A very versatile Software pre-configured for many different Quality Management Systems and yet very easy to use and configure

Pros

Instant use as no installation needed and no catches for buying additional training, signature or document modules. All there from the beginning

Cons

I cannot „tweak“ nor bypass the system as all the steps are logged

Reason for choosing CogniDox

CogniDox was the only one to offer all the modules at once, e.g. workflows, training, forms, extranet, etc with a single price, on EU-servers only, secured and fully pre-valdated.

The entire process from demo, training and implementation has been wonderful. The acceptance of the tool within the organization was very fast and growing by the week!

Pros

This is a very versatile product and simple to use. The workflows are very powerful and helps build compliance to several standards with ease.

Cons

Certain standard terminology is missing, for example - Training Profile, Training requirements etc. The features are available though!

Our company has used Cognidox for a few years. We used a simple net drive before, so it has been challenging to get people used to document management system concepts such as document numbers as containers, and the added steps needed to create and manage content in a structured way. It was however a necessary change as the company grew. We have had some difficulties, for example with the automatic PDF conversion and automatic modification of document properties in MS Office, but for the most part it has worked well. The web interface is easier to use than other DMS I have tried. The strongest point of Cognidox is the excellent customer support, which is very quick and effective.

Enhanced document control and system management

Pros

As a Management Systems Consultant, I was introduced to this package by two clients who had already been using it. I found it to be very powerful and quick to learn. Several other clients have independently chosen to use this solution and I can see why. I have used many document management packages across my client base and CogniDox is by far the best-featured product I have come across. The more you use it the more you learn what it can do for enhancing your management system and optimizing your organization's effectiveness. In addition, the customer support is outstanding, with timely and helpful support provided in real time, and openness to enhancement going forward.

Cons

The user interface may not be considered to be as modern as some other web interfaces (but for internal use within an organization I do not consider this to be a high priority).

Company customer oriented politics is open and honest. From the begining if they say - you will get this and this, believe me its true. A lot of trainings are free of charge and it is really nice. 2 Month Demo version also provides you with the full spectre of the software features. Competitors provides only 2 weeks of demo, some of them dont do it at all. We are really hapy that we found Cognidox with their best support team.

Pros

20 users from the beginning. Extranet possibility to create accounts for your suppliers. Excellent documentation management and control. Audit trial. Electronis signatures with your own authentificator. All this will help you to deal with dozens of the regulations in the MedTech industry.

Cons

At the beginning the interface looked a little bit "not user friendly", but after the trainings and understanding "how to" you find out a lot of different possibilities to customize it for your needs and interface is the latest thing you are look for.

As a technology company, we have a lot of files and documentation. The business problem that Cognidox solves is accessing the valuable "wood" among the "tress". As as supplier, Cognidox have been very second to none in their efforts to train our staff and show how the tool can work for our business. Highly recommended on this aspect.

Pros

For us, Cognidox delivers an excellent Document Management System for a highly technical organisation with complex products. Cognidox helps answer the "where do I find the latest version of..." question, whether that be for Product, Engineering or Sales teams. This means that everyone has fast, easy access to current information that can be relied up and reviewed/approved as necessary. The linkage with extranet gives the ability to rapidly publish to our customers with a single tool.

Cons

For us, Cognidox is not an ideal tool for early collaboration on new pieces of work. We are using when documents are heading towards completion and need to be rigorously reviewed, approved and saved for access by the organisation.

Pros

This is a powerful and customisable document management system with applicability across the scope of medical device regulatory activities. We use it both for our core activities and as part of a client offering.

Cons

Steep initial learning curve due to the power of the software. However, this is counteracted by great on-boarding support.

Can provide all the document management we need - to ISO 9001 and well beyond - making finding and controlling documents very easy and highly effective. Also offers great added value functionality, specifically the built-in Intranet / graphical Quality Management System which we have just chosen to replace our previous SharePoint-based system (for ease of use, cost, and maintainability reasons). Customer service is a bonus - CogniDox is highly responsive both to requests for assistance and suggestions for future enhancements.

The functionality of the system is extensive, at both document and category levels, and provides efficiency and accuracy in dealing with our documentation. Exceptional customer support provides swift responses and well-explained solutions to any issues, with the added benefit of being fully open to customer suggestions on system modifications.

We have had CogniDox DMS installed in our company for about 18 months and the after care service is excellent. CogniDox has a huge amount of functionality and it takes a little time to use it to its full extent. I ask a question about something that I want to do and they reply back to you very quickly and always so helpful. An excellent product with excellent customer service.
