CEO Mental Health Care Used the software for: 2+ years ### "CareLogic the best of the field" December 26, 2018 5.0 The best thing about Qualifacts is their customer service orientation. While not absolutely perfect over the seven years we've been customers, problems that arose have been addressed vigorously. The management of the company is interactive and engaged with their end users. Their mission is directly to further our work with clients, which I appreciate. EHR software has to live between the worlds of a fragmented healthcare system, the great variety of customer needs and programs, and federal and state regulations that are ever-changing. I have felt supported along the way to achieve the work of our agency by their focus on making that intersection easier. I highly recommend this platform. Pros CareLogic is easy for end users. The simple schedule-keep appointment-link to document-bill each day workflow works for clinicians. The billing is accurate, and we've never lost a bit of data. Reliability is very high, and has improved from already high service level reliability. Speed is good, and data is available. Cons The interface is dated compared to programs like Microsoft office or web sites like Gmail. There have been strides in the last two years in that the interface is now browser agnostic, running on platforms other than Microsoft IE. It was a tough change to implement, given some built-in data elements that relied on IE. Qualifacts stuck with the project, though, and achieved the goal. Review Source KH Kim H. November 19, 2024 5.0 I have found CareLogic easy to work in. The staff and help team are responsive when it is within their power to help. I am very pleased with the product as compared to other EHRs we have worked in. Pros The system is modern and configurable. It allows us to manage workflows and easily maintain client records, scheduling, and billing. Cons While there are a lot of resources and technology available, many of the features are available at an additional cost. November 19, 2024 3.0 Software should make your life easier and even with the updated interface, Carelogic feels clunky and outdated. It is difficult to navigate and does not let you learn as you go. Significant training is needed in order to use the software. Pros Recently, an update to the interface has made it a little more user-friendly. It also seems to have robust capabilities. I use it for the revenue cycle and it really is very helpful and very user friendly. It has everything I need, but if there's something I'm needing data for, there is definitely a report for whatever I need. Pros I like that once you learn the system, it is very user friendly and has a lot of great aspects to help you navigate. However, many people I work with have described it being difficult to learn and use. Pros I like that everything is all on one platform. The task tickets are a joke, and our implementation has not been finalized since we, as previously stated, are unable to get the most basic report which is an aging report. A really significant reason for going with Carelogic was the patient portal to which is not working because they keep assigning different individuals to the project (for over a year) and no one seems to know anything. If you are a mid-size company DO NOT go with this EHR. It's been the worst professional experience we've had with this company. Pros Clinical documentation is very thorough and meets the needs of the company. Cons On the administrative and billing aspect it is the worst EHR software we could have chosen. We went live in December 2020 and to this day (May 2022) we had not been able to run an aging report or any billing report for that matter that will provide accurate numbers. We've had to spect thousands of dollars with an additional software to help us with reports. They also have not been able to get our patient portal up and running - no one in that company has any accountability. We have 50 employees and we pay $8000 a month - more than we've ever paid for an EHR and we did so because we were assured that the billing management and report would work, but it has not and we have lost so much revenue trying to figure out the system. We reviewed at least 10 systems before deciding on CareLogic as the best option for us. While no system is perfect, CareLogic meets and exceeds our daily needs. Pros I like the traceability of the records access and changes. the ease of deploying updates, and the all the data that is available. As a community non-profit with varied programming, CareLogic allowed us to be streamline common tasks while customizing some of the programmatic differences. Cons While there is a ton of data collected, retrieving the data and the support around data retrieval is lacking. I find most answers to be pat and lack creativity. This system would get all the stars in the world, if we had more user/analytic support to realize our BI goals. I would also like more readily available integrations. We are able to access the data in order to do reporting and do organizational planning. CareLogic has been a very good partner for our organization and the services that we provide. Pros The software is highly configurable to meet your organizations needs. The implementation process was a collaboration between our organization and Qualifacts. There is a strong user community that acts as a resource but also as a learning collaborative for best practice and configuration. Qualifacts strives to be a partner with its customer base and commits to helping its customers to be successful. Cons Although the software is highly configurable to meet organizational needs, this customization is limiting in its ability to move data from organizational custom form to multiple uses of that form in your workflows. January 9, 2025 5.0 I was not utilizing all of the features that CareLogic has to offer, so I can't speak to everything. However, the site was relatively easy to navigate, it made clinical intakes and assessments streamlined and efficient. I would definitely recommend this product. Pros It was really helpful to have everything in one place. The process for documentation was especially well designed. Cons Sometimes it was tedious when it came to navigating the different sections. The menu wasn't always accessible so you had to reload the page/ go back and forth between pages. Pros The most features are scheduler, clinical documentation, billing process and configuration and 837/835 process, HL7 notifications, per diem billing. Product is easy to use and navigate the workflow. Cons More testing is needed in the new features and more work scenarios needs to be covered, because of the issues in the new feature of clients eligibility, our staff are unable to use the old process or new process for the verification of client's eligibility and some times the support team response is delayed. However, we soon learned that we couldn't afford all the pieces that would maximize these goals. Also, although small, our agency has many very different types of programs and models. Carelogic doesn't fit them all, so at times i feels like it is much bigger than what we really need, but not flexible enough to be customized for different programs. There needs to be a dedicated support team for the ECR that is robust - reporting, IT, clinical, administrative, compliance, etc. Pros As an end user, there is logic behind the workflows that make using live with families much easier. The Carelogic Community is a wonderful addition to the support network for all levels of users. Qualifacts genuinely seems to want to hear ideas and feedback from its users. My team has learned a great deal at the conferences, as well. Cons It feels like there are a lot of glitchy aspects to Carelogic that sometime get in your way. The reporting aspect is horrible unless you have a specific Report Writer or team that know code - Pentaho is NOT a user friendly system. Carelogic has much more to offer if you are in a position to purchase the add- ons. In its most basic form, the functionality can't be maximized. Also, depending on your implementation team, you may or may not know about features you can access - trying to discover or obtain those options/modules is very difficult. Review Source Jennifer S. As the Project Manager and primary System Administrator I know a great deal about what the system is capable of and, unfortunately, it leaves me less than fully satisfied. I wish I had more control over more parts of the "back-end" of the system (e.g., available configurations, field dictionaries and tables, etc.), but CareLogic keeps those locked down pretty tightly. Gets the day-to-day job done though. Pros I like the customization of a lot of the aspects of the software, although not all. It is a good balance of a scheduling and billing software and is relatively user-friendly. The ability to link to some other third-party software (like Dr. First) is also a benefit. Cons The reporting functionalities leave a great deal to be desired. Very limited in terms of what parameters are available and can be very slow depending on the amount of data you are pulling. Pros Software was pretty easy to learn how to use. I like how it opens into my schedule for the day. I like that I can check for unsigned documents. Cons Everything seems to take a long time using Carelogic. If I make one mistake in a form, I have to reinitiate the form and reenter all the information, rather than just fixing the one mistake. I also am unable to switch between regions within a document, so if I forget to change the region within carelogic, I have to redo work when I receive the error message that. There are frequently scheduled downtimes in the evenings. For folks like myself who work 2nd shift, I'm often unable to complete my work due to the maintenance being done. The user interface is not intuitive nor modern. Every team member we train on CareLogic that has used another EHR complains about how difficult it is to use. Also, it is all encompassing; scheduling, billing, treatment noted... Cons You have to get out of certain screens to get into another. The system goes down several times a month and has to be upgraded 2-3 times a month, though later at night, it is still inconveniencing for some who do their notes later in the day. I'd also like the possibility of claims being made as soon as the activity is done versus waiting until 1:30 am when patient activities are closed. The most notable feature has been the batch activity entry which allows for entry of the day's activities on a single screen hence making documentation less time consuming.I have also been able to store patient information including treatment regimen, patient history and intervention offered. Cons Sometimes the login process can be frustrating since it can deny access, but after a few tries it finally lets me log in. Cons Treatment plans and Treatment plan reviews - very restrictive with timeframes that do not meet all needs. Trainings is extensive and often needs repeating. Dr. First interface is outside of the EMR and does integrate well at times. Getting responses from support can take weeks or months and then there may need to be a back and forth to really fix. They offer frequent webinars, a customer support website, and a support ticket system. CareLogic customers have also formed user-led groups which meet quarterly to discuss system use, new features, etc.. This helps customers take advantage of massive changes in the healthcare field and Qualifacts' constant efforts at providing more powerful features. Qualifacts has a yearly conference, which is a great opportunity to learn about features directly from Qualifacts’ staff. I have attended twice and learned a great deal of new information each time. CareLogic is highly customizable. You can create and modify forms and reports to fit any type of behavioral health program. The program comes with many options already configured, but there are limitless ways to tailor the EHR to you specific needs. Users who are familiar with Structured Query Language (SQL) can create customized reports to meet nearly any business need. In addition to the ability to program reports, CareLogic comes loaded with dozens of reports for a variety of needs. CareLogic has features to handle every step in the client/patient process, from initial phone call to discharge. It also has many features to track and manage employee data. Cons It's not a "pretty" system. I have seen EHRs which look fancier and appear to be more user-friendly. It does not yet support multiple browsers (Chrome, Firefox, etc.). It has to be run only on Internet Explorer. It can experience varying degrees of system slowness, especially when e-prescribing, throughout the day. I don't believe this is unique to Qualifacts, however - you are at the mercy of your internal network and internet service provider in addition to any speed issues CareLogic may actually have. April 18, 2019 3.0 As an EHR, I wouldn't give it an immediate green light for another mental health facility, but I would definitely include it as an option to compare with others. Pros It is flexible and powerful. Built-in billing functionality. Flexible form design by administrators with some limitations. Cons It is often glitchy. Defect repair at times can be slow and sometimes support returns with a "working as intended" reply to things that are either potential compliance issues or clear compliance issues which require pushing for escalation. But let's be clear, they have 50 states with a myriad of regulations to be compliant with. You sometimes really have to push hard for major fixes and prove to them there is a problem. They are usually responsive once they are engaged in defect repair, however. It's not always clear why certain design choices are made and documentation could be better but is improving. Poor response time in reporting has been an ongoing problem since 2010 and has improved only marginally at best. However, ease of use and flexibility in implementation are big plusses. We have a wide range of programs serving all ages from cradle to grave, so flexibility is important for us. Pros The Scheduling aspect of CareLogic works well. Documentation writing is also fairly easy and easy to customize with our own templates based on compliance requirements and quality of care guidelines. The IMPACT tool is very useful given the emphasis on data driven treatment plans and modalities. Cons Form design abilities are somewhat limited. Reporting is quite problematic from a performance perspective, both canned and custom reports. Response from Support is somewhat slow and often the first tier analysts have insufficient experience and system knowledge to understand and resolve complex issues.
