EA Internet Used the software for: 2+ years ### "Makes expense tracking and reports much easier " May 14, 2019 5.0 Pros Eliminates the need for paper accumulation and it also great to just be able to immediately snap a picture of a receipt and have it populate in the app. Cons Sometimes the auto-population from cc and receipt breaks and there is still a need to track down the receipt to manually upload it to the expense. Also, this app sometimes doesn't work for people who are in an extreme rush and forget to upload the receipt when received. In theory, it works perfectly, but one needs to still be disciplined enough to remember to use it. Cons There could be certain additions like monthly automatic expenses. There are certain expenses that are claimed regularly. The platform cannot handle these cases and a user is expected to file claim separately for every iteration. Maybe in future releases, if this feature is added, it could be a game changer. Pros I love the convenience of being able to submit work expenses for reimbursement in multiple categories and under different reimbursement schemes. The software facilitates automatic generation of reports and offers automatic submission as well, so I don't have to worry about categorizing or submitting my reports by month, pay period, etc. That can all be customized and automated. It also keeps track of the current reimbursement schemes offered by my company (i.e. current mileage reimbursement rates) so I don't have to manually keep track of that or enter it each time. Cons Because there are so many features to the software and customizable options, it loses a bit of the "user friendly" aspect. It also throws a lot of flags on certain expenses that I submit due to rules in the app that don't apply to that category of expenses (i.e. receipts are required for all expenses, but when I'm submitting a mileage expense, a receipt is not applicable). In order to take full advantage of all the software has to offer, it seems like you have to be an expert on customizing the app, otherwise you get lost in the feature sets and it becomes more confusing and less user-friendly. Furthermore, I haven't found the customer service to be incredibly helpful, and think the automated concierge customer service needs to be improved in order to be useful. I also wish the software/app would send reminders to me for recurring expenses that I submit on a monthly basis. For example, I often forget to upload my receipt for my phone plan, which is paid on the same date every month. I wish the software would remind me to do so. (Maybe there is this feature available, but it is not something I have found yet). I typically do not have any issues uploading my expenses for the finance team to analyze and process. The approval process is straightforward and it's easy to track in case I need to follow up with someone. Cons I always forget to fill in the "First Initial, Last Name, Time Frame of Expenses" part when I upload because, at first glance, it doesn't appear like a textbox I need to fill in (I think it's the font boldness and size that makes me feel like I don't need to replace it with text - and then I have to delete to make sure I remember what exactly I need to put in). I don't use the software too much, so it feels like I have to remind myself that that section is there for me to fill out. If it were more obvious, then I would give it 5 stars for my purposes. I used to spend a gawd-awful amount of time finding and sorting and labeling each receipt. But with Expensify, I can photo each receipt as it's incurred (no keeping needed) with the Expensify mobile phone app, and with a few simple taps get it entered for my monthly reimbursement report. I actually enjoy preparing my reimbursement report these days. What a turnaround! I recommend Expensify. Pros Easy to use, mobile app is completely functional and makes receipt entry easy Cons When selecting email addresses to send a report to, I wish it would easily pop up the ONE email address I always send that report to (rather than having it hunt through my addresses with each letter I add. Expensify has issues with their amex integration. Their answer: not our problem. "After reviewing with our team, we are unable to provide a credit to cancel the subscription early. I understand that you were using the connection to import your expenses and apologize for the extra steps to import them. Unfortunately, this Amex change is not a limitation in continuing to use Expensify. There are other ways to import expenses such as SmartScan and uploading a CSV. Sorry we were unable to help in the way you had hoped. I'll be happy to answer any more questions about exiting Expensify as your Annual Subscription is set to expire in November. Creating a report is very easy, and the site allows me to include the expenses I've uploaded very easily to my report. I also like that if I have a report that has a lower dollar amount, I can receive the reimbursement by the next day. Pros It sounded like a great idea but the program was impossible to use and not intuitive at all. It ended up being much easier just to go back to handing in physical copies. Reports and tracking were difficult to do and the accounting team hated using it. Cons The reports are very bad and it's extremely difficult finding old receipts based on how they sort them. Overall it was much easier finding receipts when we had the physical copies despite having to leaf through 30-40 of them. Review Source Clayton S. I'm not sure yet about the Expensify Cards, after ten days we still have not been approved. Pros Works quite well after you've learned their website and unique terminology. Cons I would not recommend applying for their Expensify Card, it requires you and your IT specialist to set aside at least a day and a half to wade through their untested, obscure and complex requirements. However, if you don't sign up for the Expensify Card the monthly fee will increase. Reason for choosing Expensify Am not aware of alternate products. I love from a user experience how easy it can be to submit expenses and receive a reimbursement. From an administrators perspective it can be a real pain going through everyone's expenses and sometimes correcting them yourself. Pros I have a love hate relationship with Expensify. First with the positive, I love how I am able to expense items through the company and receive a refund in a relatively short amount of time. I love how you're easily able to take pictures of receipts and collect new expenses. Overall, a straightforward easy to use application. Cons Being on the administrator side as well the categories are an incredible pain. For the most part it is straight forward but from experience I've had so many instances where I reject expenses from the team because they are not categorized correctly. This take up so much of my bandwidth during my day when it really shouldn't be. I wish there was a simpler way to automate categories but as of right now it has been reeducating the team on which expenses so into which category. Review Source Nevlynn J. These reports can be send to accounts payable and they will receive a pdf with copies of the receipts. You can use the app to take a picture with your phone and upload it to your account. The smart scan feature works well but sometimes misses information on the receipt. That is not a big thing though because you can easily change and add information. November 14, 2017 5.0 Pros This is the best software/app I have used to date to manage employee expenses. As an accountant, there is a constant struggle to get employees to retain and code their receipts; Expensify makes it easy for both! The receipt matching and scanning functionality has really impressed me as well. Take a picture of your receipt, and, most of the time, it will auto-match to the corresponding transaction. Another great feature is that Expensify will generate audit-able receipts for certain small transactions. Cons Expensify's per user pricing can be a large deterrent depending on company size. A bulk pricing option would be much more tantalizing for larger and even mid-size companies. Review Source Ellen G. Additionally, it helps that both thumbnails and larger scans are available for receipts. The client can decide how much detail he/she needs. Cons I wish there were more than 10 free receipt scans, or at least a light version of the subscription. You can categorize every entry and also upload pictures or screen shots of receipts. This feature has been extra handy for all the rideshares covered by my work. It's clear once a report has been submitted to employer, and you can use Expensify for both reimbursing or billing. Cons Would love an integrated button in apps (like Uber) to send receipts directly to my Expensify account. This would save me time from doing manual entries, uploading receipts/screenshots, etc., although it's still easy to do. There's also scan receipt option, although I don't always trust the info to be correct, so that's another reason why I stick with manual entries. Support is very slow to respond and when they do, it's almost like they are delaying actually fixing anything - they just respond for the sake of responding. Pros None - I'd rather submit reports using excel and paper receipts. Cons It's incredibly buggy. Literally a new problem every time I use it. Sometimes they auto-import receipts, sometimes they don't. I have 2 credit cards setup to import expenses and when I deleted an entire column of personal expenses, they actually uploaded into my expense report, which nullified the work I had done handpicking business from personal expenses. Support is a disaster. I've reached out to them 3 times and they respond 6 hours later saying "so sorry we are here to help" and I respond and nothing. I passionately hate this product.
