minimum defaults, the overall presentation of an event is highly professional. As a non-for-profit organization driven by data, the data this system has the potential to collect is phenomenal. The payment process and financial reporting is also easy to use and a huge timesaver. The support services are the absolute best I have experienced. Pros We love the ease of creating an event page. Having an attractive, effective registration website is the best way to promote our event and convert people into attending. It's so easy to set it up and manage! Cons I cannot think of a single thing. To be fair, though, we do not use half of the features. But the features we do use are great! Reason for choosing Cvent Event Management We heard great things and it had all the setup features we were originally lacking. It made us more efficient and professional. Cons Cvent has a lot of functionality but is not always very intuitive to a new user. That being said, you can always use the chat feature or call the hotline with questions. I came on as a new-hire, as our Conference registration was opening up to our members. I felt I was able to pick it up quickly and when I did need technical support, the cvent support team was quick to respond to my needs. The reports feature is very useful for collecting data before and after events. Cons We found that our exhibitors struggled a lot with getting themselves logged into the Exhibitor Management portal. In the days and weeks leading up to our event, we discovered duplicate profiles on multiple exhibitors within the portal. When they were prompted to log in for the first time, they were somehow allowed to create new profiles through which they would then purchase their lead retrieval licenses, when a profile already existed for them. This process should have been simpler/streamlined. It caused a major headache as we were nearing our event. Review Source Carolyn F. Pros I love the new website builder in Flex. It's so easy and fun to use! The reporting abilities are a life saver too. Cons During the transition from Classic to Flex, there were sometimes features unavailable. This platform has registration paths and advanced rules to fix that. -Numerous templates to choose from when designing an event -Helpful customer service representatives, always willing to assist -Excited about Flex coming out, which will have the drag and drop Cons \-Cannot update all registration pages at once like the registration questions for different types of registration paths -For events with roommates with different registration types I cannot have some fill out their roommates name and others select from a drop down, I have to do either or. They do not change the main navigation bars too often, when they do they inform you about the changes and you can go back to the original for some time until you get used to the new look. Cons Too many ways to do one task! When explaining how to do something my coworker and I go around as we both do things differently so it's entertaining to teach someone else how to use it.
