Pros: There are some fairly simple and straightforward templates for psychiatric and specialty mental health services in the software.

Cons: Even with a great internet connection, users can be typing for a period of time and lose notes, because the system crashes on the Qualifacts/CareLogic end. This happens more than occasionally, so we have to hit Submit to save our partially written notes quite often. I'm both a clinician and administrator, with a 12 year history of being a medical director and experience implementing three different EHRs in different clinics. I also see patients, work out in the field on an ACT Team with the homeless, and have done everything from that on up to training staff. This EHR is very clunky. The interface is not user-friendly, and it takes an unnecessary number of clicks to get even very simple documents into writing. Also, it is only accessible by using PCs with Internet Explorer. In my experience, IE is widely considered inferior and slower than Google Chrome, Firefox, Safari, and other products. The way the EHR is set up is not like a medical record, which should read from beginning to end in a clear, chronological order with reference from one chart section to another quickly. This feature can and will save lives. But the setup in this system is more like different clinicians, each having their own records. It takes too long to reference others' notes and then get back into the body of your own note. There are glaring omissions in the psychiatric assessment - things that would fail a typical medical student write up, let alone resident or post graduate. For example, there is no field in the ACT Team psychiatric assessment for past medical history, past family history, allergies, alcohol and substance use history, or social history. It might work okay for poorly trained psychiatrists that do not document these minimum fields in their initial assessments. But if you want to provide good, quality, evidence-based care using the recovery model, bio-psycho-social model and collaborative documentation, it is not possible with this software. It does not have customizable fields for certain treatment teams or specialized services. I recently finished an initial evaluation and tried ordering labs with the software. I soon realized that each specific lab I ordered would require a lot of clicks and diagnostic codes, all of which could be handled by the simple v58.69 code - metabolic or other medication related side effects. There are other examples as well.

Recommendations to other buyers: Developers of this software and people that use it in clinics every day should meet, discuss patient flow, do real-time field testing with a few volunteer patients or fake ones, and then determine how to make this a viable product. Compare this product in a field test to that used in primary care or in your local average pediatrician's office, where iPad-style tablets or hardware are used to quickly input data that collects into a central, meaningful reservoir of clinical data. The faster it is to document, the more history and vital information can be brought together, which results in more face-to-face time to troubleshoot medical decision making and fine-tune a treatment strategy that will really work and result in measurable clinical improvement and patient satisfaction.

Pros: Qualifacts is highly responsive to customers' needs. They offer frequent webinars, a customer support website, and a support ticket system. CareLogic customers have also formed user-led groups which meet quarterly to discuss system use, new features, etc.. This helps customers take advantage of massive changes in the healthcare field and Qualifacts' constant efforts at providing more powerful features. Qualifacts has a yearly conference, which is a great opportunity to learn about features directly from Qualifacts' staff. I have attended twice and learned a great deal of new information each time. CareLogic is highly customizable. You can create and modify forms and reports to fit any type of behavioral health program. The program comes with many options already configured, but there are limitless ways to tailor the EHR to you specific needs. Users who are familiar with Structured Query Language (SQL) can create customized reports to meet nearly any business need. In addition to the ability to program reports, CareLogic comes loaded with dozens of reports for a variety of needs. CareLogic has features to handle every step in the client/patient process, from initial phone call to discharge. It also has many features to track and manage employee data.

Cons: It's not a "pretty" system. I have seen EHRs which look fancier and appear to be more user-friendly. It does not yet support multiple browsers (Chrome, Firefox, etc.). It has to be run only on Internet Explorer. It can experience varying degrees of system slowness, especially when e-prescribing, throughout the day. I don't believe this is unique to Qualifacts, however - you are at the mercy of your internal network and internet service provider in addition to any speed issues CareLogic may actually have.

Recommendations to other buyers: Don't underestimate the amount of in-house expertise you will need to support an EHR. Many agencies have two full time staff members: one for system administration and one for report writing. CareLogic is not a program that can be administered by someone as an add-on to their regular job duties. If you want to manage it well and take full advantage of its power and features, you need to devote a staff member (or two) to the task. Ask about any "hidden" pockets of staff time needed to get system up and running. For example, setting up the treatment plan grid in CareLogic can easily take hundreds of hours of staff time. If you are currently using paper files and intend to transition to fully electronic, be prepared for this to be much more difficult and take much longer than planned. It is critical to accomplish this, but it is quite challenging.

Comments: Think twice about having anything to do with this program. It will cause nothing but problems unless you have a full-time SQL programmer on your payroll that does nothing else try to write reports against a poorly designed data structure, along with a full-time staff to do nothing but correct and try to correct the multitude of errors caused by this convoluted system.

Pros: Nothing. Don't be fooled. It's terrible software written on an unstable platform. Over time, they have cobbled this database into a maze of impossible tables and fields with no common keys.

Cons: Impossible report navigation, antiquated form builds, impossible to make changes to forms without major rework, add-ons such as HealthVault and UpDoxx are second-rate with no direct link for uploading patient documents to meet MACRA MIPS requirements easily. Too much time spent trying to understand the multiple manuals and daily notices of implementations. CareLogic proprietary forms cannot be used in combination with configurable forms. Support portal is a joke - Anything sent to Tier 3 (I suppose that's their software engineers) can take months to address and correct.

Clinical interface works great for clinical staff. Ongoinsupport model leaves a lot to be desired.

Pros: Ease of changing clinical forms. Ease of searching for clients and staff. Scheduling and finding availability for appointments. IMPACT library and potential.

Cons: The business model that goes from on site implementation to distance based support primarily through tickets and pushing out or new products. While the price point is low for organizations; Qualifacts should truly consider a regional manager or regional support model. THis would be more than holding regional user group meetings. This would involve an RM making calls to clients to discuss their needs and new products and roll outs and then checking in the system to make sure things are optimized.. At least quarterly visits as well for a day. Please consider this. Customer service and true engagement is where its at. We spoke a lot about patient engagement this conference but the Qualifacts model is not one of continued client engagement. I know many think it is as it has awesome components and community spaces but truly having a go to person for the region who checks in and cares is the way to do it. Anyway, we are working hard to translate all of the awesome features to our practice. Well done conference.

Pros: l like to ease of use for staff to schedule clients and document in records and billing out for services. There are some nice options for face sheet, medications is pretty easy to use. Entry of client information is easy to do. I

Cons: Carelogic has taken a long time to improve the treatment plan and it should be more configurable and report view is not easy to read. Lab functionality does not pull in client informaiton from Carelogic (Insurance, Diagnosis) and staff have to double enter information every time order a lab. Qualifacts needs to have ability to merge clients as we have many duplicate and there is no way to combine them. we are unable to delete test clients. We also need a password reset function, Reporting is complicated for end users and need easier way for managers to pull reports,

Overall: we are able to serve our clients better and integrate outcomes within their records, bill electronically, report to funders, collect data for MIPS, state reporting and use reports to educate our managers and staff.

CareLogic has been a perfect fit for our behavioral healthcare organization

Pros: CL has been a good fit for a diverse staff with varying degrees of experience and professional maturity. It lends itself well to individualization of forms and processes. It has features that make life in this complex BH world easier to navigate. We have yet to examine the full capabilities! We have a skilled report writer who is able to write reports to pull the exact information we need.

Cons: The treatment plan module is cumbersome. There are some new updates that we will be exploring and hope they address some of the clunkiness!

Overall: Improved ability to monitor staff performance and productivity; improved ability to evaluate if clients are receiving appropriate intensity of services; improved ability to navigate the ever-changing BH world / managed care world in Ohio

Comments: During the vendor selection process, the sales reps gave the impression the software had a lot more flexibility than it does. The reporting/extracting data has been an issue since we began using the software and continues today. There are limitations in the security since you can block access but not down to a singular item. The configurable forms are a plus however extracting the data from them is nearly impossible. The software has some good points, however in the setup, we were not fully informed of some of the limitations.

Pros: Once you are trained in its use, the flow in the ECR comes with ease. Good tracking and reporting of billing.

Cons: Reporting/Extracting data.

Recommendations to other buyers: Do not choose to use configurable forms. Use the modules provided and supplement as necessary.

Pros: We have been live with Carelogic now for a little over 4 years. Once you get an understanding of the system, it is fairly easy to use. The scheduler is a great feature that allows us to track all appointment, per clinician on a daily basis. It allows for us to easily send clean claims out the door. It also has the nice feature of alerts to help remind the staff of appointments not marked kept or documents that need to be signed.

Cons: Carelogic has a lot of downtime or latency issues. They are also not the most up to date software product out there. There is no options to merge a client, which is very time consuming when you have to fix a clients file.

Fits our needs and highly configurable.

Pros: We get to create our own forms that fit the needs of our agency. Most things tie together pretty well. Relatively easy to train new staff to use the system. The staff are all very nice and willing to help.

Cons: Promised features take a long time (years) to come in to operation. There are a lot of clicks to go through to get where you need to go, and there is no breadcrumb trail to take you back to where you were if you click something accidentally. The additional features all have additional costs instead of being all inclusive. It seems like the newest staff people (who have the least experience with the system) are the ones assigned to the help center.

We have been customers for a long time and I would say that CareLogic meets about 80% of our needs.

Pros: It is easy to learn and has high dependability. We make good use of the reporting tools provided with the system. I appreciate the mobility of the system in that you only need internet access to run the application. We are also happy that the system is available on multiple browsers now.

Cons: Some of the billing workflows can be difficult or not optimized. We frequently find data issues that we have to have reported to support to be corrected. We have also experienced problems related to signature pads and the software drivers with cross browser.

Overall: Data accessibility and ease of implementation/technological access.

Pros: Layout is quite good. Menu driven customization is also quite efficient and effective. Customer responsiveness has improved over the last 3-4 years.

Cons: Accuracy of data is somewhat suspect due to lack of sufficient audit-trail. Financial (commonly referred to as "back office") capabilities are very sub-standard. Rather than being handled as a supplemental add-on, the financial aspects are critical for effective utilization. There has to be more recognition that the healthcare services being conducted and documented are not performed in a vacuum. Financial integration (front-to-back) needs great deal of improvement.

Pros: I like the configurability. There are so many differences between different users and it is great that it is not a one size fits all.

Cons: Soffront help desk is not user friendly. Depending on who answers a ticket it can be a success or it can be a not so good experience. A few require explanations of the very basics or act before they have fully reviewed what I am asking for which cause larger issues. I wish there was more flexibility in the configurable forms such as bold and underline, possibly using HTML to do this like we can with menu management.

Pros: Ease of claim processing, batching and submitting claims. Payment posting and reconciling payments are easy. The ability to submit claims electronically and receive them back electronically was a great feature coming from a system that was all manual.

Cons: Carelogic statements are not very helpful. We would like to be able to run the claim engine our selves. After our go live it would have been helpful to have review of how our billing was set up to see if we were utilizing Carelogic in the best way possible and all of its functionality.

Carelogic provides us a proven practice management system that is flexible with the needs of staff.

Pros: I like that it is an EHR and the Support Team is awesome. When I have a question, they get back to me quickly. I like that they are always improving the system.

I also like that we can bring on affiliates to our platforms.

Cons: Sometimes it can be complex. You really need to understand what you are doing when in Carelogic. I would also like to see Carelogic produce something for medical billing.

Overall: We were able to get an EHR system and a system that actually works. Our last system slowly stopped working.

It has been a good experience. A little slow sometimes with problems but overall a good product

Pros: Great clinically captures information needed most for clinicians . The workflows for clinicians is simpler then in other programs I have used.

Cons: Some of the processes seems unnecessary and could be more workflow efficient. Some functionalities could be easier for staff to maneuver through. It could also have more detailed reports for revenue reporting. Need services to be able to be broken down into further details and more options

Overall: Keeping good records for clients and for Corporate offices

Support is friendly as well as our regional person that comes to the state user group.

Pros: Overall it is great for outpatient services.

Has a useful scheduler for OP.

Finally has the ability to bill for inpatient.

Cons: Overall it is great for outpatient services and that is the major focus CL; has & need to include inpatient processes.

It takes a professional programmer to create reports; this should be easy for anyone to create.

It costs to integrate with any new system; would like to see CL already integrated which an organization will see as a plus.

The Carelogic system allowed us to go fully paperless and increase our overall productivity.

Pros: We chose Qualifacts among all the other vendors considered as they are a forward thinking company, similar to our agency. Now that we have used it for several years, the day-to-day pros are the ease of use, the community of support, the link with Dr. First for e-prescibing, embedded outcome measures, and reliability of the system itself.

Cons: Waiting for the soon to be released mobile app - which will be invaluable to our community-based staff.

Been on the System since 2009 as Billing Manager/Sys Admin. Works well and gets the job done.

Pros: Billing Processes--Easy to use and understand. Processes do not take a long time. Easy to train staff on. The scheduling module is easy to use as well. Like the fact that Insurances can have multiple addresses and you don't have a payer per address.

Cons: Reporting is awful. You can not pull quick and dirty reports quickly. We have a contracted report writer that we pay on an as needed basis. this is difficult when you need a report on the spot.

Pros: Customization, options for personalization, and innovation of product development. I appreciate the friendliness of Qualifacts staff, and the openness to discussing problems with users.

Cons: there are a few fatal flaws (e.g., no way to ID to whom a release of information pertains, difficulty with some platforms, some billing limitations, some forms/fields that cannot be customized).

Overall: It has been a great asset to the overall operations of our organization.

Overall CareLogic has been great. I've been in it for 15 years and have used one other program.

Pros: That it is easier to use then some and that it more configurable to each customer. I've used avatar and CareLogic is way easier. It is easy to use and easy to train new users. It is easy to create forms and learn new features.

Cons: Length of time getting tickets fixed. Often times tickets are in for weeks to months. I currently have a ticket in that has been at least 6 months since it was entered.

Overall: Easy use of an EMR and billing rolled into one.

Pros: I like that we can create our own documentation. Very straight forward, it is like using an app. system has been reliable for the most part.

Cons: I know from our clinician standpoint they would like auto save when in documents. Having a pop-up when client's are checked in. I wish you had a working area which you could return to if having to look at something else. I would like to have a little more edit capabilities such as editing our own dates on error dates, I would like a better POE for clients that are already open but admitting into another program. Transfers are very confusing, would like it not to automatically kick out primary staff, having one primary staff by program would be beneficial. Diagnosis page, wish we could identify SUD and MH.

Very user friendly. Ability to test/train in CERT is a plus!! Great possibility to grow as a EHR.

Pros: Claim stops when something is entered incorrect. Alerts when something is needed. Ability to contact other team members through CL

Cons: Not being able to fix all errors myself. No manual claim engine. Diagnosis does not end when a patient discharges.

Overall: Ability to run services through electronically and bill electronically. We've been on this system since 2012 and were almost completely manual then. This has smoothed a lot of our billing procedures.

CareLogic has helped increased compliance with Federal, State, CCO, and agency requirements.

Pros: There are many configurations that we can set for our agency specifically. This allows us to customize the record based on our needs down to a specific location.

Cons: Some basic menu functionality and ease of navigation in some modules is frustrating. For example, having to search for a client instead of being able to click a link within the module we are currently using.

Cons: There are some minor issues with scrolling over items versus clicking items. I dont always know when i am supposed to scroll over the word to get the next menu or click the word. If you click when you should scroll it takes you out of the record completely and that is frustrating.

This electronic record system is perfect for behavioral health service providers.

Pros: the fact that you can mange the rules and reconfigure forms as needed. but the most impressive is the Quality elements and tools supporting compliance and aleret management.

Cons: Nothing really. The once clunky plan of care has been reworked and we have been provided a new tool that is much stronger.

Pros: It is highly configurable and the company provides great customer service. They provide a variety of options for training staff on the community site through the C3 conference and also admin training sessions held in nashville

Cons: There software bogs down during peak usage times. Our clinicians often are required to wait for documents or are kicked out of their session.

My experience with Carelogic is very good. i feel like I learn new features and functions weekly.

Pros: What i like most is the different ways Carelogic can be used to maximize production in all departments and programs.

Cons: What I like least is not knowing what capability the software has, if it is a configurations, or if it's something I can figure out on my own.

Pros: Documentation is easy. Once you learn how to add one module, you have got it. Easy to navigate once you learn the basic setup.

Cons: Roadblocks...Since change from the MICP lost so much functionality--simple things.

Things like the Utilization Management Module are too limited. Cannot do an easy search and count.

Pros: Configurable forms with business rules are very easy to use. Clinical decision rules can greatly enhance clinical workflow. Direct service staff love the ease of use. A major Pro of Carelogic is the staff. ..always willing to help out and go beyond.

Cons: Report writing, getting outcomes out of the system, no access to create our own views. Canned reports lack information needed, especially many forms do not total. Would like to see a set of basic outcomes needed by most organizations built into Carelogic. The support platform is frustrating and I am glad to see it's being revamped

Overall: Improvement in clinical workflow, Billing is accurate and easy to use.

Pros: Customer Support and training during implementation and support after Go-Live . They have worked with us to support our specific payer needs for Ohio during the Medicaid Redesign. The company really listens to us as customers to support our needs.

Cons: There are a few specific things (tickets) that have been outstanding for more than 6 months. It is tied to our GL needs that we needed and were promised before becoming customers and we are still not able to use it as we need it.

As a system administrator I find the system easy to setup and make changes.

Pros: It has been really good for clinicians to track performance of clients and great for all levels of care to include Residential, Detox and Methadone.

Cons: Some of the configurable forms have been somewhat difficult to put together and putting in soft tickets take some time for a response. Overall, really good.

Pros: Adaptability! System is able to be used in all different lines of business. Very user friendly. Documentation/QSI Connect even being redone, the overall concept of having different forms of communication and training to view at your own pace.

Cons: Reporting for custom reports is very cumbersome. Collection Dashboard tables are not in the reporting warehouse. The cumbersome reports could even be overlooked if when new modules are released so are the tables in order to include in custom reports.

Recommendations to other buyers: Do it!! Outline how you would like to view and categorize you types of services. When thinking about the above, don't box yourself in. So think what you would want it to look like if you expanded services or went into other states.

Experience was rough for a few years but has gotten better for me.
