I am highly satisfied with BestNotes due to their excellent customer service, patient portal, scheduling reminders, and AI assistance. These features enable me to concentrate on the most important aspects of my work, ultimately helping my clients achieve their therapeutic goals.

Pros

I appreciate their AI assistance, as it enables me to concentrate fully on my client interactions, offering undivided attention while efficiently gathering essential information for my notes.

Cons

Sometimes, technical issues with the recording for the AI assistance can cause delays of up to three minutes before recording begins, leading to potential loss of important information. It would be best to have a backup, such as paper and pen, ready.

My overall experience with Best Notes has been positive. We have been using Best Notes now for a few years and the product is great and customer support is also great!

Pros

The on-boarding process went quite smoothly. Video trainings were readily available. Customer support has always been responsive and timely. Best Notes is customizable and the Best Notes support is great for brainstorming and creating new forms or edits.

Cons

Pending your organization's financial situation, Best Notes can seem expensive. Though I think it is comparable to other products.

I have been using BestNotes for over 11 years. The detailed treatment plans meet all criteria for our Joint certifications.

Pros

The HIPPA tier that is allows for privacy. The autogenerated ledgers and signers is is wonderful; less time for my billers to submit claims. The clearinghouse claims being auto submitted to insurances.

Cons

Clearinghouse payments do not get auto applied to sessions that are paid. The current email link sent to new users to login. This link does not last very long; even though states good for 24 hours.

Excellent..... Any problems have been quickly resolved. Very intuitive and professional looking chart notes/reports for use with appropriate external providers.

Pros

I personally love the format, the ease of integration with DSMV diagnosis codes and criteria selection that is available. I love that I can create treatment plan templates that are specific to certain diagnosis and measurable.

Cons

That I cannot submit billing through the program. That's really the only thing I dislike about it. So I have to use a 3rd party.

We have been working with BestNotes over the past several years. They have been a strong partner for us as our business has seen significant growth. We've acquired several businesses over this time, and we during the integration periods we have had to interact with other EMR systems from an operational, administrative, and billing perspective. From our experience, BestNotes is an easy system to work with, billing is straight forward, and it's easy to maintain once you've set up a solid foundation. Since we have internal development capabilities, we're able to use the BestNotes API to automate our processes, and it's proven to be a game changer for us. We are glad to have BestNotes as our EMR platform.

Pros

Ease of use. Our clinical staff often remark how easy BestNotes is to use compared to other EMR systems. Also, we are able to streamline our business model (contact management, schedule management, documentation, administration, billing, outcomes management, lab ordering, etc) thanks to how easy it is to integrate with other services. Their API is easy to work with and does most of the things we need. Their support team is responsive and helpful and are always there when you need them. The price is also significantly cheaper than other platforms we've seen.

Cons

There are a few more specific API endpoints we would like to see implemented, to further enhance our integrations. They respond well to feedback they receive though.

Reason for choosing BestNotes

Credible is very expensive. Also not easy to use. We did not go with them originally, then we later acquired another business that used them. It was a nightmare to transition them away from Credible. They did not have any way (via client accessible or internal method) to export any of the clinical documentation for clients so that we could import the information into BestNotes. They said at the time that they used to have a tool to mass export to PDFs, but it broke and they had no timeline on fixing it. It seems they want to make it extremely difficult for you to leave their system. I'm glad BestNotes is easy to use and can do all the things.

### "Awesome Customer Service"

Love it and recommend it always. My last company, the biller figured out a work around. This one refuses, but is married to my partner, so here I am.

Pros

First and foremost is the awesome customer service. No bots, no emails or "helpful videoes" that may or may not address the problem. Rela live people that help on the spot.

Cons

Back in billing is still not ideal. My biller refused to bill through BN, so I actually bill through another EHR. Pain in the butt.

Excellent experience with BestNotes! I highly recommend BestNotes for a cost effective EMR. You won't be disappointed.

Pros

BestNotes is cost effective and the customer service is excellent. When I call customer service the longest wait time is one 30 seconds. Customer service always solve my issues quickly.

Cons

The font is too small on some of the screens. They could increase the font size making it easier to read.

It has been great.\[sensitive content hidden\] have been wonderful to talk to. I used Kipu at another facility but did not know the functionality, from what I saw it seemed like a lot of extra work for underwhelming reporting. I am also biased because I have been primarily using BestNotes since around 2013. I know about as much as I need to, and when I don't BestNotes support has been fantastic about responding and educating.

Pros

I like having the ability to create templates that are suitable for providers without having to contact BestNotes for support. When I have needed to contact support they were very helpful in completing the task I needed, but they also educated me on their system and how to better use it for our needs.

Cons

I wish that there was a way to populate table data into a template that we have created. This would save a lot of manual data entry time and/or prevent asking a patient the same questions multiple times. Most everything else there is a workable solution to getting what we need.

I have used BestNotes as the only EHR at my facility and I have really enjoyed the experience. It is very simple to use and train my employees on. The value is great. It was very easy to implement and add users to. I have enjoyed using it overall at my facility.

Pros

Very easy to navigate. Very easy to learn and train new employees on. Very secure client files. The value is great. Customer support is very quick to respond and very helpful.

Cons

Customer support must be contacted to make changes to templates. It would be much easier for each customer to be able to edit their own templates.

Absolutely amazing customer service! We have been using Bestnotes for our electronic medical records for 5 years and have always had nearly immediate responses and resoultions to our very few concerns over the years. The team at Bestnotes is always there to help, to listen to our suggestions, and to implement in a way that allows us to work smarter, not harder.

Pros

Great customer support no matter the situation! The team at Bestnotes has always been helpful in responding to and resolving concerns.

Cons

Lack of ASAM 4th Edition updates in Clinical paperwork that coincided with the Kentucky start date of 7/1/25 to begin utilizing the 4th Edition.

Very helpful resident record process. Easy to add new staff. adaptable as we discover new issues that we need to keep track of.

Pros

After we began using Best Notes it has made our record keeping very easy and helpful. All staff have quick access to what the current status of our residents is. We do not use the billing aspect, nor the patient portal. Security is tight and will log you off if not actively in use.

Cons

the billing per user makes NO exceptions for anything unusual. We had a staff member on line for 2 days and were billed for the whole month.

I have used Best Notes for the past 5 years. I have used other EMRs and Best Notes seems to be the easiest and user friendly.

Pros

Best Notes is easy to flow through. The tabs will save automatically. When I am ready to save and sign, it is one click. When reviewing documents to sign, it is available and easy to get to, review, and sign.

Cons

Some information does not populate over from other documents. This information has to be copied and pasted to other documents

Value for the money. It has been the most affordable. Price has gone up quite a bit of late however everything has gone up

Cons

Would be helpful to have someone with an ear to the ground about upcoming CARF ASAM MCO changes. Take a more proactive approach

### "A learning curve, but reliable and secure!"

A learning curve, but useful and reliable. Do you have tutorials that can be available as people navigate through the system? Maybe that exists. If not, could be handy. Sometimes buttons dont work, but maybe that is a permissions issue. Lots of passwords and pins etc but it feels very secure and organized. Will def keep using!

Pros

There is a place for everything. I am not wishing that there was a section to add this or that. For example, I can even write a note on a client's file that indicates which bedroom they are staying in. Very specific for our facility and very customizable.

Cons

It (meaning the laptop app) looks extremely 1990s. Another job used Asana and that felt more user-friendly. BestNotes is so valuable but I dont know where to look and it looks like MySpace or one of the first blogs or google pages ever. It is hard to describe although I will say the EMAR (BN in the browser) as well as the mobile app do NOT look old 1990s to me. This feels more modern and user friendly (but I realize neither has the same functions as the desktop app...) So I like that look and perhaps the desktop could adapt a but of that.

I have known how to use it for years. I can call in and ask for edits or accomodations. I do not work with billing or finance so I can't speak to that.

Cons

It feels archaic. It would be nice if the user interface was simplified and more friendly to navigate. I think of Apple products and how their design is simple. This would be nice for BN.

It is a very comprehensive electronic health record and continues to add features and stay up with best practices.

Pros

The staff is great and always helpful. I love the training offered. BN is easy to use. I love those areas that can be personalized to meet the needs of our agency.

Cons

Some standard forms are not quite what we need them to be. Changes can take time to implement. The individual in our agency who can make changes to BN is difficult to get connected with, so there should be more people trained to be an administrator.

It's been pretty good. We went live in Mid 2022. I'm a Sysadmin. There's so much to learn and I am still learning. I taught myself a lot with all of Best Notes Instructions/Videos/Support and I can google a question and usually get an answer right away.

Pros

I used to have to file hard copies, things would get lost, misfiled, the cost of paper and binders, and those darn papercuts. We had to keep lots of files locked behind closed doors and always had to worry about file that might go missing. And the cost of storing all of those hard files for years and retrieving them from storage was a hassle. I love the customer support, someone always gets back to me right away.

Cons

I don't like having to pay for certain staff to have an account just to be able to sign Treatment Plans. It's probably not Best Notes fault but I didn't get trained in a linear way, it was all over the place.

Bestnotes is very easy to use; when used to its full potential and correctly, it is an amazing tools where clinicians are very happy to spend minimum time on the platform to document interactions and administrative staff can pull the data to analyze.

Pros

Bestnotes software is easy to utilize and provides a variety of pathways to document, pull data and analyze it.

Cons

Several times the portal crashed during documentation and staff had to redo their documentation. Otherwise, no real cons. The prescription setting is also not user friendly for our psychiatric provider.

It was user friendly. Any time I had to contact customer care it was handled right away. I really enjoyed using Best Notes. I prefer Best Notes over anything I have used over the last 10 years.

Pros

WhaI loved most about Best Notes is everything was on one platform. Seeing everything from assessments to group notes right on the first screen made it easy to find things. Searching for clients and making it easy to addd multiple stays as in just adding an episode. Having an app also makes it easy to look at stuff on the go.

Cons

There wasn't really anything I didn't like about Best Notes. It was really easy to train people and have everything right there. One thing that could make it better is having a dashboard with all current clients on it.

It is clear that customer service is a true priority for BestNotes, and their partnership has allowed us to spend less time troubleshooting and more time focusing on client care. Cons

The interface is a bit outdated, and the EMAR system can use more updates to streamline the medication input process.

Overall, I enjoy using BestNotes for the documentation and clean look. It is user friendly and uncomplicated, making it an easy transition for new providers to learn during their first 90 days. I do wish there were additional options to ease communication and scheduling with clients. Scheduling can be a big barrier for clients getting services, as providers are quite busy and cannot answer their phone any given moment.

Pros

Seems pretty user friendly. Quick access to staff calendars. Templates are straightforward and can be updated, as needed, easily. Documentation processes are not complicated. Reports helpful to daily/weekly/monthly tasks and tracking.

Cons

Inability for clients to request appointments/cancellations/reschedules through the platform while looking at availability on provider calendars. Inability to communicate with clients or vice versa through the platform. Across the board, this would be an extremely useful feature and one reason our agency has looked into other EHR platforms.

Pros

Good security. I don't think it's very user friendly. I've been using it so long now that I get it but the interface isn't user friendly.

Cons

You can only upload 1 document at a time. The patient portal isn't very user friendly. We always have problems onboarding clients to the portal.

Overall it's not a bad product. Needs more features to become more user friendly. UI is dated but product is good

Pros

Easy to use. Lots of fields should you choose to use them. Has a ton of demographic info that can be pulled into reports

Cons

Backend is dated. Feature updates are lacking. Needs to be modernized for sure. The UI also feels dated

I like the system but it has its limits which can be very frustrating at times. forms and reports need to be more customizable

Pros

Support staff responsive & friendly. Data security is strong. Easy for clinicians to use and client data is safe

Cons

Language limitations. needs to be able to send messages/reminders in Spanish & English. Also the limitations on customizable reporting. Also needs to migrate to browser only.

Good. Help Desk responds quickly to inquiries. Would recommend it (and have already done so) to other residential programs.

Pros

Easy to use, easy to fix errors, color coding of appointments, quick responses from the Help Desk when needed.

Cons

New users cannot see calendar appointments from before their start date. This is very frustrating and difficult.
