Superb! Manhour dollars is a critical operational cost and I've benefited in huge operational costs!

Pros

Most efficient platform. It genuinely supports manhour savings. What takes 100 manhours to achieve, is literally less than 20 manhours to achieve using all features of wild apricot. Imagine an 80% cost savings on manhours!

Cons

Email verification during registration. Unfortunately, some register with an email error. If there were an email verification during registration, it would further save manhours in contacting the registrants to correct email error.

Overall was good. We just wanted a cheaper local provider to ensure data security and timely responses for our volunteer committee

Pros

was a great membership management system for our car club. Emailing members and creating events was easy enough.

Cons

Costs. The conversion to AUD was very, very painful for our car club. Seeing that we are a not for profit, made us look for local systems. Support was also out of our timezone.

Describe Your Overall Experience With I found Wild Apricot to be a great platform for membership and event management, especially for nonprofits and community groups. The customization options, event tracking tools, and support system are major strengths. At the same time, the platform feels less optimized for very small or one-person businesses. Some onboarding steps and administrative requirements could be simplified, and the pricing may feel steep for independent users who do not need capacity for 100 members right away. Despite those frustrations, the platform offers a solid range of features and seems particularly effective for organizations focused on events, memberships, and community engagement.

Pros

Pros User Interface The interface feels similar to the back end of Wix or WordPress, so it becomes fairly intuitive once you spend some time with it. The layout feels clean and reasonably organized. User and Membership Management The membership database is highly customizable. I liked that you can create polls to encourage communication and group cohesion. The platform seems very strong for organizations that rely heavily on member engagement and communication. Membership Management The membership tools appear robust and well suited for clubs, associations, nonprofits, and community groups. There are a lot of options for organizing member information and communication. Event Management Event management is one of the strongest features. I especially liked the ability to track registration and attendance. The event system feels practical and well organized for workshops, recurring groups, and events. Customer Support The 60-day free trial is extremely generous. No credit card is required for the trial. There are multiple ways to access support, including email, live chat, consultation calls, interactive guides, and online help articles. Support feels very accessible throughout the setup process.

Cons User Interface There is definitely a learning curve for beginners. The onboarding process could be improved. The platform strongly encourages users to “Book a free 15-minute consultation call,” but a prominent beginner startup video built directly into the platform would honestly be more useful. I eventually found a helpful tutorial online, but it should be linked directly inside the dashboard instead of requiring users to search externally. Helpful tutorial: Wild Apricot Tutorial Video User and Membership Management Adding another administrator was frustrating for a one-person business. The system requires a completely separate email address for an additional admin account. I originally wanted to use my own email, but I was forced to use a secondary personal email instead. This step should either be skippable or allow more flexibility for solo business owners. Membership Management The pricing feels high for independent or very small businesses. The lowest plan was approximately $56.10 USD per month for up to 100 people. I would like to see a smaller and more affordable entry-level option for solo business owners or startups. Event Management The event features are powerful, but beginners may initially find them overwhelming without stronger onboarding guidance. Customer Support Although there are many support options, users are still expected to seek help proactively rather than being guided through setup more clearly from the beginning.

### "Maybe Wild Apricot is not for Canadians? "

I was satisfied with our webpage appearance once we added Wordpress but unfortunately the Wild Apricot fees became very expensive. As a new Canadian non-profit the "less than 100 contacts" price was attractive. But the price incremented rapidly with the growth in the number of contacts. Ultimately the deterioration in the value of the Canadian dollar made the cost prohibitive and we switched to Canada Helps which is a Canadian charity. (Please note our experience was two years of use that ended over two years ago - Wild Apricot may have changed since.)

Pros

Bulk emailing was easy to do and membership due dates and renewals easy to track.

Cons

Very difficult to create the desired appearance of the webpages using the module supplied with the software. Upgrading to Wordpress is possible. There was also an increased monthly surcharge because we chose to stay with our current payment provider rather than use the payment provider thst Wild Aprocot offered.

### "Use WA to Run the Whole Club"

Love it. After a few years of managing the system, it has become a powerful tool for our club.

Pros

Our whole ski club is run using Wild Apricot. It's a very comprehensive system to broadcast events, track registrants and collect payments. As director I found it extremely helpful to oversee event status, and track sales as they occur.

Cons

Admin access needs to be more granular. Giving someone admin access exposes major parts of the system. Our need is to limit admin access to a specific event or event grouping. Considerable computer experience is necessary to manage the system and our volunteers don't all have the same level required. This puts the system at risk of unintended damage.

Generally I think our group likes the platform. It brought us out of the dark ages, and I don't know what the heck we would be doing if we didn't sign up for it. I am not a web-designer, but I was the volunteer web-master for OPA just before we switched to WA. I had used Wordpress to build our website, and it was too much work (for a volunteer mom of two little babies at the time, who is not a web designer so is learning a lot as she goes.)

Pros

For our organization, Oregon Potters Association, it has helped to solve a number of our problems. For example, not only do we use the platform to get membership dues, we rely heavily on the directory, and well as having a place to get our members to register for upcoming workshops and sales. It really is great! We are about to connect Quickbooks to our website, which we really think will help us. We have a big pottery show once a year where sometimes 200 + members sign up to participate, it is always complicated on our end- because they pay a down payment to reserve a booth (like $50), and then we need to collect the remainder of the booth fee (like $300) when it gets close to the show ( about 8% cancel so they don't have to pay the remaining fee but we keep the registration fee)- I spent last year adding invoices manually to each participant, because I don't think WA has a way to do split-payments and it was a bloody nightmare! - but Quickbooks integration will surely help us this year, right!?!?! Please tell me it will 🤣

I'm still trying to figure out the best way to do newsletters for non OPA members. It seems that a non-member could sign up for a newsletter, and then their email is in our system, but it kind of gets muddy when we want to only send a newsletter out for our members (member only events, get togethers at peoples houses, etc. ) and public events (come to our big pottery show). I also get confused then, when I see all of the numbers in the system - who is a member and who do we just have their email. We sometimes write grants and we like to share our reach for certain events we do - it would just be nice if it was clearer to separate the members/non members in our system. Maybe there is, and I just haven't quite figured it out.

Horrible. We have not been able to launch, and despite acknowledging the conflicting responses from support reps, they will not schedule a call with a support manager to resolve this.

Pros

The promises we were told that we could use our existing wordpress website with WA handling events, gating content, etc.

Cons

That the onboarding and support reps do not having training on how to set up WA with an existing wordpress website. We've wasted 2+ months with email and chat loops without answers and with support reps that provide conflicting information

Our "Contact US" link went down and the same directions were repeatedly provided although I tried to explain that I could not understand them. Was I communicating with a person, bot or what? Previously, someone would help you through the process.

Pros

I liked Wild Apricot when it was run by Wild Apricot and someone would assist with a problem. Usually I can read the help and support and move on.

Cons

Since purchased by Personify, the support is HORRIBLE and lends itself only to electronic communications. NO live people will help you through an issue!

If it were not for the support issue, and the reporting, I could give a 9 or 10. Overall we have no issues with the product or the usefullness.

Pros

It is generally very easy to use and we have really good success with member use.

Cons

My main issue, and it's a big one for me, is that there is no live support. I just can't accept that there is no way for your company to offer support personel for training or trouble shooting. The other important thing that could really be useful is the reporting. The options are not great and I find it hard to get data in a way that could be useful for our organization.

It is a great place for non-profits who need support but can't pay for a personal It person to help set things up. It is not very complicated to figure out how to post, manage and track your income. Love that I can have the site collect $. I also love that they make sure we follow the new laws that have passed by telling us what to add to the site, such as private.

Pros

It allows me to have a secure place to make tickets to a class I teach for injury prevention.

Cons

I wish there was a way to incorporate more admins at no charge and more geared to classes not fund raising.

I have used wild Apricot to build 4 websites since 2008 and several sites are still issue today. The User Friendliness in Building a website for a non-developer. The COMPLETE features to include e-mail marketing and SaaS. (Members can join and update their details and register for events.

Cons

Storage space can sometimes limit keeping organizational files in the cloud. I would like to set more udpated plug and play web pages.

It is easy to use if you are tech savvy. If you are not tech savvy, it can be overwhelming. There are tutorials and videos available and many of those are helpful.

Pros

That it is an one-stop-shop for all things membership & event & website management. Plus, it has all the Finance features, fantastic reporting, and Paypal integration.

Cons

No way to identify Duplications in the Contact List. We have to manually figure out which contacts to MERGE.

Pros

I like the fact that the software includes a membership area and an event area. Members are already contacts within the system, so they find it easy to register for conferences. We're also able to send emails to all contacts or to just our members.

Cons

I'd like to see a way to set up sessions and a conference schedule in the system with each session having a QR code in order to keep up with session attendance.

We migrated over 14 different nonprofit organizations to Wild Apricot based on ease of use and a fully integrated online member management system WITH website builder, and all for an affordable fee. Wild Apricot handles "day to day operations" so you can focus on strategic initiative. One system has it all - contacts, members, events, finances, communications, and website builder!

Wild Apricot needs to update the format of the event announcements.

Very reliable, the system rarely goes down. Technical support used to be on the phone with a knowledgeable person -- now it is through a chat window and there are often long queues.

Pros

The different modules are pretty easy to use and generally are quite reliable.

It is difficult to format email blasts and web pages sometimes; there are more options we would love to see such as a calendar of upcoming scheduled emails.

Wild Apricot is one of four web-based systems we use, the others being Quickbooks for accounting, Brivo for physical access control of gates and doors, and Online Exam Builder. Each fulfills a specific role, with very little overlap, but without Wild Apricot at the center life would be much more complicated.

Pros

With the baseline requirement for membership management completely fulfilled by Wild Apricot, we have found considerable value in the events management features to manage training courses, and the mass emailing features for communications. Of course, solid invoicing and payment processing are also very important. Overall, the user and administrative experience with Wild Apricot is satisfying and very productive. We built or re-engineered our business processes around the capabilities in Wild Apricot, to a significant degree.

Cons

It takes quite a while to get what look like simple enhancements made to the search and select features within "saved searches". We don't seem to be getting attention, and the enhancements we've requested have been in the queue for over a year. The result of having to wait is that our saved searches are needlessly complex and hard to maintain.

Frustrating. Disappointing.

Pros

Not much. It does have some features built in that are easy to use, like the member forum. It also has some customizable features in the membership rules...if they work. Sadly, you can't rely on them and the support staff is less than supportive.

Cons

Where to start. Support is only available via chat or email, and only Monday through Friday from 10:00 - 5:00. Next, the system is full of bugs. Members renew and it doesn't advance their renewal date. Members try to log in and it won't let them establish a password. Members can't log in so they create a whole new account, and there is not duplicate warning, so we just have to stumble on the duplicates. There were several member files that had the wrong renewal date but we couldn't change them manually. The system would give us error messages. The system would also randomly change information that we entered into the fields. The search features are less than reliable and do not show all the information unless you export the file to a spreadsheet. If changing member levels it will automatically revert someone to the current member year. You should be able to set that option or create a rule where if the member price is the same it keeps the already paid for years. We have an extremely high rate of payments that go unprocessed, for various reasons. Recaptcha not working, card declined because the payer used auto-fill on the form, card declined because the website is in Canada, and more. I have spent almost every day in some sort of chat session with the support staff, and you cannot interact with the higher tier support, only the base level. Plus, there have been times where it was a week or more before we received a response.

### "Flexible software but needs some tweaking"

Pros

I manage the memberships for a club that has over 15 teams and 240 members, so it is not the easiest thing to manage. I went through a few different programs and Wild Apricot seems to be the best fit for the numerous needs the Club has! It is easy to track payments - overpaid balances and balance due, I can enter manual payments, add extra line items to keep track of fundraising credits, and easily email families or certain individuals from the software. There are workarounds for some of the limitations that the software has, which has been helpful.

Cons

There are a few issues that I have with this software: 1) it does not allow group invoicing so if I need to add an invoice to all members on one team, I have to go into each account and manually create; 2) it is not intuitive when it comes to families with 2 or more players, as it does not allow two different memberships to be linked to one account - I end up having to create a unique account for those families; 3) it does not allow partial payments. As with most membership sites, I have found the website portion to be somewhat clunky and limited, so I have the actual website on a different platform, which is unfortunate.

### "Wild Apricot helped organize our organization! "

Our small, non-profit organization of internationally located English teachers needed a "home" for our members to connect. Nobody on the board was particularly tech savvy; nor were we confident enough to build our own website. So we were thrilled to discover Wild Apricot (WA). The tutorials are fabulous, thankfully using simple English and easily understood, and the structure is intuitive to even the most novice user. The Customer Service team quickly replies anytime I have a question. We initiated a small annual membership fee to cover our cost, and WA's automated system tracks our member renewals with ease. We are still able to offer free memberships to our global and student members, and the general membership fees easily cover our annual costs. Our little site hosts all of our organization's history (past conferences, journals, newsletters, etc.), and we're hoping to soon add a Resources tab where our members can share unpublished curriculum ideas for teaching English language learners. I love that we can have a members-only viewing for some things on our site, and open everything else to the public. Our annual conference registration is so much more organized now, and we love the ease of the Paypal system for payments. Of course, there are changes we'd like to see, particular to our organization's needs and goals. Three times I've made suggestions to WA for site improvement, and the follow-up was quick, respectful, and thorough. Suggestions are taken seriously and are useful to the WA team for making site improvements and upgrades. I am happy to write this recommendation and assure you that anyone, absolutely anyone can create a useful and attractive website with the help of Wild Apricot!

I will have to think on this one. I guess - the price BUT, you get what you pay for.

Cons

Web page builder is not intuitive, lack of new features, poor customer service, no response to any of the registration action items that have been requested for YEARS. I could go on for quite a long time. We have used it for four years now and our team has had enough. I sent an email to them and it took WEEKS for them to respond. They have never made ANY upgrades to the software that are noticeable to the users in the four years we have used the product. They focus all their time on creating content to tell me how to run my organization as opposed to improving their product. They recently sent out a survey requesting feedback which I provided. I told them all the things I am writing now. Their response? No feature improvements but they are raising their prices! We are moving on. Unless you are seriously strapped for money, look elsewhere.

I like this product so much, after setting-up the site for AGO-Milwaukee, I convinced my church to switch from the service supported by our Denomination to and it's much easier to use. We're just getting started, but already our site is far better at serving our needs. I would highly recommend WildApricot for any small to medium organization which cannot afford to hire a full-time computer-geek webmaster but needs an attractive and functional website. The learning-curve was gentle and we were operative in a very short time. I am completely satisfied that WildApricot has allowed us to meet and even exceed our goals for our new website.

Pros

Our goal was to maintain a constantly-updated website, but we were working thru a vendor who designed our old site from scratch and one needed to know html to do any updating. Our events calendar was constantly missing events and full of errors which were difficult to correct. allowed us to assign people who were only slightly computer-savvy because no coding was needed. The site is incredibly intuitive and easy to use and takes only minutes a day for people to update. We can assign multiple administrators with different duties and everything doesn't need to go thru a webmaster who may or may not get around to meeting our needs. The site looks wonderful and the membership is responding very positively to its features.

Cons

There is almost nothing I don't like. I wish Safari was supported (and I hear they may be working on that) but it is not inconvenient to use FireFox and it's free, so that's just a very minor annoyance. I would like to see a little more flexibility in the forms-templates -- we had trouble getting the membership categories in the order we prefer on the screen, but all-in-all our experience has been trouble-free. There may be some people out there who will feel constrained by the available templates, but there are enough that our problem was more of which to choose, and I understand that even the templates are customizable (if you know how to code). The standard ones met our needs.

Pros

I'm a part time Executive Director of a membership organization. Before Wild Apricot a lot of my time was spent on billing and administration and event registration. Wild Apricot does all of that for me, so all I have to do is address specific questions or issues.

The email functionality is not great. That is literally my ONLY complaint about the software.
