In the first company, we moved away from a spreadsheet based process to Concur and it made things much more simple. In my current company, we have the ExpenseIt capability that not only allows you to take a photo of a receipt to upload, but also then OCRs it and puts it into an expense report automatically. I understand that others have this capability too, but this completely blew my mind the first time I used it. Cons The UI could do with a bit of an overhaul as it's starting to look a little old/tired. I can't imagine business travel without Concur. Pros I love that I can capture receipts via the mobile app so I don't need to carry an envelope of receipts when I travel. I snap a picture and the expense line is magically written in the product for me. I'd say 80-90% of my expense reports are pre-populated making my time in the tool brief so I can get back to my real job. They also make it easy for me to approve or send back expenses from my direct reports. Cons I preferred back when they had the stand alone ExpenseIt app, but the functionality in the Concur app works just fine. Also they have a service administration to assist with configuration changes. You can also have yoyr users to book travel arrangements through the system as well. You receive daily reports of who is traveling and where they are goinf should something happen Cons The frequent outages that occur that prevent users from submitting reports and/or booking travel. Pros Concur is better than most invoice management systems. It makes expense tracking very easy such as for uploading receipts via email or phone app. While the interface is very good, it's a bit clunky. Cons the interface is very clunky. The notification emails are clear but in the webpage itself, it's hard to look at statuses and notice tasks that need to be taken care of. Pros It does search with all your parameters relatively quickly and I eventually always find the flights I want. It does do the job of letting you add receipts and expense things but this is basic stuff. Cons The UI is absolutely terrible. The font size is soooo small--for ants! The fields don't look like they line up correctly and again, they are so small and hard to select. It's also a non-intuitive workflow of uploading receipts and creating expense reports. Just select an expense category, add your scanned receipts, and submit! It automatically converts foreign currency, and can be customized to company standards for daily allowances on lodging, meals, etc. It also has a nice feature for travel expenses (linked to Google Maps?) where it automatically calculates the distance you've driven and how much you will be reimbused if you're driving a personal vehicle. I've had my expense reports approved quickly due to Concur and my reimbursement amounts are simply added to my next paycheck. Cons It was difficult to navigate as a first time user. There are a lot of different categories and sub-categories for expense types so it can be a little time consuming to submit an expense report, but I don't know if there's any real way to make it easier. If you fill it out correctly, though, Corporate will approve your report quicker so you can get your reimbursment quicker. Travel booking and expense filing are very time consuming processes but Concur makes it very easy and intuitive Pros As someone who travels very frequently for work, I love the ease of use and UI of this portal. All my travel preferences, travel history, frequent flyer numbers etc are stored in the user profile which enables me to make travel arrangements very easily. It also lets the user know the company preferred airlines and hotels during booking process. The biggest headache of business travel is the expense report filing. But when used along with the Concur app, I can take pictures of receipts and attach them to expense report easily. User can also create report templates for future use. Cons Sometimes not all travel options are available. e.g. you may see a hotel or flight available elsewhere on third-party websites but it may not show up on Concur. It is user-friendly for everyone to use. Each individual can use it as much as they want or as little as they want. Pros SAP Concur has been amazing within our organization. It is so easy to use and every member within our organization uses the platform. It allows our organization to keep track of expenses. Employees can expense their travel, mileage, receipts, etc. It is extremely helpful to keep track of expenses during certain time periods. Our organization turns in our expenses once a month, so the finance team has it all logged. Cons Take the time to learn the platform. The platform offers more than most people even realize. But, after some time using it and getting a better feel for it, I can't imagine tracking expenses without it. There are still areas that could use improvement, but it's better than any other tool we've used in the past. I can't see us moving away from it in the near future either. Pros This tool does a fantastic job of taking out the guesswork of creating expense reports. They can import automated expenses from company accounts and calculate daily per diem based on the city you are staying in. It is very easy to organize, create, edit, and submit expense items and reports, and tracking them is pretty straightforward. Cons Not all the features are easy to use or understand, and there is a pretty sharp learning curve. Load times can also be very long, depending on what part of the system you are using. This is extremely helpful to the employees because it is no longer necessary to retain physical itemized receipts. Cons It is not very user-friendly unless you play around with the program.
