Pros: It has the basic features. It can schedule clients, cancel appointments, upload photos, and is web-based.

Cons: Customer support, site going down often, functionality, and the list goes on.
I need to submit a support request on an almost daily basis. Speaking to customer support today the person was rude and basically told me if I didn't like the issues I was experiencing I could find a different software program.
I have had nothing but trouble with this program since I started using it. It goes down in the middle of the day often. Sometimes it freezes up on tasks right as you're checking out a client, which makes both my company and AestheticsPro look bad. It doesn't have enough functionality for a medical spa to run smoothly. It does have basic functionality, but if you want to do more than just basic functions you're out of luck.
I was told today that they are not planning on changing the way they handle their support so at this time, I am not getting satisfactory answers to the issues that I am experiencing.
The marketing piece of this software is very lacking and has limited ability. The inventory management system is poorly designed. The administrative functions only work part of the time. I could go on and on.
This software has a long way to go before it should be compared to some of the other available options.

Pros: Some glitches here and there. But overall, I like using there scheduler and E-records. A lot of available template forms. POS and inventory is easy yo set up and operate. Love online access from anywhere. Love the client log in factor.

Cons: Customer support system is below average. It's not time of essence with them, for an environment for the end users that is. Credit card processor is not to your choosing. They use only Vantiv and current do not support the card chip reader. I already lost a charge back, with all proof of user signing, picture of client being there and receiving the treatment. But, due to new compliance that started end of 2016. Merchant loses if you do not have card chip reader. I asked Aesthetics Pro, for reimbursement for their failed compliance and they DID NOT accept liability.

Overall: Overall, i have used a POS and scheduler in the past. This online POS is great with features and e records. The biggest challenge is the customer support. It's a call in center to leave a message, at some outside contracted company. Who then in turn takes your message, like you are an unknown customer. Then you must await a call back. But, that's not what they want. They want you to write a support ticket. So imagine this, you are processing a credit card and the client/patient is right there and something happens. Guess what you got no one to reach out to for immediate assistance. The whole system has had a network failure a few times. But, not a lot. But, when it does happen, you have zero access to any of files, pint of sale and most important, your scheduler. Guess what try and call them. NO ONE will be there to take your call and you can not submit a ticket. I recently tried to snap shot my issues to their support email and it got returned to they can not accept the issue. Must write a ticket. Problem is you also can not submit screen shots on a support ticket. It very frustrating when you need immediate support to later support. Again this credit card transactions, scheduling factors and much more. These are time sensitive matters to a business owner, and it's not easy to write tickets to describe something that is technical. To time consuming. When they hire a in house receptionist and a on the phone available support technician. I'll revise this review. But, to date, I'm very unsatisfied with there support methods and system. Seams they are under staffed for the demand of support. Or are not willing to invest in having the staff to personally take your call and walk you through any concerns or issues.

Recommendations to other buyers: Environment is good. Invest in staff to handle the internals of customers concerns on a more time essences factor. Let your customers calls someone directly. Let, your customers know there is someone there. Not someone there when we opened the account.

Pros: I've used this software for 5 years. I reviewed it in 2014. Over the course of the 5 years, we've added new services and devices. We have had great support from development enabling us to keep up with form development and modifications. We love that the software is cloud based and we are able to use iPads for client intake, consent forms, etc. In our treatment rooms, we use the iPads for photography and charting, being able to upload the photos on the spot to the record. The side by side option in the photo gallery is excellent for ongoing care of our clients.
I am able to extract valuable data from the available reports in order to help me run needed data analysis critical for my practice.

Cons: I wish that I could integrate data with quickbooks and be able to load customers and sales data into my principle financial software.

Overall: Scheduling, invoicing, tracking treatments remaining. Client facing data entry kiosk. Email follow up templates. Inventory management system.

Cons: When patient's are wanting to check out it takes too long to check them out and then try to make an appointment, etc; too much screen navigation when we are at our busiest. Also, patient's don't always sign paperwork before they come into the office, there should be a way to bring the paperwork all up at once and they can sign across the board, or sign once and it signs ALL the paperwork. We constantly tell them the paperwork is in their email, and to read it and sign it, 9 times out of 10 they don't, so it's a huge time consumer to bring each consent up one at a time. What can be easier for the provider than navigating thru anywhere from 4-8 forms at an appt?

Overall: Our cookies, chrome updated and cleared. Our IT rep is being called on a regular basis regarding something or another going on w this system. The screen navigation seems to be inconsistent; sometimes date shows, sometimes not. Sometimes the calendar works great, sometimes not. When do you update? Are we aware of updates? Does your company have update skype calls to show users to continue getting the best use of the system? Surely things have been updated and changed for the better since we started a year ago...

Overall: I did a great deal of research before deciding on My Aesthetics Pro. After one year of use, I can confidently say this is one of the best decisions I made for our aesthetic practice. My aesthetics pro is packed with features that will make running your practice pretty much seamless and stressless. From managing the medical information to scheduling appointments, managing inventory, accounts to even marketing...it is a very well thought out software. More recently, in my country Nigeria, we have been plunged into a recession as a result of the global dip in oil prices, making it increasingly difficult to source forex to pay for our subscription with. I raised this concern with my account manager Eric, he responded by getting me an unbelievable discount to help cushion the effect of the inflation we are experiencing. So this is not only a great company with a great product, they have a human face too and truly do go the extra mile to keep their customers. We are certainly customers for life!

Comments: Too many "clicks" and steps to insure that a payment is processed correctly. Too much room for human error! If you forget to click all these icons, the credit card number is not captured; therefore you are not compensated for your products and services. Not a user friendly Point of Sale system

Pros: Easy to schedule appointments. I do like the calendar and being able to see the full day and everyone's schedule.

Cons: The point of sale side of Aesthetics Pro is a NIGHTMARE! and I feel the training is VERY inadequate. Sending our staff a link to a couple of YouTube videos is a VERY POOR training protocol in my opinion!!! We have had nothing but problems for the last 5 months that we have used this system . Every time that we contact support, they offer "glitches" as the reason for any problems with functionality. Reading over others' reviews, the word "glitch" is used dozens of times. They need to take responsibility and own their flaws!! Some invoices look like a double charge which has resulted in credit cards being refunded when in fact there was never a double charge. This has caused our office to either let it slide and lose thousands each month or you have to call your patient to recollect a payment and that makes YOU look incompetent and could cause your clients to lose faith in you as a provider.

I have tried multiple software systems and each time I have changed... I end up coming back!

Not intuitive when using the software- have difficulty finding certain things (sometimes have to go to 3 different areas to find what I'm looking for), printing things (sometimes things are missing from the sheet printed), no backbar inventory, no electronic prescribing, marketing stuff is confusing to use, reports are a bit annoying to get specific dates

Pros: Everything is in one place and it is compatible with Quickbooks. It keeps me very organized and helps me prioritize my workload when not with my clients. Variable kinds of information including photos, retail history, services performed, etc. All the pieces required for stellar customer service. I looked for a long time to find this software at a fair month cost without having to invest thousands of dollars.

Cons: Would really like to be able to search a subject area in the support tab that would allow me to find the solution to my issues. Support staff are great just seems like the help area could take care of a lot of my simple issues if I could find the answers in an online manual. Additionally, would like to see a more in depth treatment notes area within the individual client layout.

Pros: I really like that the software includes booking, medical charting forms, pre and post care, consent forms and a pos system. This is everything that you need to get started.

Cons: The biggest issue I have is getting custom forms created or editing already existing forms. They either cost hundreds of dollars to create a simple form or they take months to get back to you with a quote. The entire point of having an online system is to eliminate the use of paper, but with the limited ability to edit forms, we have to print out paper and upload that into their file.

Overall: It really has streamlined our company because we are utilizing one software for almost everything. When we opened our second location, it was incredibly easy to add on which made the transition pain free.

Pros: This is an all inclusive system that includes EHR, Marketing, Client Portal and ability to import and store before and after photos. I especially like that you can assign a time to a service, assign all consents, intake forms, and treatment records to the service. You can embed a link to the client portal on your website and new and old clients can self schedule via the portal. It will automatically send them the appropriate forms automatically and they can complete them... saving you a ton of time when they arrive for the consultation/treatment. This is one of the most cost effective solutions out there. The training is done via 4 videos. The system is a little different for some and it takes a bit to "think" like it does. You can always request training on a topic and customer service is great.

Pros: Internet based software that allows virtual signing of documents anywhere, online file storage, 24 hour ticket support, easy access to account manager, online client portal, accessibility to online and supported training of software, auto appointment reminder emails, control over level of users, employee time clock, multiple calendars, easy reporting

Cons: inability to self-upload specific client forms that are not available in built in form selection, some inconsistencies in programing (specifically in search bar no auto tab to next box), only a few options of merchant companies that integrate.

Overall: Easy access for our doctor to sign off on charts, easy communication/scheduling between team and clients.

Pros: The ability to have medical records, inventory control, client scheduling, employee scheduling, and marketing features all in one application. The system is intuitive so it is so easy to use and learn. We have only been using it for about a year, so during the set up process I had so many questions. The support team is very prompt in replying with clear instructions/solutions.

Cons: For the monthly fee and all that is included, it very hard for me to even mention what I like least....but here it is. At the end of every month to properly prepare a financial report we do inventory and need to know the value of inventory on hand. That report (or number) is literally the only one I can't run in the system, so I have to export the inventory numbers and attach the product cost to complete my monthly records.

Overall: We moved for paper charts to e-records. We were able to get rid of mounds of paper and spreadsheets as this program not only has e-records, my inventory, scheduling (for patients/staff), and marketing tools are all included.!

Pros: There are a lot of great features about this program, marketing, e blasts, scheduling, check out, that are really cool - it is just very slow going and difficult to learn. Support staff are pretty quick about giving answers to your "support tickets" you create. It is cool to chart on your services with the little click on drawings and drop down menus. That part is easy and fun.

Cons: There is no user manual or help screen where you can research topics. This program is so complex to set up, and it literally has taken hours and hours and hours to do. They have training videos, but it is very time consuming to keep watching over and over while trying to set up your software. There has to be a better way, but I guess the low price makes it a do it yourself type of service. There are so many hidden icons, buttons, forms you have to edit and they have out of date lasers, so that is frustrating. You can have the marketing team make specific forms if they don't have what you need but this is at an additional cost, which they did not tell us upfront when we signed up. The template feature for marketing was also very hard to learn.

Overall: Affordable, once it is set up I might like it, very very hard to set up. Needs a user manual or something.

Pros: The "thin client" internet based access is exactly what we needed. The electronic medical records and on line client forms are great and provide us with time and space savings. They are very client friendly. I like the type of information I can pull out through exported reports, albeit I need to massage the data to get it accurate. Overall the reports have as been very useful for doing financials. The information it provides is very detailed oriented.

Cons: Th.e reports has limitations and could be made more robust and accurate. Client profiling is cumbersome to manage as well as merging client files. You should be able to add client type when creating an appointment. When checking out we can't add same line item for same service but with a different pricing.
The lack of automated appointment confirmation VIA test messaging.

Overall: Electronic record creation, approval and keeping. The data I can pull out of the reports I am able to manipulate to create robust sales reports.

Pros: The marketing features, easy checkout process, being able to watch training videos on our schedule versus having to take time out of our busy day to schedule trainings, the attentiveness of their team, being able to quickly get our questions answered when we do have them, and their E-Records! I could go on and on, I am so glad we found Aesthetics Pro Online!

Cons: Not really a con, but I wish there was a "waiting list" feature. Like a list of patients that would be able to come in on a no show or cancellation. Right now we just have our own office protocol, but this one would make it even easier!

Overall: The overall experience from Sales to Training has been great. The transition from our sales person to our account manager was amazing. They were always on top of things to make sure we were taken care of. We really like how they do training videos, that way it works around our schedule. Their features are everything we have wanted in our office, we even get some free marketing emails too!! Highly recommend Aesthetics Pro!!

Recommendations to other buyers: Definitely watch the training videos first before attempting to set everything up! We were so excited to set everything up right away, but this software has so much to offer and so many great features that we had to slow ourselves down and watch the videos first to make sure we were doing everything properly.

Pros: The marketing aspects, the New Rewards Program feature. The EMR, is great and detailed. Makes it easy to know what the patients treatments have been and what you may need to do next.

Cons: I wish it would have a pop up on a patient when you click on them to make an appointment showing if they have a credit that has had to be put in manually, or a note in regard to the patient that the staff needs to know when they are making an appointment or checking them out. Instead you have to go into the patients EMR and look every time. Having a pop up linked to making an appointment or checking them out would be extremely helpful

Pros: Super functional for daily use in a medical spa environment. The fee is ridiculously very affordable. The lead management system is fantastic especially because you can log in from anywhere.

Cons: Totally frustrating that support doesn't log in to your environment (screen share)and find an immediate solution. Also don't appreciate the fact that you cannot get an immediate phone call with IT support related to your issue. 2 days after you submit the ticket is too long to wait. Custom form development is very expensive

Comments: We had this software for 3 years and it has cost us thousands of dollars. Literally. 1) The subscription option is a joke. It should be completely removed from the software. We went through several months where the software indicated that clients had been charged but when we checked our merchant accounts the charges did not appear. We serviced hundreds of clients without receiving revenues from them. In some cases we were unable to collect the money because clients had already finished their services so we had to hire a collections agency. Time and money lost. 2) Issues that prevent you from running your business take days to be rectified because their overseas developers aren't on call 24/7. 3) The system is constantly going down. Every month we experience a system outage that takes hours to be fixed.

I'm extremely relieved that we are migrating to a different system but beware of one crucial thing. If you want to transfer clients E Records you will have to do it manually which will take months because if you Aesthetics Pro to do a file download they will charge $10,000.

Comments: I love this software for our medical spa. It gets better every year. I have been using it for about 7 years. I love it!

Pros: Handles everything, very cost effective, you do get a lot for your money, support is very responsive.

Cons: The support team is sometimes a little hard to communicate with. (software engineers!) The marketing section is not as good as constant contact, so I haven't given it up.

The experience we've had with AP has been nothing but great!

Pros: We've liked the over all customer support , the quickest I've ever experienced. Very prompt and easy and understood. Our support manager was nothing but helpful and cares about his clients and what best suites their business goals.

Cons: Probably the booking online , would like to see it easier to use, purchase services and or products online .

Pros: Most everything . Especially the patient portal and the credit card transactions through Vantiv. The ease in scheduling multiple treatments. The ease of confirming appointments

Cons: I wish the system would alert patients when they haven't completed a form via the portal before continuing to the next page.
Also, it doesn't show who unsubscribed from the emails.
Setting the date for Birthday emails doesn't make sense. you shouldn't have to put in a specific date, you should be able to put it in by month

Pros: Excellent software we have tried several this by far is the best and only software you should use. Easy affordable and you can use across multiple facilities with unlimited users.

Cons: The only con which they are working on is providing a more robust API interface with the credit card merchant processor to handle some of their unique benefits they offer that can expand your business and keep it strong. I have been told they are working on this now. I feel confident they will bet this done but for the meantime they provided me a work around solution which works great.

Overall: The software is easy to use. Support is U.S. based and wonderful. They answer all questions and provide a work-around for those weird things we would like software to do.

Recommendations to other buyers: Buy it now don't waste your time looking at other software. So unless your billing insurance companies look no further this has all the options your need and more. For those other systems where you bill insurance companies find a good EMR software that does all of this for you like Athena health.

Pros: User Friendly, accurate, looks professional. easy to access and create reports. Can access the software from anywhere.

Cons: admin reports like no sign or no show reports. filtering out your discounts on services out of the reports.

Overall: Having my med spa run efficiently and professionally. Thats invaluable!

Pros: The software is really user friendly and I enjoy how easy the schedule is to manage , some of the reports are useful

Cons: The reports and not being able to manage or access certain AP errors or glitches - There needs to be more ways to fix issues or at least have access to make changes to certain AP issues.

Pros: We like that its fairly easy to use. It has an easy learning curve. Easy to train others on.........

Cons: All the gliches that is has. We have it freeze up a couple times a week. Yall change things with the software then dont let us know. I dont like how customer support is only through the ticket system because they never answer our questions, the answers are generic responses. We prefer to talk on the phone when we have issues.

Overall: That we get to book our patients through it.

Pros: I like that I can access it from anywhere and that it is cloud based. I also like that it is allows us to manage what our clients have on their accounts.

Cons: I wish there were more reporting capabilities & that there was a loyalty program built in. I wish it was optimized to use on a phone.

Pros: Pretty much can create any type of function you want. Messaging, email campaigns, leads, etc. really makes it easier.

Cons: Text messaging. Really needs to get a top notch text messaging support to put themselves as the bar!!!

Overall: It's our software. It's what we use. It has endless capabilities.

Pros: The software takes awhile to become comfortable, but support team has made my experience palatable. Without the support team, I would have been so frustrated, I would have abandoned this software.

Cons: I think the development team should personalize the forms at a more reasonable price. The time the development team allocates to personalizing forms is excessive and expensive.

Pros: I love the function of being able to keep a variety of forms, send messages, marketing emails, pull reports, and the new Book Now feature is nice

Cons: I there was more flexibility with the marketing emails. The button can only be green which doesn't fit the esthetics of the brand for my company. I also wish I could have more options with fonts, etc within the marketing emails.

Pros: This software is a dedicated part of our operations. We were looking for a simple way to schedule patients. We got that, and whole bunch more. From all aspects of email and touchpoint marketing, to invoicing, tracking inventory, sales reports, etc...AestheticsPro Online has made doing business so easy.

Cons: For our needs, the software actually provides extra services we don't use, such as multiple rooms and store locations, plus additional services we don't offer. But for the price, this was a no brainer.

Pros: Software is easy to use and has everything we need for our medspa business. We can have both of our locations on one account.

Cons: Refunds and paperwork changes are difficult. Consent forms and paperwork need to be altered to fit our company policies and it is very expensive when trying to change it.

Pros: I like that it is a comprehensive system: scheduling, billing, and charting all under one umbrella. The support is extremely responsive and helpful. The system is also affordable for a 1-man shop!

Comments: We have been using this software for only about 3 months now. I have to say it's very easy to use, for me as a business person and for the team. I know it's hard to have medical professional switch to electronic records but after a few weeks I think everyone realized that it truly was extremely easy to use. The only item that might need some work is the subscription tab and the ability to create customer credits in the system. For example if someone wants to leave an extra $100 for their next visit it's hard to give the credit. The customer service has been great, every time I have a question someone is there to respond and if I REALLY need help I can request a call which is awesome. We looked at multiple software programs and AP was by far the best fit for what we do in our office, I'm very happy. Sometimes people have to realize that there are going to be "problems" with any software you choose, what's crucial is how the company handles the problems and communicates with it's clients. P.S. Nate has great customer service and is always there to answer my questions no matter how silly they are.

Comments: I would really think hard about what you need your business to be capable of before jumping into this program.

Pros: The layout of the program is very straight forward. Easy to use, but at a fault. Setting up the system is a breeze, and customer support is often quick to respond.

Cons: The program is so easy to use only because it isn't capable of doing much to begin with. Many common tasks are bogged down with tedious clicking. There seems to be no way to apply a setting to all client accounts (enabling email appointment reminders...etc.). The program seems like it needed another few months of testing to work out the bugs. Also, transferring information from another operating system to this one seems next to impossible. Again, only with highly tedious, one by one clicking can you get accomplished what you'd think would be simple.

One of the customer rep has been a huge help. She has been patient and answered all my questions adequately.

Pros: I like that it's an all-in-one system and that I can run my practice completely and totally electronically and paperless.

Cons: I thought that I would be able to create an auto-pay VIP Club and have the opportunity to roll over funds each month and let the client be able to use on any service we provide. However, I'm learning that I have to sell as a "subscription" or a "package" and can only be used as they use the service. This does not work for what I planned to offer my patients (and what is in ALL my marketing).

Also, I like the ease of Vantiv being integrated, I don't like that we have no other choice even if we wanted to shop around.

Comments: I have been using this system for about 6 months. It is really hard to get started and they limit the trainings. There is no "quick start" guide either so it has been very laborious to get it running. There are many limitations and should be more customizable. There is no app for it so it is difficult to schedule on my phone or iPad when I am away from my computer. When I contacted them about stopping my subscription they said, "good news, we now offer once a week training!" Too little too late. But it will cost me $800 to cancel!!!!! $200 because I have to give 30 days notice so it will cycle through a billing cycle again and then 3 months payment for "early termination" I was speaking with a friend of mine who also owns a Med Spa and she said Aesthetics Pro has been her "most costly mistake" It is clunky, difficult to use and there is little support. I would avoid!

Pros: The reports and marketing features are amazing. Very easy to use as all I wanted was an idiot-proof software and I found it! Also - the new update is beautiful.

Pros: Eat of use. Integration of EMR, payment systems, membership programs.

Cons: Can be limited in customization. Not geared for surgeries.

Overall: I consult for medical practices of all sizes and have worked with most of the systems - some more extensively than others. AestheticsPro has taken the approach that many others don't - designing from the USER perspective. I honestly continue to be pleasantly surprised with the scope of the system and the ease of implementation. It allows you to do most things you want, and it keeps it SIMPLE - very rare in the world of systems. It maps well to the way my clients conduct their businesses. Because it is so integrated and simple, you may find that certain things are missing and/or not able to be customized, but I have found for smaller practices, this is worthwhile tradeoff. One of the biggest surprises was the level of support you get - I am not sure if I just got lucky with rep or if all of the service team is as skilled. She understands the objectives quickly, knows the system advantages (and limitations) extremely well, and is able to help you come to solutions quickly. Definite asset to the team.

Pros: automated email marketing, pre-up loaded documents with ability for patients to fill out their own forms on iPad in office AND love the forms with generic faces where we can document injection placements, online client portal and patient booking software, membership, loyalty rewards, cloud based, multiple user logins, tracks everything, text and email reminders

Cons: only option for cc integration is vantiv and ONLY heard horrible things. Doesn't seem to match up that such a great software is paired up with such a bad cc processing company and no other options. Really spent months looking at other softwares bc I did not want to use Vantiv.

Pros: The customer calendar system is easy to use . The invoicing is also reliable however the tracking of packackages is not.

Cons: No user guide. The videos do not have a video guide and does not allow you to search for the specific area that you want to learn about

Pros: Scheduling is very easy and it is easy to create temporary changes for staff. The software is very nice for individualizing our services which helps with the numbers end of marketing.

Cons: Some aspects of invoicing, packages and product services are a bit confusing as far as how it relates to inventory control.

Overall: Being able to keep track of individual deposits, services and products used for clients, marketing and inventory. Much easier to schedule staff and clients. One drawback is that even though we assign a machine to a service when we create it we still need to assign the machine to the appointment when it is created or we will double book in error.

Pros: I like the integration of our payment system with the online records and appointment scheduling! Nice availability of documentation forms for online records.

Cons: The lack of standardized documentation options. The inability to link to our calendars as we need to be more mobile with ease of use. The inability to customize appointment scheduling and ensure clients can schedule 48 hours in advance and not same day without having to use the request appointment feature which is not client centric.

Overall: Online record keeping and storage of photos in a HIPAA compliant format.

Pros: We love how easy the software is to you, the option to have custom forms made & being provided the opportunity to finally go "paperless".

Cons: We wish there was a HELP menu within the software to answer questions / show us how to use features we're not very familiar with yet. The support team is super helpful, and very quick but we sometimes want some quick info for little things.

Overall: the ease of use is a huge plus for us! We are very happy with the decision to switch over to MyAestheticsPro.

Pros: It is similar to others I have used. Nothing really stands out. Quick when we schedule appointments.
Fairly easy to check patients out at the end of their appointment and schedule their next. Warning system to show you when your inventory is low is helpful so we don'y run out of anything.

Cons: I cannot print a ticket for each patient that lists their appointment that day plus:
Product purchase history and service history.
No waiting list option.

Pros: Ease of use, has everything you may possibly need and even won't let you forget the important stuff. The customer service is phenomenal and those youtube videos are on the money. If I call, or if ZI email I get support immediately, with patience, understanding and a great explanation.

Cons: Nothing yet but it was a little intimidating at first because there was so much information, and between the set up and learning to integrate the ipad it took a while

Overall: Make the practice run smoothly and easily.

Comments: I do like that many of my questions can be answered online quickly whether it's through customer support or the manual online. It is frustrating at times that when I am personally frustrated with something and ask to receive a phone call communication is still online through messaging. For people who are still learning the system sometimes it's nice to hear a voice on the other end. But I get it this is a web-based program and you would rather deal with these issues via the Internet, text and messaging.
The 30-minute private session I had this evening went very well and was very helpful. She was able to answer many of my questions that was taking me 20 to 30 minutes to figure out, took us just a minute or two to sort out together. She was very patient and kind.
