This alone would make us receptive to a different provider when we next review things - bad move smartsheet Pros Basic functionality and capabilities, pretty easy to get to grips with. Selected this software over others at the time because of it's ability to report upwards - i.e. dashboards & reports which at the time seemed overlooked by many similar PM packages. Great for sharing plans and co-working with a team. Cons Not sure it's PM capabilities have advanced much in the two + years I've been using it. e.g. baseline capabilities, ability to incorporated lags/leads or fixed milestones into scheduling . Another fantastic innovation is applying simple procedures and creating forms."It is beyond astonishing how quickly they are adding new features and functions to the platform."We have spreadsheets and can use forms to input the necessary data onto a spreadsheet. It has been a wonderful asset and tool."Among Smartsheet's most helpful features, I think automation and collaboration are. Another fantastic tool I adore utilizing is forms. : I enjoy Smartsheet because it makes managing and streamlining tasks easy. The product is feature-rich and easy to use, which increases its impact. The effective automation and teamwork stand out to me in particular. Cons Only a few functions of Smartsheet are included in the free edition, while certain capabilities are exclusive to the subscription version. Two of us started using the system after looking at many others. We found our customers liked seeing updates "live" as a great benefit. We, the two of us, started to show people how to use it and what it could do and the result was phenomenal. New uses seem to pop up every day! It has solved MANY problems we struggled with in the past! Pros Flexibility and ease of customization! We started using this tool strictly as a project management tool due to a need for our customers to be notified of progress or changes at any time. Once we established our use of Smartsheet as our go to project management tool, we started using it's notification and feedback capability to many other "things" that needed the same type of functionality. We now use the request functionality to track quote requests, requests for lab work, etc. We also use it to track time sensitive items like calibration schedules, maintenance schedules, etc. It's become our default answer to problems - "Can we do something in Smartsheet...?" Cons The only thing I would like to see improved is the ability to archive things - like schedules so we could quickly "archive" a completed item. Reason for choosing Smartsheet Ease of use and cost. We've expanded our licenses and are starting to see interest by other ITW groups (we are a small business unit of a HUGE corporation). There is a good reason so many office workers end up building ad-hoc tracking and analysis tools in Excel. It is simple enough and flexible enough you can throw something together quickly for a wide variety of needs. Smartsheet takes this to the next level allowing users to quickly build lists and data driven sheets, link them together in interesting ways, and then gives them simple tools to share and collaborate with others. The additional of a Gantt chart and Kanban board view of item lists allows teams to quickly develop a simple set of tools to manage projects and collaborate. For many small teams, this may be all they need. Cons While the TCO is compelling for smaller teams, larger teams will likely be underwhelmed with the fairly shallow set of features. Also, from a cost perspective larger teams will not find much of a price difference between this and more robust offering from other competitors. Review Source Prince J. July 7, 2022 4.0 Overall, smartsheet has a lot of features but it has a very large learning curve. Prepare to be training users on many different elements as many buttons and settings are not the same as other software or tools. However, it has a lot to offer and is very useful from a project management standpoint. Pros Smartsheet has a lot of features when it comes to project/task management that you would expect, especially when it rivals MS Project, Excel, and Google Sheets. You can easily import your projects and tasks as well as visualize them with reports and dashboards. You can share these items with others in your organization and even control picklist values for columns to give the rest of your team some expected values. Cons First of all, Smartsheet has a major learning curve. It is overwhelming for someone to learn how to use the system if it is already set up and if they haven't used it before, so it is intimidating when onboarding new users and takes a lot of time and patience. Also, Smartsheet has a lot of limitations they do not tell you about. For example, you cannot have a picklist determined/filtered by another value. This is something that you can set up with data validation in excel or using "if else statements" in other software. So far, SmartSheet has proved to be worth the cost for our users (and there's still a variety of features that we still haven't utilized yet!). Pros At face value, SmartSheet is an Excel look-alike that has many of the same features found in Microsoft Office's suite. Upon diving a little deeper, though, you can find a robust collaboration platform that allows users to stay involved with the organization and products, all while keeping a similar vernacular of Excel functions for users who are familiar with that program. Cons SmartSheet can be a tad pricy, especially when many organizations offer employees access to Office365 for free. With that said, the cloud-based, collaborative opportunities with SmartSheet are pretty unique, and I haven't been able to find a way to recreate them in Excel (and I've tried!). This has helped increase efficiency by decreasing emails and allowing people across locations to see the same information and contribute as well. Pros I love how easy smartsheet is to use and track things. I use this to make detailed calendars for specific operations tasks that need to be completed each day, and love utilizing the alert feature so the responsible party is sent a reminder email on the specified date. Project collaborators can also leave comments on the tasks they are responsible for, or you can use conditional formatting to check off tasks that are complete. There is a lot of flexibility in how you use the software - whether it is for project management, checklists, or tracking any kind of info like a budget as well. Cons There are some limitations with the functionality of formulas, but I prefer the simple interface and other functions over excel. It is best used for daily tasks, which is where we deployed the automation to run overnight. Pros The automation between several sheets is primary benefit of the software. We are able to update multiple sheets used by several departments in an overnight process that elimates manual work from being done. Cons Dates do not update in real time; the sheet must be entered for the data to change. We had to leverage automate.io (another software) to get the dates to update overnight so the Smartsheet automation could run as intended. Pros \- Smart sheet basically allows every team member to work on the same project together. If you are in upper management then this product will be great for you to keep track of process of every project, meeting agenda, progress on new development - It is simple and almost like Microsoft excel. But have lots more functionality and features compare to excel - It is very reasonable even available on monthly basis plans. - Smart sheet is cloud-based service which available on your device and on the web from anywhere in the world. besides this they constantly update the features to make it more useful every time. Cons \- There should be an auto save option but anyway, it is good if you have habit to save excel manually every time. - It works slow sometimes when some sheet contains large of data. it takes more than usual time. - I don’t remember any major cons of Smart sheet besides these basic things, but anyway they are improving with every step, so it will be removed after a certain stage. It made tracking progress very easy. Our team had no problem getting up to speed very quickly. Pros Since it is cloud-based, it's extremely easy to allow the team to see everything in real time. There are no excuses anymore for team members who say they don't know what is going on. Cons I know what the software is intended to do, so I can't say I like something least. Of course, there is a cost to it, but it's reasonable for what you get. Pros Collaboration Action features How to tutorials/onboarding is good Webforms Cons Lack of a chat support system or ticketing system The upsell on functions - have free collaborators now having to pay to do things they could of done prior even though they had been using the system for years. Understand if certain features are now paid to commercialise the product, however I think it is unfair to penalise historic users. If you looked at a micro level with us you will see a 200% growth in our subscription over its lifetime and I feel this short term and automated upsell could and has damaged perceptions of the overall product. 18 months ago I would of been a 10 regarding recommedations and now it is less. The staff at Smartsheet, particularly \[SENSITIVE CONTENT\], ensured that we had a very smooth and successful launch of the tool. Because of its intuitive, user friendly design, users were up and running with the tool with minimal training. Pros Very intuitive due to it's resemblance to Excel. User friendly with excellent online support and learning. Easy to deploy to users and get them using it quickly. Excellent staff ensured our onboarding success. Pros It’s dynamic UX, whoever is used to work with spreadsheets won’t have difficulties to use it.With barely an effort you can build a Gantt diagram, track project status, tasks and even build a Dashboard from other spreadsheets. Area 1 - as a replacement for excel documents that are essentially static documents that were shared. Moving the documents to smartsheet has made sharing intentional because they are shared to named users, instead of general access on the file system. It has also made access of the documents easier because remote access is enabled by default. Your phone or home computer immediately has the files available. Area 2 - business process development. We use smartsheet to deal with business processes that involve multiple steps. A basic example is maintenance requests for equipment. We have a smart sheet which keeps a log of requests and the disposition of the request. A form was created that lives on our intranet. A request is made through the form which populates the smartsheet tracking the requests. When a row is created an alert is made to the support department. Logic on the smartsheet took data entered in the form and created the appropriate "action" link to the appropriate vendor supporting the equipment and set the status as in process. The user receiving the alert access smartsheet and have all of the information they require available to take action. At the conclusion of the maintenance request the records disposition is updated to completed (or the appropriate status). Pros Cloud based Easy to share documents Easy to setup basic automations around business processes Full support for mobile devices and desktop compute No training required to access "basic" features - if your users are excel users they are smartsheet users Search options are incredibly powerful, and incredibly easy to access Cons Formatting options are better in excel. Not sure I am using project management features correctly and those are rather important for me. As with any new tool, it takes time to adjust and train yourself to use it on a daily basis. Pros The product is semi-easy to use, as I don't find it very easy to connect worksheets and create a dashboard on my own. It is very pretty and eye-pleasing. It was relatively useful to transfer data from other tools. Cons It is difficult to integrate this product with the entire org as not everyone is using it, as it is not required. However, quite a few teams are using this product and are requesting that other requestors of a particular service use it. MOre basic and hands-on, task/need specific training would be useful. It keeps you on task and organized no matter how big the projects are. Pros The versatility of information that was provided was priceless. Updates were always available for the teams and also those stakeholders that required regular updates. There was no chasing of members, just simple colour coded task scheduling to remind those that had work due. October 6, 2021 5.0 I have been a user of Smartsheet for around 6 years and it has become an essential part of our end to end production process from development to customer delivery. The functions on Smartsheet allow me to monitor all stages of the production process, each sheet can be customised to include the critical path stages required for each order. Pros Smartsheet is extremely easy to use both on computer/laptop and on a smartphone, even if you are not an expert in excel. You can develop a smartsheet to have very simple task options such as a simple tick or a date to confirm task is completed or more complexed options using workflow of formulas. There is a history function on each Cell so you can look back at all changes made. The lock functions on columns is very useful when sharing a sheet that you only want other users to have editing rights to some columns. When sharing a sheet the other users do not need to have license and there are editing rights options for each user. Other functions I find very useful are the Alert function, Attachments (also keeps history), Comments can be added and emailed to users and the reminder function. Cons I don't have any criticisms to say about smartsheet as it works fine as it is for all my needs. Review Source Sunitha H. We have become very organized and therefore we are working and completing tasks with the highest levels of accuracy and in record times... Thank you smartsheet Pros It is a very useful software for the success of projects... Despite all the things that SmartSheet helps you with, especially the division of tasks between team members, in addition to that, it allows you to add files and documents related to each individual's task separately against the line related to his task... It is an advantage Really cool and it saves the extra effort and increases organization. Cons It's a great software... but it's not perfect.. when the tasks get too much and the page gets huge. It gets a little sluggish... It's not a huge problem as we rarely get that low on information that leads to this problem.
