I find it easier to create the reports and do expenses on the phone. Expenses are automatically submitted for approval and the tracking/progress of the approval is a nice feature. Pros The ability to create expense reports and sent directly to an approval has been simplified with Expensify. This is th second tool I have used and this seems to be easier to use. I find the work flow of creating a report and expense easy to follow. Being able to populate a PDF report is a nice feature. Drop downs such as "travel, phone, gas, etc." help save time on categorizing. Cons The main issueI have with the the software is the auto generation of the price point on the receipt. You take a picture of the receipt and the software scans. Usually it does not populate and I have to manually put in the cost on the receipt. Review Source KJ Kyle J. The benefit we realized is that with Expensify we can streamline generating and processing expense reports. Pros Expensify is a great tool for keeping track of business expenses, whether your dining out, traveling, or paying for a place to stay. Expensify has features that makes this process easy. Expensify streamlines data entry with smart capture capabilities. Customizable tags so users can categorize expenses in a way that makes sense to them. Also, can visually see the cost breakdown on your dashboard. Capture mileage with a GPS tracker takes out the hard word of calculating yourself. This also makes sure you get an accurate result. You can create invoices to anyone even if they do not have an Expensify account. Automate when you want reports generated (daily, weekly, etc). Connect your credit card/bank account and automatically pull in transactions. Overall, Expensify does a great job and is very affordable. Cons Usually, with a product with many features, the likely problem is usually that the UI is a little hard to use at first. There is a learning curve to the product. Quickly snapping receipts into expensify and knowing I'm a few clicks away from submitting expense reports removes such a weight of my shoulders. Pros Expensify has every feature you'd want in employee expense tracking. Receipt upload, notes, bulk upload, storing off receipts for later submission. Too good! Also very easy to compile and submit. Their app is super easy to use; i could even submit expense reports from it. Cons Nothing really jumps out; i guess sometimes the smart scan would get hung up. Cons The thing I least liked about Expensify is that it's not as robust nor as easy to use of a program as other options out there. I ended up switching to Intuit self-employed app that fit my needs much better. " September 30, 2021 1.0 Extremely unpleasant and frustrating. I was promised payment within 7 days via ACH. I spent the time, submitted everything correctly. They screwed up and apparently they need to look at their software. This should never have happened, this is their business. Highly do not recommend. Pros The CR were nice. Still frustrating as they can't or didn't do anything. Cons It was tedious, took over an hour to set up and it delayed my payment into my account. They had a problem with their ACH processing or integration and it took them over a week to figure it out and fix it. OVER A WEEK! Now my payment is delayed another week. Take photos of your receipts, categorise and the SmartScanning software reads it and enters the data for you. Very impressed!! Pretty easy and intuitive to use, the interface is built the way and it gives hints and tips where/what to fill. I also love the view when you can see all submitted resorts and their status, moreover, email notifications make it easy to always stay up-to-day about any changes made to your report. Another great thing is that you can use it on desktop as well as on your mobile phone, make document photos/scans in a ​couple of seconds and attach them to the report. Both the desktop and mobile interfaces are pretty easy to use. Overall, our team has been happy with it. Cons I wish that it was easier to set up rules. Integrated with most accounting software (we use QuickBooks) 2. Scans receipts automatically from your phone and creates expenses. 3. Has a handy concierge that will create expenses by sending an email. Expensify is great for businesses with sales reps or employees that incur out-of-pocket costs to track expenses and get reimbursed. You can enter all kinds of expenses manually (mileage, credit card charges, etc.) or upload receipts and have their technology do the rest. Expensify is customizable, so you can add expense categories and other relevant fields necessary for properly tracking business expenses. Cons The receipt scanning feature doesn't always work, especially if a picture of the receipt is in dark lighting or blurry. It is frustrating sometimes to create an expense but then have to check back an hour or more later to see if Expensify has correctly created the expense. If you manually create expenses, then this is not a problem. Pros I love that when you take a picture of your receipt, it automatically finds all of the information about the reciept - the cost, the date, the location, etc. I love that you can easily create & submit reports. It also sends an email with a PDF report! Cons Sometimes it automatically creates a Report & it's difficult to delete reports when they've been automatically created. You need to make sure that all of your expenses line up with the correct report because sometimes it puts each expense into it's own report. Review Source Lena P. It literally takes minutes to upload a receipt and submit it up the approval chain. I don't dread expense reimbursement anymore and it's all because of Expensify and how easy they have made using it. Pros Expensify is extremely user friendly, categorizes all your expenses and makes it easy to track and find all your past and current expenses. It lets you add your personal credit card so when you use it, it automatically categorizes your expenses and makes it easy for future expense reimbursements. It's a very easy to use expense system. I access the system often to make sure my expenses are complete with correlated information and receipt attachment. I can quickly populate details on the move. Pros I access Expensify on a regular basis both on my work laptop and mobile phone (via app). Due to my company's expense policy, it's key to keep tabs on various monthly expenses and ensure they are submitted in a timely manner. Via the mobile app, I add expenses throughout work travel to ensure everything in captured along the way. This way, I avoid missing anything as well as avoid the last minute scramble to submit. To further optimize, I plan to directly link my business-dedicated credit card to have seamless integration. Cons The smartscan is quite slow to read receipt pictures and tends to hold up process. My company requires me to use it, but we use the free version. I have to use this software for reporting expenses on a monthly basis. With the free version, you're able to build a monthly expense report and email it to yourself. This along with the actual bank statement allows for some pretty incredible records keeping. Pros I love how Expensify allows you to keep expenses organized, but my favorite part is after a report is generated, it allows you to email the report to yourself. Pros The mobile app version makes expensify the easiest way to manage and code company expenses. Our company card holders were able to be trained on expensify in one 15 minute training session, and never had to ask for help or support internally. Cons It took some time to set up and integrate with our ERP (Netsuite). We also had an issue with Bank of America that was hard to navigate, but we found out that it wasn't on Expensify's side. Accountant Accounting Used the software for: 1-2 years ### "Needlessly complicated" September 9, 2020 4.0 I guess it's better than doing expense reports in Excel or by hand, but it's such a complex piece of software that it seems more like a solution looking for a problem than a solution to a problem. Maybe it would add more value in a larger organization with lots of expense reports (I use it with a client that requires 1-2 expense reports per month). Pros The software allows for online creation and approval of expense reports and credit card expense tracking. Expensify is an improvement over doing these tasks manually. Cons The interface is needlessly complicated and it's difficult to learn how to use and troubleshoot problems. There's this AI "concierge" built in to Expensify that I have found more often annoying than helpful. The credit card feeds break down sometimes, either not capturing expenses or applying the wrong dates to expenses, which fouls up the feed between Expensify and the GL software. There is a feature called "copilot mode" that allows users to access each other's accounts, which I still find confusing. It looks like Expensify is trying to make this a nice-looking interface with a good user experience, but they're just kind of missing the mark in my opinion. Review Source Ashley J. Pros Our company is small and we do not have company cards, so I find myself buying things for the business all the time. Expensify makes it easy for me to get reimbursed and record what my costs were for. Cons It is so easy to use there is nothing to not like. Sometimes our administrator can take a bit longer to reimburse us, but that is on her, not the software. Software Engineer Computer Software Used the software for: 6-12 months ### "Great for managing team's expenses" April 25, 2021 4.0 I have enjoyed using expensify especially with the convenience of the mobile app. Pros One of the great features of Expensify is the ability to be able to scan receipts and auto record the amount and other details on the receipt also being able to submit your expenses to your manager if you are in a team and them seeing your expenses helps in asynchronous communication. Cons Expensify can be great but sometimes, it will show you that the price you have indicated is higher than the actual amount on the receipt, this happens mostly when you have filed a receipt that has a different currency than the currency you are reporting in.
