November 26, 2024 4.0 Pros I like that Smartsheet has a lot of different functions. It can be used for project management, inventory or event event planning. It's very easy to use and it seems like the builders are listening to the customers when they request new features. The pro plan might offer more features but I'm not aware exactly how much better it would be. It might be useful if you need a simple free option for managing your own tasks but for project management with other team members and departments it's not the one. Pros It had basic project management tools that allowed different team members to provide updates on tasks. Cons It has so much less functionality that other project management tools such as Asana or Trello. It's worth mentioning our team was using the free plan with only the manager on the basic plan. I have used many different tools, some good and some awful, but if I had 1 choice, it would be Smartsheets. Pros This is the best tool I have used as a Project Manager. There are so many features that I could write about, but most importantly you will not need additional tools/software to track projects. The ability to track a project, update timelimes based on missed deadlines, share with a customer and have a live document is so important for a successful project. Cons It is expensive. There is also a learning curve. I would say for beginner level use and just navigating around, it is very user friendly. But like Excel, there are so many things it is capable of and it takes time to figure them out. It can be exported into spreadsheets to share internally within your own company. Cons Once the smart sheet is opened, it can be difficult to navigate withing smart sheet. March 10, 2025 5.0 I have largely used it over the past year to track project progress, as well as creating various dashboards to host information and status of important product updates. I have not got full use from the product yet, as it offers a wide range of features that take some time to learn. Pros It is great for managing tasks, tracking progress, and collaborating across teams. Using the pre-built templates can also save a lot of time. It feels like using excel style sheets, but with much of the formatting work already done for you. Cons One of the main drawbacks of Smartsheet is its steep learning curve, especially for new users or teams unfamiliar with project management tools. " June 12, 2025 3.0 I would like to note that I only access the tool when I need to. Because it is what our team uses, I have resorted to keeping my tasks in a linked word doc or in my notebook. Pros I like that the filters are very easy to use when we are looking at the kanban view. It is easy to drag and drop between tasks. Cons I do not like how messy it looks. However, once it’s set up it works well. Cons Looks like excel, but does not have the full functions. Layout is not always user friendly and takes extra time for some users to acclimate. Now we use it every day and it is systematic, easy to use and not expensive. The automated workflows simply save your time that you can use for other a activities now. The availability of the mobile app is very convininet for the top management overviews of the project status anytime. Communication within the project plans is thorough and easy. Smartsheet will remain our tool for a very long time, I am sure. Pros Solution to managing projects are execellent. They collect data from multiple projects into simple and useful dashboards for overview that the top managers adore. It helps us boost our PM process efficiency on a daily basis. Cons The design could be a bit more modernized. But it is not a big deal to be jonest. Pros It's feature-rich, especially with the automation capabilities that are baked in. Cons As with all software, there is a learning curve, but once you get over that, it is a solid application that can solve many types of projects and processes. Highly recommend. Pros Smartsheet is a wonderful tool for me. I use it to create tasks list broken down by project schedule and then can notify key team members about those tasks. They can update whether or not it's been finished so I can keep track of what's been done. I utilize their Gantt charts also to produce project timelines for clients - and in particular clients with whom I have multiple projects, and they can see them all in one place by creating a widget that shows all ongoing timelines in comparison. Very useful. Cons I think there is a learning curve to it that can be a bit challenging. And finding the time to access learning resources to get up to speed is difficult at times. A solution was needed in my workplace to provide swift communication to our leadership team on negative feedback collected from customer survey calls. A customized Smartsheet template was created and is in full use in our organization. This provided a simple solution to our team. Prior to the implementation of the Smartsheet, we used email communications. This format caused delays, was time consuming, caused email congestion, and were difficult to address in a timely manner. With Smartsheet, our management team was able to develop default questions with fillable blank text boxes for the survey responses within the product. The text boxes also had ample space for all word characters needed. It also had a flagging symbol that allowed our organization to identify and escalate formal complaints to our leadership team at an eye's glance. The drop-down menu feature was utilized template with frequently used answers as weel as names of pertinent subordinate staff and their supervisors eliminating need write them out manually. The availability of these components, as well as the software's ability to transfer the data into a spreadsheet immediately after submission of the entry criteria, made the process seamless. This is clearly an excellent product. It is just what our organization needed. Pros The greatest highlight of using Smartsheet is the software's ability to swiftly transport data entered into an organized spreadsheet. Cons I liked everything about Smartsheet. Pros Smartsheet is great for client implementations. We were able to configure worksheets to meet specific implementation processes. We were also able to provide the client with the ability to update some or all of the worksheets within Smartsheet as well as create a document store for the client so we could keep track of official versions of documents. Cons I wish there was a less expensive option to allow client users access without paying the additional cost for that. Once entries are made or statuses are changed, different teams are alerted to begin the next step. We are able to monitor status between teams and easily gather information. Pros We use Smartsheet very heavily and I enjoy the automations and workflows. They are extremely easy to set up and have a lot of functionality. I also like that different smartsheets can interact with each other. We use Smartsheets to streamline many of our processes and allow for better collaborating between teams. One of the most powerful features of Smartsheet is its critical path highlighting feature. It makes it much easier for you to notice any issues early and try to sort them out. Smartsheet is an online tool, so clients, you, and your team members can use Smartsheet from any location and at any time. Cons Unfortunately, in Gantt chart view, there are limited possibilities to customize the task dependencies. Availability features of allocating various resources do not incorporate part-time availability well enough.
