Customer Relations and Sales Assistant Marketing and Advertising Used the software for: Less than 6 months ### "Cvent is one of the most effective and innovative event management software" July 19, 2020 4.0 I was using Cvent to support, manage, track Chinese tourists' booking for especially trips to European countries. Despite there were some small issues which I mentioned above, overall quality, productivity and flexibility were very high. Therefore, Cvent can be a good choice for event management activities in all sizes companies. Pros 1) It is flexible and easy to track and monitor activities in different fields. Due to my personal experience, I was able to track travel destination and hotel registrations, bookings. 2) Integration functionality has been better in comparison with the previous upgrades. For instance, we integrated to ZOHO software programs successfully. 3) The intuition level of the software is very good since it makes groups of participants of meetings according to different characteristics such age, position, department. 4) Mapping feature is one of the best since a user can easily demonstrate to customers the relations between options and special demands or needs. Cons 1) There are some limitations that one of them was the small capacity of library storage. It did not create big issues for our company but it might be updated to better 2) I and some of my colleagues had problems concerned with the formatting of reporting feature. We were not able to upload all data in the format which we wanted to report in. 3) A user might have issues to change the dates of hotel or travel after customers registration. Cons Sometimes, like all software's there are glitches, however I can pass those. Pros Generally, Cvent is easy to use and has great customer support. As we are all trying to be data driven and move away from Excel, this is a phenomenal tool to start building a depository for attendees, budget, and other event metrics and registration the fuel successful events management. Cons Some of the features still seem to be hidden a few layers deep (e.g. 5-6 steps to turn off/on a specific feature). Pricing could also be prohibitive to smaller organizations who still want all the bells and whistle, but I'll reiterate that you have a great team for customer support to try to find a solution that works for you. The tool helps consolidate our registration, project planning, and reporting all in one easy to access site. Pros Cvent was quick to implement and adopt. We contracted in July and executed our first event in September. The system is incredibly user friendly and the community articles are easy to reference when building a site. Cons This software is geared more towards customer facing events, so sometimes we struggle manipulating the feature to fit our internal events. For example, the site always suggests you have session registration included in your registration, but many of our programs the attendees are given an agenda and cannot pick what they want to attend. Cons The site is slow and very unorganized. You can achieve a feature in several different ways, but if you don't "discover" where all those different ways are to review them, your event set up will not work properly. Pros Cvent has imaginative capabilities to schedule and host any event with high flexibility, providing us with strategic solutions that help manage all affairs related to that event at all levels, even if it is very complex or a virtual event. It is very easy to use, as the ready-made templates help in choosing the appropriate design, as well as adding images, texts and video clips, and editing them with great flexibility. The automation available in Cvent helps a lot in organizing records, as well as sending invitations, registering attendees, and receiving their notes with high efficiency. We service over 85 countries worldwide. We can pull data and craft custom reports on thousands of data combinations. We can quickly communicate with our past attendees and potential attendees with only a few clicks. Cvent Event Management maintains contact lists, contact records, payment data, and the full journey of a registrant from their first receipt of communication through their attendance at an event. Pros This event management system gives you ways and means to track contacts, see the attendee journey, reconcile payment, create event templates, set up communications with themes and brand-specific colors, and report on a myriad of data segments. Cons There are some linking functions that are cumbersome. Some offline payment reconciliation involves a lengthy process. The venue selection feature helps me efficiently research locations without manually sending emails to hotel sales managers. Cons Building the landing pages were a bit difficult. It served our organization well for event management over 9 years. It was very easy to use and user friendly for our members and administration. Pros Cvent's system allowed for easy customization of messages to members and potential members and tied in well with our website. Customer service and tech support were excellent. I liked that user recommendations for improvements were always considered and suggestions were implemented to make the system even better. Cons The costs for Cvent are a limiting factor for many small non-profit associations. We only moved away from Cvent after our club grew to a point that we needed a more complete and comprehensive association management system that could accommodate the complexity of our organization and serve the needs of our corporate memberships that included c-level members and young professional members, as well as an education foundation. And definitely take advantage of the onsite solutions as well as the mobile event apps. Cons It’s expensive, but you really get what you pay for. It’s the best solution out there. I am excited about the new project flex since that will allow for more customization and ability top make every website for registration look unique to its own purpose. Cons There are times when I am performing a certain task that the cvent software is not very user friendly. For example when I am viewing all invitess and registrants in order to advance to another page I have to scroll all the way to the bottom and it does not show as an option at the top of page. Also, if I am on page two of the attendee list and click on a name. When I go back it does not take me back to the page it was on, it takes me to the very first page. So when you have 4 pages and on top of that i have to scroll every time to the bottom of the page it is annoying. Also, Cvent does not yet have the capability to do bulk payments or edits when changing a registration type. Review Source KS Kim S. Pros I like the ability to print name badges on site. Also the updated website building module in Abstract Management made our submission process a lot easier and more fun. CrowdCompass is a great app. I am looking forward to the FLEX update. Cons Abstract Management still doesn't have the ability to push through sessions to Event Management. The website building capabilities in Event Management are not great - they look like 90s templates. I know that Cvent is changing this to be more like Abstract with FLEX. CrowdCompass' map does not have the ability to give a user directions to where they need to go. Event-In-A-Box, while great for probably most use cases, included materials we did not need. Registration, mobile app, reporting. It is all very helpful when trying to run the back end of your event. Cvent Community is great for self training and the support is always available and very helpful. It was a great decision to start using Cvent for our events. Pros The Cvent Event Management portal is very user friendly. Its easy to use and very adaptable to design. It integrates well with other aspects - i.e. passkey, concur, CrowdCompass, making our lives easier on the back end. I love how you can duplicate events so you don't have to start from scratch every time you have a new event. Cons While the updates are great, they were not completely ready for roll out. There was a ton of features not available in the new Flex that we were using with the classic events and this was not communicated to us before designing our event in Flex (also, that was our only options because the removed classic from our account). BUT, Cvent did replicate our event for us in classic mode for the hassle. It is also very expensive, but I'd say it is worth the money.
