Review Source DA Daniel A. IT Project Manager Machinery Used the software for: 1-2 years ### "Great platform when it works, but it has not worked correctly for the better part of a year now." January 8, 2026 3.0 Initially we were really happy with our deployment that was implemented directly with the team. About 6 months later things started to break, we assumed it was due to user error but ran traces and cell change histories but could find no end user or admin activity that would explain the corruption in the financial data, project status and time in status data, portfolio reporting, and filters that were built for us. We then worked with our account manager and spent the better part of 2 months trying to find an equitable solution. Smartsheet admitted fault, but would not tell us what exactly created the issues. We had a level 3 developer work with us to resolve the issues, but new ones keep popping up with no end user/admin intervention. We are flummoxed as to how to keep our instance functioning as expected. The support systems(with paid premium support) is not recommended. Directly calling during normal business hours for the last 3 times I have called resulted in at least a 60 minute wait, before I would give up and select a call back. I have yet to receive a call back. Tickets are now entered through an AI Agent that you are basically prompting to create a ticket. It adds unnecessary details and it is faster to edit in the ticket after the fact than to get it to be correct. Finally, the thing that really leads me to not recommend the platform is the lack of transparent audit trails for Smartsheet employees in the instance. Not understanding who and how our instance is accessed and what changes were made is not ok and leading our team to look for replacements before our next contract renewal. Pros Very capable platform that has great tools for automation and reporting. Able to handle small projects through enterprise initiatives Cons The new licensing model greatly reduces the value of the product. You used to be able to have as many people from outside the organization have access to keep in alignment, but this has shifted in the last year. You either pay for more seats, or accept the reduced functionality. Support platform is now AI first, accuracy last. When opening a ticket, you are prompted to use AI to create the ticket. Cool, I guess but you could spend time trying to get the AI to be correct(slow), or just accept what it outputs and add information to the ticket directly(faster). Calling for technical support is an exercise in frustration, after an hour on hold I selected call back option. As of 24 hours later I have yet to get a call back. We are paying for premuim support and no call back in 24 hours is not a premium level of service. Pro desk appointments are great, but they are usually 2 or more weeks out for US business hours support. I really don't want to be up at 3am to talk to a prodesk person for 30 mns. This is a great competitor to anything Microsoft charges double to provide. Pros Great for collaboration and large scale team deployment. The spreadsheet is easy to use and easy to train. Because it is just like using any other spreadsheet the focus is making a team more productive and efficient with multiple sources of contribution. Cons The mobile/tablet app has some restrictions that don't make a lot of sense. There are features hidden away for those not on the web app that seem completely arbitrary. The android app in particular has bugs that still need attention. Customer support is lacking in response. I'm hoping that these will be worked out in future updates. Pros Initially we used due to its rich collaboration features which Excel did not have at the time back in 2014. It had a better UI/UX experience and seemed intuitive to use. The ease of collaboration worked well for a period and the webform builders worked well initially. Cons For a company largely just using the system for Excel style workflows and collaboration its price is prohibitive when we already pay for 365. Recently their redesign of subscription and user types has meant that our Not for profit company goes from $600 per year $4000. This is after we have largely committed to using it for many business operations involving external suppliers. With a razor thin IT budget, these kinds of changes to billing are catastrophic with relatively little lead time to transition away. Larger businesses would suffer worse with a change like this resulting in a pivot of critical systems. I have found a way to do almost everything I want with the program, even if it takes a few helper columns and a couple reports to get everything just right on the final dashboard. But having forms and summary reports available for everyone at one click is an absolute gamechanger! Pros is so much more customizable and flexible than using Excel and Word and OneDrive to accomplish the same tasks. We can create custom reports and dashboards so end-users can see exactly what they're looking for without having to scroll or search or schedule meetings to get the answers they need. Cons Sometimes the functionality seems limited. For instance, I can set reports to sort automatically, but I cannot set sheets to sort automatically. We need to manually sort them or right-click and reset the sorting filters each time. While automated sorting has the potential to cause issues while working with live data with others, it would be preferable to at least save the sort settings so they do not need to be recreated each time. Even if I don't have a precise breakdown of schedules, setting deadlines by day is excellent. I also constantly evaluate campaign ROI, so the sheets are great for managing data in the same interface. I use the mobile app for quick queries. It's not very useful for work, but it is a tool that extends my computer usage. Pros Template customization helps me standardize various processes, including event coordination, workflows, client appointments, and campaign performance. These facilities have improved the quality of my work life: I have been able to establish effective workflows using these templates, which is fantastic. Although it's spreadsheet software, it has many more features than it appears to have; it's great can manage tasks, and even the notifications to complete a task are very useful. Cons is great; I can't deny it. However, performance is poor when using extensive databases, which can be slow and sometimes frustrating. Mainly used as a project management tool. Nice that it functions like a spreadsheet because it makes it easy to use and there isn't an onboarding curve. Cons The cost isn't worth it in my opinion. There are some great features but this is mostly just a glorified spreadsheet. A lot of what I used this platform for can be done in an online/collaborative xls. Pros is just a smarter version of excel, anyone with knowledge of excel can get started with it. Combining task management with Gantt Chart and card views is really a good to have thing. Cons Obviously it is great tool to manage heavy data and figure out some answers to your questions from that data but for some non tech users it can get a little unproductive. I actually enjoy it. It is like EXCEL on steroids. The AI is my absolute favorite, though. You cannot highlight specific selected text in color on the sheets. The dashboard feature has helped a lot with being able to track the information we need in a detailed report, but only display the hard numbers for the executive team that may not want all the metrics we're tracking. Pros Dashboards and able to restrict/grant access to invested parties without too much confusion. The workflows feature is nice also, helps with alerting the team of certain points in project without overloading them with info that doesn't necessarily pertain to their role. Cons If I had to pick a con, it would be the price point. It took a long time to convince my company to buy into this solution due to the price point. Although they liked all the features, the price point made this a lot more difficult on my end to get the buy in.
