Cons Sometimes OCR is not completely accurate and requires manual review, which can be a bit tedious. Also, integration with other accounting applications can be somewhat limited. You simply take a picture of your receipt or invoice and it digitally reads the receipt, figuring out what it is for, the amount, the payment method, and the merchant. It's not always perfect at doing this, but it's usually pretty accurate. You can create "buckets" so you can keep your expenses separated by type, so if you need one for your work and one for your personal and one for your side job, they can all be separated. It's also great for trips or for tracking receipts for reimbursement. We used it at my church to track things we bought for the church, and I've used it on business trips to track my reimbursable expenditures. This is made easier by the fact that you can then run reports on your expenses so you can hand those over to the other party for reimbursement or expensing. Cons As I mentioned, the automatic detection feature is not always 100% accurate; some manual editing is sometimes required. Also, I've had some issues with the app freezing or the camera not working. Overall though, it manages to take most of the pain out of expense tracking. Review Source Jahangir A. October 9, 2018 5.0 I have been using this software tool from 2014 to till now. So, I am used to submitting all of my company expenses via Expensify weekly based. It's really helpful and amazing tools who saved my times and make my all financial reimbursement process easy and simple. There is some issues, bugs and updating with longtime issues which are really frustrating. I hope Expensify team will improve this matter soon. Pros 1\. Simple, anyone can easily operate this app/website without having pre-training 2. Website Design, useful tools to create reports are really great. 3. Report generate, modify is pretty simple and smart AI system to rectify any man-made error. 4. Controlling and distrubuting reports to multiple label of Finance and Accounts are highly streamlined. Cons 1\. Sometimes I lost the entire report without seeing its update. Still has some serious bugs. 2. Hang up and not working too long time to come back to online during website updating or ease issue. 3. AI for auto creating reports and manually input data are mismatching and annoying. It really has helped our company become organized and has completely streamlined our expense tracking with ease. Pros Expensify is hands down the best expense tracking choice for our company. There are a lot of pros to Expensify. Their customer service is amazing, always responding quickly and answering my questions in a very understandable manner. Their app is what we use most, it's simple and easy to use - having every feature you'd every need for tracking expenses. I've also done some research on their company culture and it seems like they really invest into their employees lives. This definitely looks like a great company to work for. Cons There aren't many cons for Expensify. But if I had to choose something, it would be that the app doesn't real-time-sync with the admin system, you have to manually re-sync when something changes. For example: When the admin adds a new expense category, it doesn't show in the app right away unless the user manually "syncs". At the end of the day, this really isn't that big of a deal. Reason for choosing Expensify When researching different expense tracking companies, most websites were completely outdated with little to no reviews. Pros During using this software, I learned more and more about how easy it is to manage company finances. Just by taking a photo, all data will be processed automatically. At first, I was very skeptical about buying it, but after I tried being recommended by my friend, I finally decided to buy it. Since then my thinking has changed 180 degrees. Cons The form of reports varies from country to country. Likewise, reporting standards in Indonesia are not the same as those often used in the US. I see the results of the reports made by Expensify are less professional. But no problem, this can be done manually by our team. Besides, it's free. Whenever I travel abroad for business, I come home with a handful of receipts as I don't have a corporate credit card (I do not travel frequently enough). Taking photos of all of my receipts and dragging them into expensify saves me a tonne of time. I've also heard from colleagues that there are features to integrate with taxi/uber apps so that business travel is automatically raised as an expense but I have yet to try that out. Basically, the more automated the process of putting in expense reports can be made, the better! I rarely use the mobile app to put expenses in, just by virtue of the fact that I usually just email all the photos to myself to do back in the office, however I do like knowing when expenses have been paid or to check up on their progress from mobile. Cons I find the the IA of the app confusing. I use the software only every month or so, and I am always confused by the fact that there are expenses, and then there are reports... so sometimes it takes me a while to realise where to go to submit my expenses. When not in the context of a business trip, I often have adhoc expenses for things, and so it feels weird not to be able to submit these without generating a report to put them in. If you need it to do anything extra, not so great. Bells and whistles break frequently and at the worst times. Cons If you need customer service, start by asking someone else. If you submit a ticket or an email for an issue you may be having, they will respond (never sooner than 12-24 hours) with a copy of that topic's Help manual. In other words, their customer service gives new meaning to terrible. If you try responding to that copy/paste answer, they will copy/paste from another part of their Help manual. It's truly frustrating and you have to get stinking mad before an actual person replies to your issue, usually with a sorry for your troubles reply. I've given up asking them for help. Oh, and if you have a broken bank connection, they love to blame it on your bank instead of actually looking to see if it can be fixed on their end. And no, this is not the free version. We are now switching to a better expense reporting tool. Pros Anyone that has a basic understanding of technology can just load the app and use it to submit reports. Cons While Expensify is super user friendly for end-users, the admin side of things is severally lacking. There are very few functions and configurations that can be made on the admin side. Also, the direct integration with QuickBooks Online is great and easy to use, but adding accounts in QuickBooks Online sometimes automatically adds accounts to certain expense policies in Expensify, but not all policies. It seems completely random which policies accounts are automatically added to and which ones aren't. Also, the reports you can pull from Expensify for admins is very limited, almost non-existent. I have reviewed lots of other expense reporting tools that provide a lot more for admins. The only customer support I have been able to find is through their website chat. I've waited multiple days for a response to issues I've had. Expensify also changed their pricing this year and they simply aren't competitive with other companies unless you lock into a contract of 1 year or more. Pros Not much now that I found an alternative expense reporting system for my company. Expensify was great when there was little other competition. The price was more reasonable than others. The receipt matching was decent, and it was awesome to have it integrated with Quickbooks to reduce financial admin. Cons It is very clunky and slow. It would take forever to pull reports, make changes, or create pdfs. It is also expensive in comparison to new kids on the block that are more feature rich with advanced technology that are free. I put up a fight anytime there are talks of switching to consolidate software with our parent company. Pros It's easy to use from a user and admin perspective. Without any IT skills, you can easily customize the platform to meet your needs. Expensify is intergrates with Netsuite Oracle. Cons As an policy admin, I still don't have 100% control. I liked the ease of use to uploading documents, verifying them, working on final reports, and other administrative uses. Often times, when we would submit reports our financial manager could easily manage multiple reports and financial documents because of Expensify's organization that they would provide. Easily manageable and great to use! Cons Expensify's only con was that when reports were submitted, it was sometimes take a while to show up on the interface and to get the final report. In this way, it was difficult to get real-time updates on the budget and things like that. Also sometimes difficult to see submitted reports. Expensify is one of the best software I’ve used to track each item for reimburse or to write off on my taxes each year. My favorite feature is that I can take a picture of my receipt on my phone and upload it to my expenses, as I tend to lose my receipts! April 2, 2021 5.0 My company asked me to try on my business trips, and to my surprise it took a weight from my shoulders. Trust me, there is a HUGE difference between reporting bills right here and now, and filling report after the trip. It is easy to forget what was this particular bill, whether you already reported it, and what if you just lost some bills? Never ever. I still tend to keep the bills until expenses are approved though and can't stop thinking may be I should stop. Many thanks to developers for making such a great product. Pros Most important thing: you got billed - you report it with app. This simple, right here and now you make a photo, and you are done! It picks the currency, expense right from the photo of the bill. Can't take a photo - no problem, expense may be filled manually. It doesn't seem to affect the mobile phone battery, it doesn't nag you with popups or unwanted ads (I can't express how much I hate it when paid application starts to throw additional promotions). The structure of application is easily understandable. Cons Can't point my finger on anything worth mentioning. May be, just may be the bill recognition could take a little less time. I had a case when it took about two days. Still it is quite good. Pros Expensify's Smartscan feature is incredible - I've worked with other expense reporting tools in the past where inputting expenses took literally hours. With Expensify, I can just take a photo of the receipt and it'll automatically input it into my report, saving a significant amount of time.Also a huge fan of their ability to setup rules/automations for expenses - makes complying with company policies much easier. Expensify's integration with Quickbooks Online is very helpful as well. Cons We would benefit from a more detailed mobile interface, having the ability to create subcategories of expenses. They do not hold up their end of the agreement and also have an archaic pricing model. Pros Up until they violated the terms and conditions, the platform was useful and filled our need to reduce/eliminate excel sheets for expense tracking Cons There are four things about this software that any potential purchaser should know: 1. Privacy doesn't matter to them. They violate their own privacy policy by sending out non-product related information to their customer base. This violates the agreement that they make you sign. 2. It is expensive. Unless you use the credit card, they charge you a lot. They also sent credit card applications to my entire company without my knowledge. 3. No useful customer service. Their customer service is almost non-existent. You cannot call them. You cannot email them. You are forced to use their concierge function that is essentially useless. 4. It takes 3 -5 days to receive reimbursements after approval. It aligns credit card expenses, so you can avoid fraud charges, and lets you upload all receipts to have them in the same place. Pros I like that Expensify makes tracking costs from credit cards very easy. It pulls the data in right from a connected credit card, lets you upload receipts from mobile, and makes it easy to gather the information into reports for admin review. Cons There are a lot of features and it requires more thought to get set up than other software. You need to train users and make sure that the credit card is set up correctly. Very easy and efficient tool. Pros I use Expensify to report my expenses related to work travel. I have the app on my phone and it’s really easy to add expenses as they are incurred, rather than doing in bulk later. I can take a picture of the receipt on my phone and either use OCR to scan and populate fields or manually enter and save photo to expensive for additional verification/approval. I can easily see any expenses that might fall outside of policy limits, so I can submit additional justification to get it approved, rather than having to go back and forth. I also get automatic updates once my expense reports are approved and again when they are funded. Cons Very few cons because it’s easy to use. However, OCR can be slow at times, so I often manually enter the fields which is fine for me. Additionally, when you create a new report from the app, it isn’t super intuitive for where to change report comments and details. I have submitted reports thinking it was all updated by name, only to discover the comments were wrong and pulling from previous report.
