Cons
Does not seem to be able to make any changes on the back end of the product. No enhancements whatsoever.
Sometimes when I go to "reconcile" an expense, I get an error message. Have to shut down the program and reload.

Overall: More accurate balances to provide my faculty and reports that are easy to read.
Pros: One of the best things about this program is to be able to run different types of reports which is very helpful when trying to project spending trends on grants in order to prepare the RPPR each year. The reports are also very easy to read and understand by my faculty. Another thing I like is that you can enter an order one time and split the funding among different accounts. Also, the support team at Dyna-Quest have always been very helpful. We had an issue installing GA on one of our machines and they worked with us until we could get the problem resolved. I highly recommend GA to anyone who has the responsibility of tracking expenses with their organization.
Cons: Probably the only thing that I don't like is that there is not an easy way to roll forward the balances and encumbrances from a prior year other than manually entering the information.

Pros: This software is targeted at a very specific gap in the market - research grant administration, without the large overheads of big-scale systems. This was a hard gap to fill for our small research centre and generally I have been pleased with how Grant Administrator has filled it. There are a number of real positives - the support is very friendly and personal, you deal with real human beings who are very keen to try to solve your problem. The support team builds up relationships with customers over time and remembers your needs - very nice compared with the 'call centre' approach! The system is based on Microsoft Access databases, so is easy to get set up. The interface is easy to navigate and generally pretty intuitive. The reports are sensible and output well to a range of formats, including properly to Excel. The pre to post award functionality works very smoothly. The data is all stored on your own machine or server (as you choose) so no data protection issues.
Cons: I bought this mostly to keep track of grant applications in our small research centre and to keep track of budget virements in post award. I found it helpful for both but haven't managed to make the leap to using more of its functionality yet. My main problem with doing so is that I haven't managed to find a way to easily upload expenditure info from our main finance system, so using the expenditure tracking functions involves quite a bit of retyping for us as we are already tracking that elsewhere. However, for an organisation that didn't have an existing finance system and just needed a simple expenditure record, I think the expenditure functions would probably work well too - they are straightforward to use. For the features I do use, the only thing I would probably add is an ability attach documents to the budget virement record so I could keep the virement approvals attached for audit purposes.

"I have been using G. A. since 2004 as a "shadow system" for tracking expenditures & acct. balances."
Overall: I am responsible for tracking all monetary transactions within our department at the University of Maryland. This includes grant accounts, state funds, federal funds, and gift accounts. Over the past 14 years of using G. A., I have been able to customize the accounting fields in G. A. in order to generate reports that give real-time balances for each of our accounts, broken down by individual "pots". This gives us a clear picture of where each of our accounts stands at any given time.
Pros: There is flexibility in how you can set up the sub-accounts within each award, as well as the Class ID field for more detailed break-down. I have been able to customize the program to suit the needs of my department. In addition to single-user grants, we have many accounts with multiple users, which need to be tracked by individual "pots". Prior to using G. A., it used to take me a week to reconcile my "shadow system" to the University accounts; now I can reconcile about 60 accounts in one day (on a monthly basis). The reports I generate are as detailed as needed, and easy to understand. I do not use the personnel feature for tracking salary & benefits, so I can't speak to that feature. But for tracking all expense activity in our accounts, it works very well. If we were not happy with the program, we would not have been using it for 14 years!
Cons: I have to manually enter all transactions into Grant Administrator. There is not a way to download expenses from our credit card transaction logs( for example.) This is time-consuming, however the end result has been worth it, because I can enter items exactly as I want them to appear on my reports.

Overall: As I mentioned earlier, it was easy to get started with this program. I know it can do MUCH more than I ask it to! The staff is very responsive to questions/problems. The program is consistent, reliable and can handle the large number of small grants I oversee (40-50/year).
Pros: The program has the features I needed - ability to track multiple grants yearly, able to print reports on each grant, categorize funding to different categories, etc. I can track salaries (though I haven't had to use this feature yet). It was very easy to learn how to use without much experience with this type of program.
Cons: I wish I could "copy" a previous invoice entry - sometimes we have monthly billing that would be faster if I could copy a previous invoice entry. I would also like to be able to edit the entry # and to have a more friendly date entry - both of these items are just personal preference items and not much of an inconvenience.
