Pros

We learned what to avoid when choosing a patient management system, including platforms that don't offer free trials; platforms that lock you into long contracts, and platforms that refuse to offer refunds when their product fails to perform.

Cons

Our experience with TheraOffice is that it has been a complete waste of our time. It was sold to us as a flexible, easy patient management system. It turned out to be clunky, rigid, and years behind the times. Adding a single charge, for example, takes a maze of clicks buried under endless tabs. The “quick guide” for basic tasks runs pages long—more like a manual for programming a VCR than for software in 2025. Customization? Barely exists. We would have to change how we work just to fit this outdated design. The promised Mac compatibility? Nowhere in sight. The “workarounds”? Useless. We’ve wasted countless hours trying to make this system function at even the most basic level. It’s ridiculously slow, confusing, and frustrating every step of the way. TheraOffice doesn't make our practice run better in any way whatsoever — it's a classic example of "overpromising and underdelivering."

I hate it, every week is a new problem

nothing, i hate every aspect of this product

Cons

Every update causes more problems. Customer service is never available. Product modifications are costly. ability to adapt windows is nonexistent. Getting application downloaded is impossible without administrative access, so if the therapists link stops working, that therapist is screwed until administration can be physically be at that computer.

Pros

I mainly used TheraOffice for patient scheduling, patient intake, and reporting. Searching patients in the database is easy, and there are many different categories that can be used to search in order to optimize results. Scheduling patients is quick and easy, and most of the most-used functions (for me) could be easily accessed just by right-clicking on a patient's name on the schedule. TheraOffice also has many helpful reports. I most often used the Patients not Seen in 2-4 Weeks report, which we used to track patients that were in need of follow-ups; and a report that would show patients who were low on authorized visits or patients who had an approaching authorization expiration date.

Cons

Sometimes, TheraOffice would freeze up and then crash. I would be left with a white screen with a red X through it, and often I would have to exit out of the schedule for my clinic and reopen it. Overall, this wasn't a huge problem, just a minor inconvenience when I was trying to do something quickly.

We used this company for 8 years. It was good on the billing side but, per my therapists, lacked on the documentation side. I think any company will have good and bad points. This company is definitely on the Good side of that equation!

Pros

It was easy to navigate and find things. Good customer service and things, like reports, could be customized to company requests.

Cons

Did not have a multiple window option so if you were working on something and needed to schedule a patient, you had to stop what you were doing.

Pros

I feel like all I ever used to do when we didn't have TheraOffice was dealing with stacks of paper and transferring them from one room of the office to the next. Now with TheraOffice, all I have to do is walk to the printer if I need a piece of paper (which is rare). The TheraOffice team did an excellent job of helping us implement this product and they have been great customer support as we have adjusted to the huge change in our office.

Cons

So far we have had a lot of issues with the software freezing on occasion, however, that just gives me a moment to get up and grab a cup of coffee!

Because this software was created by a physical therapist, it is very intuitive. The software has amazing fail safes when it comes to MIPS documentation. The TheraOffice Support Team is the absolute best!

Pros

1\. It has its own billing component 2. Great A/R reports 3. Easy to use and intuitive interface 4. TheraOffice Support Team has the BEST customer service I have seen within any company in quite a long time!

Cons

1\. FunctionVibe does not include all functionals that we like to use 2. Dollar amounts do not include commas 3. Inability to have a patient be on the waitlist in more than one location 4. When adding a new appointment into the schedule, inability to start typing patient name and having the system auto-populate

Excellent. I have felt that Theraoffice has been very helpful with all inquiries. Also, we practice in rural Utah have therapist that often work in multiple settings. I feel Theraoffice has been very fair when it comes to pricing. Lastly, all staff at Theraoffice have been professional and follow-up has been excellent.

Pros

Theraoffice makes an effort to stay current with the software as it relates to changes in the industry. The product looks very clean and professional and those in reception, clinical care, and billing report good integration of all modules.

Cons

I feel Theraoffice could do better job with resources that help market the practice. Most therapy clinics do not have a marketing department and therefore cannot benefit from the benefits of good marketing. I think Theraoffice could help a lot of clinics with a drip marketing system that would integrate with each clients website. Also, a professional, easy to use, robust HEP program that is branded would be great. This would eliminate the need for paper as patients can have their HEP right on their phone.

I liked TheraOffice, but I needed a software to take over my billing. At the time, TheraOffice didn't offer.

Pros

The software was extremely user friendly. It was easy to learn and implement.

Cons

When I was a sure, the only downside was all the specific features, scheduling, accounting, documentation, etc. were separate software. It has now changed and it is all integrated into one.
