Also, the price for NEOS is less than other products. The data conversion took 18 months and still was not right. So went back to Needles and then to NEOS. The data conversion to NEOS was seemless. And I only think its Okay because its tailored to our request. Pros I like that its customizable, this has been really helpful for the transition to Neos. Cons The program is slow, too many failed attempts/red screens and Oh Snap messages, when updates are made it is clear not enough time was spent perfecting the new feature. Every update sets us back drastically and we dread receiving the notice. The list could go on and on but I've already made my complains in previous surveys. The initial training was not spectacular. But when she came on board, \[SENSITIVE CONTENT\] stepped up and that has gotten us closer to the optimized point of fully using Neos. Pros Neos has been a true blessing to my law firm. First, it is intuitive. You can get started using Neos without too much training and then more training when you get more involved in all that Neos can provide. The Neos Staff, \[SENSITIVE CONTENT\]!, has just been awesome to deal with and has been right by our side during the harder implementation of Neos. It does take time to fully use all of the powers of Neos and we are still in that process. So we look forward to the time when Neos is fully powered up and working for our clients and for us! Cons The integration and migration from our last software management system was difficult. But I do not think that is at the fault of Neos or the other company. We were using an antiquated system and the migration simply was not clean. And we are still working through that. But the point here is that Neos has helped us along the way with the challenging migration. And we appreciate it! Pros The basic features work, but they are difficult to use. Cons Some examples: Reports that are generated are not as good as the prior version of the software. You cannot open up two tabs on a single case at a time, so you cannot toggle back and forth between pages with the same client's case without closing and reopening the different pages.You scroll within many notes and open the note you want. Then you close the note, and it puts you back to the beginning of the notes again instead of leaving you at the point where you opened the notes, so you have to waste time getting back to the original note to scan others that were entered around the same time.Calendaring is very important in our practice. The calendar feature was not working for days, and we did not receive timely assistance with the problem from the company. We had to threaten legal action for them to finally fix it. Documents have disappeared from folders and reappear in other folders inexplicably. I was on a phone call with a client this morning. I clicked on a form to go over it with the client. The form did not open and it disappeared from the directly while I was talking to the client. I could not find the document while I was on the phone with the client to discuss what I needed to discuss with the client. I had to end the call and find the document in another directory.Documents which have not been modified inexplicably change the modification date themselves making the date of the document properties no longer consistent with its generation date. Most of the time when you put in a service ticket someone gets back to you immediately. Pros The ability to transfer from our server based NEEDLES to NEOS with little to no problems. NEOS is very user friendly. As with all software, there will always be likes and dislikes but overall in my opinion NEOS was the best for our firm. Cons We were excited that we could set up our own reports. However, we still have problems doing this so if I had to choose what I least like it would be reporting and to get additional training with the reports you have to pay. Document creation is smooth once it is set up. The intakes work well and the dynamic fields in the intakes keep improving. The ability to SMS from Neos is a real plus, but I was not satisfied with having to subscribe to Ring Central to fully use SMS. Cons Neos is best used for non-litigated case files. It does not have a case calendaring system for any jurisdiction's rules. It schedules items on the weekends when we are closed and I must go back to check for any items set for the weekend to move them to a work day. Pros I like that you can literally cut and paste from Needles Neos anything-like address, etc which you could not do in needles 4. . I like that you can access it from virtually anywhere and not have a server to access. . I do like how you can copy from your desktop straight into Needles and Sharepoint. . Office Manager Law Practice Used the software for: 1-2 years ### "Totally Ignored by Lead Customer Service "Advocate"" February 12, 2020 3.0 Further, Needles techs initially thought the issue was our version of Outlook, and had our firm purchase new licenses for all our uses. Unfortunately, this was a pricey "solution" that did not fix the problem. What is very annoying is that Needles keeps billing us quarterly for "technical support" that is part of our agreement, but fails to fix our technical issues. Also, Needles technicians are all east-coast based. As we're in Arizona, this also presents a problem in availability of their support. Pros If it worked as promised, it would have been exactly what we wanted in practice management software. It has some great ideas and is supposed to interface with Outlook. Cons Our experience has been that the updates are not adequately tested before released to clients, and customer support is not always advised or up-to-date re the various bugs with the updates, and therefore not able to troubleshoot or fix. We have been trying to get Needles to fix the interface with Outlook that resulted from one of there updates, and causes the slowing of email, for nine months now. We have only had this software for a year. As Needles has been unable to properly diagnose and resolve this problem, they are now ignoring us. Reason for choosing Neos Needles seemed to be a software that would meet all of our needs. If they had better technical support and understood how to resolve their technical issues that prevents clients from fully using their software, it would be a great program. It feels like a sand box that i can shape into what i need the program to be. We are excited to integrate our training material into the software. Although the required actions by our staff need to be more precise than a less powerful program, the ability to complete the tasks required by our team as well as the integration with time saving resources like Zapier has been invaluable. Cons Training this software has been difficult., I have no experience in case management with this software, but on the intake side it has been a struggle. We are interested in integrating some of our internal training material into the software to make case evaluations smoother, but have yet to roll out the program. A bad, infuriating experience" August 18, 2021 2.0 Using Needles Neos provides disappointment and frustration at every turn. It is currently in beta quality, and the workflows are unintuitive and time consuming. We provided three pages of bug reports including broken functionality, missing features, inconsistent design, and suggestions for improvement. Neos is exceptionally bad at calendaring, document management and task assignment. The Needles team was unable and unwilling to sufficiently address our concerns with Neos. Pros A browser-based solution is a step in the right direction. Cons Needles Neos is a major regression from Needles 4.x., which our firm has used for over 20 years. We were misled by Needles staff as to the overall quality of Needles Neos and the ease of migration. It is extremely buggy, unintuitive, and not suitable for daily practice management. Overall, a very unpleasant experience. Unable to recommend. We have chosen to terminate our 20 year relationship and look elsewhere. It has truly been a great help to our practice. Pros The checklists and role allocations are some of the most useful parts of this system. However, the document management is also excellent. The ease of import/mail/send-to-DocuSign functions are key in time saving. Cons The time tracking still needs work. There should be an easy way to get the time tracking converted into an invoice - just like with the settlement memorandum. This issue has prevented me from recommending this software to folks who still need to track time and invoice clients. There should also be a function (that appears to be not-quite-working) that tracks time as notes (dual entry). Reason for choosing Neos Because it rocks. Paralegal Law Practice Used the software for: Less than 6 months ### "New User" October 25, 2021 3.0 This is my first time using this software and have only been using this for 1 month and am finding my way around it and learning everything that it does. I'm sure the more I use it, the more the ease of learning my way around it will be. There are just a few kinks that need to be straightened out. Pros I like that this software has tabs and places for you to put several different key points/information about the cases so that anyone looking at the case will be able to tell what the case is about and find pertinent information that they may need. It opens up the documents by clicking on them, which is also helpful. Being able to separate your cases by case type, staff, etc. is also a helpful feature. Cons The layout or structure of the software is a bit overwhelming. I previously used Time Matters Management and found that the layout of that software was much easier to navigate and see previews and notes in cases versus having to click on each individual case in this software to see what it is you need to see. It's just a few features that I think need to be updated. For example, the value tab would be much more sufficient if it could actually add up the total of the bills instead of having us add them each and every time (if there's a way to turn this feature on, please contact me). At times, it can lag really slowly switching from one case/tab to another. August 3, 2019 2.0 I've wanted to get rid of Needles since I first started using it. We run a multi-office law firm and the system works like hot steamy trash over VPN. First off there was severe downtime because of database errors and then the overall intake system is lacking in every field all the way from duplicate management to marketing options. Pros Reporting is fairly intuitive. Not much more to say about things that work with the system because it's antiquated and requires severe customization that act purely as bandaids because they further cripple you from upgrading in the future. Cons The user interface, general slowness, lack of remote support, lacking SQL functionality, horrible intake solutions, atrocious speed and overall lack of help from customer support. We released Needles 5.0 over a year ago and now have several thousand users on that version. Needles 5.0 includes an updated user interface with a more modern look and has several new features, including SMS texting, management dashboards, and an updated Outlook Calendar Sync. Our current version is also on SQL and provides numerous usability enhancements including improved filtering capability, the ability to open multiple cases, and a tabular layout. I like the ease of use and being able to create multiple documents at once. I really like the value tab and the many ways you can use that. With one click, I can find out how much we will need to settle for based on the outstanding bills and costs. Overall, it's a really great program. Cons I wish the checklist was easier to use and that you were able to link the checklist items to documents. For instance, once a medical record is requested, you could have a check list item automatically populate to follow up for those records in 30 or 40 days. Pros The integration did not go well. Some things are better, but the biggest issue that clouds all the improvements is the slowness, the crawl speed of the computer. Cons Not only is there a speed issue, but changing or adding words to a document can be difficult; like when I typed in my First Name: the caps were reversed and I have to type my First Name in twice: a waste of time. As a cloud-based platform, Neos allowed me to minimize my startup costs for IT. Updates are a breeze. I look forward to seeing the updates when they come in very straightforward and concise explanations of the changes. No more shutting down server for updates. What a great change. Pros Neos is a significant step up from its predecessor, Needles. I am a prior needles user and everything that I wanted needles to do, Neos has accomplished. From the ease of integrating Outlook emails and calendar items, document management, contacting clients, searching for information, organizing information notes, etc., Neos is everything I would want it to be. Also, cloud-based is the way to go. Updates are seamless. Set up is ease. No more server expense. Cons None that I can think of. And if there are any issues, I am optimistic that Neos has already thought of them and an update will be coming.
