Pros With Smartsheet, you can easily create and manage projects, track progress, and collaborate with team members in real-time. One of the most powerful features of Smartsheet is its critical path highlighting feature. It makes it much easier for you to notice any issues early and try to sort them out. Smartsheet is an online tool, so clients, you, and your team members can use Smartsheet from any location and at any time. Cons Unfortunately, in Gantt chart view, there are limited possibilities to customize the task dependencies. Availability features of allocating various resources do not incorporate part-time availability well enough. Land Acquisition Admin Real Estate Used the software for: 6-12 months ### "Wish I Had Smartsheet Years Ago" June 25, 2025 5.0 I've been a Smartsheet user since October 2024, and honestly, when I go back to Excel, it's almost painful (and I am one of those people who loves Excel). I have found a way to do almost everything I want with the program, even if it takes a few helper columns and a couple reports to get everything just right on the final dashboard. But having forms and summary reports available for everyone at one click is an absolute gamechanger! Pros Smartsheet is so much more customizable and flexible than using Excel and Word and OneDrive to accomplish the same tasks. We can create custom reports and dashboards so end-users can see exactly what they're looking for without having to scroll or search or schedule meetings to get the answers they need. Cons Sometimes the functionality seems limited. For instance, I can set reports to sort automatically, but I cannot set sheets to sort automatically. We need to manually sort them or right-click and reset the sorting filters each time. CTO Education Management Used the software for: 2+ years ### "Time to transition away from Smartsheet" August 26, 2025 1.0 Overall the experience has been good till the last year with the drastic pricing changes and relatively short lead time. Pros Initially we used Smartsheet due to its rich collaboration features which Excel did not have at the time back in 2014. It had a better UI/UX experience and seemed intuitive to use. The ease of collaboration worked well for a period and the webform builders worked well initially. Cons For a company largely just using the system for Excel style workflows and collaboration its price is prohibitive when we already pay for 365. Recently their redesign of subscription and user types has meant that our Not for profit company goes from $600 per year $4000. This is after we have largely committed to using it for many business operations involving external suppliers. With a razor thin IT budget, these kinds of changes to billing are catastrophic with relatively little lead time to transition away. Larger businesses would suffer worse with a change like this resulting in a pivot of critical systems. After the initial phase in period, everyone wonders how we ever survived without it. Pros It is a great collaborative workspace to manage projects. Previously, we used Excel and Word to track projects, but now we don’t use them at all with our assimilation of SmartSheets into our company. Cons The “visual” is not particularly appealing, but easy to get used to. Meaning, it isn’t flashy and very “Excel” like, but we adjusted. I have utilized all that the Smartsheet University has to offer. I have even taken multiple paid courses. Next up is the learning-certification pass! I can't wait. Pros It was easy to learn as well as exciting! I actually enjoy it. It is like EXCEL on steroids. The AI is my absolute favorite, though. It is helpful whenever I get stuck or need a little extra help figuring out a way to create charts for my dashboards. Cons I don't have many complaints, to be honest. One pet peeve... They have also made many of the Pros such as collaboration paid only features, greatly limiting the capability of free users/collaborators and hence made a lot of the benefits I enjoyed redundant. Pros I initially enjoyed it's ability to upload documents and create forms which made handling contractors and onboarding new hires easier. It also was similar to use to Excel with conditional formatting, formulas, and a similar layout which made learning quick. - Cons It's shady and unethical use of the "Negative Option Rule" in its renewal process, which has already been outlawed by the FCC in 2025 but still included in old contracts. Essentially they inferred that a lack of action by the user infers consent, and used this to try to force my company into an additional contract year, in addition to trying to increase the paid members count and "upgrading" our package, resulting in an extra 4K of costs. There are a few unique features but overall its faster and easier to just use a spreadsheet for project management. Pros I like the different customization capabilities and the way that exec dashboards can be built. A lot of features to facilitate internal and client collaboration within the tool. Mainly used as a project management tool. Nice that it functions like a spreadsheet because it makes it easy to use and there isn't an onboarding curve. Cons The cost isn't worth it in my opinion. There are some great features but this is mostly just a glorified spreadsheet. A lot of what I used this platform for can be done in an online/collaborative xls. We switched to smartsheet a few years ago after using Basecamp. Smartsheet is nice because it gives our employees a call to action. Whereas Basecamp was a little vague Pros I like the Gant Chart and collaborative elements the most. The Gant chart is nice because it tells you exactly who is supposed to be working on things at any given time. Cons Sometimes it can be glitchy when setting dates. For example if I want to set a given date, Smartsheet will change it to the day before. Not a big issue though. Cons Obviously it is great tool to manage heavy data and figure out some answers to your questions from that data but for some non tech users it can get a little unproductive. Pros I loved Smartsheet with its many collaborative features and functions that enable us to gain knowledge and maintain continuity of support. I always find it easy to achieve continuous follow-up and record updates in real time. I loved the ease of creating main and sub-tables and sharing them with colleagues to add more tasks. The interface is amazing, the AI ​​features for generating formulas are great, the approval and documentation management is smooth and enhances transparency. Smartsheet dashboards are very advanced, I loved the ease of customization and linking them to multiple data sources to display metrics in an organized manner. Cons At least as implemented at my company, I lack a lot of the extended functions of Excel such as VBA coding, macros, etc., which can be painful as we often use Smart Sheet as an Excel substitute despite having both. I took some of the self-paced trainings (videos) but found that if you are just using it for the basics you can just click around and/or Google your way through the vast majority of it. Overall, I've been a use for 1+ year and like the tool. I also like that my clients (many of whom do not have a Smartsheet license) can still utilize/access the workspaces I create. Cons No auto-save?! All the time I add a new row, make updates, etc. and forget to hit the little save button. And it does not save any of the work, it just disappears like I never did it! There is a little banner that pops-up after 10 mins and says something like "It's been 10 minutes since you saved your work" But often the work I'm doing doesn't take a full 10 mins. This is so annoying and seems like a simple, standard feature. I sincerely hope it's on their road-map as Google Docs has had this capability for years. Cons Pretty boring platform, I find the form functions are not user friendly for mobile users. And I do find it to glitch out quite a bit or go down.
