Senior SWE Information Technology and Services Used the software for: 6-12 months ### "XaitPorter Helped Reduce The Usual Document Version Chaos" May 28, 2026 4.0 Overall XaitPorter has helped make collaborative documentation way more manageable once everybody got comfortable with the workflow. Before using it a lot of reviews, edits and approvals were happening through separate documents, chats and email attachments which became pretty messy during larger projects. Now most of the collaboration stays in one place so it is easier to keep track of revisions comments and pending approvals without constantly wondering who changed what. I mainly use it from contributor and review side and for that it worked pretty well most of the time. It is probably not the kind of tool people instantly love on day one because there is some learning curve but once people settle into the process it actually removes a lot of document confusion in the background. Pros One thing that genuinely helped with XaitPorter was not having to deal with random document versions getting passed around everywhere. Earlier there were too many situations where someone edited an older file by mistake or feedback got buried somewhere in email threads and then everybody started asking which version was the latest one again. With XaitPorter the whole review and editing process felt more controlled without becoming completely chaotic. Different people could work on separate sections together which saved a lot of unnecessary waiting during review cycles. I also liked that comments, approvals and ownership were easier to track instead of manually chasing updates from different teams. Cons The platform definitely takes some getting used to at first. It is not difficult exactly but the workflow structure and permissions can feel a bit overwhelming initially especially for people who are used to simpler editors like Google Docs or Word. Also you can notice bigger documents starts feeling slightly slow during editing or formatting changes especially when multiple contributors were active at the same time. The UI works fine overall but some parts still feel a little old school honestly. Customer service, helpdesk support and continual improvement of the system again add the the great value this tool brings. Pros I like how efficient it makes the proposal preparation process for our business. Having proposal templates, key sections/standard content etc. ready prepared in the system which we can rapidly duplicate to meet quick turn around submissions is great. Cons The cost is high but in my opinion, it is worth every penny considering the time saved and quality of outputs generated. July 31, 2026 5.0 Its a powerful tool for Tender building. I have been using this for almost 5 years now. And inspite of few shortcomings mentioned above I would always rely on this for my next Tender. Pros 1) Web based user Interface. 2) MS-Word like editing mode. 3) Assigning of Document Writers. Checkers and Approvers 4) Workflow management and control. 5) The ever robust DOCUMENT creation and management (One of the most prime requirements for building a tender for my role at SLB-OneSubsea). 6) Revision management and control 7) Project duplication option (Very useful for a Tender Manager/Coordinator) Cons 1) Very less availability of editing options. 2) Font color, size and type almost absent. 3) Formatting, a cumbersome experience. 4) Table creation and management isn't user friendly. 5) Keyboard shortcuts absent for inserting, deleting, renaming sections and many more editing requirements. I have used XaitPorter for many years through the service company I worked in. I also use XaitPorter in my current position for studies, projects and other document construction or to get information. Pros All information of a tender, technical proposal and other documents collected in one place. Everyone being part of a e.g. a submission or proposal has access to all information. High value that everyone gets updates in real time as documents are produced or updated. Enables a simple way to build technical documents that can be copied for multiple purposes. Cons Updating a table - in earlier versions it was difficult to change content easily due to lack of marking and cut/paste whole rows/columns. Adding a section with split text or columns - might have been changes in latest version? Same issue with respect to easily placing pictures exactly where you want them - might also have been changed. Director of Sales Computer Software Used the software for: 1-2 years ### "XaitPorter is the only one place for all of our rfp content" April 12, 2026 5.0 Before we were using word, docs, folders ,share point and whatever to keep our bids organized and finding a past answer meant either remembering exactly where you saved it or asking another colleague who probably didn’t know either. But XaitPorter now keeps everything in one searchable place so you aren’t starting from scratch every single time. Pros Being able to assign sections of the rfp to different people and track who has done work on each section (legal security product whoever) has been very useful. Auto detection saves time when you are dealing with an rfp that has 60 questions and don’t want to manually map out all of them. Glad this part works as well as it should. Cons Sometimes it pulls something kinda irrelevant and then you still have to go find the right answer yourself and also the content library gets messy over time if nobody is actively cleaning it up. Old versions duplicate answers etc... Petty complaint but import mapping for different formats of rfp could use a “did you mean this?” type check and instead of dumping everything in and hoping it would work. Review Source LG Laura G. XaitPorter support is very helpful, usually answers quickly and what's also highly important this service is free of charge (as a rule of thumb). It's really easy to set up a structure for a proposal or report and protect it from uncontrolled changes which can be done by other users. The workflow feature is also really useful that allows to assign reviewers and approvers and automatically send them notifications. Cons The main challenge for us as users is that when we discover a lack of features and reach out to Xait support, they don't give us any information if this lacking feature will be implemented in the future and if so then when. In presentation mode is not possible to see the real size of images. So, we have to export a document to PDF, check how it looks in reality, make adjustments, repeat again. There is no option to send several sections to reviewer (approver) by one click. It has to be done section by section. Understanding of using the library is a bit tricky. The repository can take a while to set up depending on your product lines and the amount of detail you want to include in your responses. However once it is set up and you are able to use the software as it was designed, you can save yourself a lot of time. Customer service has been very quick regardless of the issues. Support is knowledgeable on the software and is able to answer any questions that arise. Package has some limitations in working with excel files. Majority of all other document types are compatible. You don't need to worry too much on the format since the software does it for you. Pros The feature that it works as a database. It is easy to go and visit previous proposals for reference. It combines advanced functionality and an intuitive UI enabling us to quickly and efficiently create and send proposals. Contract and proposals require collective efforts and collaborative writing comes in handy allowing to work on documents simultaneously. Additionally, XaitPorter enable us to pull out templates from the document repository and automatically format and edit previous versions to maintain accuracy, consistency, professionalism and credibility of our proposals and contracts. XaitPorter syncs seamlessly with our CRM and CPQ enabling us to pull out product and customer data . It also integrate with e-signature allowing us to easily approve hire and sales documents digitally. I love that XaitPorter has included project management tools which enable us to track and organize multiple projects and clients easily. Cons We haven't experienced any system issues or faulty features.
