We started our PMO in 2009, needing a way to get a handle on our project intake and help define our project management methodology. We purchased Workfront (formerly AtTask) back then and have been happily using it ever since. The initial implementation was quick. Getting the system configured and putting users in there was the easy part. Being a new PMO and going through the motions of defining our process was the hard part. Workfront made it a little easier because allowed us to have a starting point and the basis of best practices. The tool is easy to use, so flexible, and has really improved the way we work. Its been so effective for us at the University that usage has expanded from just our Technology department to 5 other groups and that number keeps on growing. The technical support has been great when we needed it, the company has listened to customer's suggestions as well as trends in the industry, and the adoption for the tool has been steady, really becoming an essential tool for every day work. There are many PPM tools out there, all doing much of the same core functions, but Workfront has the edge when it comes to usability. Things in the software just make sense, and work. Its that simple. Pros - The system is highly configurable, can match your process and methodology - usability is top notch. The user interface makes sense and is easy to get used to - if you've thought about it, its probably in the software. If its not, you can request it and be sure that the company is listening and it might make it into the next release. - manages much more than just projects, it manages all of your stuff. Cons - The company has gone through immense growth in the last 6 years so there has been instability in our customer support success manager, (not the technical support). We've had several different of these account managers over the years. - the license price changed as the software grew and caught us off guard (although the company was great and negotiated with us and was very accommodating - there is an API that allows you to connect and integrate other software into the tool, which is great, but there isn't great documentation or training on how to do it for beginners.

### "Workfront"

Workfront is our go-to. We have someone needing something we send them to submit their need through Workfront. IF someone needs to review or approval something, we send it through Workfront. That way we have a trail of information of why we did the things we did or went with the project(s). Its the paper trail. It also took us from having 2-3 hour long status meetings every week to one 30 minute meeting sometimes every week or so. We can summarize much better than running through a multiple page document spreadsheet. It has saved us time and sanity.

Pros

I am able to add all my projects and tasks into one location so that my team is aware of what I am working on and my clients can see where their project stands. This is very helpful in case something happens, we often say, if we get hit by "the bus" someone will know where my project is and what to do next.

Cons

It was a rough start. The account rep(s) that we have had were not very good at making sure we were happy as a customer or if we had a need. Since we got our remote system admin, it has been amazing. We love our rep!

Pros

I really like the detail I can store in each card. Although the UI leaves a little to be desired, I like the display of communication, important information you can add to the card, and the related issues, hours, etc. I also like how the "assign to" window only takes a small amount of room on the screen, and is collapsible. Most programs devote too much space to this information, and it is important, but doesn't need a lot of real estate. The flow of progress and burndown charts are useful when looking at it from a sprint view. Although I haven't used it this way, I could see the tool being useful for Program Management.

Cons

The search functionality is really bad. The results are not intuitive, and it can be very difficult to find anything. We have taken to putting in all cards with a naming structure in order to make it better, and it barely makes a difference. In most cases, unless I am lucky, I have to export to Excel or CSV and search from there in order to locate the card I'm looking for and then do a more direct search back in Workfront. This issue alone would keep me from committing to Workfront long term for my project management app.

### "My favorite project management system by miles"

I've used Workfront with three different companies over the last five years. I've been able to use Workfront to help cut campaign request, approval and building in half, to solve the "everything through email" issue and to manage an extremely high volume of request from internal, external and disparate teams in a large organization that is change resistant. It's been meldable, helpful and honestly fun to learn and grow with Workfront as a company and as a system.

Pros

I love that Workfront is easy to configure and change as your organization grows. It's easy to stay up to speed with and make changes based on system changes and your organization changing. I also am in love with the reporting and custom data features. Custom forms and the ability to manipulate them to get data has been invaluable in every organization I've been in to date that has used Workfront.

Cons

I don't really have a ton of complaints if the system is configured well. Maybe that there are too many features? It can be a lot to wrap your head around but if you have the time to get to know it it is irreplaceable.

A great tool, I love the ease of use and the time it has saved my team!

Pros

We have produced hundreds of events and this software is essential to keeping us on time and on budget. The entire company uses it for everything from resource planning, event workflows and automated approvals, to our company-wide operations calendar and staffing. Being able to create customized dashboards to track, in real time, the progress of all of our ongoing projects has led to increased collaboration across our teams and given us time back to focus on our clients. I like the streamlined document proofing capabilities which allows us to eliminate major bottlenecks and reduce unnecessary paper – it all lives in the platform! Every event is different, and the nimble functionality of the platform allows an adaptable environment for our clients while still tracking the necessary metrics of success. The reporting capabilities is terrific, very robust, and most importantly, easy to use. It has everything we need, and even things we didn't know we needed!

Cons

Because the platform is so robust there is a healthy learning curve for new employees, dedication to training and maintenance across the full company is needed for successful adoption.

Overall the system does what we need it do do, but we are underutilizing it, making it difficult to justify the cost. It is challenging to navigate what are perceived limitations alone, but when you get to conference you see there are workarounds for. Consulting hours are ok, the consultant can make or break if they are valuable and often only bring to the table what you can find in help or community. Account Reps are also challenging and provide inconsistent service.

Pros

Workfront is customizable and can be tailored to meet the different needs of a variety of units throughout the College. Everything can be in one place, making it easier to communicate, and make decisions. The opportunities to make improvements to process are endless.

Cons

There are too many ways to do the same things, making it difficult to train and onboard users. The frequency that things change also makes it hard for existing users to stay on top of functionality. Help and customer support are inconsistent, often pointing you to help articles that you can find on your own. There are many tips and hacks to the system that are almost impossible to find or figure our on your own, and the only time you really learn about them is at conference when you connect with amazing Workfront consultants or attend some great sessions.

Overall, I would recommend Workfront for generic project management needs. For product launch and commercialization there might be better tools out there, but it's getting the job done.

Pros

We implemented Workfront to track our product launch and product update timelines. It's been a great tool to sync multiple department's needs and timelines together. I love the ability to see or post an update on the project, tag someone when you have a question, and lay out the timeline in the gantt charts.

Cons

I think Workfront is trying to be a lot of things and sometimes that can get confusing for how our business is using the software.

Pros

I'm not a project manager by trade. However, we were able to implement a custom workflow within Workfront that allows my team to manage projects and load-balance when needed.

Cons

Some features are not easily transferrable to other teams. If another team wanted to copy our process, they'd need to essentially start their workflow from scratch.

### "Easy Project Management, Made Easy!"

So, our eMarketing design team has always been very "execution" focused... yes you need Governance (evaluate the Charter and brief documents) and Reporting (who's doing what and how much of it are they doing?)...but the reality of a very small team was that we were execute / execute / execute. Per that, the team started off managing projects via XLS, which is the bare minimum you can use; with Zero project plans / work assignments or easy document sharing or communication. Workfront, then AtTask, was brought on board and solved so many problems that as the number of projects increases, the number of Design team members has not had to.

Pros

So, I have two "dog & pony" training sessions when introducing a team member to Workfront; one is for a Business Owner or Project Manager, while the other is for Resources (e.g. Content writers, Visual Designers, Coders, etc.). Either way, it lasts about 25 minutes only and always I hear "I get it." well before the 25 minutes are up. It's simple to use and grasp quickly, intuitive, and serves up all relevant information in a clear format. I can literally mange hundreds of projects a year successfully because of this tool. Me, by myself.

Cons

I think the adding of new Product features and improvements; the process in place feels a little difficult to get in on. I would guess that's not their intent, but there is an opportunity to improve that, especially with customers who've been using the product for 4+ years!

Overall, this is the perfect tool for marketing teams specifically, especially those who practice more of the agile marketing strategies. We previously used Trello, which I love, but Workfront provides so many more features, analytics, and potential for better collaboration among teams.

Pros

We started using Workfront several months ago so that we could better track our projects, deadlines and time spent on each tasks. I think it’s pretty easy to use once you get the hang of it, but it can take some time to implement and get everyone on board. It’s perfect for keeping the team organized and on track, and it helps us make sure we aren’t spending to much time on certain projects. You can easily tag users to provide updates; upload documents to share; provide proofs which is especially beneficial for collaboration amongst graphics designers, content managers, and marketing strategists; log your time spent on each task; and so much more. It also provides data so you can see how many projects each team member is doing, how much time is being spent, etc which is super helpful for determining a team’s efficiency.

Cons

It can be a challenge to get it up and running. It’s very complex so learning all of the features can take some time. Setting up some of the tasks and due dates can be frustrating and prone to human error, but overall it’s a great tool.

Overall I liked it but sometimes it couldn't solve every need if its internal communication within your immediate team. If its used internally for collaborating with different departments then its more useful, especially on projects you are working on together.

Pros

This software is great for managing the status and development when assigned a particular task, assignment or project. Especially if the project has multiple contingencies and dependencies to show what is down and how long including the slack line and critical path. Project Managers please pay attention, this can be of immediate value to you for projects that have a huge break down of the separate tasks and the time frame for each. If you are not in project management and still find value in managing your subordinates workload through a high level view then this tool delivers on that front. It can be easy to see where each assignment is at during the duration of the process.

Cons

The biggest con is how the software can be setup. In my experience, sometimes its easy to use and more fluid and other times it has multiple extra steps added for all parties involved which increases the time it takes to get anything done and is a real pain to navigate and ensure any updates made to everyone who needs to see it does. Which requires more technical nuances which is highly unnecessary.

Pros

User experience is excellent our clients love using it! The ability to create a multitude of reports (e.g. intake, tasks, how many requests and by who). Using the notifications (on both site and cell) as ticklers to keep track of what to focus on. Ability to decide what kind and how many notifications to receive. Online training (Ascent) and resources to answer most questions. Local communities (go Mid-Atlantic user group!) which offer an opportunity to collaborate with other system admins, workers and users. Support has been very good. If we don't get a good resolution via email, we can either Skype or have a conversation. Usually resolve issues within 48 hours. IF it needs to be escalated, our customer rep is always on it. LEAP!

Cons

With all the new integrations being offered, there isn't much I don't like. I will say it would be helpful to be able to respond to an email from someone, generated in Workfront, and have it captured on the project. Would also like to see all updates (project, task, proof) ALL show up in the update feed.

This tool has allowed to carry out a better organization, planning and management of large business projects since it provides all the appropriate tools for it, being able to prioritize projects, monitor their status and collaborate with different team members, making the work much simpler of everyday.

Pros

I like this tool since it is ideal to carry out the administration of high level projects, and this is thanks to the fact that it provides the adequate tools and a configuration that is highly customizable, thus doing the management, collaboration and work in team is much simpler and more fluid, has high quality report reports because they are very detailed and easy to understand, also allows members who are in different countries to collaborate with each other just by sending a request to them and assign assignments that make the development of the project much faster, being able to exchange ideas and comments among them, as well as being able to monitor the progress of each user or the project in general and the best thing is that the tool is always updated and It is very easy to use, which is why it is suitable for the management of large projects.

Cons

One of the things that I think I do not like is that he does not have a live chat and it would be very appropriate since the communication would be much more direct and fast, in addition to his costs or plans are somewhat confusing and to know the same You must communicate through calls with your team since they are not on your platform.

Overall, this is fantastic PM software. It's extremely useful and is great for larger, more complex agencies that deal with detailed financial reporting. It's also good for a company where employees are remote or stationed across the country.

Pros

This software is diverse and extremely extensive. If you are looking for a system that can accurately allocate time to a project, then this is for your company! The system integrates designers availability into each project so you can accurately see who on your team has available to work on a project. The PM software is also ideal for organizing financials. You can create an estimate using this software by adding in the amount of hours you think a project will take. Then depending on whose hours you are quoting, the system will pull an accurate financial estimate for you. For example, if you mechanical designer bills at a rate of $100 per hour and you quote 2 hours of work, the system will recognize their pay scale and estimate that the project will cost $200.

Cons

The software isn't the most intuitive. There are a lot of nuances that are involved in this software. It's extremely complex and there are times that creatives specifically are turned away from the software because it feels like more effort than it's worth to learn how to use it. If you aren't using this to track your time, then I think there are other PM softwares that would be more useful for you creative agency to utilize.

After using Workfront, I was able to focus on completing my analytics projects in time and reduced time wasting in finding what my tasks were by searching for emails where tasks were originally requested. I was able to successfully document progress I made on various marketing projects and review it with my manager. So, avoided wastage of time and paper when reviewing progress of my work. This reporting capability of Workfront also helped my manager provide budget and resources support, when needed.

Pros

I use Workfront software to manage my analytics workflow which is part of the larger marketing campaign projects. My favorite feature of Workfront is its ability to search all projects by specific keywords such as name of vendor, product or brand which my marketing team is trying to promote. And, the feature of summarizing all the projects in one page with my name assigned to them. So, I can quickly find a project I need to work on as well as prioritize it. I also like the feature of getting an update in my email that a new project has been assigned to me by my marketing team, so I know I need to start working on a new project. Support is great. All these features make me more productive in my role of a web analyst.

Cons

Workfront interface is not very user friendly so it takes time for a newbie to first train on it before adopting it. The scale of project completion from 0% to 100% is not very accurate because I had to leave it on 0% for some of my projects for me to know that those projects are not complete before moving on to the next set of new projects. I was unable to print the milestone report so I could share it with executives. I also struggled with the limited ability to globalize the comments, so I was having a tough time tracking a conversation.

Pros

Adobe Workfront is a relatively simply platform to roll out, being able to customise request forms and personalise back-end view of incoming projects. It's easy to find and leave updates, attach docs, and communicate with other Workfront users involved on the project.

Cons

Workfront can be somewhat laborious - difficult to create personalised reports and overviews, and notifications can be easily lost. More personalisation options, including for planned hours and blocking out calendar dates, would go a long way to making this THE project management platform to use.
