Senior SWE Information Technology and Services Used the software for: 6-12 months ### "XaitPorter Helped Reduce The Usual Document Version Chaos" May 28, 2026 4.0 Overall XaitPorter has helped make collaborative documentation way more manageable once everybody got comfortable with the workflow. Before using it a lot of reviews, edits and approvals were happening through separate documents, chats and email attachments which became pretty messy during larger projects. Now most of the collaboration stays in one place so it is easier to keep track of revisions comments and pending approvals without constantly wondering who changed what. I mainly use it from contributor and review side and for that it worked pretty well most of the time. It is probably not the kind of tool people instantly love on day one because there is some learning curve but once people settle into the process it actually removes a lot of document confusion in the background. Pros One thing that genuinely helped with XaitPorter was not having to deal with random document versions getting passed around everywhere. Earlier there were too many situations where someone edited an older file by mistake or feedback got buried somewhere in email threads and then everybody started asking which version was the latest one again. With XaitPorter the whole review and editing process felt more controlled without becoming completely chaotic. Different people could work on separate sections together which saved a lot of unnecessary waiting during review cycles. I also liked that comments, approvals and ownership were easier to track instead of manually chasing updates from different teams. Cons The platform definitely takes some getting used to at first. It is not difficult exactly but the workflow structure and permissions can feel a bit overwhelming initially especially for people who are used to simpler editors like Google Docs or Word. Also you can notice bigger documents starts feeling slightly slow during editing or formatting changes especially when multiple contributors were active at the same time. The UI works fine overall but some parts still feel a little old school honestly. Customer service, helpdesk support and continual improvement of the system again add the the great value this tool brings. Pros I like how efficient it makes the proposal preparation process for our business. Having proposal templates, key sections/standard content etc. ready prepared in the system which we can rapidly duplicate to meet quick turn around submissions is great. Cons The cost is high but in my opinion, it is worth every penny considering the time saved and quality of outputs generated. Its saves time as multiple users can work on a document simultaneously, reducing the need for back-and-forth communication. Pros I like that it's very user friendly and easy to use for everyone from any background . Also it automatically formats and lays out documents which is my favourite feature so far . I also had a positive experience with customer support, as they were quick to respond and helpful in resolving issues. Pros All information of a tender, technical proposal and other documents collected in one place. Everyone being part of a e.g. a submission or proposal has access to all information. High value that everyone gets updates in real time as documents are produced or updated. Enables a simple way to build technical documents that can be copied for multiple purposes. Cons Updating a table - in earlier versions it was difficult to change content easily due to lack of marking and cut/paste whole rows/columns. Adding a section with split text or columns - might have been changes in latest version? Same issue with respect to easily placing pictures exactly where you want them - might also have been changed. But XaitPorter now keeps everything in one searchable place so you aren’t starting from scratch every single time. Pros Being able to assign sections of the rfp to different people and track who has done work on each section (legal security product whoever) has been very useful. Auto detection saves time when you are dealing with an rfp that has 60 questions and don’t want to manually map out all of them. Glad this part works as well as it should. Cons Sometimes it pulls something kinda irrelevant and then you still have to go find the right answer yourself and also the content library gets messy over time if nobody is actively cleaning it up. Old versions duplicate answers etc... Very easy decision to continue using. Pros 1\. So simple to pick up and use - within 10 mins you are able to create a professional-looking proposal. If you use Word you can easily use XaitPorter 2. Standard look and feel to proposals - with the way XaitPorter is set-up all our proposals across the world look and feel the same 3. Document sharing is so simple. Multiple people can work on the same document at the same time without issues. 4. Document library - once we set up document libraries, creating a complex proposal is very easy - and having standard content across the company is fantastic. 5. Xait support - we have a dedicated contact point (not just a standard email address) who provides feedback very quickly and troubleshoot any issues we have. 6. Proposal templates - one template gives same look across the company which matches our corporate guidelines. If we ever need to make a change it will be automatically added to all our templates. No dedicated App.... sometimes having the ability to comment, update and create proposals on an iPhone would be very useful... currently XaitPorter isn't set up for mobile phone usage (I think iPhones with bigger screens it can work). The repository can take a while to set up depending on your product lines and the amount of detail you want to include in your responses. However once it is set up and you are able to use the software as it was designed, you can save yourself a lot of time. Customer service has been very quick regardless of the issues. Support is knowledgeable on the software and is able to answer any questions that arise. Package has some limitations in working with excel files. Majority of all other document types are compatible.
