Pros Allows us to stay updated (daily) on each loan request which is submitted to our department. We also use the software to forecast projections each month, and give us the opportunity to discuss as a team what is needed to ensure a timely closing of each loan. Cons The online support sometimes does not provide the help we need at times, however, I have contacted the support team and they have been good in responding to questions that come up regarding features of the software. We have automated a large valume of maual paper-based processes, used it to manage big projecst, and quickly collect information from our distributed network. The ability to manage our licensed users to deliver solutions, and the unlimited view/edit access for both internal and external users empower collaboration with a distributed team. Cons The only downside is having to establishing best practices to manage or limit abuse or mis-use of SmartSheet, and managing an information lifecycle management approach for a large number of workspaces and sheets. Reason for choosing Smartsheet We did not do an extensive evaluation. We had a wide volume of requests for a variety of needs, for which SmartSheet could provide an answer for, without having to introduce 10 different solutions. Review Source JG Jose G. January 13, 2020 5.0 This is another product that just simply works and solves many of the problems that come with collaborating with a larger team. If that is what you are after, get SmartSheet. Pros We love that each sheet lives and breathes in a "realtime" way. We used to share spreadsheets via email which left a great deal to be desired since we never were sure who had the latest version. And you can imagine the potential security issues this presented. Also, we love that you can set up notifications whenever a shared sheet is edited. Plus, you can also directly attach related files (PDFs, images, etc.) to the row of your sheet that it corresponds with. So, no more file hunting! Cons While it does have a very robust set of features, there are a few others you have to pay for that should be built into the base product, in our opinion. " May 17, 2022 5.0 Overall, it saves me a lot of time and I love the notification process. SmartSheets takes away the need to remember a lot of small project details, letting my team put their focus on the projects instead. Pros SmartSheets solves a lot of administrative tasks with its ability to create workflows, have an intake form and track progress. Most times when my team comes to me with a problem I answer with, "we can make a SmartSheet!" It handles the most complex projects, making it almost always my number one choice! Cons It's not a very visual in some aspects. I would love the ability to customize the sheets and forms more with photos etc., but SmartSheets isn't quite at that level yet. You can also do a lot with workflows, but sometimes they can be a little confusing to set up, but they recently did an update that walks you through the process more if you are new to this aspect. Pros Smartsheets is mort helpful for keeping information organized across the board for team visibility. We are able to update information in real time directly to the project at hand. Cons Function keys allow information to be easily deleted or replaced. If there was a feature that maybe logged activity to see what was deleted, when and maybe a restore function, this would alleviate some of the stress when accidentally pressing the SPACE bar. Pros Ability to link different projects/pages so data can feed into a master calendar/Gantt chart, easily re-order projects or tasks, and receive immediate feedback from collaborators. Also easy to add other collaborators who have their own Smartsheet account. Cons Some of the spreadsheet functions assigned attributes that made it confusing ("duration" and "predecessor" columns were 2 examples where data got messed up based on default formatting or conditional attributes that were confusing to figure out). Ability to share with members of your team and collaborate is spectacular if that fits your need. You can set alerts to notify you when someone else on your team makes a change to a task, and you can quickly move large groups of data or files from one sheet to another by simply selecting them and clicking 'move rows to another sheet.' This will move the row AND all attachments in one quick step. Pros Unlimited file storage in this cloud based system. You can basically create a spreadsheet that has limitless functionality. Upload files, photos, data, and keep a communication log. You can even use this program as a CRM if you want. Cons The app is a little tough to use for some of its features. when trying to open a row and see attachments, files, and sub-rows, it is often difficult to click on the right spot due to how small some of the icons are on the screen. Using Smartsheet has cleaned some functions up, and we're hoping to transition more to the same system in the coming months. Pros Smartsheet allows us to share information quickly & easily among several users in different locations. Being cloud-based means we don't have to worry about backups, and being able to view cell history helps us to track changes without issue. It was purchased for work-flow management, but has become an invaluable resource for HR & maintenance as well. Cons If the calendar feature could be expanded to include time as well as date, that would be much more useful for scheduling. Reason for choosing Smartsheet Other options considered were considerably more expensive (by thousands of dollars). Until recently, not much had been done to improve the product. I'm glad to see more focus on expanding capabilities. Pros Many appreciate it's apparent similarity to Excel . It's quite powerful and continues to improve. Cons The same similarity to Excel also makes to feel a bit out-of-date and not as slick as other softwares. In my firm, many are using Monday and some have converted to Smartsheet because they see it's much more flexible and powerful. That said, the more modern UI draws folks to Monday, for example. I think improvements can be made around automation and notification. Still a bit clunky. Also, advanced features like writing code is still quite technical and difficult, particularly if a code breaks. Feels like it could be made easier. The overall software is easy to use and building sheets can be done fairly quickly. It has been a great way to get information into one place and it has been a great tool to collaborate with our field teams. As a purchasing team, we need to get a lot of information in order to make sure that our orders are placed correctly and we have been able to use Smartsheet to do this. It is very flexible and when we need additional info, it's simple to add another column and then that field onto the web form. It has been an extremely helpful tool for my team and I look forward to the continued features to come! Pros It is a great way to actively collaborate with field teams and to get the information needed for actionable next steps. The web forms are easy to set up and can be used from Day 1. It also helps to eliminate the need for emailing back and forth to clarify the needs of the requester. Cons I don't like the new format where the attachments pop out from the right hand side of the screen. I also think that there could be some additional formulas added to mimic excel a bit more. Also, I think the web forms could be beefed up to allow for more features and types of columns. Creating dashboards is extremely complicated and should be made more user friendly.
