Pros

WebPT was easy to learn to use and easier to start actually documenting patient care on. Scheduling is helpful and being able to access the patient's chart through the schedule itself is great.

Cons

The schedule really needs to have a tracking feature, where you can tell what date/time the appointment was scheduled, checked in, etc; and there needs to be a rescheduling feature instead of just "cancel" or "delete". Also, there is a field where you can enter a Return to Dr. date, when the patient returns to see their referring provider, but the field resets itself randomly and does not keep the date in place. I have contacted customer service multiple times about this and their suggestions are not helpful and have not solved the problem.

Overall, our experience with WebPT has been really positive. It’s made our clinic more efficient with its easy-to-use interface and all-in-one system for scheduling, documentation, and billing. The compliance features give us peace of mind, and having cloud-based access is a huge plus. While the billing system has a bit of a learning curve, the support team is always helpful when we need them. WebPT has definitely helped streamline our workflow and improve patient management. I’d highly recommend it to any rehab therapy practice looking for a reliable EMR.

Pros

WebPT has been a great system for our clinic. It’s super easy to use and designed specifically for rehab therapy, which makes documentation and daily tasks way more efficient. The built-in compliance features help keep us on track with Medicare and HIPAA, so we don’t have to stress about audits. I also love that everything—scheduling, billing, and reporting—is all in one place, making things so much more streamlined. Since it’s cloud-based, we can access patient records from anywhere, which is a huge plus. Their customer support is also really responsive and helpful whenever we need them. Whether you’re a small practice or a larger clinic, WebPT is a solid, reliable EMR that makes running a practice easier.

Cons

The only downside we’ve noticed with WebPT is that the billing system can be a bit complex, especially for those new to the platform. It takes some time to learn, and there can be a bit of a learning curve when it comes to navigating claims and payments. However, once you get the hang of it, it works well, and their support team is always available to help if you run into any issues.

I left WebPT due to poor software performance and high cost. I would not chose WebPT again. I feel like WebPT has caused increased burn out, and it has definitely cost us a lot of money in lost revenues.

Pros

It is an all in one EMR that can do everything you need. Other than that there was not much that I liked about it.

Cons

The cost was high for software that constantly crashed or did not work as expected. My least favorite was the inability to calculate the time spent on CPT codes. This was “in the works” years ago, but it has still not been fixed.

I've had WebPT for 3 years now. During that time, we have at least one major outage every quarter, where the system has been down for over a day, impacting my physical therapy clinic. I also decided to switch to a new EMR, where they automatically renewed my contract and are wanting to charge me an early termination fee, even though they had too many outages.

Pros

Not much, but the landing page after login is handy. Other than that, the system is very limited in it's capabilities.

Cons

Functionality and customer service were seriously lacking. The authorization feature is often inaccurate, the visit counts are often incorrect, and their customer service is awful.

My overall experience is Poor- in terms of performance, customer care, cost effectiveness.

Pros

They have lot of features that makes the software look appealing.

Cons

Slow. Takes average 8-10 minutes to do daily documentation and 30-45 minutes for Evaluation. So slow and cumbersome. Also, their software is only compatible for ortho conditions and does not allow us to access for neurological or pediatric conditions. Even to login, there are steps that consumes time. I have been in the Physical therapy field for past 26 years and used WEBPT for past few years. Every year, I am seeing gradual slowness in the software performance. More importantly, many times in a year, they have system glitches that results in many hours to days of not being able to access the patient documentation. With regard to the price, they are very expensive. Worse thing, they charge for patient appointment reminders huge that we end up spending hundreds of dollars each month just to send reminders for patients. With insurance companies cutting the reimbursement, this is insanely expensive software. I would not recommend this software.

I have been with them for 12 years. I have appreciated their EMR, but their terrible customer service and poor folliw up on billing is making me look for a new company after 2 years.

Pros

Compliance issues. They stay on top of bilking regulations for PT.

Cons

The RCM billing team has the worst customer service of any business i know. Their standard of care is it takes 30 days to respond to an email. And most times it is 6 weeks before a response is given. If a billing needs a corrected claim, it takes 2 months or more to correct and we have lost money due to timely filing because to their poor follow up.

On a scale of 0-10, I would give it a 1/10.

Pros

Its user interface was fairly easy to use.

Cons

The customer service experience was the area of greatest frustration. They have an on-line chat option that is really only useful for answering frequently asked technical questions. Where there is a major problem with a customers account, they have no authority or power to help correct the situation. When you call and get one of their "member services" rep, it's the same experience. My issue had to do with my transition from WebPT to Prompt. I had been a long time WebPT customer. As I grew and needed functionality out of WebPT that they did not offer, I began looking around for other EMR companies. After settling on Prompt I immediately informed my client success manager that my plan for transitioning from WebPT to Prompt. I informed him that I would remove all but 1 therapist license from WebPT and Therabill so I could continue to work my accounts receivable. This notification came 6 weeks prior to when I needed the change to take place. On \[sensitive content hidden\] I was over charged by $7,000. I called immediately and requested a refund. I was told I could not speak with anyone from accounting at that time and that a member services rep would reach out to me. I continued to call and email over the next 4 weeks and didn't get my refund. Finally, after reaching out to \[sensitive content hidden\] on LinkedIn I was connected with someone that helped me get my refund. Now on a separate issue I am experiencing the same run a round. Beyond their horrible customer services, they have some serious flaws in their software. Their reporting and KPI features are seriously flawed and give in accurate information. Their POC report is seriously flawed. Therabill's billing reports are lacking sophistication and basic functions of a billing software. I used their "Reach" software for years for their google review generator and had minimal success. In 1 month with Prompt I have gotten more review on google than I did in years with WebPT. DO NOT WASTE YOUR TIME OR MONEY WITH WEBPT.

Pros

Generally, it is easy to use and was a good transition from having used no EMR prior to WebPT.

I would like to track and schedule non insurance. Services Such as wellness or other cash services. Maybe I just don’t know how but I want to set up reminders for those people etc I have to made a chart for the internal payments collection and billing and often I want a one time only option. I work for a small, privately owned outpatient practice with three clinic sites. We recently began using WebPT. Over the course of my schooling and employment, I have used approximately six or seven different EMR programs. Overall, I would rate WebPT in the top three or four of those programs. They are doing a number of things right, but leave much to be desired. I think WebPT's biggest downfall is its lack of efficiency, which, at times, is costing our clinicians valuable treatment time with our patients. There are a number of extra steps that one must take in order to complete documentation on initial evaluations, flowsheets, and home exercise programs. Below are a list of some of the problems we have experienced along with suggestions for improvement. 1. When creating IE templates, we are currently unable to view the details of the tabs we are selecting. If the details of selected tabs end up being different than expected, we must later go back and modify the template after we perform the eval. To fix this, enable viewing of IE tab details when creating templates. 2. When entering diagnosis codes, the search bar does not always register keywords, making it difficult to quickly find appropriate diagnosis codes. To fix this, improve search capability in the diagnosis code box. (e.g. - enter keyword "shoulder" and all diagnoses with "shoulder" pop up). 3. We have experienced issues with notes not saving (or not formatting into a PDF document) due to using symbols (e.g. - &, #, \*, /, -) in our documentation. To fix this, enable the use of symbols without need for extra spacing to improve efficiency of use for clinicians. 4. It is difficult and time-consuming to find specific exercises in the flowsheet and home exercise program due to the search bar requiring a very specific order/combination of words. Improve search capability in flowsheet and HEP (e.g. - enter keywords "shoulder AAROM" and all exercises with those words in no particular order should pop up). If WebPT is unable to do this, then at the very least provide a paper copy of exercises with their titles (in categorical or alphabetical order) to clinics for use as a quick reference. 5. When you are able to find exercises in the HEP, the results page requires you click a tab to see the remaining exercises. To fix this, get rid of the "see more results" box in the HEP, and simply have all exercises appear on one page. 6. The flowsheet and HEP do not link to one another. If they did, developing a HEP would be much more efficient. We are currently doing twice the work when we have to search for exercises in the HEP after we already listed them in the flowsheet. (As discussed in #4, this is a time consuming process). To fix this, provide an option/tab to carry exercises from the flowsheet to the HEP. Also, enable a feature to view exercises in the flowsheet before selecting them (to ensure we are ultimately selecting the exercises we want on patients' HEPs). 7. We are currently unable to share HEP templates with other clinicians unless each clinician searches through other therapist's patient records to find a previously created HEP template. This is impractical and inefficient. To fix this, provide an option for us to create HEP templates that may be shared by all clinicians. (e.g. - an option similar to the public IE templates). 8. There is currently no option to add photos of customized exercises that are not found on WebPT. To fix this, add an option for us to upload our own photos for use in our HEPs. 9. When adding exercises to flowsheets, they do not stay in a consistent order. Therefore, clinicians end up scrolling up/down the flowsheet repeatedly to find the exercise that was added. Furthermore, after we order exercises they fall out of order if we then add further exercises. To fix this, default placement of exercises to the bottom of the flowsheet when they are added in order to improve organization and efficiency . 10. If autosave is on when the flowsheet is previewed (but not finalized), it duplicates the charges for the same date of service when we attempt to add further exercises. Therefore, we must go through and delete each exercise for one date of service before finalizing the document in order to avoid doubling exercise minutes. To fix this, enable us to preview flowsheets without incurring changes to them.

Don't use their billing system - they will nearly destroy you. EMR is fair, but cumbersome. Not efficient in this time of productivity demands due to low reimbursement. REACH has been helpful to us, but is a piecemeal approach and you pay "extra". Love the outcome measures feature but doesn't integrate to this point for MIPS reporting. KEET MIPS has been misrepresented in 2023 (since they merged with Clinicient) and markedly increases the therapist's work - doesn't integrate with the current documentation system which then means you double the work for outcome measures and reporting - as per usual 'their team is working on an integration". Typical WebPT rolling out/selling a product that is not "ready". Generally, support is poor - and I stand by this on all fronts. If they answer you within 48 hours they count it as "responding", but in reality they don't usually solve the problem - they just ask a question to divert it and "pass the buck". We have been with WebPT 12 years - just added their billing system January 2023... that was the proverbial straw to break the camels back. We can't run fast enough at this point. 5 office practice. Leaving. They are too big to care.

Pros

WebPT REACH may have had the largest impact positively on our practice. Otherwise, their EMR software is being lapped by more efficient customizable programs.

Cons

Support. Support. Support. Products sold that actually aren't ready! They lie!

Reason for choosing WebPT

At the time, they were the best fit to represent us appropriately - that was 12 years ago.

Clinical ease of use, efficient documentation, excellent customer service; owner and company is 100% dedicated to the field of PT and supports the APTA, PPS, PAC which is very important to me; Love the initiation of Rehab Nation to try and get WebPT users engaged and to learn from each other; a very Proactive company, Lots of great online material - blogs, webinars, etc.

Cons

Therabill was a complete disaster for us and we had to switch back to Kareo. Was rolled out way to early and was clear that it was not meant for PT (behavior health?) - hopefully over time this may change. The billing is frustrating that everything is a tack on charge. I am concerned that WebPT is growing too fast.

Pros

It is nice to look at, visually appealing and seems to have a lot of features that could make for an excellent platform but as a single clinician practice, it has been nothing but headaches since I started about 7 months ago. It was easy to use since I used it at a previous clinic. This would be a review for both webpt and therabill. I think they got to the party early and have excellent marketing, however there have been so many issues and time wasted fixing their errors. Actively looking for other options.

\- WebPT recently switched clearing houses from Office Ally to Availity and I was assured it would be a seamless transition. None of my charges were going through due to EDI errors. No one knew what was happening so they had me complete the change over early. I filled out all forms several times because apparently there is no communication in this organization. Constant phone calls/emails stating I needed to complete forms I already completed. Called and after a 45-minute wait no answers, just do the forms again or call the insurance companies. I could not submit charges for one MONTH. That is crushing for a startup practice. Turns out they never sent me the emails with instructions on what to change in their bill on my end. So I got an apology, great - Upon setting up my account Webpt put the incorrect clinic info (phone number and fax) on all outgoing faxes. For 3 months I was wondering why I never got POC returned until a doctor called personally and asked for my fax # because everything was getting kicked back. - More recently entire notes won't load (charges are missing, portions of notes) After submitting a ticket they say it is because 1)my internet is too slow (it's about 5x their recommended speeds) 2) I have too many windows open (apparently the scheduler and a documentation note are too many) and 3) I'm not completing the notes fast enough, so, start from scratch and do an evaluation again. - Support hold wait times, more than an hour at times

Overall, my experience has been slightly above average.I have had a bit of trouble with the fees. I have called and the associate has told me to do one thing but then I call back and I am told to do another.

Pros

I like that Therabill is integrated into the WebPT platform.

Cons

I have a few things that I dislike. 1. I very much dislike that SMART PHRASE is unavailable. 2. I dislike that the price of my package increases frequently. 3. I do not like the frequent glitches. For example, all the sudden it no longer lets us chart up to the 10th visit for Medicare. It stops us at 9 and will not allow a daily note on the 9th visit. It demands a Progress note. 4. I do not like that when I have to cancel a client, it disappears from the schedule completely. It makes it difficult for future scheduling for the following week. It would be great if it would just fade out and say "cancel".

I liked it was easy to use as a PT. I orginally liked how I was assigned a go to person to help with our account. That ended in 2019.

Cons

therabill is difficult to use, carryover from webpt is not as smooth as it should be, over priced, poor customer service. I liked the costomer service from using it from 2010 to 2019. Ever since covid the costomer is terrible in response time, getting a hold of and helping.

WebPT has alot of benefits that other software like it does not and if you are trying to decide between them I would definitely go with WebPT they have great customer service support any time you call they do their best to help with the problem.

Pros

WebPT is the easiest electronic medical records software to use it is very userfriendy and easy to train employees on. The appointment reminders are a great feature and alot of patients sign up for them and we have seen an increase of patients making appointments because of the remiders. It is nice to be able to schedule for multiple providers without having to open a new screen or change a provider like you do on many other medical software. It is easy to add a new patient or new insurance or a new provider. Scanning documents directly into a patients chart is also a time saver and a neat feature as well as being able to fax initial evaluations or progress notes to doctors for signatures from WebPT.

Cons

Somtimes the software has a glitch and deletes an appointment or moves it to a different time.

Pros

The clean display, ease of changing/creating schedules, charts that keep up with patients' visits. It is easy to see how frequently people have come and even reasons that they have/haven't attended.

Cons

The reminders cannot be customized, and I wish that the charting for pt visits would update with each one. Sometimes it will say a patient has attended 5 times, when in reality it's been 8 or more visits. It's hard to track when you have to go back and count each one.

Overall, WebPT has been an excellent platform for tracking patient progress and information. It is very convenient due to the fact that it is web-based and can be accessed across many devices and platforms.

Pros

I used this software as a physical therapy tech to keep notes on patients and make notes on their progress. One of the best features of WebPT is that it is web-based, so it can be accessed anywhere. It also allowed my facility to save money on computers by just using Chromebooks instead of having to buy full-fledged PCs for the clinic.

Cons

This visual interface is very basic, and the aesthetics have not been updated in quite a while. While this is just a nitpicking gripe, I would like to see a little bit of an update in the interface to make it look cleaner and more modern. This is definitely personal preference, however, and some may prefer the no-nonsense layout.

I was one of the original 100 members of WEBPT and I could not have advanced my practice without it, what 10 years ago? (not sure how long its been) and surely could not survive without it now. The ongoing onslaught of insurance changes, branches, etc etc., especially Medicare, PQRS, G Codes is challenging enough but would be unsurmountable without WEBPT. I love the webinars for education and the new program Rehab Nation to keep us in touch and involved. I love the store with discounted items in which believe me, I have checked around and there are some good discounts at the WEBPT STORE. I am a critics critic and expect quality and customer service, each of which I have received with WEBPT. Thank You.!

Pros

I was one of the original 100 members of WEBPT and I could not have advanced my practice without it, what 10 years ago? (not sure how long its been) and surely could not survive without it now. ### "Utter lack of professionalism"

I am an LMT and have a medically focused practice, therefore, most of what I do overlaps with some of what PT's do. Given this fact, I have been searching for a new EMR and RMC system that is all integrated. I just got off of a "sales call" that couldn't have been longer than 3 minutes with \[sensitive content hidden\] clearly thought that being on a call with me was a waste of his time. I got eye rolls, told maybe I should find someone to jerry-rig a system together for massage therapists since they don't exist even after telling him multiple times that what WebPT offers is what I am looking for. He immediately told me that I would be looking at paying $300-$700 a month and asked if that was something I could afford because he didn't want to waste time, you know giving me a demo like we were supposed to be doing. He told me they charge $150 per month to use their scheduler and scoffed at me when I get all of that functionality for free from another platform. He did everything he could to try to get me off of the phone by throwing what he figured were numbers I couldn't afford. The fact is I can afford that, and I will pay another company that money now, because \[sensitive content hidden\] you were demeaning and dismissive. This is the third phone call I have set-up with this company's sales department and have all three times been treated terribly.

Don't know, sales wouldn't even give me a demo.

Cons

Dismissive, unprofessional sales team.
