Pros The features that are most powerful are 1. Ease of use 2. The customer support which is almost instant and the concierge service is extremely strong 3. The feature for the way to export reports is very good Cons I think there are too many emails when we set a date and a reminder and the interface does not show options to stop sending reminders periodically Review Source HH Howard H. Pros Expensify has partnered up with NetSuite to create a direct integration between them, which makes it so much more efficient. Cons Expensify makes you choose how many user's to bill every month in advance in order to get the discounted monthly rate, whether or not you actually have that make user's using it. We found not all our user's use Expensify every month. And as a result, we are paying more than we should. Unfortunately, if we chose to be billed for less user's and we have more user's then we get billed at the full price on the overage. Review Source JC Jany C. Pros It saves employees a lot of time and hassle on doing the paper work including keeping the receipts. Employees only need to take a picture of the receipt and submit with their phone. It is easy and timely. If expenses are not submitted immediately, at least the scanned receipts are kept in Expensify for employees to submit anytime later. With the feature of the scanned receipts, no more keeping the stack of paper receipts! Cons Syncing Expensify with accounting software (Xero) in order to get a complete and updated customer list is not 100% there yet. A lot of times, we couldn't submit an expense marking billable because the customer is not available in the drop down window in Expensify. This requires accountants like us to do extra work in accounting software (Xero) to fix the entry. Review Source KB Kiana B. September 7, 2018 5.0 I'm not kidding when I say I recommend this product to EVERYONE! When I give people nonprofit management advice this is at the top of my list. Great experience with this product and fast and effective customer service! Pros This software is extremely user friendly and makes expense reports a breeze, no more saving receipts on long trips or doing paperwork. I love that it syncs with your card/bank and automatically brings in the expenses and gets smarter as you set categories so the longer you use it the easier expense reports become. I've only used the expense reports side of things so I can't speak to the other services they offer. But 10 out of 10 would recommend this product, also VERY affordable and you can have on your computer, tablet & phone makingit so easy to use! Cons There are times my card/bank becomes unsynced. And it may only be a week at a time. This has happened a handful of times to me in the past 4+ years so not a deal breaker but just something to be aware of. It helps my company track travel expenses and generate reports. Pros This is a very easy to use product. I use it whenever I need to travel for work to track my expenses. Without it, I wouldn’t have the ability to accurately track travel expenses and I would not be properly reimbursed. Very easy to use. April 15, 2019 5.0 Pros The thing I like the most about expensify is that it is super easy to use and isn't a hassle to integrate into the natural workflow like other softwares. All you need to do is just take a quick photo and its already on the software. Controlling your expenses in an easy to digest and manage application makes it less stressful and exhausting to make sure everything is in check. I didn't even know I wanted expensify until I used it. Cons There are some minor features that I would like to see added in the future, but as of now it is still a great product to use. It is very easy to create reports and upload receipts. The work flow also makes it easy for directors and managers to approve reports and submit reimbursements. Cons I do not have many complaints about the software, my biggest complaint is more of a user error than anything. For each line item on a report there is a check box to verify whether the item is reimbursable. All of the expenses I submit are reimbursable so this box is unnecessary and I always forget to check it. I wish there was a way to check all to avoid this error. Then, choose Reimbursable. If you want this to apply to all past expenses, check the box for ¿apply to matching past expenses¿. Pros Makes expenses simple with great workflow and authorisation steps. Cons Our billing moved from $9 a person on a variable basis, i.e. if 4 people used it for a month then we'd be charged 4 x $9 = $36 to an eye watering 13 x $35 = $455 a month that is FIXED for a year. We only have 9 staff...and none of us are traveling. Escalating fees is one thing when the service is being used and is good...but Expensify is forcing you to use their card and gouging users if you don't. It's shady and unethical at best. Pros Before we deployed Expensify we used a cumbersome spreadsheet, and a zip files of jpgs to submit the receipts. It was painful, cumbersome, and made me delay doing expenses (which cost me money). Expensify with the simple app, great website, and smartscan feature for emailed receipts made keeping up on expenses simple. Cons The cost was higher than other solutions, and we just recently migrated away from it. I hope we decide to go back at some point. Pros Expensify has a number of features that are intended to reduce the amount of time, energy, and effort that is spent submitting expenses. They include an auto-read function for taking photos of your receipts, a forward function - which allows you to send email receipts directly to expensify, and an auto-fill function for your phone app. All big time savers and make it easy to submit expenses Cons Sometimes, I have experienced glitches or bugs that make it hard to delete or submit expenses. Pros I used to hate doing my expenses because the paperwork was overwhelming. Everything about this tool is great--I can upload receipts instantly and assign a client and project to it. I'm always aware of the status of my reimbursement. It also is great for international travel, converting currencies. I get reimbursed quickly, which leads me to believe that the reporting is organized and easy to approve. Cons There aren't many cons that I can think of, as I used it for submitting expenses only. If you have any issues, you can get a direct response through email and phone. Works great on business trips. No more receipts stuffed into a suitcase on the way home. Does a good job of importing chart of accounts from Quickbooks. Easy to set rules (i.e. must have receipt for expenses above $25). Helpful having 4 options to add new expense - photo, email to Receipts@Expensify, upload receipt file, manually create. Great digital record capturing photos of all receipts. Nice to only pay per active user per month. Pros This is a great tool to capture your expenses. The interface is super easy to use--just taking a picture of a receipt and letting the tool fill in the necessary information. Cons Haven't been able to get the online version of Quickbooks to integrate with this, so our accountant still manually enters / uploads the expense report info every month Alternatives considered [Deltek Ajera](https://www.capterra.com/p/82750/Deltek-Ajera/) Reason for choosing Expensify Ajera was our parent company's software. Extremely expensive and more complex than we needed for a small company. To my recollection, they also didn't have the user friendly options to capture expenses on the fly. " November 6, 2017 4.0 It saves me a lot of time and hassle. I am much more organised when travelling and more confident that I am submitting all of my expenses and not losing money! Pros Using Expensify has helped me keep on top of my travel expenses by scanning the receipt on the go. I no longer have a huge build up of receipts in my wallet or spend half a day filling in expense reports. It's quick and easy to upload an expense and create reports. I like that I get notified when my expenses are approved. Cons It can be a bit slow sometimes to scan and read the receipts, especially if they are in other languages. Sometimes it is easier to cancel the scanning and enter the details manually. Pros Wow I never thought doing my expenses could be so easy and I wish I had this app years ago. Our association has been doing things old school, meaning tape a receipt to a piece of paper and document your meeting...until I finally convinced them to purchase Expensify and it has been life changing for all of us. The staff reply to email questions quickly and work hard when there are errors. Pros As an approver of expenses, it is easy to reject wrongly submitted lines and tell the staff why. It is easy to approve and reimburse! They work hard to keep all major credit cards connected. Cons While it would be nice, it is hard to connect to every possible credit card and bank. My personal bank credit card does not connect for auto import. It saves me time and stress, and I know no money is being left on the table. Pros Expense tracking is typically a grueling experience. Everything from keeping track of expenses, to avoiding mistakes when reporting them is a headache. Expensify is the only thing I've used which actually makes the expense process enjoyable. The GPS mileage capture and automated reimbursement features are amazing, and everything else about the platform makes tracking expenses easier than ever before. Fixing the expense process is no small feat, but Expensify has made it extremely intuitive and pleasant. Cons There can be big flagging features that are over-protective and sometimes require my additional attention to prove that I am not duplicating an expense or mistaking a price before submitting. This might happen if you are submitting a partial receipt but Expensify looks at the bottom-line number to compare. Pros I love the ability to snap pictures of receipts and have the app read the information off of them. (Saving me valuable time) then, it puts all my deductions in a nice spreadsheet. Cons It's really hard to find a con for this app. I primarily use it for the receipts. I guess what I would like to see is an automatic mileage tracker that runs in the background and tracks all mileage for me like MileIQ. This would double this app's worth for me.
