Pros takes all the benefits of Excel and creates an intuitive and super-simple to use platform. We use it to manage construction jobs and track job costs and documents all in one place. And the platform could not be more affordable! With other construction project management software, what you pay for one year of Smartsheet will get you maybe a week for those other platforms. If you wanted to use just the basic sheets or take advantage of their feature rich workspaces and templates, you can use Smartsheet to track projects, office operations and costs, and as a document center (we use it to track our subcontractors certificates of insurance expirations dates), Smartsheet is definitely invaluable to us as a central project and operations management system that we can all access anywhere. Cons cannot completely manage a project, meaning you will have to incorporate other tools (like budgeting software) to fully monitor and analyze the profitability of a project. Smartsheet keeps the raw data in one place, but does not help to analyze and make sense of it. Pros Initially we used due to its rich collaboration features which Excel did not have at the time back in 2014. It had a better UI/UX experience and seemed intuitive to use. The ease of collaboration worked well for a period and the webform builders worked well initially. Cons For a company largely just using the system for Excel style workflows and collaboration its price is prohibitive when we already pay for 365. Recently their redesign of subscription and user types has meant that our Not for profit company goes from $600 per year $4000. This is after we have largely committed to using it for many business operations involving external suppliers. With a razor thin IT budget, these kinds of changes to billing are catastrophic with relatively little lead time to transition away. Larger businesses would suffer worse with a change like this resulting in a pivot of critical systems. Because it is just like using any other spreadsheet the focus is making a team more productive and efficient with multiple sources of contribution. Cons The mobile/tablet app has some restrictions that don't make a lot of sense. There are features hidden away for those not on the web app that seem completely arbitrary. The android app in particular has bugs that still need attention. Customer support is lacking in response. I'm hoping that these will be worked out in future updates. The dashboard feature has helped a lot with being able to track the information we need in a detailed report, but only display the hard numbers for the executive team that may not want all the metrics we're tracking. Pros Dashboards and able to restrict/grant access to invested parties without too much confusion. The workflows feature is nice also, helps with alerting the team of certain points in project without overloading them with info that doesn't necessarily pertain to their role. Cons If I had to pick a con, it would be the price point. It took a long time to convince my company to buy into this solution due to the price point. Although they liked all the features, the price point made this a lot more difficult on my end to get the buy in. You can organize sheets to be viewed a few different ways, ie grids, lists, tables, etc. It also offers lots of differentiation with color and calendar dates. All these great features make Smartsheets extremely user friendly and easy to navigate. You can set up a sheet based on your preferences and style. Most of all, Smartsheets offers fast and smooth collaboration between colleagues. Anytime I need to notify a coworker with a specific explanation, I can simply do so by mentioning the name in the notes and it will notify. We can then conduct a conversation and it will be recorded right there. Cons At this point, I am very happy with Smartsheets. It keeps things well organized according to my preference and style. Every morning, I lift my sheets and check in on the status of each project deadline, update the status myself and fire off a comment right there from the row.
