Outside of the software itself, I would caution that the company has used used the software and associated email communications as a platform expressing their social and political views which is rather unbefitting and could be off-putting to parties who may not prescribe to the same views. Pros Software features multiple ways of uploading receipts and Coding spends for expenses. Application AI is very good at autmatically assigning cost codes and verifying receipts to actual spend backups. Software also allows for modification of these auto-entries in case of recoding requirements and the mobile app is very easy to use. Attachemnts are drag and drop on the Browser portal, and mobile device attachement is integrated in to OS gallery lookups. they have a good system for flagging un-filled required fields wbefore allowing the spend reports to be transmitted for approval by the designated approver. Cons Bank feed syncing can be delayed and charges do not appear for a few days; especially with Canadian banking services even with Tier 2 banks like HSBC. Some sysnicn issues arise between the mobile app and the browser portal if the app is left open on the mobile device - the system lags out and does not save some of the information which then requires re-entry. Fortunately this is flagged as part of how the software works so is not missed if lost, but still requires to be re-entered. April 19, 2024 5.0 Pros We have been using Expensify for a long time and syncing it with different systems, including Workday and Netsuite. Expensify allows us to customize our policies to include custom fields from Netsuite which is a good feature. The approval workflow is straightforward and user-friendly, and the best part is that it doesn't require any training. Approvers can easily review expense reports with receipts attached to expenses. We reviewed other competitors' software and found them either expensive or not up to par. However, Expensify is a true value for money. Cons So far no complaints and it serves the purpose. The notification system tells you of revisions to your submitted reports or accounting department inquiries, allowing you to respond directly and avoid delays in receiving payments. With Expensify, preparing reports and schedules for payments is very easy, and we are able to easily track any unnecessary payments. Pros Expensify simplifies the task of tracking the expenses and expenses of the team as well as the daily expenses of the organization as a whole. Pros Scans receipts quickly. Good to produce a pdf report. Report management is good. Cons Requires more than one step to open the scan receipt function in the mobile app. Incompatible with UK banks so it reports most expenses as 'violations'. Searching for receipts has many functions so is a bit clunky. Reason for choosing Expensify I am about to swap to another app with better UK compatibility. TBC Review Source VR Verified Reviewer Owner Accounting Used the software for: 1-2 years ### "Great in theory, from a bookkeeping POV" December 21, 2017 1.0 Pros When working properly, it easily brings account codes, jobs and copies of receipts into accounting software. It links to various credit cards with the paid version for easy reconciliations. The biggest benefit for my application was having the individual card users coding and providing backup for their transactions with the ability to then very easily reconcile in the account software (I use Xero). Cons The customer service is the worst I've ever encountered, of all companies I've ever worked with in my life. All questions are submitted via chat with a minimum of 2-4 hours between responses. This makes a conversation impossible. There is no help with initial setup or training, which would likely reduce all subsequent problems. Even for an accounting firm who wants to implement the software to a number of clients, there is no personal help. There are constant issues with the credit card links and the sync needs to be manually updated to reconnect. This is not apparent until the user realizes that transactions are missing. From a workflow perspective, these issues should be resolved automatically or a notification received. There are constant changes within the software without forewarning. This makes using this product a constant battle with regularity. It's also not as intuitive as it should be. My clients often tell me the same, that the software just simply doesn't work well. As a small addon to a much larger web of integrated softwares, the amount of issues I had with this software makes it not worth using for my firm. My frustrations with getting it set up properly for my clients was met with indifference by the staff. Ultimately, in a world with many other options, I was forced to go elsewhere. I've done the same thing with paper, spreadsheets and Concur and the experiences were terrible and mistake ridden. Just put everything through expensify and forget about it. If you've missed something or have an action to complete expensify will get in touch to prompt you with clear instructions. Cons There is a bit of learning curve. I find the UI quite sparse and until you get the hang of what is where it's not always clear how to complete tasks with it. I have found that once you have learned what you're doing though, you don't foget because it's not actually that complicated. Pros The great thing about Expensify is that we are able to monitor, document and control all expenses. Through Expensify, team members got rid of collecting paper receipts and then preparing lists and submitting them to the accounting department for auditing and approval. With Expensify, things have become clearer, as each team member independently will be able to scan his invoices to be raised on his own cloud and enter data from them to his expense page, and then the accounting department will be able to audit and notify him of approval or request other inquiries, and by These quick and accurate procedures ensure that no receipts are lost and that you get the money straight away. Cons Not a lot of unwanted things, and it does not require a lot of effort on the part of the users to be able to track their expenditures properly. February 27, 2024 2.0 Pros Compared to an equivalent service - nothing, they don't compare. Cons Very sketchy billing process - if you make any changes, your new subscription date changes with the date of the change. No heads up - it just appears on your statement. Good luck getting a person to talk to, 5 or 6 unanswered emails - called our customer sales manager, she also neglects to respond. Their customer service is severely substandard. You get a live chat and that is it. Our company has jumped ship - I highly recommend you do your homework before utilizing this program, we have found another which is leaps and bounds better and a third of the price. MAKE SURE YOU TURN OFF YOUR AUTORENEW - if you choose to use expensify. I guarantee you you will end up changing to another platform if you didn't do your homework properly on their "lack" of service / customer service and must find out the hard way. Pros System was somewhat easy to use. The receipt scanning feature was also pretty cool. Cons I have been a paying customer of Expensify since 2019, but I stopped using it in December 2021 to move to a solution that worked better for my company. I kept one seat open for over 18 months because I thought I needed to do that to maintain the data. Once I found out it was possible to go to a free account without losing my data, I went to go and process the downgrade. I was shocked to find that they charge an additional monthly fee no matter what time of the month you downgrade the account! In my case, I downgraded the day after I was billed. No proration, and later found out that there was no refund - despite their "Concierge" giving me instructions on how to process a refund - only to find out I wasn't actually eligible... but they still wouldn't make it right. Their "Concierge" has no accountability - you can't get in touch with leadership. They just don't care anymore. It has great features but you don't always know they are there. Pros I think the "default rate" for gas reimbursement is one of the best features they offer... that we utilize. It is great to have a rate set to the market of the person in the field because we have employees across the country, gas prices vary, and we want to fairly reimburse people. It is much easier than having to set a rate ourselves, monitor it, and change it as the market does. Cons It's not the most user friendly site to navigate. It is difficult to figure out how to submit an expense without some playing around. Since there are several ways to submit an expense, it is hard to tell if you are done and set to be reimbursed. Conference & Event Coordinator Used the software for: 1-2 years ### "Good Resource" June 18, 2018 4.0 Pros Our company went from using excel spreadsheets to monitor spending and expense reports to using Expensify once it was launched company wide a year and a half ago. In comparison to the old way of doing things, Expensify is a huge improvement. The software can sync with your corporate card (or personal card, if you'd like) so all your transactions are pulled into Expensify automatically. The only time a manual expense needs to be created is if you paid with cash, used a card that is not synced to Expensify or if you're entering mileage. Entering mileage is my second favorite thing about Expensify. It's very easy and can be as simple as inputting your starting destination and ending destination, and it will calculate the mileage for you. My favorite part of Expensify, however, is the mobile app. It allows you to take photos of receipts right away (especially nice while travelling) so you don't have to worry about collecting receipts and scanning them in once you're back in the office. Another nice feature of Expensify is that you can sort and put filters of your expenses to track category spend. This is very nice for our company as we receive some health wellness benefits that allow u to use X amount of money per year so these filters help us track our personal annual spend. Cons There are some features that have limited options for settings. The first example that comes to mind is if you take a picture of a receipt on the Expensify app, it will automatically mark that expense as reimbursable, even if you it's not. Tech Operations Advisor Legal Services Used the software for: 2+ years ### "Expensify Expense Tracking" August 14, 2019 5.0 I originally used this software because it was the most straight forward "fool proof" software that allowed me to manage and track several employees travel expenses and business mileage and keeping it as simple as possible for the employees. By implementing this software into our expense tracking, our employee's no longer have to worry about paperwork and keeping track of physical receipts so long as they take a picture of it in Expensify. Pros The feature that won me over is the softwares ability to extract the necessary relevant information from a picture of the receipt and its reliability to accurately create an expense entry automatically. The other feature that really stands out is the dedicated email address you have to send receipts to the app. This feature is great because of rules i have established in outlook so that any "receipts" from certain companies automatically gets forwarded to my Expensify account. Cons Occasionally, when I was trying to submit a few large reports the app would freeze up on me. Otherwise I cannot think of any negative experiences I have had with Expensify. Pros I work overseas. Mostly in Europe and my company is based in California. I work for an international charter school organization basically travel for a living while meeting with government entities about educational opportunities. My whole life is expenses. I spend my own money and get reimbursed so it's critical that every receipt, every lunch, hotel, meal, every expense is documented and saved. I'm not the best with money and I struggle with organization on the road. Fortunately, Expensify helps me with both. Every receipt I collect can be instantly scanned and saved. There is no limit to the number which is great because someday's I have in excess of 20 receipts. Expensify tallies my receipts as I go which assures I stay on budget and don't overspend. If I overspend or go over budget I don't get that money back so this feature is critical. My company uses Quickbooks for accounting and Expensify integrates with Quickbooks effortlessly. For those who do not use Quickbooks, rest easy; there isn't a popular (or unpopular) software that Expensify doesn't integrate with. If managing multiple receipts and budgeting is important to you, you MUST give Expensify a try. Cons Nothing. Expensify is the most complete travel expense app on the market. Review Source Tiana T. The credit cards act as debit cards which is good if you’re a company that is trying to not live on credit. Pros Minimal learning curve if your team us any experience with expensing items in a software format. You can fix mistakes really easily and there aren’t a ton of buttons to wade through. Cons Sometimes new employees need to get reloaded to allow them to bill items to customers. That might be the accounting firm that we work with a fault though. Pros What we like the most is how simple Expensify makes it to track expenses, keep receipt information, and submit expense reports. The App is very user friendly and intuitive and does most of the work for you. Cons The only critique I have of expensify is that the GPS feature for tracking mileage does not always perform properly. We have been reluctant to use it after experiencing several glitches. I wish they would just process receipts rather than push agendas. Pros We loved this tool. It worked so well for our nonprofit. It integrated well with credit cards and payments. Cons Two things completely turned me off of Expensify. THey started integrating DEI into their marketing. I remember coming to the site and they had splashed all over the screen BLM material. I dont need their progressive ideals of BLM or pride shoved at me. Just process receipts. The second thing that turned me off was that I was no longer able to connect with my primary banks.
