Whether it be tasks or clients, etc. Its also very useful in that there are filters and otber tools Cons The only thing about smart sheet is that you only know what you know... meaning that there are many tools and ways to use them. In both cases, Smarthsheet has been invaluable. Pros We have been using Smartsheet instead of Excel in terms of our PM related activities and for our yearly roadmap. It has allowed us to complete tasks faster and more efficiently. Its collaboration functionalities are great; the ability to share it with other team members, provide different view/write permissions, and work/save sheets real time saves a lot of time in terms of back and forth between teams. Gantt charts and calendars view are very useful in terms of being up to date with milestones, as well as being able to present the results to external parties (as they can be exported in image format). Cons In terms of functionality, there is not much to dislike. If anything, I feel that we are under-utilizing the product currently. The look and feel of the platform though is a bit outdated and feels under-polished. I would very much like to see a more modern and sleek take on the product. Pros Smartsheet is great for tracking projects, sharing documents, and viewing multiple projects within the software. Its easy to use and has tools to help you organize and assign tasks. Cons The only thing I can think of was there was a limit as to how many projects we could have at a given time but that could have been the plan we signed up for. Review Source JF Jamie F. Its great to be able to collaborate with of our employees who are spread out across the country. Pros We love SmartSheet. It allows many people the ability to know what is going on. We use it for logistics, for onboarding and terminations, for 1:1 managers meetings and more. Super versatile and so user friendly! Cons Some of the already created packages do not tell you upfront you need the highest tier of subscription to access. I do wish you could purchase dashboard access only when needed. It's become an essential tool for the agency. Pros The fact that it's cloud-based, easy to use and administer users. The team collaboration aspect, given where the team mostly works from home, is so critical to our daily/weekly tasks. Cons The per user cost is high so where we would like to have additional users who are more "part time" users but the cost is prohibitive for a company our size. Review Source Amanda P. I suggest it to those who are finding an excellent tool for managing project. Pros It is a great product that provides efficient services for project management. Creating reports and dashboards based on information can be easily created through this application. There is no doubt that it is going excellent. We bought this tool because before our team was working out of excel docs and document management became challenging - how do we know who has the most current copy of the excel doc? The challenge was always getting all the right data on the proper excel doc. When we bought Smartsheet, that solved our problem. Now, when someone makes an edit, that edit is made in real time for all users. Given that this is a cloud service and all data is stored in the cloud, there are certain things we will NOT use Smartsheet for - anything containing confidential information, admin account credentials, or customer PII. There was a serious learning curve for this tool. A lot of it is similar to excel - but some features are brand new. Our team paid for training courses with Smartsheet to learn everything. Pros Very similar to Excel, Great for sharing and collaboration, multiple users can all make edits in real time, Easy to invite users/share, Lots of templates to choose from, FANTASTIC support and training available, Many different ways to view the same set of data - this is good for collaborative task management Cons Limitations that Excel can do and Smartsheet cannot (like add sheets to a workbook), Definitely a learning curve associated with the product. It's worked for what I've needed it for, but I don't know if it's the best tool out there. Pros Smartsheet has been a great integration with outside submission forms. It is a nice place to reference a database of information. It's nice that other information and resources can be attached to the event. Cons It is not easy to navigate. I've never been quite able to figure out the entire layout of the software and how to navigate for all my purposes. The search bar is my friend, but if I had to manually find a file, I'd be in trouble. Review Source BD Brian D. Pros I love being able to share between people with notes or files. We did our whole audit this way in the past and everything was in one place. No need to email back and forth but you could set it up so you could email notifications when changes were made on the sheet. Cons It wasn't often but it did crash a few times. Setup can be complicated or easy....ours is too complicated. Pros Easy to use and set up. Good for keep track of projects. Too good...now we have them for all of our projects. I spend more time updating Smartsheet than anything. Cons I totally dislike the latest improvement that put the comments in a panel off to the side. I don't like it one bit. Centralized location for important information that many users may need to use at multiple locations. Pros It does exactly what it's meant to, it's an online spreadsheet that is easily shared between users. Easy to teach how to use Cons The software is very much the same as when we first started using it. There hasn't been much in the way of updated the interface or functionality. Pros It is a very easy tool to use to track timeline, it has a very simple design and very easy to understand. It's very straightforward, you just need a few data points to begin and get your timeline. You can share it with anyone, as long as you share the link with them, or you can copy and paste the timeline into an email. It's also collaborative - you can invite others to help look into it. It can help with complex projects by allocating resources to a specific task. When you have a complex project with multiple phases you can see everything that is going on at the same time. Cons There are very few things I dislike about the software but it doesn't affect much the usage. If you don't have a license, it's expensive to purchase. You have a limited calendar view - if the Gantt chart is too wide, you have to scroll sideways. Review Source JM Jorge M. Great for highly detailed and stepped project management, but probably more than most need. Pros Many features available to customize it to fit your needs. It will do pretty much anything you want it to do, if you take the time to figure out how to do that. Cons Some of the form usability is a bit clunky and the distribution of content is not exactly sent when you schedule it to, but at least the options are there!
