It's been a great tool to use daily. The automation helps greatly with interdepartmental workflow as well as our day to day workflow.

Pros

Availability via the cloud, ease of use, integration with other system, reporting capabilities, ability to provide auditor and other users access to the system.

Cons

Lack of reporting capability for file export to vendors for benefit enrollment. The lack of capability of deleting an employee if a duplicate entry is made, even via support ticket.

I can't say I have any cons concerning VIP. Everyone I have dealt with has been helpful and resolved my issues.

At first it was a nightmare. The process has been made much more tolerable with the guidance and help of Eunice and Mitchell!

Pros

The accessibility of reports. There is no longer a reset at the end of the month to remember. Errors are somewhat easier to correct.

Cons

I do not like the Time Entry function that automatically fills the time in. I would rather still enter it manually. Not being able to delete certain transactions. Year End Process can be challenging.

Wonderful, could not be happier that I made the conversion. The system has been everything I had hoped and more. The team at SSI are so great to work with, not only very knowledgeable but also friendly and quick responders.

Pros

It was easy to use and there are a lot of resources available to help you figure things out. When I am stuck, there is always something available to help. The grids are so easy to use even for managers that don't regularly use computers.

Cons

The only con I can say is having to run reports in a different system, not really a con just a nuisance. I mostly use the grids so I don't have to go run reports but they are there if I need them.

Overall once you get familiar with it, its a great program to use. I like being able to see a lot of information in the same area.

Pros

I like the amount of information you can see and attach to entries. I like the tracking of information that is entered.

Cons

Somethings I think have a lot of steps to them that can be confusing for users. Also some updates I feel like are not beneficial to users.

It has been a great experience, and we are able to get so much more information from the system in so many different ways.

Pros

The ability to search by different methods. You can search invoices by dollar amount, vendor, date or check number.

Cons

setting up the users with their different access. It was a difficult process since we have so many different levels of users.

It was positive and a good move for us. I continue to learn different parts of the software. Everyone is so nice !

Pros

So much faster and more efficient than our old system when I do billing. The support staff are so helpful and nice.

Cons

We went live at an unforeseen bad time for us but we made it work. With that, it took a long time for transition.

Positive - Change is always difficult especially when converting data from an old to a new system but overall, through dedicated training for the specific modules, it was a challenging but rewarding experience. We received good support from the implementation team. Kudoos to them for holding our hand through the process

Pros

Focus on less paper transactions with FM information readily available. Training through the Zoom sessions was instructive and well guided. There is always a learning curve but navigation of VIP was consistent thru the different modules and support was there thru phone calls, emails, and online support documents. Our implementation consultants were very patient and helpful during the learning process.

Cons

The timing of going live was stressful as we went live 12/1/2025. Changing to a new system ( also a new chart of accounts) was not easy with that timeline but probably would have been that way no matter when we went live. Sometimes it was difficult to set up training sessions for various reasons that seemed to cause delays in the process. In regard to the software, reports (for me) were initially hard to find ( in regard to monthly reports) too many options, part of the learning curve.

Implementation went great \[sensitive content hidden\] were great teachers and still are when needed. Very understanding and helpful. We are not really a year in yet so we will see in a few months. End of year went well also. In all VIP is has advanced our County in positive way.

Pros

The ease of drilling down into a person or account. We like the cloud and not using paper. Everything is stored on the cloud. Payment requests have all information attached to the request. The search function is easier. The reports are user friendly. Export to Excel is a much needed advantage.

Cons

That more history is not carried over. Sometimes it is really slow. Loading sometimes takes forever and times out.

VIP has made separating our data for the required State of Ohio annual report (Hinkle) much easier. With eGOV, we had to separate items on spreadsheets which took hours. Now, with VIP, we can code the accounts ahead of time and VIP will combine the amounts for us. That alone has made VIP worth it. But we also love that it's easier to interpret the data and it's easier entry.

Pros

The integration from our old data to VIP was simple and accurate. VIP offers more functions and protections than our old system. It's much more difficult to make simple mistakes that were often made with our last system. VIP is very user friendly and we love the new functions that make our data more accessible to our auditors.

Cons

There were some hiccups with the payroll module and our data but those may have been worked out. We were previously on eGOV, and while VIP is much more updated, there were some reports and data that were easier to find in eGOV. However, my biggest complaint is that, personally, I'm a keyboarder. I prefer to tab through entry boxes and use keyboard shortcuts to update the screen, etc. I'm unable to do those with VIP and I find myself stumbling back and forth between the keyboard and mouse, which can be frustrating and time consuming.

Cost and we love the Software Solutions, Inc. company and brand. We have had their products and service for over 20 years and the support has always been top notch.

I have never worked with a software company before like VIP and at first it was very scary to me, but with the support of the employees with VIP I have gotten the support needed to accomplish my job. The VIP system is very user friendly and if you get stuck you just just put a ticket in and someone will be with you shortly to help you out, which says a lot about a product. VIP comes highly recommended by me.

Pros

What I like most about VIP is how there is so many reports that are available to you when it comes to vendor payments, payroll, and accounts. The support line is also a great help. The employees there are so nice and willing to help you out anytime. I couldn't do my job without them.

Cons

What I don't like about VIP is adding a job to an employee. If they move to a different position I just would like to document it in the memo and just change the title because transferring accruals and making sure everything is set up correctly is time consuming.

Overall, VIP has been an improvement over our prior eGov software, and made our jobs easier. Unfortunately, there are many features we're unable to use because departments are not willing, so I'm sure we haven't even touched the surface of what VIP can do!

Pros

Everything is at my fingertips; can be set up to access from any location; able to add a lot of info and notes in employee files; quicker payroll processing than prior software; can customize reports and grids; easy to pay invoices; good support; good instructions/reference tools on website; after a phone call with support, they send a summary email of what they helped with so you can save for future reference; can eliminate paper processing by using workflow.

Cons

Settings are very embedded, especially defaults. If there's a problem, it's hard to find where to go to fix it, and sometimes the fix needs to be done in multiple areas. Sometimes monthly, quarterly and yearly report totals are off a couple pennies and don't match.

Ease, speed, support system, and employees have made working with VIP pleasant

Pros

I enjoy the ease of using VIP and integrating from one section of software into a different section and setting up page columns to individual specifications. The support integrating from E-Gov to VIP was extremely helpful and important.

Cons

The feature that we would have liked to see when purchasing the VIP is Income Tax program. It would of been more convenient if we could of had all our programs with VIP. Also, certain reports could of been better without purchasing another package. An all-inclusive reporting, budgeting, forecasting package would be more convenient, rather than price each one separately.

VIP has been a great asset to Lawrence County. All of our departments seem to be very happy using it. We have a couple departments that are located pretty far away from our offices that are always eager to tell us how they are happy with the switch.

Pros

VIP is an easy to use software that has really streamlined the process in which the county processes payroll and pays bills. It has streamlined the process of expending money in the county that provides services to the citizens.

Cons

There are a couple of minor problems with VIP but all of our issues are heard by the staff at SSI and they do everything in their power to help fix the problems.

VIP has increased efficiency and creates a clear auditable trail of all activity in the software.

Pros

VIP has created significant efficiency in my organization. Having the ability for electronic workflows has increased our turn around times from a week to one day. Having VIP has also made it easier for audit as the auditor can have access to the software with customized access and VIP has reports already created the auditor to expecting to execute their job. In addition to the efficiency is that VIP has an extremely helpful support staff that quickly resolves tickets and does an excellent job explaining how they fixed the issue to ensure you can prevent the problem in the future.

Cons

There not anything I like the least about VIP

I love it! I am able to review things from my phone if I need to. There are so many good things about it. I really love it.

Pros

Everything in the system is pretty much the same. Very consistent. You can work in one module and never work in another module but still be able to perform in the new module because of the consistency across the entire system.

Cons

There is so much information that you have to remember where everything is. Also, the workflows can be a little tricky. Not necessarily a con but you have to understand all of the different levels.

Reason for choosing Visual Intelligence Portfolio Suite

This seemed to be the better option for what we were looking for.

While we are still very new to the system, with only Finance and Payroll fully implemented and Utility Billing in the early stages of implementation , The VIP suite has so many more capabilities that we did not have with egov. We are extremely happy with the VIP Suite, its ease of use for daily, weekly and monthly processing and reporting.

Pros

Implementation and training has been a great experience. The training staff has been so patient and so helpful during the whole process. The SSI implementation team and support staff work together to make the software work best for each customer based on your company needs.

Cons

We are overall so pleased with the new VIP suite.

The City has been a customer of Software Solutions since 2009 utilizing the egov software. We have always been very happy with our choice of the egov purchase. SSI has always provided us with excellent and dependable support. With the growth of the City over the years and our trust in SSI, the purchase and implementation to The VIP Suite was the best option for our City.

Pros

I like the web based features and worksheet functions.

Cons

I do not like the fact that monetary amounts are carried out more than 2 decimal points. It leads to rounding issues with tax, Medicare and pension withholdings.Balancing withholdings in our old system was easier.

Pros

It is very easy to use and there are so many reports available. It is also very easy to customize a report you need specific information.

Cons

Sometimes when you need support, it takes a while for them to get back to you. I know they are very busy but especially when you are trying process payroll or a check run and something arises you can't proceed with your task until you get help.
