Overall I would recommend it to my text company too- I would rather use Smart sheet as a project management tool than any tool designed for math brains that isn't as freestyle. Pros I love this software. I love the pick up and go aspect where I can access it on all my devices. I love the automatic saves- because I am terrible at remembering to save, and I love the ability to attach files and tag people for projects. I used the software at my previous company for creative project management and now I'm using it like agile for product development builds. Its great for tracking and overall roadmapping. I wouldn't use anything else when I can do everything I want right here! Cons All the issues I've had have been solved in new releases but it would be wonderful if I could build graphic pages in the software- I'm hoping that comes soon. Cons This product is really easy to use, it's hard to find too many cons. Change management of getting everyone to use Smartsheet correctly has been the main obstacle. Once the team is onboard, it's smooth sailing. Reason for choosing Smartsheet We liked that with Smartsheet, everything is combined in one platform, tracking is easy, and its functions are very powerful but there wasn't a huge learning curve. We can also easily embed Smartsheet on our website and other places to have a forward-facing form to collect information from our customers. It was able to successfully manage the workflow and project load for multiple ecommerce websites and a high volume of online marketing activities, in addition to frequent new product introductions, all with a very small team. The management team really liked the results, but the users did not prefer using the software. Due to the high pricing, only 60% of the team had user accounts and the others had to report updates to be added. Pros Since it's based on a spreadsheet / table design, it is quick to learn and easy for team adoption. It's a great alternative for teams that have tried many of the more complex / visual project management platforms without much luck. At the end of the day, I found that project deadlines and tasks were updated and followed much more consistently in Smartsheet than several previous attempts. In addition, Smartsheet has one of the more extensive set of integrations, so virtually any sized enterprise platform or even niche software tool you use probably plays well together with it. Cons Though there are a variety of views and automation features embedded in the spreadsheet-like format, it ultimately is a powerful spreadsheet and generally offers somewhat less functionality than many teams expect from a fully featured project management tool, especially when it comes to visual organization. In addition, the software is overpriced in the age of comparable freemium tools (there is no free version outside of the trial). It is very difficult to justify the expense based on the feature set for moderately sized teams when there are many solid alternatives with better or more flexible pricing for smaller teams. Pros I'm not an expert by any stretch on Gantt charts and project management but I was forced into a position to do a large project management plan that required spreadsheets Gantt charts and all the necessary tools of a robust project management proposal. I love the ease of use and the visual user interface of smartsheet. I initially tried to use Excel only to be frustrated with formatting cells and a big messy fragman fragmented plan. Smartsheet was relatively quick to learn easy to go back and edit and save and also easy to create a copy of a master plan that you may have created to reuse again. I would have never gotten through my project management crisis without smartsheet I can't say enough of how invaluable it is. It will make a project management newbie like myself look like a total Pro and the more you use it the more fun it actually becomes as you start to see your data be brought to life in a way that is easy to see easy to edit and easy to print. If you are a project management professional you cannot afford not to use Smart cheap it's that good. Cons The very smartness in smartsheet also makes it liable to non performance, the fact that your internet connection is off or slow or has a challenge would limit your access to the software. backup connections and offline updates like in the case of some cloud software should bridge the gap. Brings Excel to a whole other level. I love the fact that multiple people can work off the same spreadsheet at the same time and it doesn't effect anyone else's workflow. We can make edits simultaneously. We can edit our personal view and it doesn't change anyone else's view. It's Excel on steroids', it is amazing and I wish I learned about it sooner. Even people outside the organization can view the smartsheet and make edits. Cons The only thing I don't like about Smartsheet is you need a license to be able to make major structural updates to a spreadsheet. I get it, but it makes it difficult when only certain people working on a project can update specific items. We added several tools to our kit including quality control, dashboards for our customers, tracking mechanisms for preventive maintenance, and even customer facing forms for input. We really haven't begun to scratch the surface. Pros The most immediate impact of our SmartSheet deployment was when our phone stopped ringing. This was a good thing. Our first sheet was as a project management tool to track our packaging projects for our customers. Since our customers could see the progress of our projects they didn't have to call for constant updates and requests for drawings or schedules. Packaging touches engineering, marketing, purchasing, production, and shipping so a lot of people need to see what is happening on a daily basis. SmartSheet provided that custom tool that we needed to be a better vendor. Cons For us, there wasn't any dislikes. We are a small company and this was a vast improvement over what we had been doing. Pros I love that Smartsheet can be used in multiple ways. It feels just like Microsoft Excel but you can also make it into a survey, a form to collect shirt sizes or even registration for an event. On the back end, it collects the data and you can share it with your whole team. It can easily be used for project management and you can share data with people across your team and company. Cons It is fee based so if you don't have an admin license, you can only utilize certain functions. Also, at my company there are a lot of Smartsheets so my library of files is quite large. We used to send emails with the "last" version, that often had been changed by someone else, leading to the detective work of finding the differences. Now for almost every project we end up creating a few tables. Either for project management, or collaborative data requests, or initiative pipelines. Pros We use smart sheets across the organisation for multiple use cases. For us it is our Swiss Army knife. Flexible yet simple to use. Cons Relationships between tables can be set up using Vlookup formulas. But a more consistent approach would make a difference.
