Pros Formulas & V-Lookups are much easier in , than Excel, love the automation of being alerted when changes are made to my sheet; love the "Request Update" feature. And the Web Form features are so much easier than Survey Monkey. I embed images of things alot into cells and helps me tremendously as easy access to things. I have created a Project Status Report that is all inclusive - Project Summary at the time, Project Risks, then Project Plan (major work packages) then Project Task LIst (the detail), then Issue Tracking, then Contacts, and I use comments bubbles for meeting minutes - one comprehensive document I can submit to Auditors. Cons I do miss being able to have different font colors inside a cell. I would like to have additional font colors that match our branding. There is currently not a lime green color that matches our branding so I have to snag images of font and embed the images as a workaround. We're now able to offer business development and continuous improvement around a number of core functions, including MI, operational trend analysis, QA monitoring and profitability monitoring. Pros The ability to capture data from an array of varied sources and link that data between several sheets. Being able to go even further with expand these data relationships outside of the platform (for both information ingress and egress) is a huge benefit. The regular updates and feature rollouts demonstrate the evolving nature of the product to meet newly emerging needs of users. Seeing this principle applied to the integration of external platforms allows for an even wider range of solution design. Cons The inability to apply input masks to data entered on forms in text/number fields. This has recently improved but it still rather surface level. The ability to pre-define define custom input masks with modifiable elements on each form field would be massively beneficial. I like that it's easy to customize and easy to share a live link so people can see data and tracking progress in real time. Cons There are a lot of great things about but I wish there was a way to create a calendar and plan FROM the calendar. It's possible you guys have this and I just don't know about it. If I am ever unable to work out how to do something in Smartsheet the various support channels available are always able to either provide a solution or in the rare occasions when this isn't possible then it can be raised as a request to be added. Pros The features that I like most about using , as a daily user, and a key advocate of Smartsheet within my organisation is the ease of use and accessibility. Often, when adding a new user it is not necessary to give more than a 10 minute overview of how our plans are setup and then they are able to update and view it with ease. Dashboards are also such a key, visual tool, accessible within the same application which is often not the case with other PM solutions. Smartsheet is our go to tool for project management within our HR Team. Cons At times it is hard to apply more complicated formula's within cells and it takes more time to work them out than it would do in excel. Often it is possible and we get the result wanted in the end with help from support. Also there are some limitations with the Calendar App which we have begun using but not as much as we would want to due to not having as many options as we would like to for example display the calendar views and to jointly share the calendars so that more than one person can edit them without having to switch ownership. Once you have used it for a while, you will want to do more and more with it, and there never seems to be a limit to what you can do. They are also constantly adding new helpful features. One that was really useful to me was a kanban view called cardview. But there is also classic spreadsheet view, gannt view, and calendar view. In addition to sheets, you can also run reports off the sheets which filter the data down for particular users or departments. These reports can be editable or read-only. You can also look at your data in real time using dashboards. We have been using Smartsheet for several years now, and we still feel like we are only scratching the surface of its capabilities. Another great feature is that you can have unlimited free collaborators. These people can use the sheets/reports/dashboard and enter data. However, it is only the paid users who can create and maintain the sheets. Over time, you may find more people in your organisation want to be creators, and it is easy to add licenses as needed. Cons There's not much I can say negative about this software. On rare occasions there can be unexpected outages or loss of functionality, but that is very rare indeed. There are sometimes maintenance windows on the weekend which can last up to 4 hours at a time, but these are advised well ahead of time. With Smartsheet, workflow was accurately prepared and tracked, and we were able to quickly discover troubled tasks and find solutions to them. Pros I like in the ease that it gives us when setting work schedules, and also the automatic update of the start and end dates of activities, and it is equipped with several views, enabling you to get a distinct view of the work programs. Through the project dashboard, Smartsheet enables you to know all the information you need and also enables each member of the team to know the tasks to be followed up and when they will be closed. Smartsheet provides many collaborative features that enable all team members to share updates, and also send notifications to team members that show what tasks have been modified and who is responsible for them. One of the features of Smartsheet is also to prepare forms and send them easily to a specific team member or from outside the team, requesting specific data and information, and the ease of receiving a response to them and including them within the project updates. I value the means of communication that keeps all team members in constant contact, saves them a lot of time, and ensures that all tasks are kept under constant supervision. With Smartsheet, we ensure that all project events are archived, in addition to the attachments that were included by team members during updates, and it is also distinguished that we can return to them at any time to make sure of any information we need. Cons is a very intuitive tool and all the tools are clear and easy to use, and I didn't find any dislikes with it. At first I saw minimal benefit over that of Google Sheets or Excel 365, but the line level document sharing and conversation feature are game changers. Instead of having one big general conversation in the workbook about any number of possible rows or cells, we can restrict documents and conversations to the items they actually to pertain to. The project tracking feature has also been invaluable. We can provide a quick summary to peers and supervisors without an email or chat as well as help us focus our efforts where they are most needed. Pros We are able to manage information sharing with various internal and external partners. For example, we use this with our external auditors and we have conversations about specific workbook submissions and can easily make them aware of updates and needed adjustments. We also use this internally to communicate across teams and departments. Finance shares selected information with users who generally would not be able to pull that information without them needing to ask for it or be pointed to it. Cons It is not always easy to find out how to do something or learn how to use formulas. It shares some similarities with Excel and Google Sheets in that regard, but differs enough to where instructions are sometimes needed. I also wish that tabs were an option in the workbooks. I know we can use filters instead, but sometimes a separate tab is the better option. Pros There is so much I love about : 1) Reports: the reports you can generate based off the source sheet is fantastic. It is basically an intuitive pivot table, but much easier to use. 2) Column formulas are fantastic. One of my earlier woes is when the formula didn't automatically generate with new inputs placed into the sheet. This caused inaccurate reporting. With the column formula feature that was added in the past year, it helps provide a sense of confidence that your reporting will be more accurate. 3) Dashboards. The dashboard is such a great way to summarize data and provide visual context to your reports. I love the shortcut feature that helps to keep important data sheets and other information together. 4) Automations: The automations are probably the best feature of Smartsheet. Cons Even though it's very easy to get started using , the software also has a lot of features that are not as easy to adjust to - one being a lack of ability to add/delete columns without administrative access. I've noticed that a lot of people are very used to using Excel, and because at first glance Smartsheet can look like Excel, my colleagues get frustrated when the interface and user experience differs. This tool has been a tremendous help with making it easier to collaborate with other companies, as well as increase the efficiency with certain tasks among our department and other departments at our institution. Smartsheet is a very easy tool to learn and use and provides a great amount of functionality in one place to collaborate across groups. I would highly recommend this product to companies, large or small, if they have multiple projects that they need to manage frequently. The ROI for this product is good if you use it all of the time. If you don't, it can end up being an expensive tool for collaboration while there are many alternative competitors out there that may be a better option financially. Pros provides a very robust collaboration tool among teams and teams from other companies. The ability to show timelines, comments, attachments, and dates - all in one place - make it very easy to stay on track with projects. This tool also provides a very nice mobile and app platform to work off of while out on the go. We utilize the professional (paid) version to encompass all of the features that we need and are no longer offered in the free version, such as the ability to email directly from the sheet, send for updates, and utilize the reminder functions. Emailing directly from the sheet is a great feature since it allows you to send the comments, attachments, and info from the line all in one easy-to-read email. You can also cc yourself on the email so that you know that it was sent. Cons One of the things about that could be updated is the ability to copy info from one sheet and create a new sheet. For example, my team utilizes this tool for registration for certain programs at our university. The ability to copy the entire sheet (with all of the info and attachments) onto a new sheet and update the dates, or minimal information, would be a great function to have. The other option would be to allow more functionality in the free version (which was previously there).
