I wish there were training videos for identifying what should be linked and how when writing new template specifications. Also, a training video that explains where all the specification details and assemblies originate and how they are connected to the product. Pros I am delighted with the concept of exclusion and inclusion in specification writing. It makes the process very adaptable to other similar projects. Cons When I use typical symbols such as "&," the software is confused and substitutes words that don't make sense. As an independent specifier, I've been asked to work in other programs from time to time based on a client's preferences, and those have only made me appreciate Speclink more. I also like that RIB will listen to feedback and are constantly working to make the program better. Pros I have been using Speclink for the past 10 years and find it easy to use and easy to modify to meet my company's needs. I appreciate the appropriately restrained level of detail in the content making it more user-friendly, the linking between parts and sections which reduces conflicts and ensures a higher level of coordination throughout our documents and formatting and printing features which greatly reduce time. It truly makes the documentation process more efficient, which allows us to spend our time on the things that matter - sharing our knowledge and contributing to a project's success. Cons I wish I could search the whole database for a specific product I've used before, that isn't in my master, but I want to find again. I also wish I could export directly into my project folder, rather than a download folder. May 27, 2025 5.0 As a former Word user, SpecLink is far, far better. I would not go back. I can write specs more efficiently. I can spend more time developing quality specifications than I would in Word having to deal with formatting and headers and footers. SpecLink does that in one simple step. Plus nothing is 'lost' as it would be in Word if something is deleted. The turn-on, turn-off keeps everything in the spec always. Pros Easily mastered for spec writing. Makes writing specs faster, leaner and more consistent. The links within is brilliant. Also, it makes the updating of reference standards extremely simple. Cons The spell check is on a section by section basis and the default is off. One must remember to turn this on for each section. There are always more features and customizations that I think could help the platform, so I appreciate the way the development and support team is available and receptive to users' input. Pros I really appreciate the potential for automation and streamlining tasks. Many tasks are accomplished much more easily than the old-fashioned way already, and I know that the development team is actively working on improvements large and small. Cons I wish there was more robust and granular control for customization of features within the actual workflow. Many features seem like they could be small but have a large impact on the process of producing documents on the platform. I am looking forward to having a one stop spot for accessing up to date specs rather than searching through our folders for older specs that are not fully updated (codes and standards). Still working though it. Pros Availability of up-to-date specs that can be coordinated with all disciplines. Edits that can be undone if the specs are used for other projects when some aspects not applicable to one project are applicable on another. We typically do a lot of copy/paste between similar projects and this can be invaluable. Cons I am not sure if it is a permissions issues but some specifications are not accessible for use with a project. Additionally, if you are working in more specialized projects, not all applicable specifications are available. For example, specification that cover piping for particular gas systems (hydrogen). But they are right, Speclink support has been excellent. Most questions we have are already answered in short video clips or written guides. And those that aren't, they've answered very quickly. Pros Speclink allows our company to quickly prepare specifications. The linking process simplifies inclusion of relevant paragraphs based on product selection. Cons It is such a different workflow than Word-based spec editing, that our staff has resisted movement. We're continuing to win them over as they use the tool they like it. But the process was way too difficult. I have been writing specifications for 30 years and never had this much difficulty before. Pros It has many features. Glad to see some innovation. Cons The visual graphics do not correlate to the functionality in a linear way. Have to spend hours and hours trying to figure things out. Need more plain english instructions and to avoid utilizing different terminology for the same things. Simple linear instructions with constant names and definitions are needed. It almost seems like different parts of the program are written by different people that don't communicate the protocol with each other. Pros The built-in automatic updating, choice fields, intelligent linking and overall ease of use of the interface are the main reasons we made the switch. Also, customer service and tech support is swift and responsive. Cons Sometimes the linking is faulty, especially for the Table of Contents. Also, we have provided a significant number of proposed enhancements, of which only a minor fraction have been implemented. Track changes need to be improved with more options. Network slowdown or browser memory limitations sometimes reduce performance. The RIB library of available sections needs to be increased to rival the MasterSpec library as there are still many scope items that do not exist in the RIB library. June 6, 2025 5.0 Generally, pretty good. I think there are times the cloud based response time is slower than when I used the product with a CD on my computer. Pros The ability to export SpecLink files to Word and PDF, although there is still some editing that needs to happen after the export. Being able to format headers and footers to match specific client standards. Cons I need to check ALL the manufacturers data on the web, as I have found a number of the product model names/numbers listed in SpecLink aren't current with manufacturer's website information. I have noticed that some files that are larger in size either take a very long time to preview or don't preview at all. The ease of editing header/footers and the format in one step, instead of spec by spec. Cons Editing entries and adding new lines/information can sometimes mess with formatting. Accepting track changes must be done spec section by spec section, instead of all at once for the entire project. There are some formatting limitations that require post processing to match client formats. The help team is responsive when we need them. It has saved us so much time assembling packages for reviews and clients. Pros Speclink makes printing specs to pdf a breeze. There are customizable options for how printing is handled. We are able to import specifications across projects easily and access that information quickly. Cons The spell check is rough and has a lot of improvement to be made. There have been some bugs in fonts/printing but the help team has resolved those. I have used other systems in the past and SpecLink is better than others that I have used. Pros Ease of access and sharing with different organizations It is relatively easy to setup the projects and share. Cons Exporting sometimes takes a long time. Sometimes it is quick and sometimes it takes hours/next day. There seems to be little reason and no prompting. June 24, 2025 5.0 Fantastic! Once getting used to the program idiosyncrasies it is easy to use. So much so that I dread going to a different program should the head of our small firm jump to another less costly program. Pros Tech support is second to none! Always available, very astute in solving issues. There is a bit of an initial learning curve, but once mastered, it is a very easy program on which to write very thorough specifications. Cons Cost. We are a small architectural firm and allocating monies from our overall budget is a point of contention in our projection meetings. I want to learn more given the opportunity, even refreshers for standard commands that I may have overlooked. Pros It is a no hassle way of writing specifications, especially ones we use for every project or with clients that have standards. I actually look forward to getting my specifications completed now! Cons I think more training upfront would be a great introduction for younger design staff just getting involved in specs. Also, a refresher on RIB updates would be fantastic. I know there are parts of the software that I still don't use. Pros Our favorite part of this software is the executive overview, this allows us to see what we are being specified for and what we aren't. Allowing us to dig deeper on how to better adapt and evolve to our ever changing industry. Cons We honestly wish we could see the platform from a spec writer POV, just to see how things look on their end to better market our materials. Architect Architecture & Planning Used the software for: 2+ years ### "Great Software with a Few Bugs" August 7, 2024 5.0 Overall, I appreciate the ease of using the software, the functionality of it, ability to add User notes, import reference standards, ease of printing, etc. But there are a few annoying things that I would be very happy to have worked out as they do create issues. Pros It's very easy to edit. Anyone can learn the basics. If you have time and want to get deeper into the software there are additional tools that make the software even easier and save time for large projects and office Masters, etc. Cons There are a number of glitches with the software. If you select an option/choice that is different from the default SpecLink master, there is always the risk that when you print the section those changes will not print but will instead read as a code {CH#351125}. This has happened many times in our final Bid Sets after the QC process which is extremely disappointing. It means we have to QC the final set one more time after printing it just to ensure SpecLink didn't mess anything up. If there are glitches, your original text is gone and you have to take the time to recreate it from markups or the Office Master spec. I don't know what causes the glitches so am not aware of how to avoid this other than to create a User paragraph any time there are changes to the SpecLink section. August 7, 2024 5.0 Having worked with many approaches to specifications, RIB Speclink is by far my favorite. I'm comfortable that the data going into my specifications is up to date and reflective of current standards. I love the flexibility of the platform and the allowance of customization; the ability to see the entirety of sections in case I change my mind; the incorporation of both system and user notes. I could go on and on ... but it really is the most fun you can have writing specs! Pros It's tough to identify my favorite feature of Speclink because there are so many. However, the one that I feel differentiates Speclink from other programs is it actively encourages the development of specifications organically throughout the entirety of a project - easily transitioning from Outline, to Short Form, to Full Specifications. It also is a great tool to help younger designers become more thoughtful and intentioned as they can use Speclink as a great resource for product research that has already been done. Cons Like most things, benefits increase with effort - what you get out of Speclink is proportional to what you put in. This can often mean that within a larger organization, you can end up with a range of results. Yes, setting up standards can help, but there are always users that will stick with "out of the box" rather than leaning into the power of the program.
