Pros Smartsheet takes all the benefits of Excel and creates an intuitive and super-simple to use platform. We use it to manage construction jobs and track job costs and documents all in one place. And the platform could not be more affordable! With other construction project management software, what you pay for one year of Smartsheet will get you maybe a week for those other platforms. If you wanted to use just the basic sheets or take advantage of their feature rich workspaces and templates, you can use Smartsheet to track projects, office operations and costs, and as a document center (we use it to track our subcontractors certificates of insurance expirations dates), Smartsheet is definitely invaluable to us as a central project and operations management system that we can all access anywhere. Cons Smartsheet cannot completely manage a project, meaning you will have to incorporate other tools (like budgeting software) to fully monitor and analyze the profitability of a project. Smartsheet keeps the raw data in one place, but does not help to analyze and make sense of it. Insurance Team Lead Medical Practice Used the software for: 1-2 years ### "Smart or Not So Smartsheet" August 12, 2026 4.0 Overall Smartsheet offers many various functions from multiple project views, real time collaboration, live Dashboards to third party integrations with other software including Google Workspace and Microsoft 365. Smartsheet is great when dealing and tracking large amounts of data for project management. Pros The feature I like most is the real time collaboration. This allows team members to share workspace data safely and attach files, leave cell comments, tag peers and track history via activity logs Cons What I like least about Smartsheet is because of the extensive functions it offers it is not the easiest software to learn and navigate. IT Project Manager Machinery Used the software for: 1-2 years ### "Great platform when it works, but it has not worked correctly for the better part of a year now." January 8, 2026 3.0 Initially we were really happy with our deployment that was implemented directly with the Smartsheet team. About 6 months later things started to break, we assumed it was due to user error but ran traces and cell change histories but could find no end user or admin activity that would explain the corruption in the financial data, project status and time in status data, portfolio reporting, and filters that were built for us. We then worked with our account manager and spent the better part of 2 months trying to find an equitable solution. Smartsheet admitted fault, but would not tell us what exactly created the issues. We had a level 3 developer work with us to resolve the issues, but new ones keep popping up with no end user/admin intervention. We are flummoxed as to how to keep our instance functioning as expected. The support systems(with paid premium support) is not recommended. Directly calling during normal business hours for the last 3 times I have called resulted in at least a 60 minute wait, before I would give up and select a call back. I have yet to receive a call back. Tickets are now entered through an AI Agent that you are basically prompting to create a ticket. It adds unnecessary details and it is faster to edit in the ticket after the fact than to get it to be correct. Finally, the thing that really leads me to not recommend the platform is the lack of transparent audit trails for Smartsheet employees in the instance. Not understanding who and how our instance is accessed and what changes were made is not ok and leading our team to look for replacements before our next contract renewal. Pros Very capable platform that has great tools for automation and reporting. Able to handle small projects through enterprise initiatives Cons The new licensing model greatly reduces the value of the product. You used to be able to have as many people from outside the organization have access to keep in alignment, but this has shifted in the last year. You either pay for more seats, or accept the reduced functionality. Support platform is now AI first, accuracy last. When opening a ticket, you are prompted to use AI to create the ticket. Cool, I guess but you could spend time trying to get the AI to be correct(slow), or just accept what it outputs and add information to the ticket directly(faster). Calling for technical support is an exercise in frustration, after an hour on hold I selected call back option. As of 24 hours later I have yet to get a call back. We are paying for premuim support and no call back in 24 hours is not a premium level of service. Pro desk appointments are great, but they are usually 2 or more weeks out for US business hours support. I really don't want to be up at 3am to talk to a prodesk person for 30 mns. Switched from [Microsoft To Do](https://www.capterra.com/p/227173/Wunderlist/) We were looking to have a platform that was easier to use for managing projects, that had better resource management and portfolio tracking. Pros I liked being able to manage my team and all of the sites that we had to overview for our rebrand of healthcare admin sites. Still, I’m always wondering if there’s something cheaper out there that would work just as well. For big companies with complex projects, sure, it makes sense. But for us, it just feels like we're paying for a truck when we really only need a van. Pros I use it to track our t-shirt orders from the design approval stage all the way through printing and delivery. Honestly, having everything in one place is a lifesaver when a customer calls to ask where their order is. The spreadsheet format felt natural from the start, mostly because I was already used to Excel. Setting up automatic reminders for our production deadlines really helps keep things on track, especially when we’re juggling a bunch of custom orders at the same time. Cons Honestly, the price is really hard to justify for a small shop like ours. We’re paying for a bunch of features I’ll never even touch. When I had a question about setting up a template, support just pointed me to their help articles instead of actually answering the question. Such a great amount of superior to anything MS Excel: includes really work the way should, no crashes, no infections, no worms, noTtrojan stallions, no full scale infections, no seller lock-in: open models, clean consistent combination with Google Apps, iOS application for iPhone and iPad, pleasant natural interface that is adaptable, more than 100 extraordinary layouts to kick you off, and a library of recordings to demonstrate to you best practices to utilize all its awesome components. Cons One key component that is missing is the capacity to alter various lines.
