We don't have issues with searching for documents even with the growing number of records. The system also integrates with existing systems. For example, I can create dynamic lists for the users to select from based on another system's records. Cons We like using lots of folder levels to organize the various documents, but the system doesn't have an explicit way to navigate "up" to the previous folder level. Instead we use the browser's back button, which is not going to work if I searched for and jumped to a file. In Windows Explorer, you can search for a file and navigate to its folder, and from there you can move up a folder with an explicit button... Review Source ZF Zach F. This is probably a push to sell professional services Cons You can pay for a support contract, but if you ever need support prepare to get told you need to pay for professional services. Needed to upgrade our Docstar instance to a new version got directed to professional services. Need assistance with creating a workflow, Professional services will help you for the right price. Really confused on why we pay for support when every support request gets the reply "You would need professional services for that". Requested access to download new versions of Docstar from their website... This was 4 months ago and they still have not come through with the request. Pros Our use for this software is to streamline our invoicing process. Receiving the invoices via email, the PDF is captured by IDC, verifies data, then sends to ECM. I find not handling paper a great convenience. Previously, we would receive the email, print the document, open the invoice processing, and proceed with AP. The ECM process is quite smooth and has helped bring us further into the digital age. Cons We would like to have an option to capture tracking numbers from invoices (if applicable) and populate P21. We down sized the office. We were completely ready to go to remote working, no shut down. Pros The data stored is available to who ever has access including remote access. People do not have to be in the office to be productive. you can find thing fast and storing document's with workflows keep the lookup consistent. Cons The folder system for looking up document's needs features. Renaming folders, combining folders contents and. general maintenance of folders is not there. Reason for choosing DocStar ECM The sequel data base to keep track of what you have. The end user ease of use. The security features. although some what complicated. Pros DocStar integrates with many programs, including various email platforms and PDF editors. Our users have not problems accessing and using the software when out of the office. The dependablility of the platform is awesome. The User access and passwords make it both easy to use and easy to control. In the 15 year plus that we have been a DocStar customer, it has saved us time, effort and money. In addition, our clients have been very impressed with our ability to gather, retain and send files to them. Cons There were times in the past, when DocStar would do updates that negatively affected our ability to use the software and it would cost several hours of "down time". In the most recent years, this seems to have been mostly resolved. October 13, 2022 5.0 When we started using DocStar 5 years ago it actually saved us from hiring another person in accounts payable, which added to the product value tremendously! Pros There is rarely a day that goes by that I don't say to myself or outloud "I love DocStar!" The ability to find a document when you need it is priceless. Approval stamps on the document provide necessary backup. Cons With every product there a few things you wish were different. If you find those things you can suggest the change in the betterizer. Pros II used DocStar in my last job. I found it very user friendly and easy to set up. I looked at several different programs at the time and very glad I choose DocStar. Project Engineer Mining & Metals Used the software for: 6-12 months ### "Solid Document Management System" October 13, 2022 4.0 We're using this to automate our material certifications process by attaching documents to lots within Epicor Kinetic so that we can then send them with out with Finished Goods. Pros Easy to upload files. The integration with our ERP (Epicor Kinetic) allows us to attach documents to records within in the system and then pull back those records later. Cons The integration is Static. Once you run the workflow, the links are no longer live. Also, the workflow feature is nice. But it would be better if you could customize the software to have workflows run on certain actions. There is nothing preventing a user from circumventing a workflow. Review Source BW Brent W. Version control comes standard and integrates very nicely with MS Office Pros Base system comes with lots of standard features such as records management document workflow, zone ocr, content searching, approval routing and audit trail. The product is browser based so can support Apple/ios environments and be easily placed on premise or in the cloud. Support for multiple companies, TWAIn or ISIS scanning. Batch importing thru email, hot folder, xml or csv comes free. Full MS Office integration and virtual print driver come free. November 18, 2016 4.0 Before our company transitioned to docSTAR Eclipse my office was wall to wall dark filing cabinets crammed full of personnel files. They were overwhelming and more importantly even though locked, not fully secure. With docSTAR Eclispe mountains of paper are a dark memory. Security and confidentiality are top priorities. Past and present employee information is always at your fingertips! Fingertips that no longer have to deal with constant paper cuts! Previously an audit would require extensive time pulling individual files and documents, hoping that everything would be put back in the correct place. Now a few clicks of the mouse and documents are exported with ease with no risk of losing information or it falling into the wrong hands. docSTAR Eclipse has been a game changer for our Human Resources Department! I couldn't dream of going back to piles of paper. I highly recommend this product to HR departments both large and small! Pros The ease of use. With just a little training I was able to fully use the software. It's very intuitive. We use it to digitize all our student records and accounting information. It is easy to access the scanned information later and either print out or send documents via email. It's also great for any audit you may have for quick and easy access. Customer support is so helpful and easy to get a hold of if you need technical support or need assistance in downloading any new software. Cons I have no comment on this as it works for us! May 8, 2020 3.0 Unfortunately, there were too many issues that we felt did not have good solutions therefore, are no longer using this integration. It was taking longer to process invoices which should not be the case. Pros I love the integration with Epicor and the workflow approvals. Cons The fact that this was sold as out of the box ready solution was not true. We had to spend weeks of consulting hours (plus thousands of $$$) to get this programmed. However, the software does do most of what we wanted, and has been working well since all appropriate employees were trained fully on how to use it. Pros Integration with Prophet21 ERP was the main reason that we purchased Docstar ECM for document management. It achieves that purpose. Cons There are certain documents that we want to have available through Prophet21's specific windows, but they haven't yet considered these work flows.
