Afterward, I was able to research as well as complete Smartsheet training which as caused me to love the software even more. I am one of 2 certified users in our company, allowing me to assist and teach others and to help push out other projects within Smartsheet. We started out with only 3-4 of us using the program, and now every employee within our company uses Smartsheet on a daily basis. We have been able to centralize and share a lot of information, and Smartsheet has even allowed for better interaction with our Clients. Pros I love all of the options for automation and the ease of organization. There are a great amount of options when sharing/storing data, and it is accessible on multiple platforms, which is helpful on the go. I appreciate that there are online learning opportunities to better your experience and improve your Smartsheet skills. This has also helped spread the use of Smartsheet throughout our company. I love that multiple team members can access and communicate across one sheet without having to track items down. Cons Some of the dashboard options are limited. I also miss the ability to have multiple tabs open in Smartsheet, as now I often end up with multiple tabs in my browser open instead. Reason for choosing Smartsheet I was not a part of choosing the product, but was part of the implementation. I do know a big part of it was the versatility of the product and the ability for employees to be able to access accounts across multiple devices. We literally load all of our projects into smartsheet so that we can all manage them. I don't think that I could do my job as efficiently without it. There is s certain project we do once a year where we update pricing on all website items with all of our suppliers. Being able to keep this data in SS, then send our suppliers update requests to load in the data has been a life saver! Keeping track of work along with managing the project has become a breeze. Pros The thing I like the most is the transparency or the collaboration. To be able to easily see what others are doing and manage them together, set reminders and send update requests is what makes our company run well. Cons I think there have been a few times that we have maxed out on number of lines. I don't know why that there is a throttle there, but that's probably my only complaint is that some of our sheets get large and max out! Reason for choosing Smartsheet Cost versus flexibility of the product. Easy adoption period. We were right.... it took some time, but everyone eventually jumped on board and enjoy it. Dashboards and roadmaps can be built according to the needs of the project and the members involved. I worked with our product development lead to build in tasks with Google forms for information capture so that product marketing can get an early idea of the needs a product idea addresses. The reminders for website development and product photography are especially helpful as we juggle the development of multiple products at once. Pros Smartsheets has been essential for interdepartmental collaboration in product and content development. The tasks that have been built into our product roadmaps have supported the successful work between engineering, technical support, QA, R&D, publications, and product marketing. The dashboard tools help us to communicate product progress across the whole company, keeping timelines and shipping dates visible to everyone. Cons The software itself requires time to invest into training for the creation of roadmaps, dashboards, and tasks. A lead has been trained for our interdepartmental product development, and she champions these pieces. However, for our marketing team project development, we did decide to go with a different platform that required less training up front so that we could be more nimble and meet the growing needs of our team. It's an incredibly versatile tool that, with a little creativity, can produce amazing results. Pros I love how accessible and customizable the product is. We're able to make it do so much to integrate various departments and help work flow across the organization. Cons Some of the features aren't carried from sheet to sheet when you save as a Template or save a project as "new", and having to reconfigure alert rules can be time consuming. Every time a salesperson would make any changes to an opportunity, the Salesforce project management tool would create an entirely new project plan rather than updating the existing project, and there were only a couple of people who could support it internally. If it had better UI that would make it great. Pros I used smartsheet as a director at a marketing agency. We used it to develop customized sheets and project mgmt flows for our clients. The big thing we used were the Gaant charts, which are useful but often cumbersome to pull together in other software programs. Cons Usability is great but the UI isnt as sexy as what you might see in other software programs like hubspot or slack. I particularly find the project management tool with Gantt charts very useful and they have helped me bring significant projects to completion. They have many useful templates such as task lists, forms, sales pipeline, and project management or you can easily create your own. I often pin photographs and logos to various rows. There is an important reminder function which I utilize heavily and the ability to share this application from teammates and ask for updates greatly facilitates collaboration Pros Smartsheet is very intuitive to use. Anyone familiar with spreadsheets can get up and running immediately. The ability to pin documents and URLs and comments to any row is an important productivity feature because it makes information easily available when you want it. While in Business School we used a number of collaboration software products to work on projects with our teammates but when I was introduced me to smartsheets I decided that that was the tool for our company and I'm glad I did. Pros The way projects can be visualised and the ability to use a very open API and ODBC connector have been key in allowing us to leverage better use of the product. Cons The ability to not be able to update conditional formatting in bulk is truly maddening, meaning that for complex dashboards there has been manual dropdowns selected for every column and every status. In Excel this would have been done with a simple copy and paste. Form and automated notification feature allowed us to cut down on the number of email exchanges required to begin a project as well as notify those involved at its conclusion. Cons Because of its Excel-like user interface, Smartsheet may not be as 'fluid' as other options such as Trello, Basecamp, or Asana. Perhaps I'm missing something because I'm not familiar with what Smartsheet has to offer.
