Pros I would say my company made a good choice with SAP Concur for expense reporting. 1) Since it is so well integrated with the company policy, I am only given options for airlines, rental cars and hotel that the company approves. All I need to do to book is simply click. 2) All receipts can be easily be tracked. The phone app is so convenient that I just take a picture of the receipt, for say a meal, and it stores it for me to attach to a line item on my expense report later. 3) It is also integrated with the bank that issues the corporate card or the company travel card that expenses on my bank statement are automatically identified and transferred to my Concur account for me to view and append to my expense report. 4) The report filling itself is very simple and easy to understand and doesn't take too much time. Cons The only thing I can say that could improve is some menu options may not be exhaustive or may have multiple correct options. For example, one discrepancy I had in the past was, it was not clear to me under which category my expense fell under. However, this was such a minor issue that all I had to do was just switch it to the right category after advice from the accounting department. Controller Retail Used the software for: Less than 6 months ### "Not Really Automated AP" June 19, 2020 1.0 Horrible. We told the product would work for our needs and we specifically asked prior to using the product that terms discounts would be easily handled. That was a complete lie. We specifically asked if it could handle multiple discounts for one vendor as we have several terms for just one vendor depending on the purchase. We were told it could handle multiple terms, which in fact it can not. It does not even calculate terms. We asked a lot of questions and our concerns were met with positivity that the product would work for our needs. Not so much. This is a huge deal breaker. Pros Implementation was helpful and support was good, but the fixes from support were typically, "oh you will have to use this work around", or "no we can handle that". Cons Too many limitations and the work arounds make it not an "automated AP processing". Has several limitation when it comes to the following items: Terms discounts, can not compute. Limit in invoice number extraction = 11 so we have several invoices where the invoice number was short by at least 1 digit and that is a problem when it comes to paying those vendors outside of Concur., since the vendor will now know which invoice # the payment belongs to. Too many mis match issues that are not easily fixed with vendor name/vendors codes and G/L codes. G/L codes need to be a certain number of characters so if you have an account with a sub account and another subaccount, they entire account needs to be reconfigured to Concur standards in order to be used. Can not post to ALL G/L codes, so the workaround was to create a "bogus" account so the invoice would post, then go into our ERP and change it to the proper G/L code, (thus eliminating the automated process). Invoice line level extraction is limited to 40 lines so if you have an invoice with 106 line items, it will lump it into one line item, which makes for PO reconciliation difficulties. Various other limitations where sometimes there is a workaround, but if there is a work around, then it really is not automated to begin with. i found I was babysitting invoices too much, so it really isn't automated for me. All the transactions are readily available when needed, especially when the auditors come in at the year end (very stressful time with month end to contend with). Approval for the above is pretty straight forward too. Something needs to be done with the speed of the interface, and l think SAP has been addressing this issue Pros Take pictures of expenses for submission electronically and approval for payment. Help to connect the different partners of the expenses ecosystem. It also adds visibility to all transactions. Invoice management was improved in 2020, so no more manual intervention, Hooray!! Easy to track all business travel receipts with the help of the app. Works with the smartphone and desktop. I come from a background where we use to do everything by paper and getting approvals with signature. With the amount of staff we have, using this electronic system is so much easier. Pros Using Concur to submit travel requests, expense reports, and booking travel has been such a time saver from doing things the old fashioned paper way. I like the ability to upload receipts online and the electronic approval process. It is very easy to view a report history of what was submitted as a reference. With the Concur App, you can also take pictures with your phone and upload receipts automatically to your account. This is helpful especially for those who lose receipts all the time. You can also forward e-receipts to your account by email. Our company also uses the booking travel feature - what I like most is the ability to see the cheapest airfare available through a matrix. Once your airfare is booked, you can easily add a rental car and hotel to the travel request. Cons Concur has many features, which can take some time to learn. Fortunately through experience, I was able to help my staff solve some of the issues when they come to me. I think this is due to having some many features and not be able to learn them all at once. This software makes it easy to search airlines, hotels, and car rentals all in one place and then book the best options directly. Major time saver. It is also pretty easy to generate an expense report and use the app to snap photos of receipts and upload them to the report. No need to hang onto all those paper receipts. Cons Certain aspects of the expense report function can be a little clunky, like itemizing nightly expenses for a hotel bill - if your rate changes during your stay you just have to average it all out because it won't allow you to input different numbers for each night. But then it requires you to itemize the car rental expenses manually by each day - why not just take the total and divide by the number of days? There are some issues they can definitely improve, especially when itemizing. Other issues I may encounter are partial reimbursements for employees. For example, if an employee books a hotel for a business trip but decides to stay an extra day (but it's a personal trip). It gets combined onto one bill that is paid with a corporate card. Concur doesn't make it easy for me to break down one expense so that one is billed to the company and one is reimbursed to the company by the employee. Pros It's pretty intuitive and you can figure out how to use it rather quickly. It looks a little overwhelming when you first look at the dashboard. I manage my own expenses as well as for numerous executives at my company. Cons I've encountered numerous problems when using this software, but I am not sure if it is a Concur problem or if it is based on filters my company might have imposed. It is still useful to bring these issues up in case other people may encounter them. Specifically when I enter expenses for other people I do not have the option of selecting "missing receipt affidavit" so I had to instead submit a PDF stating that the employee did not have a receipt. It's an easy fix, but just noting that I do not have the capability to select that option on my platform. There are other issues like itemizing for hotel stays. Even if I enter the number in correctly the system doubles the amount if it's a two night stay even if you have a meal for only one night. Sometimes I would have to divide the amount of that ONE meal into two, which is then inaccurate. Sometimes I purposely enter in 1 night (even if it's more than one night) and enter the total amount of the bill. It's an annoying workaround. Review Source Aditya B. We had to upload the invoices so that our company could reimburse the cab and internet expenses during covid 19 and it didn't take much time to learn, however I had to remember the correct options while filling up the internet bill on the portal so that the claim gets reflected over to my manager. Definitely recommend to teams/people searching for a program with similar needs. Pros I like that concur is a program that can track your personal and work expenses. You can link up a credit card, and once you charge an item it goes directly to Concur and whos up on a list for you to add to a current or future expense. I also like how Concur has a phone App to let you upload receipts on the go so you don't have to carry them around everywhere with you. Cons This program is not very user-friendly. It seems like it is an older progam that has been around for a while, so it works, but not as fast and easy as a more up to date program. This is the only expense program I have ever worked with, so I cannot say if it is better or worse than others. I have to use it for work, but I really wish my company would source a newer easier to use program. I have to relink my credit card, and could not figure out how to do it online. It is linking, but it is linking my other 2 personal accounts that are at the same company, which I do not need linked. I cannot figure out how to fix this! This was actually kind of frustrating, because I searched the concur site on how to fix my problem and could not find an answer. I then searched for a phone number of who I could call that could help me, and I couldnt even find a phone number to call! I gave up on fixing this - as my card does link, I just delete the other items that I don't need linked - but it shouldn't be that hard! So for that, I gave customer support not a great rating here. Sometimes an amount will upload wrong, and I cannot edit the amount. I usually just detach the receipt, delete it and add a new item with the correct amount and attach the receipt, but then the card charge is not linked, and my company needs them to show they are linked. I wish the matching process was a better, as well as the nightly hotel charges too. Pros My university requires us to use Concur to file all of our expenses for job-related travel. At first, it seemed like a nice system. I used to app to take pictures of receipts, which was handy. Also, it seems that they very recently upgraded their system to make it more usable. Cons Almost every time I submitted an expense report, it was returned with errors. I am a PhD candidate, and for the life of me I could not seem to get these reports correct. One big problem was that my departments gives us per diem for food expenses, but Concur would always create an error if our total expenses did not add up to the exact amount of approved funding. So I often had to worked with our department secretary to manipulate the expenses so that the system would accept my report. The business office at my university was no help either. In fact, they seemed to be purposely obtuse about Concur. In summary, using Concur was honestly one of the most frustrating experiences of my graduate career, which says a lot. There were multiple occasions where the business office made a mistake in an account number, blamed me for it, and then it ended up taking many months and lots of arguing before I finally got my reimbursement. This system allows us to track expenses and reimburse employees for out-of-pocket expenses as a large corporation with many employees. Concur offers an important benefit in the form of direct deposit for employee reimbursement. They also have an app, which I have yet to try but have heard nothing but positive things about. The system's user-friendly interface also makes staff training easier. Pros It's convenient to have all of the organization's expenses in one place. With a large workforce, the system can track expenses and reimburse those who have already spent money on the company's behalf. Before reimbursement is made, the direct supervisor can authorize and verify the process. The direct deposit feature of Concur is extremely useful. Cons I dislike how limited the accounting review process for receipt management is, but aside from that, SAP Concur is a very user-friendly system that is simple to train new employees on. Would love if you could connect 3rd party apps like uber, lyft, delta.. etc. Pros Extremely easy and fast to create and finish an expense report. The prepopulated expenses are easy to quickly add on and it is simple to attach receipt images. Cons Sometimes, switching between tabs for uploading receipts can add more time.
