We shopped around last year to see if any other products would serve us better, and we ended up staying with Smartsheet as we found their offering to still be the best fit for our need. Pros I've been able to re-use the solutions I've developed for other teams' needs. These repeatable processes are huge time-savers and allow me to serve more people and teams than I had ever anticipated. The Smartsheet Community is a great place to collaborate and find peer support free of charge. Cons Several enhancement requests that have been requested for many years have still gone unanswered and sometimes even seemingly ignored. I can modify the sheets to suit my needs on the fly. Also, the history tracking - no change is ever lost, and it's easy to see how data has been changed, by whom and when. This keeps me confident in the data I am looking at. Cons As the workspace grows, and our project management needs change, it can become cumbersome to keep track of all formulas and references all over the place. It offers easy-to-manage project management, and a ton of secondary products/modules for collaborative work and document management. Pros Its sheer versatility is the best thing about it in my opinion. It's got all kinds of different modules and views for a lot of things beside project management, like ideation, spreadsheets, doc management, etc. It's great to have all these related functions under one roof Cons It's been a bit difficult to onboard all of our departments with it at first. " April 11, 2023 4.0 Smartsheet is the most ideal spreadsheet-styled tool for managing projects. The adoption of Smartsheet within my department has led to better workflow management and improved project-based collaboration across all project teams. Pros An aspect of Smartsheet which everyone in my office ( myself included ) really loves is its analytics and reporting capabilities. Smartsheets analytics and reporting has made it easy to access the most important pieces of project management data , with just a few clicks. Thus , making it a straight-forward affair identifying standout trends and potential grey areas across projects being managed within my company. Cons Despite being designed primarily as a spreadsheet, smartsheet's interface is not user friendly. We appreciate the constant improvements and the walk through introduction when bigger changes are rolled out. Pros Smartsheet has been a lifesaver for group collaboration. My team runs multiple projects simultaneously, and the scopes of these projects are constantly changing. Smartsheet allows for the team to update their pieces of the puzzle and send alerts about changes in one environment. We've actually replaced endless back and forth emails with the comments function in the comment section so that all pertinent information about an issue exists in the platform itself for easy reference. We can track our gantt chart, program data, and group communications in one place. I= We're also utilizing Smartsheet for people outside of our organization. Smartsheet allows us to select the type of visibility that clients have to data (through settings or via dashboards) so we can control the story that we're sharing with our clients. This has been a big time saver as it eliminates the need for extra reporting on data that is already avilailable online. Our clients have shared positive feedback about Smartsheet forms which we've been using to collect survey data and for event registration. The forms have allowed us to cancel our account for SurveyMonkey (which we used for several years previous to Smartsheet). Cons The main pain point I have with Smartsheet is the fact that not all of my favorite Excel formulas work in Smartsheet. The formulas also don't always work the same way as they do in Excel so there's a bit of a learning curve. Smartsheet needs to allow a Time function. We use Smartsheet to register individuals for events, and right now we're having to program Time as a text. This means we can't use formulas to change times based on Timezones. I also still miss when the recent sheets appeared as tabs at the top of the webpage. The new recent tabs menu works well, but I found the tab view easier to navigate. Review Source Eileen J. I gave a basic tutorial and then suggested they Google any questions they had before we met again. Everyone did very well with the basics of the software. The wealth of tutorials online were very helpful for those who wanted to dig further into the capabilities of the software. Pros Smartsheet is like MS Project without the high price tag and steep learning curve. It has all the functions of a classic scheduling software with the advantage of being internet based. Our team can use the software on any machine. The easy formatting and ability to switch between gannt or grid view allows us to present the schedules to our client in the manner which best conveys the information. Cons There is very little I dislike about Smartsheet. My former complaint that there were no baseline capabilities to track changes made to a schedule was resolved a few years ago with an update. Pros I love the dashboards and ability to integrate Google into the dashboard for teams that prefer to utilize Google for certain aspects. I love the automation ability for alerts and reminders as it keeps project teams organized. I love to utilize Smartsheet as a task tracker and backlog along with Project Plans, Portfolio Management, and dashboards. Cons I wish the WorkApps were a little more user friendly and that you could provide people with the same editing permissions as in Smartsheet so there isn't one person responsible for maintaining the WorkApp. It would also be nice to have FULL editing access to the sheets and pages within a workapp, such as dashboards, so you don't have to open the dashboard separately to make changes. There should also be a button on each thing you add to a WorkApp that allows you to "Open Separately" so you can make changes if needed. It would also be nice to be able to integrate more links into Smartsheet (both dashboards and WorkApps). Sometimes you try to add a link to embed something and it doesn't work. It has become an indispensable tool in organizing and visualizing the work we do everyday! Pros Smartsheet is much easier to use for Project Managemen than the classic Microsoft Project software I was originally trained on. It allows people to manage work with the intelligence of a project scheduling tool, but with an easy to understand and use spreadsheet interface. Since Smartsheet is a cloud product, each Smartsheet is available from any computer by just logging into the website, or even from their mobile app. Another great Project Management benefits is that the Project Manager can share a Smartsheet with their whole team to collaborate together. We also use the Smartsheet for Jira Connector which allows us to sync information back and forth between the two systems. Jira can be complicated to navigate, and the dashboarding can be really frustrating. This connector allows us to keep track of individual tickets associated with a project, and even lets us import massive data sets for analysis. Finally, we have ended up using Smartsheet as a dashboarding tool. It's actually surprisingly good as a Business Intelligence visualization tool for keeping track of our projects, and for displaying Jira dashboarding. Cons Like any software there are small quirks I'd like to see changed, or hotkeys added, but overall I'm impressed with the constant cadence of feature updates and enhancements. But after a short period of time I saw the benefits of the tool and use it more often than I thought I would. Pros It's very easy to use and intuitive interface makes it easy for someone to get up and going on it quickly. The workflows are awesome and makes for automated flows to work. October 8, 2019 5.0 I joined my team in 2017 and was asked to establish our PM management system - knowing that I didn't have the budget for some of the more robust tools, I needed to find one that wasn't only user friendly but had all the capabilities I needed to create the complex timelines and reporting that I needed. Smartsheet was recommended to me and when I finally did a walk through I felt like it would be the perfect fit for my needs. Since then, I've been able to setup the platform and project management system for my team and we adjust it as needed along the way with ease. We also have been able to find uses outside of my project management needs to track form responses and other data management needs. Pros easy to set-up processes, ongoing product improvements and additions, great team capabilities, quick and easy adoption due to familiarity of tool to MS Project/Excel style, many different uses outside of projects timelines, very cost effective Cons interface feels dated (although they're continuously working on this) and not created for non-project team members, dashboard tool and capabilities could use some improvements, sometimes creating cross-functional sheets can be clunky and unnecessarily complex. Having the ability to get notes and documents from the team in real-time has been very valuable. The value for the cost has been great and is why I recommend SmartSheets to others. Pros I use SmartSheets to manage our subcontracting business and all of our field employees utilize SmartSheets daily. I had researched a lot of the popular software programs out there for subcontractors, such as ProCore, BuilderTrend, E-SUB, and others, and I decided on SmartSheets, since it was about 20% of the the cost of some of the others. Cons When I copy / paste line items on a sheet, it does not copy the notes and attachments. I don't want to move the line, but instead, want to duplicate it. I end up having to re-upload attachments and notes on the daily schedule.
