Our experience with the software and Fraxion team has been very positive. We are hoping to improve spend approval process, automate processing and control our costs.

Pros

The system is extremely user friendly and can be used with little to no training. It creates an overall view of the spend, which puts the authoriser in a informed position before approving the spend. The automation of the process and paperless environment is great!

Cons

We had some difficulties integrating the software to our ERP

Overall, great. I inherited the oversight when we were in between DOF's. I'm much closer to it now. It keeps all departments in sync without wasted time. Also, helps to organize us to get things paid on time.

Pros

I keep a pretty tight budget. If I approve am expense, my DOF and GM trust it, but it also keeps them in the loop without having meetings to discuss expenses. They can see them as I see them and as questions, if needed. The who order the supplies are great at running a facility, but computers, not so much. They are able to navigate it as useful tool.

Cons

I'm sure there is a setting somewhere, but I'd like it to be easier to reference past requests. 'Reports' are long and not always what I need. For example, if I don't know who the req initiated with, it's hard to find. Maybe filter by GL code? This seems ticky tak, but you asked!

it has been nice, but there can be improvement in Viewing, sorting, availability and updates

Pros

I love how things are grouped and categorized. Viewing is simple and easy to look at understand. The filters need help.. the "Last" tab shows but you can also tab at the bottom.. Kind of redundant.

Cons

The system doesn't seem to be always updated. Sometimes I am looking for information and it has not been updated in the system.

We were on a paper system using Microsoft GP as our accounting software. We needed something that integrated with GP and was easy to implement and train. After a year researching various alternatives, we chose this software for cost, ease of implementation, and user friendliness. The implementation support was superb and the follow-up customer service was exceptional. We continues to expand into additional modules - the software saved us in significant time and effort of our purchasing team. It also greatly improved our audit response time. Our users can now easily request and track their purchase requests. The final PO is in GP, but this is accessible to them as well. Our number of licenses for GP prevented them from actually being able to check the PO. Recurring or blanket POs are much easier to produce and maintain on an annual basis.

Pros

Ease of use and accessibility to our primary requester personnel. Integration and Interface to GP2015 simple and automated. Clearly defined rule sets based on both Levels and Supervisors. Flexible rule changes to meet changing requirements. Tracking of requisitions and follow-up on results. Special Projects tracking.

Cons

So far nothing. Any Minor issues at implementation were worked through and explained by the implementation team.

Reason for choosing Fraxion

Excellent support at initial analysis of our requirements. Ease of use compared to other systems. Cost/price point with functionality was a significant reason for our decision.

Mostly good with respect to the approval and request submission process

Pros

The Approval flow process. The ease of submitting requests, and a few of the reports.

Cons

Simple Features like making change to a vendor, making change to delivery dates are not available features available, and it is a shame that they will develop such a good system and fail to consider very simple everyday things like these that people need to make things easy. And doing change orders after you cancel a previous one is not possible. The system needs more simple features for everyday users who make simple errors to correct them easily.

We have taken a person who previously spent 100% of their time keying invoices and been able to utilize them in much more value-added areas within the accounting department. When you see the first invoice from API-Centreviews and realize that they keyed 800 or 900 invoices on your behalf (and then wrote all the checks for those invoices) and how much time that would have taken your employee it's dumbfounding. API not only does things faster, but their system increases security and record retention simplicity.

Pros

Implementation flowed smooth and quick as we had a dedicated project manager who took us through the process. The web-based system is easy to use and took minimal training for our various users to get up to speed even though they're in various offices. Customer service is US based and always very responsive when we need support. The added security/approval levels the system provides is much better than any in-house paper routing system we could have come up with. It's much easier to find an invoice now with everything on-line in a PDF than before where we had to track down the paper copy in a file or on someones desk (which may be in your building/location or may not be!).

Cons

They have a few canned charts for reporting that don't appear to provide much benefit. With some tweaks they would be very useful but there is no option to edit the data for the charts at the current time. We have a 1-to-1 GL account name to account number structure yet we still have to pick the GL number from a drop down list after we select the account name. Seems redundant.

Good, but when upgrades are implemented, there should be lead time and engagement with user(companies) to ensure better controls are in place should there be issues. Functionality should not be taken away only enhanced to increased. UAT Testing should be allowed with client testers before upgrades are completed. Each client/company has different needs and therefore should be catered to.

Pros

Easy to use application once you know the features.

Cons

Implementation of upgrades without consulting/involving companies/clients.

Less paperwork in filing cabinets and paperless purchasing has been a wonderful change.

Pros

Our greatest feature has to be "Punchout". When we went live with it, everyone really started to enjoy it.

Cons

I would prefer someone from Fraxion to be onsite for setup with our IT group. We have all of the features and have yet to get them running due to some issues. Other than that, it is a great tool for us.

My experience with Fraxion has been very good, great respond time whether for support or sales queries. Very professional helpful staff.

Pros

Easy integration with backend ERP, flexible approval workflow based on $, multi-approval workflows based on request types, great requisition audit/even history, clear visibility on approval workflow in each requisition.

Cons

No ability for RMA's or supplier credit notes, must be done directly in the ERP so $$$ related to a PO don't match between the 2 and affects purchase reporting analysis.

Reason for choosing Fraxion

Recommended by other Sage ERP partners, ease of integration, general feature set and transaction flow.

Pros

Centreviews is better than processing and coding invoices manually.

Cons

No ease of function. You can't drag cells down, even if the entire column needs to be the same info. You need to click through EVERY cell to change something. WHY??? When an invoice is in resolution, you need to correct it and then it goes back to approvals? WHY do I need to touch the same invoice twice? Give me the ability to approve it while in resolution.

Pros

I love being able to get Co-op invoices with required notarized documents from Centerviews.

Cons

The one and only feature that I have a real issue with is the timing to get all information into the system so final documents are ready for the customers deadlines. I find the upload process from our system to the final product in Centerviews is very lengthy.

Ability to e-mail purchase orders directly from eReq to a supplier. Ability to upload attachments (quotations, drawings etc). Show audit trail of when & by whom eReq was initiated/edited/approved/PO created and when & where it was sent. Customizable privileges to different classes of users.

Cons

Some of the setup is tedious and not necessarily most intuitive (luckily the customer service has been pleasant & professional to deal with). Software updates can end up being lengthy processes.

Simple to use. When it's simple I can knock it out quickly instead of avoiding it and things piling up.

Pros

Platform is easy to navigate and intuitive to use. If you make an error, it tells you what was missed so you can quickly correct it instead of guessing and checking.

Cons

Some entries are preformated incorrectly and I have to clear them and do them over every time but this could be an internal set-up issue.
