### "UCare - easy to use and feature-rich for churches on a small budget"

Overall, I've been very impressed with UCare. It's been perfect for our little church.

Pros

UCare is simply the bet bang for your buck that you can get when it comes to Church Management Software. The design is intuitive, and you can't beat the price.

Cons

It's hard to have cons for UCare, because, at that price point, you don't expect much. But if there was a con, it would be that some of the giving features are a little tough to use.

We love UCare! Having the tools we need to effectively love and care for our people, all from within one place has been such a blessing for us as a church and for our church members. We are able to capture all the information we may need but in a completely non-intrusive way to our members. Because no two churches are the same, to be able to also customise the app to suit our church needs, has been a great feature! We are always discovering new ways to help us care for our people more. UCare Customer service is just one click away and they are always willing to help you with any questions you have!

Pros

There are so many fantastic features, and we are constantly discovering new features to suit the needs of our church! Our favorites are: - children's church and youth check-in and out processes to keep them safe while under our care, - the ability to accurately collect and keep a member directory up to date, - providing a secure platform for our members to give, - advertise online and capture event details - keeping all the essential volunteer documents in one place These are just a handful of features that we love working with!

Cons

No cons - whenever we come across an issue, customer service is always accessible to work with us and help us solve it!

We chose UCare for being Australian-owned, so customer service is much more accessible. They also understand how we need to function according to our local laws. UCare offers everything we need from within one app, we don't have to use multiple apps for various features!

### "The U in Ucare"

The U in Ucare has been a bit like a Uturn for my elderly church in learning new ways to record those attending meetings - from paper to software. There is a lot more we could use but it has been small steps and we have a lot more learning to do. I am still learning! I would like to commend \[SENSITIVE CONTENT\] from the Qld UCA who has been extremely helpful in giving support.

Pros

I like setting up meetings and being able to use the check in kiosk to help people check in. I really like being able to check in individual members of a household when not all members come. I like being able to share the registration code for events.

Cons

One thing that is confronting is when using assisted check in, the names of deceased people showing in the household, but not as deceased. I definitely like this least.

### "Game changer "

Excellent. Best decision from start to finish. Could not imagine doing church without ucare. It’s just standard

Pros

We have been using ucare for about 8 years. It changed everything we did. It’s been a game changer. Migration over was a breeze. Events, small groups, check in, volunteers management, child safe, forms, Human Resources, membership process, new comers ucare can do so much. It’s saved us incredible time so we can focus on our people. I can’t think of anything we don’t like. \[SENSITIVE CONTENT\] listens and if we need or can suggest anything. He works on adding that enhancement. We are partners in the kingdom and work together. Covid was a challenge but with Ucare we didn’t seem to miss a beat in caring connecting and communicating with our people across locations

1\. There are NO load bulletins to admin users advising when new /update/changes a planned / released to production platform. We generally find out when a user says what they are trained in has changed. When previously run processes change it is often discovered at the last minute when it needs to be used. 2. There is no ability to produce simple printable reports in UCare and all reports are created as CSV files for post processing.

Pros

1\. Very stable platform well done. 2. As it is an online web based application the response time is very good.

Cons

1\. We use CSV exports to get required report data out of UCare. Can I suggest that the "," not be the delimiter used when exporting More Detail entries. Can I suggest the "|" (pipe) be used as the delimiter when data is exported. We have run into data entered on forms /More Details with additional "," (commas) entered and when exported throws out the data in the CSV file. This has then presented critical medical data in wrong columns of the CSV file which is then printed incorrectly . Also the only way to do a FULL dump of our data is to use a CSV dump so extra commas is an issue. 2. People/children who do not have a mobile phone or email are not linked when a published form is used as UCare cannot form a linkage required and thus creates a duplicate entry. Some oldies only have old landlines.

Hi Don, thanks for the review. Here's a few things to help with your Cons and Comments 1. By default, the delimiter is a comma, which works for most of our churches, but if you reach out to the support team, they can customise this for you. 2. As children typically don't have a mobile or email, you collect a Birthday to match their existing profile. While Mobiles are the most common phone number we see these days, you can enter any phone number (e.g. a landline). On people questions, tap the Field names tab and customise it to "Mobile or Landline". 3. Changes are published in the Updates section of our help centre, and you can subscribe to these updates. Also, any major updates are emailed to Super Admins. 4. Our Lighthouse edition includes Wave Analytics, which allows you to create custom filtered and interactive reports. The format can be tabular, pivot, charts, maps, birthday calendars and more. For more info see ucarehq.com/features/analytics

### "Church management system perfect for medium-sized churches"

Easy to use and deploy. We're able to have almost ALL of our leaders have access to the tool. This eased up a lot of manual work we used to do, though of course, there are still areas for improvement. Would recommend this to a church with less than 1000 attendees.

Pros

Have to say that our favorite thing about UCare is it's charging mechanism that is dependent on number of regular and active "people" in the database. This is a lot more friendly than other software that charges by the number of users, or via t-shirt sizing (small, medium, large). Very easy to use as it is cloud-based. Also allows import of records, which helped us move seamlessly from our Google Sheets attendee database to UCare. A lot of functionality available (events, giving, services, team) even down to the person record level (birthdays, relationships, households). Customer service is also responsive and knowledgeable - a user once made a wrong bulk check-in for an event, and the customer service team was able to roll it back. Love the PROCESSES & FORMS functionality as it eased up our guest follow-up work, and also appreciate that it's quite easy to do cleanup of DUPLICATE records.

Cons

Reports can be improved. There are lots of things available within the system, but there can be more to meet the church's need. Would love it if one can make personal dashboards, which would lessen the need to go into each group or meeting to get numbers. Also a bit difficult to do name search as it does not allow for searching of second names or maybe a nickname. Relationships and households functionality can also improve - as it is not as intuitive as expected.

Being able to have multiple users access as required was a huge advantage and the level of IT skills required to operate Ucare was not over the top.

Pros

The ease of importing existing data and web page style access and use. A fairly quick thing to learn for other users.

Cons

learning how some of the features worked took a bit of trail and error until we got it to do what we wanted. SMS messaging is still limited to 165 characters this has been an impediment to using this feature

Thank you so much for your review Gavin, it is great to hear that users have been able to quickly learn the system. We generally recommend email for longer form than the sms function as it is free and generally sms has carrier charges which is independent from UCare itself. The character limits for sms are linked to how sms carriers processes sms charges. We have constructed the formatting to align with these principles so our customers know that when they send communication via sms they are only charged by their carrier for 1 sms. Here is an example guideline of carrier structures including if the body allows for more characters. 1 - 160 characters = 1 SMS charge 161 - 306 characters = 2 SMS charge 307 - 459 characters = 3 SMS charge And so on In other words, for example 5000 characters / 153 characters = 33 SMS charges. I hope this helps you in working through communication strategies for your church. Thanks again for your feedback

### "Useful Church Data base"

Overall, Ucare has been a useful database for our church. As I mentioned already, I feel we are not using it to its fullest capacity for what we pay for, and maybe the opportunity to have a representative from the company join us via Zoom at a staff meeting may be helpful for us to understand what we are missing out on. (we have not requested this before so may be an option)

Pros

I love fact that it is reasonably easy to use when I am out and about to find addresses, phone numbers and notes that have been put in to refresh my memory of peoples situations. It is also easy to update notes from my phone. I also love the Task function, which I can set up to remind me of certain special birthdays or anniversaries and also set a task for other staff members or volunteers, which will send them an email reminder.

Cons

I feel we are probably not utilizing the software to its fullest ability of what we are paying for. Add note or I'm done have been confusing for most of our staff as we were starting to use it. Maybe cancel would be preferable wording to I'm done. Through COVID we subscribed to the text messaging service, but have had trouble utilizing it.

In our user testing, we had many people comment on "Cancel" and ask did that mean they would be cancelling a person's profile, a group, a meeting, etc. If you are still having issues with SMS please contact support so that we can assist. We have loved UCare over the past year because it is the one system that has allowed us the flexibility of processes working in the background for us. This has improved our systems and follow up/care of people immensely. Hi Maika It sounds like your church may be on the Legacy edition of UCare. If an admin switches to Growth edition you will get access to all the rostering/scheduling features. Also, you'll get access to tailored coaching. We have churches of over 100,000 people using UCare. it has lots of extras like members and donation apps & sites, rostering, songs, church health dashboards (i.e. analytics), Check-In & Child Safety, and Automation Studio. You can customize most forms in UCare to work just how your church needs. UCare also integrates with several services and has an advanced developers playground for churches that need to create custom solutions. ### "Scaleable professional church management software "

I've appreciated the concern for the little guy on the part of U-care. The crew there have struck a balance between developing all the high end functionality you could want, but without lagging on support, or forgetting the smaller churches who don't need / can't afford everything right upfront. I'm confident that their processes will allow us to effectively implement, manage and improve the pathways we've defined for growing more and better disciples of Christ.

Pros

As a small church plant of 30 people we chose U-care because it catered for who we were then ... and is scaling naturally and easily as numbers grow and our processes evolve. Just tracking attendance has highlighted things I was missing and so has been super-helpful for care and discipleship. A friend whose church is around 100 has set up teams and processes for home groups, Sunday welcome etc. and as a result has been able to effectively deploy his church in helping people into the relationships that are going to help them settle, grow and serve. Any time that he has thrown at developing their U-care profile has been well supported and has been well repaid in terms of impact - no frustrating cul-de-sacs and time wasting. I like what I see of the added developments and the service team have always been responsive.

Cons

Nothing. I'm not techie, but even I could get going right away with easy data import options. For anything more complicated I'm confident that I'll get whatever help I need from the support team at U-care.

Reason for choosing UCare

Scalability, knowing that it would cater for us from start to finish. Second criteria was price-point ... no set up costs and fair monthly pricing.

It’s not bad. Provides fir general application requirements.

Pros

Fairly user friendly. Emailing and SMS functions are good. Able to accept event payments.

Cons

Problems with printing checkin labels on recommended printers - system too subject to WIFI issues. Event registrations often end up with duplicated people records.

Hi Grahame Thanks for taking the time to leave a review. Regarding WiFi, many of our churches successfully use UCare on slow WiFi connections. But 2 clients have had issues using UCare at Event venues. This wasn't a UCare issue but caused by Event venues using QOS software to block WiFi. We recommend getting dedicated bandwidth from the Event venue, or as UCare uses very little bandwidth you can use the Personal Hotspot option on a phone. If you using budget DYMO printers, the DYMO printer software for macOS contains bugs. You can alternatively use Brother printers for iOS and Android stations, or Zebra printers for high-speed label printing. Please contact support so we can put you in touch with DYMO support or provide you with more info on the other supported printers. Finally, if you are getting duplicates, ask attendees for a mobile phone or birthday so that UCare can match existing profiles.

Other than internal connectivity with congregants the overall efficiency and abilities one can achieve utilising the Ucare CRM is very good.

The fact that it focuses on religious organisations and the way they are set up and managed.

Cons

Sometimes you have to go in and out of sections to find different info on congregants. Having a quick link to church members and their involvement in different departments and families would be very useful.

Ease of use of the aspects and functions I know. As an older user, I need things to be simple and easily accesible and understood

Not as intuitive as I expected - sometimes it can be a little hard to work out functions for someone who is not as young as other users

If you are the person who created the account, you'll also receive several emails from our team to help you with onboarding and using UCare. For the first 7 days after you first sign in to UCare, a Welcome help article is displayed on the home page. This article also links to all our Youtube videos. On every UCare page, you can click the "?" button in the top right; this displays help articles & videos that are relevant to the current UCare page. This also allows you to send a message asking our team for help. You can also access the support centre & all our videos by clicking the Support link on ucarehq.com. Pros

UCare has a huge capacity to manage our organisational needs. I liked that there were many features to choose from when creating events and forms.

Cons

The organisational structure of UCare is slightly confusing e.g. making groups. I don't find it particularly easy to use for an organisation that has high turnover from year to year, as a university club that needs to accommodate incoming and graduating students every year. Some important features are not clearly displayed and are difficult to find.

With regards to graduating students, UCare has options to promote students which can be used to simplify what you are doing. Contact support so they can discuss your unique needs.

We have been using this program for quite a few years and have had no problems. It is an invaluable work tool

Pros

I am not very computer literate and I have had no problems learning and using this software

Cons

It can sometimes be slow to access help if you need to talk to a person

Makes member profile management easier across groups and sub groups

Cons

Having to have a year of birth for adult members to appear in directory listing, some older adults don't like to disclose their year of birth.

Hi Carol. great to have a review from a fellow Gold Coaster. As COVID lockdowns started in 2020, several denominations including yours asked for a discounted version they could use to support their small to medium parishes in one master account. This is what you are using and to unlock the discount support is provided by your Synod head office. They can get access to custom training so please contact them for info. I would imagine that UCare would be a little more work than your previous Excel spreadsheets. But I wanted to point out that when you enter a person's birthday, the year picker in the calendar allows you to select "?" as the year, and if you select this then those people will still be included in your directory listing. Our ministry success team contact you this week to assist you further.
