It also assisted in KPIs management for the teams. Pros It is easy to manage the timeline, milestone tracking, budget and expense tracking. When it comes to reporting, it is way more classy than any other tool in the market. We can select and show data from different sheets to represent. Smartsheet help different teams collaborate, manage, and report on the project(s) in real-time. Cons While creating tasks, it is not that interactive like other competitors in the market. Our departments today email one another directly, so if someone leaves or is on vacation the email sits and the workflow stops. I typically create a flow chart of the process and even label the Smartsheet workflows with an ID so I can tie them back from Smartsheet to the process. Workflows and formulas provide capabilities to do almost anything when it comes to flow control and notifications. Pros In its most basic form - Smartsheet is a shared spreadsheet allowing multiple users access to update simultaneously. Dig a little deeper and you uncover endless possibilities in the way of business process solutions. As a process engineer and former code developer I truly love the ease at which I can implement the solutions I design. While the number of features are too many to list, one thing I can say is that Smartsheet is constantly adding to the list making the tool more powerful every day. Cons Since we use Smartsheet with our external sales reps I have the need to hide data from one agency to another. For a user to edit data (even in a report) they need to be permissioned to the sheet. This causes the sheet to show in their dashboard folder - giving them access to the entire set of data. There is less chance for people to start finding excuses why they haven't completed their part of the task, since we all agree to the schedule and our assignments. I knew nothing about Reports and Dashboards. It wasn't until I took a training with Smartsheet that I learned the tools and additional features Smartsheet had to offer. It was also something the company has been missing out on and now I have held 2 internal trainings showing other employees the benefits of Smartsheet. It's exciting to see my trainings have helped implement reports and dashboards across multiple departments at the company. Pros Dashboards are a great feature within Smartsheet. They were something I didn't even know existed, until a couple years ago and they're wonderful to use. They consolidate hundreds of rows of data into a clean and professional looking dashboard. It also prevents me from exporting the data into excel and completing multiple pivot tables. It also allows us to provide leadership teams high level overviews. Pros I really appreciate SmartSheet's communication tools, ready-made templates, and templates that make it easy for teams to manage and track multiple projects simultaneously on a single platform. I really like the ease of moving between cells and customizing columns to suit the nature of the projects we are working on. The dashboard is very distinctive and it is enough to look at it to know a lot, where we can find the activities to follow up, as well as colleagues’ updates, as well as the reports that we are required to help prepare. It is great to have a project management system such as SmartSheet, as it allows all members to collaborate when preparing workflow charts, and also allows everyone to follow schedules during implementation, which helps keep everyone on the same track, so that they assign control of critical activities first, which leads to the result Results beyond expectations. Cons I haven't experienced any downsides yet, as all the tools are easy to use. Recently we have attempted to use Teams / Sharepoint more but found that Smartsheet has a much better workflow. What we have built with Smartsheet is a relational database that in lots of ways mirrors MS Access (R.I.P) but with far greater functionality. As a former educator/administrator who has moved into project management, Smartsheet provides so many varied opportunities to set up projects and customize within the platform. The support tools provided are AMAZING and the templates really help in set-up. Time saver for sure! Pros The setup within Smartsheet is simple and very intuitive. There are multiple ways to access sheets and data and users have the ability to really customize their view to mirror their management style. The ability to add notifications, reminders, update requests, etc. really simplifies aspects that could get overwhelming. Cons I don't have any features that I like least at this point. I love the ability to communicate ideas and suggestions to the Smartsheet team for possible implementation in future enhancement phases. If anything, I don't like that I don't have more time to learn more about all of the features and integrations. We have been able to redeploy thousands of working hours from administrative duties to value add activites. Pros Product can be purchased with a limited number of licenses to gain knowledge and champions to scale. This allows for a low cost entry point. Users do not have to be licences to use the software only to create or edit an existing Smartsheet. Cons The only issue we have encountered so far was the challenges to get our organization to scale its use. However, after 6 years we now see widespread use of the software with licenced active users in most departments. You can customize forms to send to other. You can set up notification/reminders to others. However, Smartsheet is not so user-friendly. It's an intricate system that takes time to learn. However, once you take the time to learn it, you'll love it!!! Pros In my line of work, I have to send forms to vendors. They submit the terms that they agree with Target. I also have to document their terms. I love that it's so easy to customize forms in Smartsheet. Vendors and key partners also really like the looks of Smartsheet forms too. I also like that Smartsheet organized data from submission forms into a nice master grid. Another functionality that I love is the workflow automation. I'm able to set notification and reminder on when key partners need to approve vendor forms in Smartsheet. Cons Smartsheet provide a very nice, clean form for vendor to submit their terms. However, there is no function to send a copy of the SAME form once the form had been submitted. When vendor sask me to send the a copy of the forms they submitted, Smartsheet isn't able to generate the form in the original format. Smartsheet just generate a simple grid of the submitted data/terms. It would nice if Smartsheet can generate the submitted form in the SAME/original format of the form that I created in Smartsheet. June 23, 2023 5.0 I started my current job with 0 Smartsheet experience, and my boss got me an Admin license (only her and I have this license type on our team). She then provided me with a 1-2 slide deck on each project she wanted me to work on. I struggled a little, and found the forum, and continued to go back. I still need help on every project, but each project I need different help. My latest project had one bad issue an "account number" had to be typed/pasted into every parent row (then 5 child rows). This was not user friendly. I had the idea to have a new sheet with the numbers and formulas to them (INDEX/MATCH). Back to the forum, how do I count "parent rows" on a sheet containing only formulas? Well with the assistance of a few helper columns and one text field that indicates Parent or Child, I made the miracle happen. And this sheet feels into a "single line" sheet, which feeds into the dashboard. Bringing projects like these to the next level makes me a better analyst! And when I am not up to my eyeballs in projects, I make time to actively read the Smartsheet Community posts. Pros Smartsheet is easy to learn. The company has webinars, "university" a Community (forum for questions and announcements). The formulas and "nuances" are very similar (and some the same) to Excel, making learning Smartsheet very easy. The Community (forum) is outstanding, I am a regular visitor. Sometimes, I just cannot get something to work, so I post my problem with my formulas and screenshot into the forum and answers come quickly, they are always happy to help, which is appreciated. Cons There are some features of Excel, that are not incorporated into Smartsheet. For example, VLOOKUP exists, however it can cause issues if columns are moved or inserted, or if you need to lookup to the left. To solve this issue in Excel, I would use XLOOPUP, but in Smartsheet, I must still use INDEX/MATCH. But this list is small, it is only because I am an Excel girl. Review Source RI Rachel I. Smartsheet allows me to quickly prepare a program plan, and illustrate it in the Gannt chart I insert into proposals to solicit project purchase from customers. Once we have the project, Smartsheet offers tools to track projects and resources, and provide reports for customers, as well as play "what if" scenarios when projects run afoul, or customer demands change. Pros I am an "experienced" Project Manager, who has used simple spreadsheets to map out project plans in the past. Smartsheet capitalizes on my experience by presenting this tool that feeds into my intuition about how to run a project, without all of the overhead involved with creating and linking tasks in more expensive, complicated systems. It is remarkably easy and quick to use, and provides perfect reports to aid in customers understanding of project progress. Cons I struggle to identify features I don't like, because I probably don't need all of the tools available, so I haven' tried them. Older generations tend to have difficulty understanding software because they cannot reason through programs. They can only follow specific paths. This makes it an ideal tool for millennials. You can create templates that can be reused and it really frees up project managers time so they don't have to constantly monitor tasks. Cons It can be a little confusing at first because multiple people work on the same document and it asks about "merging sheets". It is intimidating to think you can mess someone's data up - but you actually can't. It's easy to revert back and track those changes.
