Financial Process Manager Construction Used the software for: 6-12 months ### "pVault Integrated with RFMS" February 16, 2024 5.0 Implementing pVault increased our efficiencies by reducing the time and effort it required to attach documents. We were scanning, bookmarking, splitting and manually attaching. Now, we scan and documents automatically attach! Additionally, indexing is easy and makes document searching more successful. Pros pVault allows documents to be scanned and directly attached in RFMS, where users can view easily. Cons After initial set up, I am responsible for setting up new document types. It can be difficult to get all the details correct and implement successfully. However, customer service has been excellent at helping me figure it out. Reason for choosing pVault pVault appears to be the only product that integrates with RFMS. It's very easy, now, as a Senior Data Analyst, to attain access and route documents-noticeably increasing productivity for every team member. Pros With this software being integrated into our accounting system, storing, indexing, and retrieving documents became very easy. Centralizing the platform has really saved us time and manpower. Cons Sometimes, setting up some of the workflows does take a little trial and error. But that's a minor inconvenience weighed against the overall benefits and very good customer support. Their customer service department is exceptionally attentive and devoted to fixing problems where they can. They have been very supporting in adding new features and functionality based upon needs of the customer base. Pros pVault cleanly integrates to Trimbles Vista by Viewpoint, which was crucial for our implementation. It also optionally integrates its APFlow invoice management solution for managing AP Invoicing, routing and approvals. The degree of detail available in customization for the routing and approval processes exceeds that of any other application in the marketplace. Cons Problems with native PDF documents with digital signatures, and oversized image files. If the system were to simply identify and reject these documents rather than "breaking" a batch process, it would be easier to handle the exceptions. Reason for choosing pVault pVault was chosen because of its ability to integrate to Vista, and because of the APFlow functionality as our invoice routing and approval needs are significantly complex. pVault was the only product that fit our needs. Their staff was professional, knowledgeable and supportive for every level of our organization. From users that had no knowledge of paperless software to experienced implementers, they all were more than satisfied with all their pVault interactions. The software itself is extremely powerful and can be implemented at a variety of levels. Pros pVault eliminated paper and energy that it took to maintain and store it. It increased accountability, security and efficiency. Cons Although learning how to use it and adapting our system to the "New Way" took some effort, it was well worth it. Occasionally the updates cause other things to not work, and most times they are willing and able to fix them. Pros The ability to print into pVault without having to print and scan, saves money and time. Being able to route documents to users to approve or to work has helped keep the trail of where the document is, instead of a stack of paper to dig thru. Plus the ability to search for a word within a field, so you don't have to know how it starts, but look for the word. Cons Sometimes there are strange issues, but pVault support is great at trying to figure out what is going on and getting it fixed. It makes organizing documents and searching them faster and you know exactly where it is. Cons I honestly can't provide a con because they are always making the software better. AP Specialist Construction Used the software for: 2+ years ### "Easy to use" April 19, 2022 5.0 Pros PVault is very easy to learn since the software is so user friendly. I use it for accounts payable and it has sections for invoices not yet entered, in process, rejected and completed. This makes it very easy to find invoices and know exactly where they are in the AP process. One of the many things you can do is put notes right on the invoices or in notes that accompany the invoice. All these features are many easy to figure out so that there is not much of a learning curve necessary for PVault. Cons It is not easy to get a hold of customer support for this software. We first will have our IT department try to fix any problems with the software, such as shutting down and restarting the system to try and fix the problem. If that does not work, we will contact the PVault customer support, but they can be hard to get a hold of. Review Source AW Andrea W. It can confusing for some to navigate through the desktop version. I prefer the ease of the online reviewer portal. Pros one the system is not "broken", it is a great tool for tracking compliance, jobs, etc. Cons when pVault does updates to correct one thing, it usually causes something that was working just fine to "break" and then we are having to figure work arounds while your developing team researches to fix. Pros This Software is easy to use and does what we need it to. It saves us paper. Cons The software retrieve system is a little lacking and the user limit is kind of annoying. There are 2 ways to find indexed items in the system. You may just need some additional training. As far as the user limit is concerned, the licensing is concurrent user licensing.
